2022 Annual Conference | Orlando, Florida The call for proposals is open to CIVSA members and non-members attending the conference who can bring value to topics of interest for collegiate information and visitor services professionals. Whether this is your first conference or you are a seasoned attendee, we encourage you to submit a proposal. Can’t decide on just one topic to present? Feel free to submit multiple proposals. The deadline to submit a proposal is Friday, November 5, 2021. If your session proposal is selected, you will be notified via email in December. Presenters must register and pay the Annual Conference registration fee by Monday, January 31, 2022 to confirm participation. Presenters are paid neither honoraria nor expenses. Here’s some additional information to assist you as you plan your proposal: Developing Your Session Proposal Our annual conference is attended by four-year, two-year, research, public, private, and a number of international institutions. 610 people attended our 2019 in-person annual conference in Portland, Oregon and 550 people attended our 2021 virtual annual conference online. Attendees at CIVSA conferences are professionals working in information and visitor services. They may work in admissions offices, visitor centers, campus information centers or other campus offices that execute events for campus visitors and guests. Programming covers a balanced spectrum of topics related to higher education information and visitor services interests: tours, ambassador programs, prospective student events, leadership, teamwork, communication, and personal and professional development. Make sure that everybody you list as a presenter knows they are part of your proposal, and that they intend to come to the conference and co-present in your session. Presentations submitted with “TBD” will be considered as an incomplete proposal and may not be reviewed. Do your best to confirm the speakers in your session so you can give the fullest picture of your session to the reviewers. Accepted sessions that drop or switch presenters will be re-evaluated for the program. Session Format Concurrent 50-minute sessions. are expected to share knowledge, research, and experiences in a way that can be adapted byany institution. Educational sessions are not an opportunity to promote specific products orservices.

To assist the Programming and Education Committee to develop a balanced educationalprogram, please classify your presentation into one of these themes:

● The Campus Experience: Daily Visits, Tours, and Custom Programming● Equity & Inclusion: Multicultural Recruitment, Events, and Campus Diversity● Going Viral: Social Media and Virtual Events● Initial Impressions: Large Event Planning and Campus Collaboration● Navigating Turbulence: Campus Safety and Current Events● Opening Doors: Group Visits, Community Outreach, and Building Partnerships● Staying Innovative: CRMs, Event Management Platforms, and Research &

Assessment● Strengthening Your Team: Student Development, Office Culture, and Staff Training

Instructions for Proposal Submission

1. Submit proposals via the online form here by Friday, November 5, 2021.2. Provide all requested information. Incomplete proposals will not be considered.3. Identify the educational theme that best fits your presentation.4. Address what attendees can expect to gain by attending your session, examples of

what will be discussed, and the intended audience in your session abstract.5. Be thoughtful when considering the intended audience for your presentation as this

information helps attendees determine which sessions best meet their professionaldevelopment needs. You will have the following options to choose from:

a. New Professionals (first-time conference attendees and those who have been inthe profession for 0-3 years)

b. Seasoned Staff (those who have been in the profession for 3+ years)c. Event Plannersd. Student Supervisorse. Full-Time/Professional Staff Supervisorsf. Marketing & Communications Staff

Selection Process

The Conference Programming and Education Committee reviews and selects proposals thatdemonstrate the greatest potential for contributing to the quality of the conference. Thecommittee is dedicated to developing a program that is of interest to advanced, middle, andentry-level professionals and looks for presentations that represent the various roles within thecollegiate information and visitor services profession.

Review of submissions will be based on the following criteria:

● Overall quality● Relevance to the collegiate information and visitor services profession● Timeliness of topic● Audience appeal● Well-defined presentation vision● Application of the material

Committee selections undergo a final review by the Executive Board to ensure the conferenceprogram represents a balance of topics and content that both speaks to the theme andappeals to the diverse interests of CIVSA’s constituency.

Conference Registration

Presenters must register and pay the prevailing conference registration fee by Monday,January 31, 2022 to confirm participation. Presenters are paid neither honoraria nor expenses.Lead presenters must indicate that they have informed all presenters (if applicable) of theregistration requirement before they can submit the proposal.
