1 Introduction

As is widely known, mission and vision provide a vehicle for communicating an organization's

purpose and values to all key stakeholders. To achieve this, strategic plans are used. Strategic plans

module in HCP software provides for strategic plans department and its stakeholders a tool to produce a

clear picture of what are their plans to achieve their institutional vision and mission, the methods by

which it will succeed and the measures to monitor progress.

3 Basic Data Menu

3.1 Teams & Committees

Team creation is done in this page by filling up team creation date, team name, start and end

date, duties and tasks and the team type(Sub or main).

Next, click on save button. To edit or delete the data, click on Edit and Delete buttons.

Details button displays the team member’s names, as for action button it displays all the

performed actions on the created team as shown in the following image.

3.2 Teams & Committees Explorer

A list of created teams will be display according to the date filter, employee name filter, department

filter, team type filter, etc.

3.3 List Data

This page is handling displaying, adding and editing the data per each list in the system.

The addition is done by filing up the data/record name in English and Arabic, the menu for

which the data belongs to, the status and the linked menu if any.

Data list: Menu title in the left hand side and record/data in the right hand side.

4.1 Strategic Planning

This page is used to add Strategic plan by filling the required details:

Enter the name of the strategy, vision mission, start and end date.

Choose strategic plan status (to be active or close).

Click on “Save Button”. Besides, edit and delete facilities are provided in this page.

This section is displaying the list of all pre-entered strategic plans.

4.2 Strategic Targets

.

This page is used to add strategic targets for a specific strategic plan, as every strategic plan is

consisting of a number of strategic targets, and each target has its own strategic goal and

strategic classification:

Select the strategic plan for which the target belongs. .

Enter the name of the target.

Select the strategic goal and classification.

Enter the target weight percentage as an indicator of the importance of the target.

Enter the order of this target among the others.

Select whether the target is linked to the ministry of Labor targets or not.

Select target status new, confirmed, done or cancel.

Strategic targets explorer page displays targets details based on the following filters:

Select the strategic plan name.

Enter the target name.

Select target goal.

Select whether the target is linked to the ministry of Labor targets or not.

Select status.

These two fields (strategic plan name and target name) are clickable, they navigate to strategic

targets page for editing purpose.

4.4 Initiatives

This page is used to add initiative for a specific strategic target, as every strategic target is

consisting of a number of Initiatives, and each Initiative has its own team and administrator:

Select the strategic plan for which the initiative belongs. .

Select the name of the target.

Enter the name of the initiative.

Enter start and end date, the initiative weight percentage as an indicator of the importance of

the initiative and the expected budget.

Enter the initiative goals.

Select the team and administrator.

Select the department which is responsible for this initiative.

Select the name of the target.

Select the name of the initiative.

Enter the activity.

Enter start and end date, the activity weight percentage as an indicator of the importance of the

activity and order.

Enter the initiative goals.

Select the team and administrator.

5.1 Strategies Changes

To edit any strategic plan, this page allows submitting change request on committee, initiative,

structure, initiative date, activity date and activity.

Select change request date.

Select the reason.

Select the strategic plan to be changed.

Select the target to be changed.

Select the initiative to be changed.

Select the activity to be changed.

5.2 Strategies Changes Explorer

This page displays changes details based on changed plan, target, initiative, cause, status and date filters

5.3 Strategies Financially

This page documents the budget execution by selecting the initiative name and typing the payment

amount with attached invoices if any.

This page displays budget execution details based on plan, target, initiative, status and date filters

5.5 Strategies Processing

Strategies processing page is used to insert and edit the achievement percentage of each activity; it

measures the total achievement percentage for the selected initiative. It is an effective tool of

measuring and evaluating the strategic plan progress.

5.6 Strategies Processing Explorer

This page displays all the achievement percentages per initiative based on plan, target, initiative, status

and date filters.

6 Key Performance Indicators – KPI Menu

6.1 Kpis Data

By setting KPIs the institution enables the team to make smart business decisions about the

direction of all current plans. This page handles KPI insertion as follows:

Insert the sort/order of KPI and select the type of it (main-sub).

If the KPI is related to any plan, target or initiative, user can select them.

Select KPI type (Strategy, Activity or Operations).

Enter the name and definition of the KPI.

Enter the KPI equation.

Select the responsible and the sponsor department.

Select:

- Measuring unit / style (minute, hour, Number, percentage, day). - Periodical measurement (quarter, yearly, monthly, half).

- Measurement pattern / Relation (Positive, Inverse).

- Status (active/ closed).

Target Button is used to insert all the targets that belong to the created KPI by selecting the

year, periodical interval and the target as it is shown in the following image.

6.2 Kpis Explorer

This page displays all the KPIs details based on KPI name, type, class, status, sponsor and responsible

filters.

6.3 Kpis Reader

KPI targets need to be filled and analyzed via this page. This is done by:

Entering recording date.

Selecting KPI name.

Selecting KPI target / value. Entering achieved target, selecting the decision if it is positive or

negative.

Entering analysis and reasons for deviation if any.

Entering the responsible employee, and attach required document if any.

This page displays all the KPI targets details based on KPI name, type, class, status filters, etc.

7.1 Kpis Report

This page is generating three types of KPI report based on the following filters:

KPI report type.

KPI name.

Responsible department.

Year and periodic interval.

KPI type (Strategy, Activity or Operations) and the status.

Periodical measurement (quarter, yearly, monthly, half).

KPI Report Types:

- Targets & KPIs report: it lists all the details related to the strategic targets KPIs that belongs to the selected strategic plan. It displays the title of the strategic target, KPI title, KPI type, periodical measurement

of the related KPI and the achieved performance per quarters.

- KPI follow-up report: it displays the KPI details per quarter; record date, the measurement unit, the

achieved target, the aimed target analysis and KPI performance percentage that shows different color

(green: Good performance, yellow: average performance, red: weak performance) .

- KPI Matrix report : it displays all the data related to KPI in a form similar to matrix.

7.2 Strategies Report

This page is generating several types of strategies report based on the filters like plan name,

target name, initiative name, status, dare, and report type.

Strategies Report Types:

-Initiative lists report: shows the initiative title per each target along with start and end date.

-Initiative Operation rates lists report: shows the Initiative completion rate per each target along with start and end

date.

-Financial report: shows financial expenditure budget to perform initiatives.

7.3 Dashboard

Select the strategic plan name to view its dashboard.

Totals section displays the following:

Achievement percentage of the selected strategic plan.

Number of strategic targets for the selected strategic plan.

Number of initiatives that have been adopted for the selected strategic plan.

Number of adopted operational activities for the selected strategic plan.

Number of teams.

Number of transaction; number of initiatives that are not closed yet.

Initiatives bar chart shows the achievement percentages for each initiative.

This section shows initiatives details that are not closed yet that are waiting for confirmation.

Pie chart shows achievement percentage status; initiatives that are not closed yet compared to

the ones that are confirmed and closed.
