TDM has a new online information Home Page, which is located at www.usta.com/tdm This information page contains Frequently Asked questions, a link to sign up for an online training session as well as the most up to date information on TDM. To download TDM or the latest upgrade to TDM, click on the last link on the home page.

TDM Download/Installation Instructions

If you do not have high-speed internet access, this is not recommended. Please wait for a CD to be sent to you.

You will sign in using the login and password already assigned that you use to access the online sanction form at http:/tournaments.usta.com. If you have misplaced your login/password or were never setup, please send an e-mail to [email protected]. We will reset your existing login/password and setup a new one if necessary. Let us know if you have any questions.

If you currently have a TDM version OLDER than 12/3/03 installed, please follow steps to uninstall, otherwise scroll down to Install directions.

Uninstall Directions

1. Left click on Start > Settings > Control Panel

2. Click on Add/Remove programs

3. Find TDM in the list of programs (Be sure not to uninstall TMS), click on TDM

4. Click on Remove and follow any additional prompts Installation Directions (This version will create a folder called c:\TDM on your computer for you.)

3. TDM application

4. TDM Upgrade

Files 1-3 are located at the bottom of the page and file 4 is located at the top. Download all of those and then install them in the order listed above. For .net and MDAC files:

1. Simply click on each file and choose Save when prompted. Save them to your desktop. Once the download is complete, go to your desktop. Double click on them and follow the prompts to install them Accept all defaults as you are prompted. Once the .net and MDAC are installed, please move to step 2 below.

For TDM specifically:

1. At the bottom of the page Click on the TDM application setup

2. Click on Save from the Download window. Be sure to note where you have saved this file. We recommend your desktop.

3. Once the Download is complete, Close "Download Complete" Window.

4. Open Windows Explorer, (Right click on Start, left click on Explore) and locate file. Or if you saved it to your desktop, simply go there and more to step 6.

5. Double-click on TDM Setup Icon.

6. In WinZip Self-Extractor window, the "Unzip to Folder" window will default to C:\TDM. TDM must be installed on your c:\drive, not a network drive.

7. Click on UNZIP

8. Message stating 5 files unzipped successfully will appear, click OK. Click Close to close extractor window.

9. Go to your C:\TDM folder. Double click the TDMsetup.msi icon that looks like a computer monitor with a CD in front of it. Follow the prompts and choose all the defaults. (Click next without changing the choices.)

10. Once installed, the TDM program icon will appear as a 'Shortcut to TDM' on your desktop. Double click the icon to open the program. Sign in using your login information. YOU MUST BE ONLINE THE FIRST TIME YOU USE TDM.

The TDM upgrade instructions are as follows: www.usta.com/tdm Click on the link above, click on the download upgrade link at the bottom. From the download page, click on the latest upgrade and then click on OPEN or RUN The file will download to your computer. When the WinZip self extractor window opens, Click on browse and then at the top, click on desktop. Then click on Unzip. It will say one file unzipped successfully. Then go to your desktop and double click on the TDM upgrade. Be sure that you do not have TDM open.

Getting Started

The login and password are the same as those used to access the Schedule Admin area of the Online Sanction form.

The first time that you log into the system, you must be online in order for the system to validate your login and password. This login and password control access to the Sanctioned tournaments.

A tournament director or Tournament Organization can access TDM from any computer with this login and password. The login will always be the tournament director’s personal USTA # and the organization will use their organization USTA #. The password is specific to each USTA#.

Tournament directors and/or Organizations have the ability to install TDM onto multiple computers. They no longer have to publish from a single computer.

The main screen of TDM is comprised of three distinct areas:

The Tournament Explorer The Tournament Home

The Player Explorer

The Tournament Explorer, on the left, will return all tournaments associated with the Login and password that was entered in the login screen.

The middle screen, labeled Tournament Summary, will initially show the same list of available tournaments. This screen will only be displayed when you first sign into TDM.

The Player Explorer, on the right, is a list of all players in your database. You have the ability to view all players (Players Master info) or only those players in a specific tournament (Player info for this tournament).

The first thing to do is to set up the tournament. If you click on the Home Icon, the organization info screen will be displayed.

The first time you open a tournament, the organization screen will not contain any information other than the Tournament Name and Tournament ID #. You will be prompted to download the tournament before making changes. THIS IS A VERY IMPORTANT STEP.

To get the information already listed in the Online Sanction form, simply Select the tournament name from the left window pane that says Tournament Explorer at the top. Go to File and Download Tournament and all the information in the online sanction form as well as any events and/or players will be downloaded into the tournament.

If this is a Non-Sanctioned tournament that will not be published to the internet, this information will need to be manually entered.

THIS IS A VERY IMPORTANT STEP

YOU MUST DOWNLOAD BEFORE BEGINNING ANY WORK ON YOUR TOURNAMENT.

YOU WILL NOT BE ABLE TO UPLOAD AND PUBLISH YOUR TOURNAMENT/RESULTS IF YOU HAVE NOT DONE THE INITIAL DOWNLOAD.

This will download not only the information from the Online Sanction form but also any players that registered online or were Batch entered online.

You are asked to confirm that you want to download. You will see the progress of the download.

Once the download is complete, all site information, events and players will be available in TDM.

You no longer have to request a file, save the attachment, create a shell and then import the players.

You can download the tournament as many times as you desire. The system will add any new players that have registered and update any changes made to the information in the Online Sanction form

IMPORTANT – If you make the draws in TDM and then download without having uploaded the draw information, these draws will be erased.

The Download Tournament feature of TDM populates the tournament with all the information that is currently on the Internet. This includes the events, the tournament home information, tournament director and any players that have registered online.

There are two important things to consider with the download feature.

You must download the tournament before beginning any work or entering any information. This initial download step allows the system to recognize the tournament ID # so that you can upload (publish) to the Internet later.

If you download over an existing tournament without having uploaded first, there are certain fields that may be overwritten.

Players – will not erase any players that have been added.

Groups- will not erase any groups or group ranks that have been set up.

Draws – will be erased if they have not been uploaded previously

Match Times - Match Results - Site/Courts – Schedule Planning - Scheduling – will all be erased if they have not been uploaded previously.

The Upload Tournament feature publishes all information to the Internet and makes it available from the tournament home page.

When you go to File and Upload tournament, the following information is posted to the Internet:

The Draws including match times and match results. (This can also be hidden- See Draw Properties and Web options.)

Messages that have been entered under the General Tab from the Home Icon screen

Any changes to tournament home such as Director Information and Organization information.

Link to Competitors which includes all players downloaded as well as players that sent in paper entries and were manually entered into TDM (This list can be hidden by checking the box ‘Hide Competitor list’ under the General tab on the Home Screen.

Link to Player Seeds – once the Seeding has been completed in TDM and the tournament uploaded, this information will be available.

Tournament Home

We have the ability to minimize both the Tournament Explorer and the Player Explorer view.

By clicking on the Push Pin at the top of either explorer view, the explorer pane will be minimized and the explorer view will be placed along side the Main Window.

If you click on this Explorer side bar, the Tournament explorer/Player Explorer will return to view.

You can completely remove these explorer panes from view by clicking on the X at the top of either explorer pane.

To bring back the Tournament Explorer or Player Explorer, simply go to View and then click on Tournament Explorer or Player Explorer.

We do not need the Player Explorer or Tournament Explorer view at this time, so we can minimize both of these by clicking on the Push Pin at the top of each screen.

This main screen, Tournament Home, now fills the majority of your desktop.

The tabs at the top of the page contain the same information as the Online Sanction form

As you click on each individual tab, you will notice that the information available online has been populated from the download and shows in TDM.

Any fields that appear in a box can be edited or changed by the tournament director. The approved changes will then show on the tournament home page once the tournament is uploaded.

The General Tab contains the area where messages can be created and stored. Click on New at the bottom of the screen and the message properties dialog box will open.

Enter the Headline that will be displayed on the tournament home page along with any link that is appropriate. Enter all the complete information into the Message Body.

Since this is a Windows application, all Windows features are available. If you currently have this information in a document, you could COPY and PASTE it into this area.

The information is now stored and the messages will be posted on the Tournament Home page once the tournament is uploaded. To upload the tournament, simply go to File and Upload tournament.

The order of the messages can be changed by highlighting the message and then using the Message Up or Message Down button.

All approved changes and messages will show on the tournament home page.

You have the ability to hide the competitor list from showing on the tournament home page. From within TDM, click on the Home icon and then click on the General Tab. The checkbox to hide the competitor’s list is located directly below the General Info area. Click the checkbox and then go to file and upload tournament. This will upload any new information to the USTA website but the competitor’s list will not be seen on the tournament home page.

The applicant list is those players that have registered online. The competitor list is published from TDM. This list will include the online applicants (those that have been downloaded into TDM) as well as any players that have been entered only into TDM. Sometimes, it can be confusing to the players if a recent download has not been done. Be sure to do a final download once registration has closed.

From the File menu, you also have the option to Save Tournament to your hard drive or a floppy disk. You could then Restore Tournament, when needed.

The Upload feature, however, saves all your data, whether visible on the web or not, to the USTA servers. This information is then accessible from any computer to be downloaded at a later time.

For an Unsanctioned event, you can create a new tournament and use TDM to assist in running the event. Click on New tournament from the File Menu then you can enter the information for this event. Tournaments that originate in TDM will generate a negative Tournament ID #. These CAN NOT be published to the Internet. To publish an unsanctioned tournament, you must first get permission from your Section/District administrator and a New Sanction form must be created in the Schedule admin area. This will generate a valid nine digit Tournament ID #. This will allow the tournament to show in the tournament explorer and be published to the Internet.

A feature new to Tournament directors is available under the File menu.

Tournament directors will be able to Save Event Matches and Restore Event Matches for individual events from a satellite computer to a main computer.

When you click on File and Save Event Matches it will allow you to choose from the events that have draws already made. Choose the events that have results entered on the alternate computer and Click on Save. TDM will allow you to name this file and save either to your hard drive or a floppy disk. To import only these events without overwriting information already entered for other events, go to File and Restore Event matches and find the Saved event matches. Only those events that have been saved will be available to be restored. Choose the events and then click Restore. TDM will notify you when the restore is complete.

Once you are ready to publish your draw, results or messages, you simply go to File and Upload tournament.

This will put all information on the Internet at once. You will have the option to hide draws and/or match times. This will be explained later. TDM will ask you to confirm that you want to upload.

A dialog box will show you the status of the upload process.

Once the upload is complete, TDM will display a message indicating it was successful. The information now shows on the tournament home page at www.usta.com

Player Explorer

The Player Explorer view is located on the right hand side of TDM.

There is a Player Master Info Database which includes all players from all tournaments.

The Player info for this tournament displays information specific to this tournament and can be edited to reflect any change in the data.

The player info for this tournament has additional fields that are available. These fields are specific to an individual tournament such as Hotel and Check In date.

To search your local database for a player, simply click on Search from the bottom of the Player explorer screen.

This will open a Search Criteria box that will allow you to specify the search criteria.

You do not need to include information in all fields, one or two fields should produce the player results.

To add a player to an event from the Player database, you must first be sure that the player name shows in the player explorer. Then, simply click on Add from the bottom of the player explorer view. TDM will ask you to confirm that you want this player added to the selected event. The player will be entered into the event. If you would like to search the National Database, you can still click on Add but this time when the prompt to add to the event comes up, click on 'NO'.

This will enable the Search criteria screen which defaults to the National database. As with the Search option, you do not need to fill in all fields, one or two fields is generally the best.

The search option also does a 'fuzzy' search for players.

You can enter only partial information and it will find ANY results that match. Enter a minimal of letters and click on Search and TDM will return any players that match the initial letters. If you are unable to find the player, you can create a new listing that can be verified later. Simply click on 'Create New'.

TDM will allow you to enter the player name along with their personal information. This will be entered not only in the Master Player file but also in the Player info for this tournament file.

The Fee Paid can be entered on this screen when the player is initially entered. It will be recorded as a cash payment but can be changed by going to Player and View fees in the top tool bar.

If you have made a correction to the spelling of the player’s name, click on Save and the information under the player box of events will automatically update.

You can delete a player from your database that is not playing in any tournaments by clicking on 'Delete'. TDM will ask if you are sure that you want to delete that player and then remove the player from the database.

TDM allows you to customize your player explorer views. TDM defaults to selecting all fields as showing in the Player Explorer.

Select the field that you do not need to include in your Player Explorer view, and click on the arrow button to move the field to the left box which will remove it from the explorer view. Once the fields are moved, they will not be displayed in the Player Explorer.

You have the ability to arrange the fields in a different order. The up and down hand arrows on the far right of the player explorer properties screen will allow you to do this.

You can continue this process until all fields have been corrected and/or rearranged.

You can also search for players by entering the player name directly into the field at the top of the Player Explorer.

As you enter a letter, the player drop down will change to show players that start with those letters. Once you select the player, their information will show on the screen.

You can manually enter any data in the tournament database such as Check In date.

All information will be automatically saved so that you can access it again.

The Synch with National DB button at the bottom, will allow you to update the player information with any new or changed information that is available in the National Database.

Events

The Events Icon lists the Events and the properties of those events.

It also lists the players associated with each event. If there are any alternates for this tournament, they will show in the alternates’ box at the lower right corner of the events screen.

To edit an event, you can double-click on the event name or you can highlight the event name and then click on Edit Event. The Event properties box will open. Since this is a Sanctioned tournament and was downloaded from the Online Sanction form, the Event Information properties have pre-filled with the same information as the Online Sanction form. One of the most important things to indicate under edit event is the draw type. The system cannot make a draw until a draw type is defined.

Since this is a Windows based application, most Windows features are available. If the sort order of the events is not correct, you can click on the column heading to sort in another order. This feature works throughout TDM.

The Event Name at the top of the Event Properties box can be edited to reflect your specific tournament such as Boys 18 singles Gold.

The Level drop-down has the following options:

• Ranked • Novice

• Unranked • Senior

• Championships • Super Senior

• Super Champs • Grand Prix

• Challenger 1 • Masters

• Challenger 2 • Satellite

• Challenger 3 • State

The Division drop Down contains all divisions such as Junior, Adult, Family, NTRP and Custom.

The Draw type contains the following options:

• Single Elimination • Unknown

• Round Robin • Compass Draw

• Full Feed-in Consolation (through QF) • Team Competition

• First Round Losers Consolation • Team (60/60)

• First Match Losers Consolation • Team (80/80)

• Curtis Consolation • Full Feed-in Consolation (through SF)

The Surface and Draw limits can also be indicated here.

You can indicate the Limitations for a newly created event. For an event that is created in the online sanction area and the information is downloaded, this screen will be grayed out, as all this criteria will already be indicated.

The gender of the event can be indicated. The choices are Male, Female or Mixed.

If this event is based on an NTRP rating, you can indicate it here. When a player is added to the event, the system will verify that they have the correct NTRP rating.

The Birth date restrictions can also be added. The system will verify that a player is age appropriate for not only the junior events, but also for the Adult Age divisions. For adult NTRP divisions, the system will check to see if the tournament allows NTRP juniors before allowing them to be added to the events.

The Draw information screen lets you indicate all the options that will be taken into consideration when making the draw

The Playoff options include None, Top 4 and Top 8.

Top 4 is used for a Third Place Playoff - the losing semi-finalists in the main draw play-off for Third and Fourth Place in the tournament.

Top 8 is used for Seventh Place Playoff – the losing semi-finalists in the consolation play-off for Seventh and Eighth place in the tournament.

The Separate top 4 and Separate top 8 allow you to specify the top players in a particular group. These players are then separated into different quarters of the draw. For instance, if you choose Separate top 4, you would then go to groups and create the groups that will allow you to separate the players, such as by Section. From this group, you would click on the player name and then number the player by rank. This will be covered more under the Groups Section.

The ITF and NCAA are draws specific to these two organizations.

The ‘Byes Bottom up’ feature first assigns byes to the seeded players in descending order. The remaining byes are placed at the extremes, the top and the bottom. The first bye goes on the first available odd-numbered line above the bottom line; the second on the first available even numbered line below the top line, etc. Once the seeded players and the byes have been assigned, the rest of the draw is filled in with the remaining players being placed on the unoccupied lines in random order.

TDM has the ability to create consolation rounds for those players that lose in a particular round of the Main Draw. This event is considered a Dependent Draw. To create this type of consolation round, you would first be sure that the draw is made for the Main Event. Once the draw is made, you can click on Create New event, choose the division, (Example: Choose Boys 14 singles) and then under Draw properties, make it dependent on the Main Event – Boy’s Singles by selecting the main draw round from which the players that lose will feed into this new consolation from within the Dependency box under Event. The name of the event must be filled in and must be different than the name of the main event being depended on. The draw type of the dependent event will always be single elimination.

Block Seed R-3 and Block Seed R-4 refer to the practice of taking the seeded players and advancing them several rounds into the tournament.

Block seed R-3 places the selected players directly into the Third round. This can vary depending on the size of the draw. For instance, in a draw of 64, it would put the block seeded players feeding into the round of 16.

Block seed R-4 places the selected players directly into the Fourth round. Again, this can vary depending on the size of the draw.

The Scheduling Information screen indicates the minimum Rest period. The rest period is the time between the start of the first match and the time of the second match. This is the sum of the actual match time and the rest time. It defaults to 3 hours or 179 minutes of rest.

This Rest Period indicates that the system, when using the auto-scheduling feature, will allow 3 hours from the start of one match to the start of the next match for an individual player.

179 Minutes is typically the rest period used for Best 2 out of 3 sets. If you are using a different scoring format, you can adjust the time accordingly.

The Main Draw Properties screen can be used for Fixed Interval scheduling or Garman System Scheduling.

The system defaults to 1 Hour - 30 Minute match time (average) using the Garman System of scheduling.

To use Fixed Interval scheduling, simply change the selection to Fixed Interval.

The Consolation Properties Screen is used to indicate the Average Match time and Scheduling type for the consolation rounds and looks exactly like the Main Draw properties screen.

If the consolation round is using a short scoring format, the average match time should be adjusted.

The System property defaults can be edited to reflect the preferences of the tournament director.

To edit these defaults, Simply click on Tools Then System Properties

The Event Defaults for all tournaments can be indicated here.

You can indicate defaults for all singles events and defaults for all doubles events.

The draw type must be specified for each event in order for the system to generate the draw. This too can be defined in the system properties as a default.

The defaults for Minimum rest time can be indicated on the Rest Time Default Screen.

The defaults for the Main Draw properties are indicated here.

The same defaults can be shown for the Consolation draw properties.

A new feature in TDM is the ability to Split Events. From the events screen, click on the event and then Split Event.

You can indicate how many events to split this particular group.

You can indicate the Event Naming convention as either Letters or Colors. These names can also be changed once the process of splitting the events is complete.

The option that is checked, Split players across events, is defaulted to be selected. With this checked, the system will not only create separate events the same as the initial event, but will split the players across each of these events, as evenly as possible. If you manually want to move the players, you would simply uncheck this box and then you will have the option to drag and drop them to the correct event.

When you download the tournament, all players that registered online or were batch entered online, will automatically populate the correct event and show in the Player screens.

You can download your tournament multiple times. Each time, you will be updating your tournament with any new players that have registered, in addition to any changes made to the Online Sanction form.

To edit the information for an individual player, simply double-click the player name or highlight the name and then click on Edit Player

The General screen for the player allows you to manually seed the player and/or choose the partner for a doubles event (if applicable). To manually seed multiple players at once, choose the Manual Seed option next to Auto seed.

It will give a list of all players in the selected event. Just as you would in the individual player properties box above, you can seed the player simply by clicking the arrows up or down or by entering the seed number.

Once the draw is made and the schedule has been done, the Event & Match information will be shown for each player in the event.

If you allow Avoidances, you can indicate them here.

You can indicate the day of the avoidance, edit the time and then click on Add.

This will prevent the system from scheduling this player during that time.

All Entry statuses are available in the drop-down box. These fields are strictly for informational purposes. If you select withdraw, it will not actually withdraw the player from the event. You will need to return to the event screen and click on REMOVE player to physically remove them from the event.

Mail, phone or fax entries can be entered in TDM.

Simply click on Add Player from below the player screen.

From the Add Player screen, you can search by different criteria including the Name, Member number, City, State or Birth Date. Not all criteria is required to perform a search.

We recommend putting in only one or two of the search criteria.

The system defaults to the National Membership Database but you have the ability to search your Local Master Database. To search the National Membership Database, you must be online.

The system is designed to do a 'fuzzy' search, which means that you can enter only the first portion of your search criteria. You can sort the results that are produced by the search by clicking on the column headings.

You can add a player not in the National Database or your local Database by clicking on Create New from the Add Player Screen.

The screen above will open for you to enter their personal information.

This information will then be saved to the player explorer databases.

Once you have entered the information that the player has submitted to you, click OK and the player will be added to that event.

We have already shown how to manually seed players, but now we are going to auto seed based on a published ranking list.

Click on Auto Seed to bring up the Rank List Selection Dialog box.

Select the criteria to locate the ranking list that will be used to seed your tournament players.

You will need to select the Year and the Section. You can select a specific list type or simply include all list types. Only those lists that have been published to the Internet will be available to use for seeding.

Click on search to return all published lists from that Section/District for that particular Rank List Type.

The auto seeding has been completed.

The players that were seeded have been moved to the beginning of the player list. Their seed number is indicated to the left of their name.

If you need to edit the seeds, click on edit player and manually adjust the seed number.

The system will ask you to indicate the number of seeds for this event. The general rule is one (1) seed for every four (4) players.

You will select the list you want to use for seeding the players and click OK.

To further assist you in Seeding your tournament correctly, TDM provides Tournament Seeding Reports. The Tournament Seeding Report is available in TDM from the Report’s Menu. This report allows you to see the rank values of players from a specific list that you chose for auto seed. The report also lists the seed number for a particular player in an event.

Here is an example of this report for a Singles Event.

For Doubles, TDM does not place seed numbers for the players. This must be done by the tournament director. Once you have chosen your auto-seed list, the following message directs you to this report to help with seeding your doubles event.

(Please note, you must have a Doubles rank list available on the internet for your Section/District or National Event)

TDM does provide a report though that will show the rank value of both players as it appeared on the list chosen for Auto-Seed.

Groups

Groups are used to separate players and prevent them from competing in the first round of a tournament, by separating them on the draw.

Click the Create Group button to setup a new group. Type in the group name and select the appropriate group type. Then click OK to save this group. Click on Add Players to include players in your group.

Click on the player(s) that you want to add in your group, and click OK. The players added are displayed in the player screen below.

To auto generate commonly used groups, click the Generate Groups button.

Choose which option you want to include for your groups and click OK.

You can modify the players in the auto-generated group as necessary. To remove a particular group, Highlight the groups(s) that you want to remove and choose Delete group(s). TDM will prompt you to be sure. The selected group(s) has been removed.

You can choose to Delete All Groups and again, TDM will prompt you to be sure.

If you are using the Separate Top 4 or Separate Top 8 option, you can use the auto-generate groups to set up the initial groups such as separating them into their Sections as show below.

To utilize the Feature to separate the top players, click on the player name and the Group Player Properties Screen will allow you to indicate what you wish to rank this player.

You will mark the top 4 or top 8 players 1-4 or 1-8. The system, in generating the draws will separate these players into separate quarters of the draw, with one thru 4 being in separate quarters and five thru eight being in separate quarters.

If these players are also seeded in this tournament, the system will also take this into consideration and following the guidelines established in Friend at Court, place them on the appropriate lines.

We will start by Making a draw

From the Make/Unmake Draw menu, you have 6 options to choose from:

TDM allows you to make a Blank Draw. The draw size will be based on the number of players entered into the current event.

To place players on the draw line of a blank draw, right-click and Assign Player will show.

This will allow you to assign a player from the list of players entered into this event.

As players are entered, their name no longer will appear in the drop-down box of players.

If a bye is entered on a line, the player on the opposite line will automatically advance to the second round.

To change a player that was entered incorrectly, right-click on the draw line and select the Change player option.

For Doubles draws, you have multiple options to choose from when you right-click:

To change a doubles partner with someone not currently in the draw , you must first enter the player into the event from the Event screen. In the Example below, Craig Ryan has been entered.

Return to the draw, right-click on the draw line where the new player should be inserted and choose the option to change partner – choosing the player to be removed. The player not currently in the draw will appear at the top of the list with an asterisk next to their name.

The Draw has been made...now let's review the screen options that are available.

The Font colors can be changed. However, only players with Valid USTA #’s will reflect the new colors.

Players that have not been validated will show in Blue on the draw line, Green if they are a seeded player.

The Header can be changed from Standard, which is the default, to Event Name only.

Click 'OK' when all selections are complete.

The Data Options can be set for all draws or for an individual draw.

If you wish to set the options for an individual draw, you MUST uncheck the setting: Use these settings for all draws in order for it to work.

To select an option to show, a check mark should show in the box next to the line item. To hide a feature, simply uncheck the same box next to the line item.

The Web Options feature under Draws will allow you to indicate what will show on the Internet.

To show all the draws, simply click on Select All from the top.

To Hide all the draws, simply click on Unselect All from the top.

If you wish to hide certain rounds of the draw, you can click on the plus sign next to the event name and the Main Draw and Consolation Draw (if applicable) will show the number of rounds in the draw. Indicate, in the column marked Show Times Thru Round, the number of rounds that you wish to be displayed on the internet.

This example shows 5 rounds in the main draw. If you only wanted the first two rounds to show, you would type in 2 in the second column. This feature allows you to schedule out the entire tournament but only show the rounds that are current.

To now publish these draws to the internet, simply go to File and Upload tournament and the selected draws, selected draw options and the selected rounds will be uploaded and show on the tournament home page.

The Draw screen can be sized so that more of the draw can be seen at one time. Click on the Toggle at the top and slide to the right or left to make smaller or larger. Now more of the Draw can viewed at a glance.

The Print Options for the Draws allow you to customize your draw printing.

The Print Page Setup allows you to specify the paper size, as well as the margins and print orientation such as portrait or landscape. This is also where you specify the printer to be used.

The Print Draw and Print All Draws will produce a print preview screen where you can choose to print the Main Draw, Consolation or Both.

The Print Selected Draws option will allow you to choose from the draws that are currently made.

Once you click on Continue, the draw preview screen will allow you to assess which pages you want to print.

Once you click on the printer from the print preview screen, the options box will be available to choose the pages to print. You can print ALL, print the Current Page or Print selected pages by indicating them in the third option.

To View the Consolation rounds, change the view in the drop-down to reflect the desired round.

If you had chosen the Top 4 playoff, also known as 3/4 playoff in the event screen, the playoff will not be displayed on the main draw. The playoff is selected from the drop down menu.

Although the Playoff is displayed on a separate page here, it will print on the same page as the main draw.

You also have the ability to manually schedule or enter match results from the draw screen. To do either function, left click between the players lines of the match that you need to edit.

The Match properties box will open. If the match has not been scheduled, it will default to Match Schedule as generally you will indicate the match time before you can enter the results.

You can indicate the Location, Day of tournament (the date will automatically change to correspond) and the Match Time.

If you check the Schedule Locked box, this will prevent TDM from scheduling this individual match if you use the auto-schedule feature.

The Suggest Time feature will show you the first available court time on a particular day of the tournament at the selected site.

Once you have entered the Day, Site and time of the match, click OK and the information will show on the draw. Remember, you can select what information should show on the draw by going to Draw properties.

**To have TDM default to a particular day and/or site, go to the Scheduling screen and change the drop downs on that screen to the day and/or site that you will be working on. When you need to change one or the other, return to Scheduling screen and change the information.

If you left-click again between the player lines, the match properties box will be displayed. This time it defaults to the Match results since this match had been scheduled.

Click on the Winner drop-down box to display the players and then select the winner or start to type the first few letters of the players last name. Once the player shows in the drop-down, click enter to save.

There are quick-keys to enter the score. To enter a score of 6-0; 6-2, simply type in 0 space 2.

All the valid default codes from Friend at Court are available in the drop down. Once the score entry is complete, click on OK to save the entered data.

The match scores are shown on the draw sheet and the winner moves to round 2.

All short cut keys are available in this screen. When you click on Draw at the top and return to the actual draw, the scores will be reflected there. This is a very fast way to enter multiple matches for a particular draw at one.

Site/Courts

In the Site/Courts area of TDM, you can indicate what facilities will be used in your tournament.

In addition, this area will allow you to specify the number of courts available for each site.

There are 2 different databases in the Site/courts area. The tournament database is the sites for this individual tournament.

The master database can be used to store information for all the sites that you continually use.

When you add a site to your master list, this site will be available to you each time you are in TDM. This will save time in adding sites to a particular tournament.

You only have to add the information once and then you can add it to as many tournaments as necessary. From the Master Site, click on ‘Add Site’ to access the Master site entry area.

Now that the site is added to our Master database, we can add this site to our current tournament by clicking on Add Site from This Tournament.

We can choose an existing site or create a new site. If a new site is created here, it will only be available for this tournament.

The recently added site, Peachtree Tennis Center, will be available in the drop down box to select.

All the information that we entered in the Master file will now show for this site.

The site now shows in the Site drop down at the top. We will now be able to indicate the number of courts available for play at this facility.

To indicate the number of courts available for a specific tournament facility, choose the facility from the drop down of sites and then NEW at the bottom.

The Court Specification window opens and you can indicate a time range and the number of courts available. Once the time and courts are indicated, click on OK to save this information. The court availability graph will then show at the bottom on the screen.

To indicate additional court availability at the same site, click on NEW at the bottom. TDM will default to the time that was last shown. The additional time and courts can now be added.

To copy this information for multiple days, simply click on DUPLICATE at the bottom. You can indicate the same court specs for all days. This process is repeated for each facility.

Capacity Planning contains graphs that show the available court hours as previously detailed under Sites/Courts

As events are planned at each facility, the Planned Court Hours indicator will increase, showing the court hours needed for those events.

The Event Planning screen shows the number of entrants for each division as well as the number of matches for each round.

The Event Planning Detail screen is where you will indicate the facility where each round will be played.

The Planning Summary is a quick way to view the number of matches on a given day at each facility.

The first step is to highlight the round that you want to plan for scheduling under the event planning. Once you have highlighted the cell, move your cursor to the Event Planning Detail screen where you will enter how many of the selected matches you want to play at each facility on a particular day. Select the next round to be planned by clicking on it.

TDM will allow you to split the round at two different sites. ** For a local tournament that was not downloaded from the Online Sanction form, the divisions may not have been specified. Be sure to include a division name for all events. Otherwise, under the event planning screen, there will not be any events listed. To fix this problem, should it arise, go back to Events, then edit event and choose the most appropriate one. If none of the divisions fit your criteria, use the Open divisions for best results.

The Event Planning Detail will show you how many matches are planned at the individual facilities on each day of the tournament.

The division title will also be displayed on the Event planning detail. In the example below it shows

The Planned Court Hours bar graphs are now visible and show the court hours that have been used.

You can continue planning the event locations in this way until all rounds have been indicated.

By monitoring the Planned Court Hours graphs, you will know how many more rounds you can schedule at a particular facility for a given day.

The bar graphs now indicates two days of planning.

The Planning Summary shows the total number of matches at each facility for each day.

Once all rounds have been planned, it is time to let TDM schedule the events.

Scheduling

The Scheduling screen is where the actual scheduling of the events takes place.

The top graph shows the matches that are scheduled at each Site for each Day of the tournament.

The blue bar shows the Planned matches and the Red indicates the Scheduled matches. These two bars should be equal once all matches have been scheduled.

The Courts Available Graph shows in a blue line the number of courts that are open for play (as indicated in Sites/Courts) at a particular facility as selected from the drop-down box on a specific day.

As you schedule the matches, the red graph will indicate how many of these courts have been used.

You must indicate the site and day that you want to schedule. You have the option to 'Schedule All'.

To schedule a single event at this facility, highlight the event and click on SCHEDULE.

You can indicate a time to Schedule AT or AFTER.

You will be allowed to indicate the start time for this individual division, such as Boys 10 Singles Main Draw.

You can move the events 'up' or 'down', so a particular event is scheduled ahead of another event. Be sure to put the events in a logical order. For instance, if your order for round 1 is Boys 10, Boys 12, then Boys 16 for a particular day, when you get to round two for the same day, keep this order. This allows the maximum usage of court time. When you change to a different day, you can start with a new order of play.

You can Unschedule a selected event or Unschedule All events.

Keep in mind that all these options are only for THIS site on THIS date.

Any matches that are marked as locked on the draw sheet under Match Schedule, will not be unscheduled.

The system automatically creates a schedule with match times and we can then return to the draw to view the match times that are now displayed there.

Check In List

The Check in List includes all players that are registered for this tournament. This list is often used to indicate the players initial check in for the tournament.

To check players in, simply click the player name, and choose the "right arrow" button to move the player to the CHECK IN side of the screen.

Tournament Desk Tournament Desk feature is used to keep track of the matches that are being played and the court that each player is assigned.

To do this, indicate what facility will be using the Tournament Desk and choose the date of the tournament that you want to view.

Once you select the facility and the date, a list of scheduled players and their events will be displayed. Only events that have been scheduled will be displayed.

As players arrive to check in for their match, double click on the player name.

This will open the Match Properties dialogue box.

To check the players in, simply click on the box to the left of the names.

Type in the Number (or name) of the court that the match will be played on.

Although not mandatory, you can indicate the number on the balls being used.

Click the OK button.

The players are moved to the Matches in Progress screen and a clock starts to show how long they have been on court.

You can also check players in and not indicate a court until a later time.

Player(s) that are checked in and not yet assigned to a court will be reflected with an asterisk next to their name(s).

Players that are assigned to a court will show under the Matches In Progress area.

To Suspend Play, simply click on the match to suspend and then click on Suspend Play. The Elapsed Time will be paused.

Click the Resume Play button to resume play and start the clock again.

If there is a Rain Delay, simply click on the Rain Delay button.

Indicate the number of minutes of delay caused by the rain. You can also choose to check the players out. Click OK when done.

You will be asked if you want to Clear the courts. If you choose Yes, the players will be moved back to the bottom screen for check in. If you choose, no, the players will remain as matches in progress.

The players that were on court during the rain delay are then taken out of the "matches in progress" area and placed back in the available players screen with their new match time indicated.

If you choose Yes to clear the courts, the box to the left will pop up allowing you to let the system know when the players should check back in. Based upon the time you entered for the delay, you can specify what time you would like players on court to check back in.

To modify any match settings, highlight the player and choose Match information.

The Match Properties dialogue box appears. From here you can view the Match Results, Match Schedule, Potential Conflicts, Court Availability and the Tournament Desk settings.

The Match Schedule information is populated from the Draw/Schedule, but you can modify the information if necessary.

Click on Match Results to enter information about a completed match.

Indicate the winner of the match by selecting from the drop-down or simply typing the first letter of the winner's last name.

Quick-key features are available for 'Best two of Three sets' scoring format.

Using the Quick- key feature, you can enter the score as 0, space, 2, for the score to be 6-0; 6-2 OR, you can type in any other scoring formats manually.

If applicable, enter the default/retirement reason. All the valid default/withdrawal/retirement codes as defined in Friend at Court are available here.

The score entry button at the top of the Tournament Desk screen uses a spreadsheet similar to the score entry spreadsheet under the Draw Menu. The main difference is that under the Draw screen, you will only see the one event. The spreadsheet located under the tournament desk lists the matches by time so that you can enter all divisions without having to change events. All the quick keys are available in this score entry spreadsheet.

Many Tournament Directors use the Tournament desk feature to quickly see what is happening during your tournament. If available, consider connecting a monitor to your computer so that players can see this screen. Many times, it will answer their questions.

Each report can be exported to several different file types. Click on the envelope with the Red arrow at the top of the Main Report to begin the export.

The Export Report dialog opens and you can indicate the location where you want to save your file as well as the name that you want to save your file as.

Indicate the type of file that you want to "save as". You can choose from

Microsoft Excel (.xls)

Microsoft Word (.doc)

Rich Text Format (.rtf)

When all the fields have been selected, Click on Save and the File format will be saved.

There are many reports available. If you do not find a predefined report that is suitable, you can use the Report Wizard option.

From the Report Generator screen, Simply follow the instructions on the screen to choose which available fields you want to have included in your report.

Players by Group (Players in this tournament grouped by their Group)

You choose the fields to include in your report by moving the desired fields from the Available Fields to the Selected Fields using the right/left arrow keys.

To arrange the display order on the report, use the up/down arrows in the middle.

By following the prompts, you will create a custom report that will include the fields you need.

The grouping feature will allow you to group the players by one of the fields chosen such as State.

You can also sort multiple fields in ascending order. Generally, you want to include at least the Player Name as being sorted. This puts them in alphabetical order.

TDM Toolbar The Toolbar is located above the Screen Icons.

The toolbar consists of File, Edit, View, Player, Tools, Reports and Help. (If you click on the Draws Icon, you will see an additional option in the toolbar for Draws.

You can select New tournament to create a non-sanctioned event.

If your tournament has been sanctioned by your Section/District, DO NOT create a new event. The tournament will be listed in the tournament Explorer. You have the option to Save Tournament to a floppy disk or to your hard drive.

The Restore tournament option will restore a saved tournament file from a floppy disk or from your hard drive.

Under File, you many options to choose.

The Download tournament option is probably the most important option under file.

Any sanctioned tournament must download before any work can begin on the tournament. If this step is not done, you will not be able to upload when the time comes.

The Upload tournament feature takes the information entered into TDM, which can include players, draws and messages, and puts this information on the tournament home page.

A feature new to TDM is the Save/Restore event feature.

This feature will allow you to work on multiple computers in entering results. Simply click on Save event matches.

You can select which events to save. Only those events where a draw has been made will be available.

You can save the event matches to a floppy disk, CD or your hard drive. This file can then be transferred or e-mailed to another computer.

Now you can go to the Main computer and choose Restore Event matches. Find the file where you had saved the event matches. Select the correct tournament and click the OPEN button

TDM will let you know when the selected events have been saved.

Only those events that had been saved will be available to restore. TDM will let you know when the process is complete. By saving and then restoring an individual event, you change only that particular event’s results.

The final link under File is Exit, this will close the TDM application.

The Lock Players feature prevents players that have been moved from one division to another from re-appearing in the original division. This is how it works: Click on Players on the top menu bar and choose 'Lock Players'. From here go to File | Upload Tournament to notify the USTA server that this feature is enabled. This will prevent players from moving back to where they were originally and also prevent players you withdraw from reappearing when future downloads are performed.

The Lock player feature should not be enabled prior to registration closing, as any newly registered players will not download. The Lock player feature prevents TDM from looking at the players that registered online and only considers those uploaded by the tournament director. If you plan to use the same computer for the entire tournament, it is not necessary to use this function. Once registration closes and you have done a final download of all online entrants, you do not have to download again.

The top three options under View are used to hide or unhide the various explorers: tournament explorer, player explorer and toolbar.

The rest of the options can be used to access the various screens. These screens can also be accessed by clicking on the Icons at the top.

The player option can be used to enter the financial information for mail or phone entries.

Select the player from the event screen and then click on player and view fees.

You can indicate who the payment is for and what type of payment was made such as cash, check or credit card

From the User option, you can change your password or login as a different user.

The Options feature lets TDM know how often to check the server for updates. The default is set at 300 minutes. We do not recommend that you lower this figure.

The System properties set the defaults for the tournament events that are created new.

The Connection settings tell TDM how your individual computer will connect to the internet.

Frequently Asked Questions Installation

• How do I obtain the TDM software online?

Go to http://www.usta.com/tdm and click on ‘Click Here’ at the bottom of the screen. From Download Instructions screen, select Full Download Installation link to view the steps on how to install TDM.

• How do I get a TDM CD?

Send an email to [email protected]. The subject line should say "Request for TDM CD" and the body should include your name, address, a phone number and tournament date

• How do I get upgrades of the TDM program?

With the installation of the 3-24-2005 upgrade, the installation process for all future upgrades will be much easier. When a new upgrade release is available, you will still be notified when you open TDM, however, you will now see an ‘Update Now’ button, which will download and install the new release update automatically. If you have not upgraded to the 3-24-2005 version, you will not be able to open TDM. Here are the directions for this update version:

Go to http://www.usta.com/tdm click on ‘Click Here’ at the bottom of the page. From this page select TDM Upgrade Version: 2005-03-24 and then Click on OPEN or RUN. The file will download to your computer. When the WinZip self extractor window opens, Click on Browse and then at the top, click on Desktop. Then click on Unzip. It will say two files unzipped successfully. Then go to your desktop and double click on the TDM upgrade, the upgrade file will appear as a blue icon Double-click on this icon and wait for the process to complete. After it upgrades TDM, you will be asked to click on OK to finalize the upgrade. Be sure that you do not have TDM open.

• How do I know my version number of TDM? In the program, go to HELP and then About TDM and you will see the date of your upgrade.

• How do I know if I upgraded successfully?

An information box will display saying that the upgrade completed successfully and you can check your version number (In the program, go to Help | About TDM) to see if it matches the date of the upgrade file.

• What information will help me with connectivity and firewall installation issues?

The TDM address is webservices.tdm.usta.com and the IP address is 198.49.241.190. If your connection uses a proxy server, within TDM, go to Tools/Connection settings. Click connect using proxy server. Put in your proxy settings, TDM uses port 80

Login and Security

• How do I get a login ID and password?

If you already have a password and login for the Online Sanction Form, it will work in TDM too. If you need a new login, send an e-mail to [email protected]. The subject line should say "Request for TDM login and password" The body of the text should include your name and USTA membership number. Be sure to let us know what password you would like as well. Note: It cannot be Tennis or your USTA number.

• How can I change my password?

In TDM you can go to Tools | User | Change Password. This will change the password ONLY on your local machine. You will not be able to upload or download using this password, as it will not match what we have on our server as your valid password. If you need to change the password that resides on our servers, send an e-mail to [email protected]. The subject line should say "Request to change my TDM password" The body should contain your name and membership number. Once your password has been reset, you will click on the link below to set up your password. You will use your usta # as both the login and password and then the system will prompt you to set up a new password. Your login will always remain your usta #.

• I am connected to the internet yet the system is not recognizing my login and password, what is the problem?

The problem may be due to a 'firewall' that is blocking you from accessing our server and validating your login information. This information must be validated to allow you access to the tournaments that are associated with you. Examples of these firewalls may be Norton Antivirus or McAfee Antivirus software. In order to access TDM, you will need to set a rule to allow access to the Internet through TDM. Please check your Norton or McAfee manual for further information. Your local network administrator may also know about other firewalls, which can be removed or avoided.

• How can I download a tournament if I am not the director? The tournament director can tell you their login ID and password.

• How can I share a tournament without divulging my password?

Use File | Save Tournament and save your tournament on a diskette or somewhere on your C drive where you will remember it. Email or bring the saved file to another person or a computer with TDM. From there, use File | Restore Tournament to restore the tournament to another computer and to work on it. After you or someone else finishes working with the tournament you can go to File | Save Tournament and take that tournament to the

original computer. WARNING - When they send it back, it will potentially overwrite any new work you have done in the interim in the original computer.

• How can I remove a sanctioned/non-sanctioned tournament from my Tournament Explorer?

Use File | Remove Tournament. (If you are removing a sanctioned tournament or a non-sanctioned tournament listed in the Online sanction form this will only remove it temporarily from your Tournament Explorer view. The next time you open TDM, the name of the tournament will show in the explorer view but will contain no data in the database. If you want to permanently remove it, you must ask a Section/District administrator to remove you as the tournament director for that specific tournament. If your non-sanctioned tournament is not listed in the Online Sanction Form, File | Remove Tournament will permanently remove it from TDM and we will not be able to retrieve it unless you saved it (File | Save Tournament) previously.

• Who can download a tournament?

The tournament director, the organization that is running the tournament, the district administrator, the section administrator or a tournament referee associated with the tournament that has been given access to TDM data

• Who can upload a tournament?

The ability to upload is reserved for the tournament administrators only. These include Tournament Directors, Organizations or a Tournament Referee associated with the tournament. A restored tournament can only be uploaded by one of these individuals with their login and password stored on the USTA server. An anonymous login or one not associated with the tournament will be able to restore the file but not to upload it.

Adding Players

• How can I search for players on the National database?

If you are doing this from the Player Explorer and clicking on Search, you are actually accessing your personal database stored in TDM. Click on Player Explorer window; go to Add at the bottom of the screen to access the National Database. To search for players from the Events screen, click on Add Player and be certain the radio button in the search screen is on National Database rather than Local Database.

• How can I move players to a different event and have them stay there when I do future downloads?

Click on Players on the top menu bar and choose 'Lock Players'. From here go to File | Upload Tournament to notify the USTA server that this feature is enabled. This will prevent players from moving back to where they were originally and also prevent players you withdraw from reappearing when future downloads are performed. The Lock player feature should not be enabled prior to registration closing, as any newly registered players will not download. Once registration closes, download your tournament and you do not have to download again unless you are using multiple computers to run your tournament.

• How can I update "invalid" players if they actually have a valid membership?

If you have invalid players in your tournament, you can simply click on the red exclamation point next to their member id field in the Player Explorer. Then you will be able to search for them and update the player explorer with their member profile information. Once you validate all your players you will need to upload your tournament for the changes to be available on the USTA server. In some cases, the player may have the exclamation point in both the Player Master Info database and the Player Info for this Tournament database. In that case, you need to update both of them as the system thinks it is two different players. If the red exclamation point is not listed next to player's member ID field in the Player Explorer, you can click on Synch with National at the bottom of the

screen and validate the player’s information. Be sure that you do this in both the Player Master Info database and the Player Info for this Tournament database.

• How can I change a doubles partner after I have made the draw and published it to the Internet?

Add the player to the player list for the event if he/she is not already there (Click on Events | Select the Event | Add Player at the bottom of the screen) Go to the draw sheet for the event, right Click between the two players on the draw line, (you may have to try this again if the score entry screen pops up) choose "Change Partner: Doe, John" where John Doe is the player who needs to be removed and choose the player who should be inserted. Use File | Upload Tournament to show the changes made on the Internet.

• How can I change a singles player on a draw after I have published it?

Add the player to the player list for the event if he/she is not already there (Click on Events | Select the Event | Add Player at the bottom of the screen) Go to draws, right click on the draw line where you need to change the player and select Change Player on a Draw Line. Return to the Events screen and remove the player that has been replaced. Upload your tournament (File | Upload Tournament) to reflect the changes made.

• How can I enter a player who is not a USTA member or when my TDM is not connected to the Internet?

Go to Events and click on the event that you wish to add the player to. At the bottom of the event screen you will see Add Player, clicking this will open a search box. At the bottom right hand corner of the search box, click on Create New and enter the player’s personal information. Do this once you have determined that the player is not in the National Database. To learn how to determine if the player is in the National Database, please see How can I search for players on the National Database?

• How can I add fees paid with a manual entry?

To record fees, please make sure that under Player Explorer window the "Players in selected tournament" option is checked. After you do this click on Events and under Players window click on a player that you want to add fees for. Go to Player drop down from your Toolbar and select View Fees. This will allow you to add fees for a player. You can also add them directly to the Player explorer under the Fees Paid line. This will record them as Cash payments. If you prefer to show the exact method of payment, be sure to use the first option.

• How can I update a player in Player Explorer with their most current membership information?

When the player is visible in Player Explorer, click on 'Sync with National DB' at the bottom of the screen. Remember, this will only update the database that is selected at the time, either Player Info for this Tournament or Master Player info. Be sure to select the database that you wish to update. All current information will be overwritten with the information in the National Database.

• How can I update all players in Player Explorer with their most current membership information?

Click on Player in the tool bar at the top of TDM and then choose 'Synchronize All Players with National Database'. This function can take a long time with a large database of players.

Printing

• How can I resolve printing issues?

Printing issues are common if you have an outdated print driver, an outdated version of TDM or outdated windows software. To update your driver, please go the website of your printer manufacturer (ex: www.hp.com) and locate your printer model number. Follow the instructions on their site to obtain and install the new driver. Follow the instructions above on how to confirm what your TDM version is and how to upgrade it if necessary. To upgrade your current version of windows please open Internet explorer. Go to Tools | Windows Update. Follow the prompts to scan your computer for upgrades and obtain all critical updates and any driver updates indicated..

• How can I print labels?

When you run the labels in TDM the report will open within TDM and then it will also open in a new window. The new window will be MS Word, or WordPad. It is recommended that you print the labels and/or make any changes to the way the labels lign up using Word or WordPad. Printing from TDM directly can result in misaligned labels or bad data.

Reports

• Which reports show the location and time of matches? You can run the Daily Schedule Report or the Match Schedule Report.

• Which report shows players who withdrew?

This is part of the online sanction form reports that will show all entrants and those that withdrew as well. To access these reports go to http://tournaments.uta.com and click on Login at the bottom right hand corner. Sign in with the same login information that you use for TDM. Click on your tournament name and select the Reports link from the side navigation bar. From there, select the Alphabetic Entrant report to view all the players that registered along with players that withdrew. Players that withdrew will have a strikethrough their event.

• How can I print a list of my entries? Go to Reports | Selected entries by events

• Why am I sometimes unable to create a blank draw?

To create a blank draw, click on the event and Edit Event to specify Event properties such as Draw Type. After you do this, select Add Player option to add players to your Event. After you add players, you will be able be able to run a blank draw. TDM is not able to make a blank draw unless you add players to your event. The size of the draw created is based on how many players are in the event.

• Why am I sometimes unable to create a draw and get an error called 'invalid roster type'?

Go to Events | select the event and Edit Event to specify Event properties. Make certain that a Draw Type is specified for the event.

• How can I publish first match times but hide who is the opponent?

The report is entitled, Future Match Times Report and is under Match Schedule Info. This report has multiple options available, be sure to select or deselect the appropriate ones.

• What is the color scheme for players on the draw sheet?

Red is the default color for a seed. Blue is a color for a player that is a non-member of the USTA or a player that has not been validated against the National Database. Green is the color for a player that is seeded and who is a non-member of the USTA or has not been validated against the National Database. Black is everyone else. For a sanctioned tournament, the font colors cannot be changed. The colors on the draw will allow you to quickly identify who is not a valid member or who has not been validated so that you know who needs to be reconciled with a membership number.

How can I publish a report of my alternates?

Go to Reports | Events | Alternates by event. When viewing this report, simply click on Publish report to post this to your tournament home page on the web.

Publication/Hiding

• How do I publish a tournament? Choose the tournament on Tournament Explorer. Use File | Upload Tournament.

• How do I publish the entrants but hide the draws?

Before publishing the tournament with File | Upload you must first go to Draws and select Draws from your toolbar and go to Web Options. There is a check box for Visible on Web. Any division that is checked will have draws displayed on the Internet. At the top of the screen, there is an option to Deselect All if you wish to hide all draws. When Deselect All is enabled and you upload your tournament (File | Upload Tournament) only tournament messages that you have generated under Home | General tab will appear on the web along with all the entrants that are listed under the Players’ window for each event.

• How do I unpublish the draws?

Go to Draws and select Draws from your toolbar and then go to Web Options. There is a check box for Visible on Web. Any division that is checked will have draws displayed on the Internet. At the top or the screen, there is an option to Deselect All if you wish to unpublish all draws. When Deselect All is enabled and you upload your tournament (File | Upload Tournament) only tournament messages that you have generated under Home | General tab will appear on the web along with all the entrants that are listed under Players window for each event. All the draws will be unpublished.

• How do I publish first match times but hide the draws?

Go to Reports | Match Schedule Info | Future Match Info. Create the report and click on Publish to Web to publish the report to the web.

• How can I hide the Seeds on the Internet?

There is no built in function for hiding the seeds on the Internet. However, to hide the Seeds you would have to remove the seed number from each individual player and upload the tournament again.

• How can I show home towns on the draw sheet?

Click on the Draws Icon, click the Draw from the toolbar select Draw Properties and select either All Draws or Current Draw Option. Under Additional Information choose City/State. If All Draws option is chosen, please make sure that ‘Use these setting for all draws’ is checked off before selecting City/State under Additional Information. Conversely, if you want to have different options for each draw, be sure to uncheck the box marked ‘For all Draws’.

• Can I publish an unsanctioned tournament? TDM can be used for unsanctioned tournaments. However, the ability to publish these tournaments depends upon whether an unsanctioned tournament application has been created in the Online Sanction Form. Please check with your local section or district office to determine the ability to submit these applications.

• How can I have another person help me with scheduling or entering results for a specific event?

1. Use File | Save Tournament to create a backup of your tournament. Take the backup of the tournament and restore it to another computer (File | Restore Tournament). 2. Once the work is complete, go to File | Save Event Matches to create a backup only of the events that were worked on 3. Take the backup to the original computer and go to File | Restore Event Matches to update your copy of the tournament with the work from the other computer. 4. Go to File | Upload Tournament to publish the latest information to the Internet. See the question below for more complicated scenarios of multiple people working on one event

How can I keep my tournament in sync when it is being worked on by multiple people on multiple computers?

1. On your TDM, update scheduling and score reporting and notes et al. 2. Use File | Save Tournament to make a backup of your information. This file can be emailed to other persons who need a complete copy of the tournament. (Medium to large size tournaments cannot be transferred on a floppy disk) 3. While saving the information, add the date and time to the name of the tournament (this will always be your backup if something gets erased later) 4. Use File | Upload to publish your updated tournament to USTA.COM There will always be less chance for human error if you treat the file you created in step three as your most recent backup of the tournament. You can email that file to anyone else that needs it rather than having him or her do a download. This eliminates the chance of them wanting to do a download of the tournament but choosing upload by mistake and overwriting the tournament with old data.

Scheduling

• How does Avoidance work relative to match duration? If you specify avoidance from 2pm to 4pm, it will also avoid scheduling a match prior to 2pm which might have lasted into the 2-4 time period.

• Is there any special feature for rain delays?

Under the Tournament Desk icon, there is a Rain Delay option. Follow the steps on the Tournament Desk screen to indicate the new match times. Note: this only works for a delay on the originally scheduled day. If rain is effecting another day you will need to go to Scheduling and Unschedule all the matches for the second day, enter the new values on Schedule Planning for another day and then Schedule your events again on the Scheduling page

• How do I enter avoidances?

Go to Events | Select the appropriate event | double click on player name under Players window and select Avoidance from the left hand side

• How can I change minimum rest times?

Go to Events and double click on each event. Once the Event Properties window is open, click on Scheduling Information. Note: the value entered for Rest Time is the sum of the normal match time and the time for rest between matches(i.e. if your normal match time is one hour and you want a half hour rest period between matches, you should enter one and one half hours as the minimum rest time).

• How does the Modified Consolation Draw Type work? Modified Consolation Draw feeds in the losers from the first two rounds of the main draw into the consolation draw. The second round feed-in is reversed so that no one plays the same player they just played.

• How does the 'top 8 & top 4' playoff feature work? The top 8 playoff takes the losers from the semi-final of the main draw and the losers of the semifinal of the consolation draw and puts them into two separate playoffs. If you choose top 4 playoffs, it only takes the semifinalists from the main draw into consideration

• How can I display only the first one or two scheduled rounds on the Internet?

If you have done all the scheduling for your tournament and only want to show the first rounds times, go to the Draws Screen and click on Draws/Web Options. If for example your 14s have 6 rounds and you only want to display the 1st round, click on a plus sign to the left of the event name and type in a 1 in the "Show times thru Round" field for this event. Repeat this for any other events.

• What are the steps for using automatic scheduling?

1. Site Courts a. Set up number of courts and times for the duration of the tournament. b. Set up multiple sites (if needed) 2. Schedule Planning a. Choose to play rounds on particular days and at particular sites. This is done by the Event Planning Detail window in the bottom left hand corner of the screen. b. Select the cell that corresponds with the event and round that you want to plan such as Boys 12's round 1. c. Under the event planning detail screen select the day and site where this round will be played. d. Type in the number of matches in this round that will be played at this site on this day. 3. Scheduling a. Schedule the rounds you have set up

• How can I change the address or phone numbers on the HOME page for the tournament?

You can sign in to the online sanction form at http://tournaments.usta.com click on Login at the bottom right hand corner and use the same login information that you use to sign into TDM. Click on your tournament name and go to Contacts tab where you can make those changes to any specific tournament. This will only affect those tournaments and not your actual facility membership profile. To make a permanent change, be sure to notify the USTA membership department by sending them an e-mail at [email protected]
