Setting up and Updating Workbook Defaults To use the spreadsheet feature, you must download four Excel files. You can then set defaults for your Excel workbook. These defaults control variables, such as business unit and ledger, so you do not have to enter them each time you open the workbook. To set up and update workbook defaults, follow the instructions given below.

Step 1: Download the Excel spreadsheet files.

Download and save the four attached Excel files to the same folder on your computer.

Step 2: Set up the default spreadsheet information.

Navigate to the folder in which the JRNL-UPLOAD_PROD file is located.

Reminder: You must have all four Excel files saved in the same folder.

Double-click the JRNL-UPLOAD_PROD file.

MS Excel opens the Spreadsheet Journal Import workbook.

To enable the macros for the workbook

Click the Options… button.

A Security Alert message displays.

Click the Enable this content option.

Click the OK button.

Click the Setup button to set up the default information to be used in most workbooks. You can change the information at any time.

If you receive an error message after attempting to open the Setup screen, proceed to step 3 for additional instructions.

Enter the default Business Unit; for example, EMUNV.

Enter the default Date.

Enter the default Ledger Group; for example, Actuals.

Enter the default Source; for example, ONL.

Enter the default User ID.

AutoGen Lines: When this check box is selected, journal lines automatically generate to support transaction detail for all ledgers in a ledger group.

Message Options recommendation: Leave the default of Log Successful and Error Message.

Display Message Online: Select the check box to show import error messages online. Otherwise, errors go only to the message log.

Enable Document Sequencing: Select the check box to allow you to track journals by document sequence number.

Default Document Type: When document sequencing is enabled, specify a default document type.

Online Import Control – Address: This is the URL of the Compass XMLlink web service. To use a secure connection, contact your Information Technology department to set up a secure socket layer (URL starts with https://).

Online Import Control – User ID: Enter your Compass User ID.

After Successful Import recommendation: Leave the default of Keep import status as Import. This option allows you to re-import journals.

Note: The option Change Import Status to Do Not Import prevents you from importing journals which you have already imported.

Click the OK button.

A warning message displays.

Click the Yes button.

Step 3: Ensure the MSXML.DLL file is recognized by the Excel journal upload spreadsheet.

If you receive an error message after attempting to open the Setup screen, follow the steps below to ensure the MSXML.DLL file is recognized by the Excel.

Click the OK button to close out of the Compile error.

Click the X button on the screen titled Microsoft Visual Basics for

Applications – JRNLMACRO.xla [break].

Click OK to stop of the debugger.

In order to add the MSXML.DLL file, the Developer Tab must appear as a Main Tab on the Excel Ribbon. Following the instructions below to add the Developer Tab.

o Click File at the top left of your screen.

o Click Options at the bottom of the menu.

o Click the Customize Ribbon option.

o Click the dropdown box under Customize the Ribbon and select Main Tabs. Next, check the Developer option by pointing the arrow in the box appropriate box and left click.

o Click the OK button.

o Proceed to the Developer Tab and Select the Visual Basic Icon.

Click on the Tools option and Select References.

Search the References to see if “Microsoft XML, version 2.0” is on the

list. If you do not see it, or if the following message appears: “??? Unknown”, click the Browse button and locate the MSXML.DLL file in the folder where you placed the JRNL-UPLOAD document.

Double click on the MSXML.DLL file

The file should now appear in the Reference list.

Click OK and then click the Save Icon and Exit out of Reference screen.

Go back to step 2 to set up the default spreadsheet information.
