Those in attendance viewed disc one of the four-part “2 Million Minutes” documentary. The film depicts the different educational experiences of students in the United States, India, and China. Coordinators from each school site also received a copy of the four-disc set. These DVDs are to be used for educator and parent programming, and are to become property of the school counselor’s office. Parent and educator discussion questions can be found on page 8 in this packet.

Rob Anderson, Dr. Jacob Gross, and Dr. Kathy Butler led a discussion of the “2 Million Minutes” documentary and the issues presented in the film. They specifically discussed the various structural and political policies, practices and emerging ideas aimed at addressing these issues within both the public and higher education systems.

Regional Breakout and Brainstorming Sessions

Site coordinators met with their respective regional coordinators to brainstorm local solutions to some of the problems identified during the panel discussion. They also discussed events, issues and progress made regarding regular GEAR UP activities.

Fiscal UpdatesKristiPritt,AssistantDirectorforFiscalandAdministrativeServices

Ms. Pritt reminded site coordinators of their responsibility to ensure that grant funds are being spent according to both the work plan and the annual budget.

Site coordinators should continue to allocate and spend funds according to the work plan. Although fiscal responsibility is strongly encouraged, site coordinators should not be reluctant to utilize grant funds in compliance with program guidelines, the 2010 work plan, and their county-level budget.

Site coordinators will receive a Form 1099 from the State Auditor’s office by the end of January. This form will be used to report site coordinator’s income from GEAR UP on their Federal and State tax returns.

Ms. Kennedy provided an overview of upcoming events, including the Governor’s Honors Symposium (GHS) and the College Access and Student Success Summit. Coordinators were assigned duties for GHS (see pages 9 and 10 of this packet), and were encouraged to register for the Summit. Site coordinators should note that the April site coordinator meeting will be held April 26th (the evening before the statewide Summit) from 6 to 9 p.m. A hotel room for the night of the 26th has been booked for each site coordinator (see page 11 of this packet).

Research and Data UpdatesMichelleJohnson,ResearchandDataAnalyst

Ms. Johnson provided an overview of the new features and services that can be found on POETS. She notified coordinators that Edvantia will conduct a “second push” for student information forms, and that forms will be mailed directly to students and parents who did not return a form earlier this fall. Site coordinators are NOT required to take any action in administering this second drive, but should be aware of the initiative in case students or parents contact the site coordinator with questions.

Ms. Johnson also reminded coordinators that the APR reporting period ends March 30th. Site coordinators should work to ensure that all activity data is entered into POETS in a timely manner. Coordinators should also be sure to bring up-to-date activity reports and backup documentation for their regional coordinators at the March 10 site coordinator meeting.

Dr. Green reminded site coordinators that the statewide ACT Conference will be held February 27 in Charleston. Site coordinators with remaining professional development funds are encouraged to attend, and must submit a Professional Development Request form if they intend to use GEAR UP funds to participate in the conference. Participants must also register for the event. Registration materials can be found on pages 12 through 18 of this packet. There is a $70 conference registration fee.
