EXECUTIVE SUMMARY
This Deliverable presents the Communication Toolkit for distribution to project partners in
order to support all partner-led communication and dissemination actions. The major elements
of the TCBL corporate image have been defined in Deliverable 8.1 and applied to the project
website in Deliverable 8.2, while here they are presented as easy-to-use templates and print-
ready files. The elements in the Communication toolkit are as follows:

Due to the fact that the design team is internal to the project consortium, updates and

1. TCBL TOOLKIT
Deliverable 8.1 discussed a range of communication channels in relation to the target
audiences to be reached. Here we are presenting the tools with which to vehicle that
communication, with a toolkit consisting of different elements that can be used in different
combinations for each channel. The main channels are:
The yearly project conference
A conference session to which a TCBL representative is making a presentation
An exhibition space, normally a stand related to a conference or event.
A local event or workshop
A TCBL facility such as a Lab or partner facilities.
A TEDx or other type of video (GoPro tutorial, selfie interview, etc.)
A press conference
The relation between these channels and the tools presented in the following pages is shown
below:

PRODUCTION AND DISTRIBUTION
Given that the costs of production are by now far inferior to the costs of shipping, all of the
toolkit elements requiring printing, including the brochure, are provided as print-ready files so
partners can make the necessary copies locally on demand. This not only should produce less
waste of printed material, but it also allows for greater flexibility in design. Many of the
elements are therefore available in different variations that partners can mix and match as
they like.
LICENSING AND COPYRIGHT
All communications tools, including the photo library updated at regular intervals, have the
same license as all TCBL products: CC BY SA. That means that the photos are freely
distributable and can be adapted to partners’ communication needs, but credit should be
given. An appropriate credit file has been provided for use with the TCBL logo and images.

ACKNOWLEDGEMENT OF EU FUNDING
All communication tools carry the EU logo and the acknowledgement foreseen in the Grant
Agreement: “This project has received funding from the European Union’s Horizon 2020
research and innovation programme under grant agreement No 646133.” All project partners
should be aware that this acknowledgement is a requirement to accompany all communication
and dissemination actions, including local Facebook pages and websites, locally printed
material, and so forth.

2. POSTERS
2.1 ROLL-UP POSTERS
The roll-up is intended as a backdrop for public events, stands, etc. The aim is simply to carry
the TCBL logo and image. Two versions are provided.

2.2 GENERAL PROMOTION POSTERS
These general promotion posters are intended to be printed A0 size and mounted on a wall.
Two variations have been designed: one with only the project logo and the other with basic
project information, based on the website’s home page text.

2.3 DIY POSTERS
DIY posters are more specifically intended to be used on the walls of a stand or similar
exhibition setting, since they leave space to add additional sheets (A4 or A3) with explanatory
texts and diagrams. Different variations have been designed for partners to mix and match as
they please.

3. BROCHURE
The project brochure presents a general description of the project, with a text that reinforces
those of the website and primarily aim to engage the audience to seek further and more
updated information there.
The brochure is to be printed 148mm x 148mm.

4. FOLDER KIT
4.1 A4 POCKET FOLDER
The A4 Pocket Folder is intended to contain the project brochure, info sheets specific to the
occasion, and any other partner or event-specific material.

4.2 BOOKMARK
Below is a suggestion for Bookmarks in two sizes (one fronte-retro, one fronte only), as an
example of the kind of promotional item that can be inserted into a Folder Kit.

5. INFO SHEETS
Info sheets are provided as empty Word templates. They are intended to be printed on
demand and generally inserted into the A4 Pocket Folder with the brochure, as needed on
specific occasions. Examples of use of the info sheets include:
Local language translation of the brochure
Event agendas
Questionnaires and similar
Profiles of local Labs, pilot scenarios, etc.
Newsletters of local activity
An example is shown below.

6. POWERPOINTS
A powerpoint template has been produced using different images and providing different
alternatives for the same typology of slide (image, bulletpoint, etc.) from which partners can
choose as they like. An example of layout variety is shown below.

In addition to the empty template, an updated standard project presentation is constantly
available to partners on the MyMinds intranet.

7. VIDEO TITLE PAGES
Title and credit pages are for inserting in project and TEDx videos. They are provided as AI
and JPG files to be loaded in standard video editing programs.

8. DELIVERABLES AND PUBLICATIONS
Deliverables are produced using a Word template that includes a deliverable specific style
guide that explains the use of headings, formatting of tables, the sequence of sections, etc.
The template is that contained in this and previous documents, and is constantly available to
partners on the MyMinds intranet.
A different cover page image is provided for all deliverables of a given milestone (ie for M3,
M6, M9, etc.).
Deliverable formatting is as follows (using standard Word styles):
Normal: Arial 10 pt, aligned left, 1,15 spacing, 5pt after paragraph
Section break before Heading 1 (header different first page)
Page breaks can occur before Heading 2 (same header)
Heading 1: Arial 20 pt, small caps, 30pt after
Heading 2: Arial 16 pt, small caps, 12pt before, 20pt after
Heading 3: Arial 12 pt, small caps, 16pt before, 8pt after
Heading 4: Arial 10pt, small caps, 12pt before, 6pt after
Heading 5: Arial 10pt, 12pt before, 6pt after
Bullet points: indent, square bullet
Tables: Arial 9pt, single spacing, cell margins 0,12cm all sides
Table headings: Arial 9pt bold, aligned bottom, lower border Coral 1,5pt
Labels: Arial 9pt, italic, centred
The Coral accent colour is: R 255, G 125, B 143.
Specific publications are not foreseen in the project workplan but it is still possible that the
need arise. In that event the graphic design will be done ad hoc by the design team at Waag
as a separate job.

9. TOOLKIT MAINTENANCE
All of the elements presented in this document, including the illustrative pdfs, print-ready files,
and usable templates (Word and Powerpoint), have been loaded into the project MyMinds
intranet. In addition, there is also a folder for the lo-res photo collection that is enriched on a
regular basis by the Waag design team.
Due to the fact that the design team is internal to the project consortium – namely with Waag
Society – it is possible to maintain and update the communication toolkit on an ongoing basis.
The re-allocation of resources to Waag in WP8 in fact foresees this possibility throughout the
project’s lifetime.
Toolkit maintenance thus occurs on an as-needed basis, with updates of the standard
Powerpoint presentation, Deliverable cover pages, posters, etc. occurring in relation to
partners’ needs for specific events, in particular the yearly project conferences.
