College of The Albemarle

Hello to our new and returning students. It is my privilege to welcome you, on behalf of the faculty and staff, to College of The Albemarle (COA). We are looking forward to your time at COA and are excited that you decided to become a COA Dolphin. You have chosen an outstanding college and it is our goal to assist you in accomplishing your academic objective, whether you desire to complete a degree and enter the workforce, take a course or two for personal enrichment, or to transfer to a four-year institution.

At COA, our employees are committed to excellence and are passionate about teaching, learning, and guiding – we enjoy seeing our students develop as individuals, scholars, and most importantly achieve their academic dreams. The college is committed to providing an experience based on mutual respect in which each student of our college will reach their maximum potential.

As I have mentioned how committed we are to help, you must show the same commitment. The first year of college is the most important. COA has steps in place to guide you, but you must take advantage of these steps. It is essential that you take in all the information you can when talking to your success coach, advisor, orientation leader, and registration leader. If you have questions, please ask. Never hesitate to ask a question or ask for help. Make sure during the first two weeks of the semester you find the college’s academic support centers and sign up for assistance if you need it. COA has the tools for you. You must be willing to use them.

College of The Albemarle’s fourth location within its seven county service area is located in Currituck. This state-of-the-art, 37,000 square foot facility is unique in its appearance and design, housing four aviation labs focusing on sheet metal, avionics, composites, and power plant. In addition it houses four classrooms, one of which is a scale-up classroom that promotes problem-based learning encourages teamwork, problem-solving and critical thinking. Each lab and classroom is equipped with the latest in high tech teaching tools and aviation equipment. The college has acquired two aircraft for its

instructional program - a Cherokee 140 and a Cessna Commuter.

With its SACS certification the center is able to offer several programs of study including Aviation Systems Technology (FAA certified), Architectural Technology, Computer Integrated Machining, and Mechanical Engineering Technology. Students completing these programs of study will have the skills and knowledge to secure a high tech, high paying job with local and nationally known employers.

This facility is a collaborative project between College of The Albemarle and Currituck County.

Orientation and Group RegistrationNew students are required to attend an orientation after which they register for classes in a group session. The session provides an overview of a student’s program of study as well as suggested courses planning for the upcoming semester. These orientation/registration sessions empower students to better manage their time, utilize student services, work with their advisor, and take responsibility for their education at COA.

Parking DecalsTo receive your COA Parking Decal, you must complete a Parking Decal Request Form in the SSEM department Information or Admissions Desk on your campus. Please have the following information to complete the form:

• Student ID Number• License Plate Number and State• Vehicle Make, Model and Color

Student PortalThe Student Portal located on the COA homepage at www.albemarle.edu allows student to access their online accounts. It is important that new students establish their password for their online accounts at COA after they apply for admissions. The college uses these online accounts to provide communication via Google email, coursework in myCourses, access to students’ records and registration through myWebadvisor, and campus alerts through COA Alert System. Students are encouraged to bookmark their online COA account addresses for easy access.

Student ID’sStudent are required to present a picture ID and completed courses schedule to receive a COA Student ID. Students are required to wear or have on their person their COA Student ID while on any COA campus. The COA Student ID gives students access to the Library, computer labs, and free admissions to athletic or other SGA sponsored events.

Academic AdvisingStudents enrolled in a curriculum program are assigned to an advisor who is either a full-time faculty member or a Student Success and Enrollment Management advisor. To find your advisor go to myWebAdvisor and click on My Profile link or call the Student Success and Enrollment Management Office at (252) 335-0821 x 2290.

Academic Advising is one of the most important partnerships a student will form while in college. Advisors help students understand education and graduation requirements, explore academic and career options, set goals, and make informed decisions about their COA course schedule and educational plan. While advisors are here to help, students are responsible for their education and need to take an active role in planning their schedule with their advisor each semester.

How to Prepare for an Advising Appointment • Make your appointment during the early registration periods• Be on time• Review catalog and Program Evaluation• Write down any questions you wish to ask your advisor.• Take appropriate materials to the advising appointment• Follow through on referrals and recommendations

Students must assume responsibility for ensuring that they know the requirements for the degree program they are pursuing at COA. A list of graduation requirements for each program of study is listed in the college catalog online on the college’s web page.

Catalog of RecordStudents in continuous attendance (except for summer term) may graduate under the provisions of the catalog in effect on their date of entry into their current curriculum, or they have the option of choosing the requirements of a subsequent issue. Students not in continuous attendance must graduate under the provision of the catalog in effect upon their return into the curriculum. The catalog of record for a student who does a change of major is the catalog in effect at the time the change of major is effective.

IMPORTANT CURRICULUM CHANGESNew College Transfer AgreementThe UNC System and the North Carolina Community College System have developed and approved a new Comprehensive Articulation Agreement (CAA) in effect fall 2014. The 2014 CAA is an agreement that assures graduates of COA with an Associate in Arts (AA) and or Associate Science (AS) that their courses will transfer to any UNC system university or NC college that signs on to the agreement. What is unique to the 2014 CAA is that students in their first year at COA will take only what are now called Universal General Education Transfer Component (UGETC) courses. All UGETC courses will transfer and include general education courses required by the UNC system universities. This will ensure that students who transfer early with the 30 semester hour minimum required by UNC system universities will transfer all their credits, whereas before students were having to repeat courses. It is still to a student’s advantage to earn an Associate in Arts or Science while at COA because student will earn junior status and are guaranteed admissions to at least one of the UNC system universities. 2014 CAA also included an revised CAA Courses List, which is a list of all the UGETC, General Education, and Pre-Major Electives courses that transfer per the CAA. Student should use the CAA Courses List along with their AA or AS Curriculum Guide to plan their course schedules with their advisor. New Math for Associate in Arts COA will begin offering 2 new MAT courses beginning Fall 2014. These courses are part of the Universal General Education Transfer Component (UGETC) of the Revised CAA for the Associate in Arts.

• MAT 143 – Quantitative Literacy (3 credit /4 contact hrs.) - UGETC MATH AA Prerequisite DMA 010-050 & DRE 098 or appropriate placement This courses is replacing MAT 161Typically offered every semester, both face-to-fact and online.

• MAT 152 – Statistical Methods I (4 credit /5 contact hrs.) - UGETC MATH AA

New Developmental Education CoursesCOA has adopted new developmental courses for English and Reading. Students who take the placement test and place into developmental English and/or Reading must now take one or two eight week combined

English/Reading combo courses to meet the prerequisite requirements for college level English. Developmental Math courses are four week long courses that allow students to complete up to four in a semester. The new developmental course format students should spend less time enrolled in developmental courses and more time in college level courses or courses required for their program of study. The new developmental English/Reading courses are DRE 096 or Integrated Reading Writing I, DRE 097 or Integrated Reading Writing II, and DRE 098 or Integrated Reading Writing III.

ACADEMIC POLICIESClass Attendance Policy

• Traditional (on-campus) Classes: College of The Albemarle regards class lectures, demonstrations, discussions, and other in-class experiences as vital ingredients of the educational process which cannot be easily compensated for through out-of-class make-up work. Therefore, students who miss more than 10 percent of the classes in a course may be dis-enrolled from that course. Some programs may follow a more rigid attendance policy because of regulations set by state and federal licensing agencies.

Only registered students are permitted to attend college classes/labs and utilize certain institutional support services (i.e., tutoring, career interest inventories, etc.). Exceptions to this must be cleared with the appropriate program coordinator or department chair. Children of enrolled students and college employees may not attend classes/labs, nor should they be left to play in hallways, the Dolphins Den , or other similar areas. Pets are not permitted inside any college building.

• Distance Education (Internet Classes): As students in distance education do not physically attend classes, it is important that faculty have a plan to document attendance. The method of tracking attendance will be contained in the course syllabus and students must familiarize themselves with the course expectations. In the event of any situation which prevents a student from logging in it is the student’s responsibility to contact the instructor. Failure to communicate with class instructor(s) will result in withdrawal from the class(es).

Instructors may provide options for entry into a course, but these options must be noted in the course syllabus and on the Announcements page for Internet courses.

Academic Progress PolicyAny full-time or part-time curriculum student, including distance education, who does not meet the Academic Progress standards after his/her first semester, may be placed on Academic Alert or Conditional Status, leading to possible academic suspension.

A student’s academic progress is evaluated at the end of each semester. The criteria for maintaining Academic Progress are a semester and cumulative grade point average (GPA) of at least 2.0. Students must attain at least a 2.0 GPA to graduate and receive a degree, diploma, or certificate. Withdrawal Policy• Withdrawal from Classes Students may withdraw from class(es) after ten percent but prior to the completion of seventy-five

percent of a class. Withdrawals through completion of seventy-five percent will result in a “W” grade.

• Withdrawal ProcedureStudents must:

• Complete the Course Withdrawal Form with an advisor• Obtain a signature and last date of attendance from the instructor• Submit the completed form to the Registrar - AE Building at the Elizabeth City Campus

Instructors may withdraw students from a course for excessive absences or disciplinary reasons (with approval). Course Withdrawal Forms will not be accepted after the completion of seventy-five percent of a class.

Course Repetition Policy• Curriculum

A student may enroll in a course no more than three times for credit or audit without permission of the Vice President, Learning. Credit by examination may be attempted only once. A student may repeat a course to attempt to improve a grade or replace a withdrawal. Regardless of the number of previous attempts, a student who has previously received credit for a class in which he/she received a grade of “B” or higher may not repeat the class except with permission of the Vice President of Learning. All grades, including the record of an audit, will appear on the students’ official transcript. Only the highest grade will be used for computing total credit hours attempted, total quality points earned, and grade point averages (GPAs).

• Fresh Start Policy (Academic Forgiveness)Any former College of The Albemarle student who has experienced a lapse of enrollment at College of The Albemarle for a period of two consecutive academic years may petition only once to the Vice President, Learning, to have all course work not related to a new program of study, or any below-average grades (grades D or F) disregarded in calculating the student’s grade point average.

Upon re-enrolling following the lapse, the student must first complete 12 semester hours of non-developmental course work with a minimum 2.0 GPA before requesting grade forgiveness. If the request is approved, the record of the earlier course work affected remains on the student’s transcript but is not calculated in the cumulative GPA and does not apply toward graduation. Honors, if applicable, will be awarded based upon the new, Fresh Start GPA. Eligibility for student financial aid is not subject to fresh start calculations.

• Course SubstitutionsIf it is necessary for the student to request a course substitution for a stated graduation requirement, the student will initiate this process with their academic advisor. This form should be completed by

the student’s advisor or counselor and signed by the student. Approvals must be obtained personally by the student from the Department Chairperson and Division Chair for their program of study. The Division Chair, after signing, will return the form to the advisor. The advisor will make two copies. One copy will be given (or mailed) to the student, one copy will be kept in the advisor’s files, and the original will be forwarded to the office of the Registrar.

• Schedule Changes (Drop/Add)In some instances it is necessary for students to make adjustments in their schedules. Students may make schedule changes via the web up until the first day of classes. After classes have started, students should see their advisors to add or drop classes. Schedule changes during the drop/add period must be processed by the Student Success and Enrollment Management staff at each campus.

• Drop for Non PaymentStudents must pay for all classes by the designated payment date or their schedules will be purged from the system. The payment dates are located on the Registration Information Calendar on our website at www.albemarle.edu.

Graduation RequirementsThe college awards degrees, diplomas, and certificates to persons who have fulfilled the following requirements:

• Submit an Application for Graduation and pay the application fee.• Successfully complete all course requirements and total hours of the curriculum as described by the

program of study. All of the requirements listed in the appropriate catalog must be completed. • A cumulative grade point average (GPA) of 2.0 or better.• Of the hours required for the degree, 25 percent must be taken at College of The Albemarle. • Satisfy all financial obligations with the College of The Albemarle.

COA holds one commencement ceremony in May of each year for Fall, Spring, and Summer graduates.

STUDENT RIGHTS, RESOURCES AND RESPONSIBILITIESFamily Educational Rights and Privacy Act (FERPA)College of The Albemarle recognizes the importance of exercising responsibility for the maintenance and security of all student records. The Family Educational Rights and Privacy Act (FERPA) is a Federal law that protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education.

The college must have written permission from the student in order to release any information from the student’s educational record, unless the requested information is considered to be “directory information”. College of The Albemarle considers the following to be “directory information”:

• Name, address, and phone number• Date and place of birth• Program of study• Participation in officially recognized activities• Dates of attendance• Degrees and awards received

Disability Support ServicesThe purpose of Disability Support Services (DSS) is to adapt the College’s general services to the specialized individual needs of otherwise qualified students with disabilities, for the purpose of providing equal access to all programs and facilities. Consistent with the Americans with Disabilities Act (ADA) and Section 504 of the Rehabilitation Act, College of the Albemarle is committed to equality of educational opportunity and ensures that no qualified person shall by reason of a disability be denied access to, participation in, or the benefits of any program or activity operated by the College. Each qualified person shall receive reasonable accommodations to ensure equal access to educational opportunities, programs, and activities.

Students who request reasonable accommodations must self-identify and register with the Office of Disability Support Services. In Elizabeth City contact the Director of Disability Support Services; in Chowan contact the Assistant Dean, Student Success and Enrollment Management; and Dare students should contact the Director of Counseling and Testing. The documentation will include: a current diagnostic statement identifying the disability; the date of the current diagnostic evaluation; the date of the original diagnosis; a description of the diagnostic criteria and/or the diagnostic test used; a description of the current functional impact; all treatments, medications, assistive devices/services currently prescribed or in use; the credentials of the diagnosing professional; and professional recommendations regarding accommodations and services. The student and the appropriate COA individual stated above will develop an accommodation plan based on sufficient documentation and individual needs.

Educational Accommodation Notices will be provided to the student. The student will be responsible for notifying instructors of reasonable accommodations and providing the notices to instructors. The Student Government Association is comprised of student leaders who serve as the governing body over COA student activities, events, calendars, etc. and utilize student activity fees to create their budget. The student leadership at COA excel in their representation of the needs and concerns of the students of COA through training opportunities and use of resources on campus and in the community.
