Proposal Guidelines for Student Exchange Programs
Successful exchanges grow out of careful planning and, consequently, require thatstrategic groundwork be developed in advance of signing a memorandum of agreement.
The Office of International Studies !rograms will be glad to discuss the process and
assist with the planning and development of exchange agreements.

before they can be signed by the #ollege !resident. 'ecause this process involves areview in several #$%& central offices, all exchange agreements need to be proposed at
least five months in advance of their execution. "t least this much time is required for
student and faculty planning and student recruitment. The #$%& template for student

(eviewing this template will provide a sense of the scope and nature expected of #$%&
exchange agreements. "gain, the Office of International Studies !rograms can provide
an overview of this process, assist in the planning and drafting of a proposal, and preparethe documentation necessary for a 'oard (esolution.
"ll proposals for student exchange programs must contain the following)

-. The name of the primary faculty sponsor, and the names of two otherfaculty members who will support the exchange.
. %ame of the partner institution overseas.
/. %ature of the exchange e.g. student research, student coursework, etc.0. 1uration and timing of exchange e.g. fall or spring term, academic year,
number of weeks during term or during winter or summer break.
'. 'rief description of the nature of the exchange. 2ill the exchange be tuition
neutral, i.e. students pay tuition to their home institution, or tuition paying, i.e.
students pay tuition to the receiving institution3 !lease note that tuition neutralexchanges must maintain a one4for4one balance.
#. 'rief description of the partner institution and its fit with the 5ohn 5ay curriculum
or mission.

or term 6 of their study. !lease note any prerequisites, skills or abilities necessaryfor participation7 e.g. 8!", language ability, lab experience, etc.

I. 1escription of how the exchange program will be regularly assessed.
Once submitted the proposal will be reviewed by the #ommittee on International
!rograms and the sponsoring faculty invited to a meeting of the #ommittee to present the
proposal. (evisions may grow out of this process and, upon completion, the #ommittee
will forward the proposal to the Office of the !rovost for approval and subsequentsubmission to the #$%& 'oard of Trustees for approval.
