1 - How do I pay?

You may pay your rent in any of the following ways:

- Upfront in one payment by credit or debit card. (Required for short let bookings)- Monthly by direct debit when length of stay is longer than 3 months.

(N.B. If you pay by credit card we need to charge a standard surcharge to cover the extra costs we pay when handling credit card transactions.)

2 - I don’t live in the UK and don’t have a bank account, can I pay by card?

Yes you can still pay with an international credit/debit card or transfer the balance from your international account. Please bear in mind that there will be a £18 handling fee if you transfer from an international bank account and that there is a 3% surcharge on all international card payments.

3 - Why do I have to pay a surcharge if I pay you by credit card?

The credit card companies charge us for taking your payment. Most companies just increase the cost of their products to cover the cost, however we don’t want to increase the rent for everyone, so instead we charge a surcharge of 3% as applicable – we think this is fairer!. This applies to all international credit/debit cards as well as UK credit cards.

4 - What does the weekly rent cover?

This is for your room and the shared facilities, (or common parts) of the property. Residential Halls benefit from an in-room internet service.

5 - Will my room be cleaned? Residential Halls: Should you wish for someone to clean your room/studio, we can arrange for a weekly room clean for only £15 per week.

Flat share Properties/Lettings Properties: We can arrange for your room/property to be cleaned, but the cost may differ in each property. Please contact us for more information.

6 - Do I need to buy a TV License?

The Television Licensing Authority requires that every television has a license, so you’ll need to buy a license if you bring any televisions you bring to your flat.

7 - Do I need to pay council tax?

As a student you do not need to pay council tax. You will be provided with a council tax exemption form by your University during your enrolment. A copy of this must then be provided to the team at your property.

8 - Are utilities covered?

All utility bills are included in the price.

9 - How do I report a problem with my room?

Please email property@nwalondon.com explaining in detail exactly what the problem is. Please ensure that you include all your contact information, and which property you are staying in.

10 - Who can live in residential halls?

We can accommodate students from any university or from English schools, but you should be a student who is taking a full-time course of study in London, a student on an organized study abroad program, a student enrolled full-time in a language school, or a student conducting a work placement course as part of a degree granting program. You must also be 18 year old or over.

11 - How long can I stay?

The New World Accommodation can offer flexible contract lengths. During the school year we can accommodate long term students but during the summer, short lets contracts are also available with some locations having a minimum stay of only 1 week. Speak to us directly for more information

12 - Are linen and kitchen essentials included in my room?

In Residential Halls, we provide you with bedlinen and cutlery for your stay. For other types of accommodation, please enquire with us so that it can be arranged.

13 - Do I need to provide any documents before I book with NWA?

To book with us we are going to require a scan of your ID proof (it can be scanned if you book in our office or it can be sent electronically by email), in the form of a passport or ID card. A Credit Card Guarantee will also be required when booking.

For student accommodation you will also be required to show proof of student status from your university by way of your acceptance letter.

Reservations

In order to reserve accommodation with us, please contact us first to check availability. At the time of reservation, you will also be requested to provide a non-refundable deposit in cleared funds, usually equivalent to one week’s advance rent per room. On receipt of the moneys, the reservation will be confirmed. Payments made using a credit card are subject to transaction charges, and these will be notified to you on request.The balance of the rent for the reserved rooms for the entire term of the reservation then becomes due 15 days prior to the commencement of the term.

Booking Confirmation

Bookings can only be guaranteed after payment has reached our bank account. We reserve the right to cancel any booking for which we have not received payment by the due date. Insurance of bookings can only be issued once payment has been received.

Arrival Time

When booking accommodation, you must inform The New World Accommodation of your estimated arrival time at least 3 days in advance of your arrival to the UK. This is to ensure that our representatives will have everything prepared for your arrival. Failure to do this may result in your having to wait for the arrival of the host. If you come during the weekend you will be charged a £50 fee, as the weekend periods are outside our regular office hours.

Extensions of Stay

If a student wishes to extend their stay beyond the reserved departure date, they should contact The Ark Student Services as soon as possible to request an extension. Extensions are subject to availability. If an extension is not possible, The New World Accommodation will endeavour to find you a similar alternative.

Amendments

In the event that you wish to change your reservation arrangements, we will do our best to assist. Any requests for changes must however be submitted in writing as soon as possible, and in the event that the amendments are still possible, there will be a £30 administration charge per room, together with your agreeing to indemnify us for any additional costs that we might incur as a result.

Accommodation Minimum Stay

Cancellation

All cancellations must be submitted in writing to: theark@nwalondon.com.

Accommodation, once paid for is subject to the following cancellation charges:

• If you cancel your accommodation from 3 days - 7 days prior to the booked arrival date we will refund your total moneys, less 2 weeks accommodation charges and the £25 handling charge.

• If you cancel your accommodation 2 days or less prior to the booked arrival date or if you are a “no show”, (ie. fail to advise us that you will not be arriving), we will refund your moneys, but less 4 weeks accommodation charges and the £25 handling charge(s). There will be no refund if you have not paid for more than 4 weeks accommodation.

Cancellation requests must be received during NWA office hours, which are from 09.00 - 18.00 (London Time), Monday through Friday. Saturday, Sunday and National Holidays (including the days between Christmas and New Year) are excluded.

Contracts

Although the Reservation Agreement is between your organisation and NWA, it still remains possible to enter into either a corporate Tenancy Agreement between NWA and yourselves for all the rooms reserved, where there is provision therein for the assignment of the individual reserved rooms to the nominated Tenants, or alternatively individual Tenancy Agreements can be created for each room. If individual agreements are prepared however, there will be an additional charge of £20 for the preparation of each Agreement, and additionally each Tenant will be required to provide a security deposit, or a credit card guarantee against dilapidations, (damages), or inven-tory shortfall.

Changes due to Unforeseen Circumstances and Force Majeure

As per the terms of the reservation Agreement, and our general business policy, NWA reserves the right to make changes or cancellations after the reservations are made in exceptional circumstances. If the reservations need to be changed, NWA will however offer the option of either your accepting the change or instead cancelling the reservation and receiving a full refund of all moneys paid to us. Naturally we cannot accept responsibility for any expenses, costs, or other consequential losses arising as a result of such changes beyond our control.

Limitation of Liability

NWA does not accept liability or is able to pay compensation for any loss, damage or expense, where the perfor-mance or prompt performances of the obligations of the Agreement are prevented by Force Majeure. Force Majeure comprises any event which NWA as supplier of the service, could not, even with all due care, reasonably foresee or avoid, including, but not limited to war, threats of war, riots, civil strife, terrorist activity, industrial action, natural or nuclear disaster, fire, adverse weather conditions, technical problems, or any similar events.
