Introduction About Ctrain Pty Ltd Thank you for your interest in obtaining TAE40110 Certificate IV in Training and Assessment (referred to in this document as ‘TAE40110’) with Ctrain Pty Ltd (Ctrain).
Ctrain is a boutique Registered Training Organisation [RTO] located in Pyrmont Sydney. We offer the full range of recognition of prior learning [RPL] strategies and classroom activities for TAE40110. Ctrain was formed in 2004 and has provided training and assessment services to individuals and corporate customers across Australia. We have a small training room in Pyrmont and also use our customers’ training facilities or hire training rooms in the CBD.

How recognition assessments work
What is a recognition assessment?
Recognition assessments are often referred to as:
� RPL (recognition of prior learning) assessments or
� RCC (recognition of current competence) assessments.
What you need to know about recognition assessments � Recognition assessments are evidence-based
You must be able to provide evidence of your skills and knowledge for an assessor to deem you competent
� You will be assigned a qualified assessor who will be available to answer questions and support you throughout the recognition process
� You may be assessed in one of two ways:
1. Written portfolio only—In this case, compile your portfolio of evidence and submit to Ctrain, or
2. Recognition interview—In this case, compile your portfolio of evidence and contact Ctrain to arrange a suitable date and time to present your portfolio to your assessor at a recognition interview
� Enrolling as a recognition candidate doesn’t guarantee that you’ll be successful in your application for recognition. We recommend discussing your options with a Ctrain representative before enrolling in recognition assessment.
Recognition assessment is a process that allows a candidate—you—to attain a nationally-recognised qualification or statement/s of attainment
based on skills and knowledge gained through previous experiences, including formal and/or informal learning.

What is a portfolio of evidence?
Evidence: ‘show and tell’
When deciding what evidence to include in your portfolio, consider the ‘show and tell’ (or rather, ‘tell and show’) approach:
Tell us (anecdotal evidence)
You tell us… � what you know � what you can do � what you have done
Someone else tells us (verifies) what you know, what you can do, and what you have done. This is a called a ‘third party report’. Examples of third party reports include a reference letter, a performance review report, a questionnaire completed by a workplace supervisor, etc.
Show us (workplace documents, samples of work, direct observation, record or statistics, etc.)
Documents or other forms of evidence that demonstrate what you can do and have done. Here, choose evidence of both products and processes. For example, when compiling evidence of your ability to design and develop a learning program:
� An example of a product as evidence is the finalised learning program plan.
� Examples of processes as evidence may include:
– documents showing training needs analyses undertaken
– copies of emails showing collaboration with others throughout program development
– your ‘telling’ evidence (your description of how you designed the learning program and who you worked with) is also evidence of processes.
A Portfolio of Evidence is the term given to the collection of documents and other evidence
that you compile and submit as proof of your competence.
When compiling your portfolio, submit evidence that:
● tells us what you can do and have done (from you and from at least one credible ‘third party’ referee)
● shows us what you can do and have done (i.e. samples of work and other relevant documents).

What is quality evidence? Quality evidence is evidence that is:
� Valid It is relevant to the skills and knowledge being assessed.
� Sufficient You must provide enough evidence to demonstrate competence. The Application Template tells you more about how much evidence is enough evidence.
� Current The evidence must demonstrate your competence today. Generally speaking, evidence should be drawn from projects/work samples that are no more than five years old, and include evidence of work completed within the past 12 months. This is a general guide only.
� Authentic You must be able to prove that the evidence is your own work.
Examples of quality evidence
Types of quality evidence include (but aren’t limited to):
� samples of work completed
� certified copies of relevant qualifications and/or training completed
� certified copies of documents confirming your participation in relevant training programs, workshops, professional development events, etc.
� certified copies of reference letters from supervisors, colleagues, or other relevant people (a third party report)
� descriptions by you of relevant experiences
� copies of emails that demonstrate training and/or assessment-related processes undertaken
� DVD or video of you demonstrating the skills being assessed
� any other ‘evidence’ that you feel will adequately demonstrate competency.
The Application Template lists evidence to submit for each unit.
We are flexible! If you can’t provide the evidence listed, consider other forms of evidence that
provide similar information. Contact Ctrain for guidance, if needed.

Frequently asked questions about recognition assessments
May I apply for recognition assessment for some TAE40110 units, and enrol in training for others?
Absolutely! This combined approach is a great way to formally acknowledge your existing skills and experience (recognition), and update your skills with training where appropriate. Contact Ctrain if you think a combination of training and recognition assessment is right for you. We can help clarify your choices.
What are the possible results of a recognition assessment and what do they mean?
The only possible assessment results you can get are:
Result Code What this result means
Competent C Celebrate! You have submitted enough of the ‘right’ evidence for your assessor to find you ‘competent’ in the units of competency assessed.
Not yet competent
NYC The evidence presented suggests that you have not as yet achieved competence the units being assessed. You may get a NYC result because:
� The evidence you submitted was of a satisfactory standard, but not all the required evidence was submitted (in this case, all you need to do is submit the remaining required evidence)
� The evidence you submitted was not of a satisfactory standard
If you attain a NYC result, your assessor will work with you to devise a suitable action plan to achieve competence.
Remember that we are not here to ‘fail’ you—our intent is to keep working with you until you achieve competency.
If more than one re-submission is needed, an additional assessment fee may apply.
How do I present my portfolio of evidence?
You have two options:
1. Present your portfolio to your assessor personally, at a recognition assessment interview
2. Submit your portfolio to Ctrain. Your assessor will review your portfolio and contact you with results of your recognition assessment, and feedback.

How does Ctrain support me throughout the recognition process?
We will support you throughout the entire recognition process. Contact us:
� for help deciding whether or not to proceed with recognition assessment
� while compiling your portfolio of evidence—ask questions any time (you have up to 6 months to complete your portfolio of evidence)
� if your result is Not Yet Competent, we will help you devise an action plan to achieve competence.
What if I disagree with the assessment result?
If you disagree with the assessment result offered by your assessor, you have the right to appeal the decision. Please follow the steps below:
1. Discuss your concerns with your assessor. If you do not arrive at a mutually beneficial solution…
2. Contact Ctrain—we will be happy to help.
Will my assessment records be kept confidential?
Yes! Assessment records are stored securely, and won’t be shared with anyone who is not authorised to view them.
Will I get my portfolio back once the assessment has been completed?
No, you will need to make a copy of your portfolio before you submit it to Ctrain. We will retain your portfolio for audit purposes.

TAE40110 Units To obtain the TAE40110 Certificate IV in Training and Assessment, candidates must demonstrate ‘competence’ in a total of 10 units of competency:
� 7 core units and
� 3 elective units.

Evidence requirements The Application Template lists evidence the candidate (you) must submit to be successful in your application for recognition. You will be asked to submit three broad categories of evidence. These are described in the table below:

� Information about recent examples of having completed relevant tasks (e.g. tell us about learning programs you have recently developed)
� Samples of work (e.g. completed learning program plans)
� Third party reports1 (e.g. reference letter or equivalent)
� Additional information: will vary for each unit and may include:
– Description of how you approach tasks (e.g. steps you take to design a learning program)
– Self-reflection (e.g. summary of strengths and opportunities for on-going improvement when designing learning programs)
– Answers to questions (e.g. “Describe a time when you had to manage inappropriate behaviour…”)

Third party reports
For each unit you are seeking recognition for, you will be asked to provide a certified copy of a detailed reference letter, performance review report, or equivalent from a supervisor or equivalent in your workplace.
Some tips for organising well-written reference letters
Tip 1: Choose the right referee as your third party reporter
The right referee/s:
� are credible—e.g. a supervisor or equivalent, preferably with a background in training and assessment
� work closely enough with you to give detailed comments about your workplace performance as relevant to one or more TAE40110 units
� can comment on your workplace activities as relevant to more than one TAE40110 unit. Ensure a combination of referees so that all 10 units are covered.

Organising third party reporters (referees)
Below is just one example of how you could organise referees:
Current Supervisor Ask this person to list and describe recent examples of having done the following at work: � designed and developed competency-based learning programs (relevant to
TAEDES401A and TAEDES402A) � planned and delivered group-based training (relevant to TAEDEL401A) � planned, developed and conducted competency-based assessments (relevant to
TAEASS401B and TAEASS402B) � participated in assessment validation sessions (relevant to TAEASS403B)
Someone you recently coached 1:1 in the workplace
Ask this person to comment on 1:1 coaching you recently facilitated in the workplace (relevant to TAEDEL301A and TAEDEL402A).
One third party report (e.g. a detailed reference letter) may be used as evidence of competence in more than one unit.
You shouldn’t need to get separate third party reports for each of the 10 TAE40110 units

Tip 2: Brief your referee carefully
� Tell them which units you’d like them to cover in their reference letter or other third party report for. For each unit, ask your referee to:
– describe recent, relevant workplace activities you have undertaken and
– comment on how well you completed these tasks
� Show them the sample of the well-written reference letter on the next page.
OR…
Tip 3: Make it easy for the referee… draft the letter yourself and send to the referee in soft copy. Ask the referee to modify as desired, print on letterhead, and sign.
Characteristics of a well-written reference letter or other third
party report
All reference letters or other forms of third party reports must be certified copies. Well-written reference letters:
� are written by a credible third party reporter who works closely enough with you to provide detailed comments about your skills, knowledge and experience.
� list and describe a range of specific, recent examples of training and assessment activities undertaken as part of your job.
� are written on company letterhead and signed.
� include contact details of the third party reporter.
� address more than one unit of competence.
An example
The figure on the next page shows an example of a well-written reference letter. It reflects the criteria noted above and provides third party evidence of competence in:
� six of the seven TAE40110 core units2 and
� two elective units.

He created the facilitator guide and worked with us to research and select suitable learner workbooks. He also designed the assessment tool and organised and facilitated an online validation session of the tool. Feedback on the program to date has been very good.
Training delivery J. Candidate delivers a number of programs to our RTO clients. Clients come from a variety of industries. Feedback from participants is always positive. Below is a list of programs that J. Candidate has delivered in the past year:
• Zippy Presentation Skills (competency-‐based program) • Parachuting for Punters • Fire-‐eating for First-‐Timers • Excel with Excel.
Assessment J. Candidate assesses all candidates of the Zippy Presentation Skills Program. Paperwork is always thorough and submitted promptly.
Our RTO requires all assessors to participate in at least two assessment validation sessions each year as part of their ongoing Professional Development. Our records show that J. Candidate participated in 2 assessment validation sessions last year, one session earlier this year, and is booked to attend another session later this year.

About the Application Template
The Application Template is the instrument that:
� candidates (you) will use to compile and present your portfolio of evidence
� your assessor will use to document the quality of evidence provided and the assessment results
� the RTO will use as a record of the assessment.
Candidates
If you decide to proceed with recognition assessment, Ctrain will send you the Application Template in soft copy (Word format). Please:
� compile your portfolio of evidence by filling in relevant sections of the Application Template and following instructions provided.
� use this sample as a guide while you compile your recognition portfolio. Sections to be completed by the candidate are shown in blue font.
Assessors
Assessors will use this sample as a guide when using the Application Template to document the quality of evidence provided and the assessment results.
Sections to be completed by the assessor are shown in green font.
The following example shows what the Application Template will look like when the recognition assessment has been completed.
It shows all required sections filled in by both the candidate and the assessor.

General Comments
Portfolio was well-organised and easy to work through.
Generally evidence provided was of a very good quality. Particularly impressive was evidence relating to assessment units. Candidate’s extensive experience as an assessor stood out.
Need more evidence before I’m able to assign a ‘competent’ result for TAEDES401A Design and develop learning programs. For details of evidence required, see detailed report for that unit.
