GOLDSMITHS STUDENTS’ UNIONPARTICIPATION STATEMENT

• By participating in Club activity, you agree to adhere to and abide by the guidelines for participation as advised by the Club, National Governing Body and Goldsmiths

Students’ Union.

• You may be participating in activities that may involve an inherent element of risk, in an environment where professional medical care and rescue services may not always be immediately available. It is your responsibility to ensure that you fully undertand the exact nature of each activity you undertake, the risks involved and the

equipment required to ensure your safe participation.

• It is the responsibility of the individual to inform a Club Representative or the Sport & Recreation Manager of any relevant medical condition which may affect your or others

safe participation in the activities undertaken.

• You should never participate in an activity where you are unsure of any of the above aspects. If in doubt, ask your Club Representatives (Captain etc.) or the Sports & Recre-ation Manager for further information. It is also your responsibility to notify your next

of kin of your desire to participate, before engaging in any activity.

Hi, my name's Rheem & I'm your Activities & Services Officer for 2009-10.PPart of my role is to help support sports clubs and teams in their activities and ambitions, as well as helping GSU

societies & organising events stuff. While the majority of your administrative support and practical help will come

from Ruth, your Sport & Recreation Manager, I can offer help and guidance with planning events outside your

normal training sessions, help with issues where the College may be an obstacle and will be representing the

interests of sports clubs to College at regular meetings with the College and the Union Finance Committee.

PPlaying on the football team for Goldsmiths has been one of my most rewarding experiences during my time as a

student (even if the scoresheet didn't usually look like it should've been!) and I wish you all the best with your time

involved in sports and recreation here.TThis year I've fought to keep the minibus fees at the same level as last year and have worked hard to set up a

system for taking payments for memberships in advance of freshers' fayre. We're also pleased to announce that

sports clubs will this year be able to take payment for memberships themselves at freshers' fayre for the first time

ever! I really hope this will ensure your club's financial sustainability and make it easier for you to reach your

minimum membership quota. I'm also pleased to announce that we'll be introducing group-training sessions

starting in October for all teams' members to attend. These monthly sessions will be a great space to meet other

sports' teams members, find out about other sports at Goldsmiths and improve your fitness. These will be monthly

CODE OF CONDUCTNo member of the Union should: • Act in a disorderly manner on College premises or those set aside for Union use, including Sports facilities, or at any Union function.• Act in any way, or at any time, so as to bring the Union into disrepute. • Act in any way contrary to the Aims and Objectives of the Union as defined in the Constitution. •• Incur unauthorised expenditure of the Union monies, or hold Club monies outside of the Union.• Communicate or affiliate with persons or organisations outside the Union in the name of the Union, without specific authority from the Union.• Cause damage to Union property, including kit and equipment. •• Facilitate the participation by non-members in Goldsmiths Students’ Union activity. • Act in an antisocial manner to the detriment of the Students’ Union and its members, including Club 'initiations'. • Physically or verbally assault another member or guest of the Students’ Union, including opposing players, officials or umpires.• Physically or verbally assault staff members of the Union. • Reveal material deemed to be confidential. •• Breach the Equal Opportunities or Safe Space Policy. • Print or broadcast any material of an offensive, defamatory, or libellous/ slanderous nature. • Ensure that all information disseminated is fair and accurate, avoiding theexpression of comment and conjecture as established fact and falsification bydistortion, selection or misrepresentation.

HOW TO SET UP A CLUB

MEMBERSHIPMembership, attendance and participation within activities, of Goldsmiths Students’ Union Clubs is strictly defined by membership regulations.

Membership will be granted as follows:

1. For all Clubs: Goldsmiths students who have paid a Club Membership Fee to the Students’ Union2. For Non-Competitive Clubs only: Goldsmiths student Alumni or current staff members who have i) paid a Students’ Union Associate Membership fee at the Students‘ Unionreception, and ii) paid a Club Membership Fee to the Students’ Union.reception, and ii) paid a Club Membership Fee to the Students’ Union.

This means that - in most cases - non-students, graduates, staff members & students from other Universities or Colleges cannot participate in your Club activity.

It is essential that anyone who undertakes club activity is a Member, as defined above, and that they have completed a Membership Form and paid their Membership fees. There are serious legal implications if this is not the case, and the Captain or President of your Club could be held personally liable

Basic Guidelines are as follows:

• Each club has a minimum membership of Goldsmiths students based on the needs of the sport/ activity.•• You need officers of the Club – such as President/ Captain, vice captain, social secretary, webmaster, publicity officer etc• You will need to complete a Constitution, detailing you aims and objectives.• The Constitution will be submitted to the relevant Committee for approval. • If approved, your Club will hold provisional status for its first year, and your members will need to pay a membership fee to the Students’ Union.• Your membership will then need to elect a Committee to run and administrate the club.•• The new Club will be able to book College and Union rooms and use telephone andphotocopying facilities. Budget Applications will be invited as part of the Strategic Planning process in around April of each year, for the following academic year.

VALUE STATEMENT

ALL CLUBS:

Upon ratification and following 1 year of full activity, Goldsmiths Students’ Union will undertake the following on behalf of ALL sports clubs:

• To coordinate and allocate use of appropriate College facilities and resources (where available)•• To consider budget applications in line with Club activity plans and Students’ Union aims and objectives• To make provision of 1st-aid training to at least one member of each team, and make available appropriate 1st-aid kit/equipment for activities• To provide appropriate Codes of Practice, Rules and Regulations etc.• Organise Fresher’s Fayre, and facilitate mandatory attendance by representatives of all Clubs and Societies•• Maintain membership records, and make these available to Captains/ Presidents• Support and coordinate a mandatory annual Activity Planning process• Help coordinate on- and off-campus events (trips, tours, event nights etc.)• Manage Service Level Agreements with external instructors and coaches, where appropriate• Make available telephone, computer and pigeonhole resources•• Make available suitable training for, and subsequent access to, Minibus transport in line with the Transport Regulations• Provide photocopying and fax facilities and provide an allowance for use• Coordinate and make available notice board space• Coordinate room-bookings within the Students’ Union and College• Liaise with appropriate College Departments, where necessary• Help coordinate sponsorship and fundraising •• Maintain club/society accounts for self-raised funds, and administer orders and invoices for goods and services• Campaign on relevant issues – eg. Free Wednesday Afternoons for studentactivities• Organise the Athletics Union Dinner, the Colours and the Student Awards•• Make provision of a Health & Safety framework – ensuring the Union holds the necessary insurance(s) for your activities, and that the necessary Health & Safety systems are in place and implemented by clubs/societies

VALUE STATEMENT

COMPETITIVE SPORTS CLUBS:

On the basis that annual entry to externally organised Regional and National leagues necessitates a defined level of minimum staff support, upon ratification andfollowing 1 year of full activity, Goldsmiths Students’ Union will also undertake the following on behalf of competitive sports clubs :

• To coordinate and fund ULU and BUCS entries •• To coordinate and fund necessary affiliations to National Governing Bodies (NGB’s)• Administer ULU and BUCS league and cup fixtures, including : o Written confirmation of BUCS fixtures to Captains and opposition institutions o Liaise with BUCS opposition institutions o Liaise with ULU and BUCS, inc. representation, appeals etc.• To make provision of appropriate training venues during the competitive season• To make provision of a qualified sports coach for each training session•• To make provision of appropriate competition venues for home fixtures• To make provision of suitable training and competition kit/ equipment for each team• To coordinate availability of minibus transport for training and fixtures• To reimburse all paid-up Club members 2/3rd’s public transport costs forcompetitive ULU and BUCS fixtures up to the value of a Young Persons railcard ticket price

GENERAL INFORMATION

1. Committees

We would encourage – wherever possible – that responsibility for running a Club is shared between aCommittee.

Captains will have a lot of responsibilities to your Club and the members alongside their studycommitments – make sure you help them wherever possible to ensure the smooth running of all activities!

The roles of the Officers of each club should be agreed and elected by an open meeting of the clubmembership. Please check with the Student Activities & Services Officer as to the most effective andmembership. 2. Want to put a night on at the Union?

If you would like to put an event on at the Union, please come into the Students’ Union and talk to theCommercial Services Department. They’ll help deliver and organise the practical elements of the night with you directly, but the Sport and Recreation Manager will be able to advise on options, feasibility and any budgetary implications.

3. Room Bookings

The Union can help you find meeting, training or competition space - whether within the Union, the College or externally. Please come and discuss any requirements with the Sport and Recreation Manager.

4. Charging for Events, Fundraising and Film Screenings

Please check if you are unsure.

Collections and player contributions MUST be given to the Finance Department (or the Union Duty-Manager at the end of the night) to be locked in the safe and paid into the Club account.

Please see the Student Activities & Services Officer or the Sport & Recreation Manager for more info on any of these issues.

The Committee Room can be booked direct with Reception in the Union offices at no cost to you.

6. Batch Messaging System (BMS)

The Students’ Union emails all students at Goldsmiths on a weekly basis with news, info and details of events. If you would like your Club event to bementioned, please email the Student Activities and Services Officer with a maximum 20 word description mentioned, please email the Student Activities and Services Officer with a maximum 20 word description or a link to the website that has all the details on it.

7. Sponsorship

We would encourage all Clubs to seek and gain sponsorship and to maximize theirsponsorship potential, but be careful! Goldsmiths Students’ Union Clubs have no legal identity of their own, so all potential dealings and negotiations and contracts must be done in conjunction with a Union representative.

The Students’ Union will help and advise centrally with any Affiliations that might benecessary.

Your Club and, in some cases, individual members may be required to affiliate to the National Governing Body of your chosen activity for insurance, democratic or best practice purposes. Please ensure youcoordinate all affiliations with the Sport and Recreation Manager.

9. Club Officers

However, please remember that the responsibility for implementation and decision-making must remain with the student officers. Remember – it’s YOUR Club!

10. Activities Hub

The Activities Hub is situated in the Students’ Union offices, on the 2nd floor of the Union. This is a resource centre for Clubs and Societies to use computer equipment or telephones – for contacting your members! This is your resource, so please use it.

12. ULU Clubs & Societies

Goldsmiths enters into an annual agreement with the University of London as to which Clubs and Societies will be run by the Colleges and which will be run by the University. ULU organises Clubs and Societies such as Sub-aqua, Athletics, Mountaineering, Swimming, Athletics, Rowing and Water Polo. 14. Booking/Using the Gym/ Tennis Courts/ Loring Sports Ground

The Upper gym and Loring Hall Sports Ground are available for staff and student use – and are for APPROVED AND BOOKED USE BY GOLDSMITHS STAFF AND STUDENTS.

If you wish to use Loring Sports Ground, please contact the Sport and Recreation Manager.

Equally, if you have any issues regarding College facilities – e.g. booking, cleaning, maintenance or clashes for the backfield, Tennis Courts or Lockwood Building Gym, please let the Sport and Recreation Manager know - we can’t help if we don’t know about it!

HEALTH & SAFETYGoldsmiths College and Goldsmiths Students’ Union endeavours to ensure that all StudentActivities are undertaken as safely as possible and takes this responsibility very seriously.

We operate a number of procedures and systems that all Clubs must adhere to. By following these procedures we:

• highlight problems and dangers• help resolve issues•• prevent accidents/incidents• provide evidence if required• identify equipment and resource needs

As a Club member or Officer you have a Duty of Care in law to the other members of your club and opposition to ensure that any activities undertaken by the club, or using clubequipment, are safe for all participants.

Where negligence has occurred, compensation might be sought … and may even constitute a criminal offence - so it is essential to pay sufficient mind to safety issues in your activity.

The Chief Executive Officer is ultimately responsible for Health and Safety in Student Activities and this responsibility is discharged by the Sport & Recreation Manager, via the Captains and members of each Club. Please contact the Sport & Recreation Manager for information on any aspect of the safety systems detailed below.

1. Membership

Please familiarise yourself with the Participation Statement on the inside cover of this booklet. Thisstatement is on all Membership Forms signed by members and means that individuals have astatement is on all Membership Forms signed by members and means that individuals have aresponsibility to report medical conditions that may affect yours, or other people’s, safe participation in activities.

You may be required to undertake a GP assessment on the basis of your declaration, to determine the necessary controls for your safe participation.

2. Codes of Conduct & Regulations

Where applicable, acquaint yourself with and implement all the relevant rules &regulations and codes of conduct laid out by the various organisations and/or governing bodies relating regulations and codes of conduct laid out by the various organisations and/or governing bodies relating to your activity and location.

BUCS Codes of PracticeBUCS (British Universities and Colleges Sport) provide Codes of Practice for most main sports, as well as general codes for safety and 1st-aid in University Sport. These will be made available to you, and Captains should ensure that they are fully conversant with the content, and that all activity is undertaken inaccordance with these Codes.

Competition Rules – NGB, ULU & BUCSCompetition Rules – NGB, ULU & BUCSULU and BUCS publish annual Rules and Regulations for their respective competitions, and each specific sport. Captains should ensure that they are fully conversant with the content, and that all activity is undertaken in accordance with these Rules andRegulations.

3. Insurance

Goldsmiths Students’ Union holds a number of insurance policies that cover your activities as a club. In addition, your Club and/or Personal affiliation to your National Governing Body may carry additional Insurance benefits. If you are in any doubt as to the extent or validity of your insurance cover for your chosen activity - please check with the Sport & Recreation Manager.

It is extremely important to note that Insurance cover will only exist for those students who have completed It is extremely important to note that Insurance cover will only exist for those students who have completed a membership form and paid their fees - you should not, under ANY circumstances, allow anyone who is not a member of a Club to partake in activity that is potentially hazardous and contravenes legal duty-of-care responsibilities.

If there are any extenuating circumstances, or activities, or travel, that you feel might have ramifications on insurance, or you wish to discuss the level or nature of the cover – PLEASE see the Sport and Recreation Manager.

4. Accident & Near-miss Reporting

It is the Captains responsibility to ensure that ALL accidents and near-misses (either on or off-campus and in training or competition) are reported in full, so that a full record can be maintained by the Union. Accident forms can be obtained from the Sport and Recreation Manager and are given to the Captains of each club at the start of each season.

By identifying potential issues, accident report forms help to inform any necessary actions or considerations.

Equally, in serious accidents, it is vital that an accurate and comprehensive record is kept of the incident.

IN EMERGENCIES:

In the event of serious injury or death, please contact the College IMMEDIATELY with all relevant details of persons involved. You will be led through the standard procedure.

It is the responsibility of each Captain to ensure that they have confirmed the whereabouts of the nearest telephone for accident/emergency situations.

It is essential that all activities and trips outside the normal scope of your Club are registered (and risk assessed, where applicable). Records will be kept by the Students’ Union to ensure that all relevantinformation is available should any incident occur.

This includes:• Any activity that is conducted under the name of the University or Union.•• Any activity publicised at Club meetings.• Any activity publicised on web sites, journals, leaflets, publications, notice boards etc.• Any activity funded in any way by the University, Union or Club.• Any activity requiring the use of equipment owned by the Union, University or Club.• Any activity requiring the use of transport or facilities booked through the University/ Union.

If you are in any doubt, please contact the Sport & Recreation Manager. Not following this procedure may be considered a disciplinary offence.

6.6. 1st aid Training, and 1st-aid Provision

Where applicable, Captains must ensure the provision of First Aid equipment and at least one qualified first-aider and access to a telephone for emergency services and situations.

In order to aid this, Goldsmiths Students’ Union will facilitate a FREE Sports 1st-Aid Course at thebeginning of the academic year.

Each Club will be issued with a complete 1st-Aid kit at the beginning of the academic year. If any contents of the kit are used, please ensure you contact the Sport & Recreation Manager after the session in order to get the kitre-stocked.

7. Risk Assessments

Risk assessment is a step-by-step clear and careful examination of anything that could cause harm to yourself or others in a particular situation or environment.

There are 5 steps to risk assessment:• Identification of all hazards in the area under review – e.g. slips, trips• Identification of those persons at risk – e.g. players, spectators, visitors•• Evaluation of all the risks associated with the hazards – e.g. high, moderate, low• Implementation of controls, if necessary – e.g. training, instruction, protective equipment, supervision• Recording of significant aspects of the assessment and regular review

TRANSPORT REGULATIONS

This document sets out the manner and procedures by which Goldsmiths Students’ Union will make Transport provision for Clubs.

Goldsmiths Students’ Union makes provision for Club travel in the following ways:o Minibuso Public Transporto Hired Vehicleo Private Vehicle

The Sport & Recreation Manager will be responsible for the administration and co-ordination of The Sport & Recreation Manager will be responsible for the administration and co-ordination of Transport systems within Goldsmiths Students’ Union

* Minibus• Goldsmiths Students’ Union operates a Minibus which is available for Club use.• The Minibus is operated through Lewisham Community Transport Scheme (LCTS), with whom the Sport & Recreation Manager is the designated liaison.

* Registered DriversDrivers of the Minibus must meet the following requirements :Drivers of the Minibus must meet the following requirements :• Be MiDAS (Minibus Driver Awareness Scheme) Driver trained and assessed. • Be registered with LCTS and the Students’ Union• Be a paid-up member of a Goldsmiths Students’ Union Club• Be over 21 years of age• Have held an UK/GB license for 2 years or more• Have no convictions or ‘at fault’ accidents•• Have no disability or medical condition, which in the opinion of the LCTS insurers, will, or may, affect ability to drive

Goldsmiths Students’ Union will make provision for Free of Charge MiDAS training to one member from each Club Goldsmiths Students’ Union will hold a £25 deposit from each registered driver against damage Goldsmiths Students’ Union will hold a £25 deposit from each registered driver against damage caused to the vehicle during use, costs incurred through late return or cleaning, infringement of procedures or guidelines, or any other costs incurred.

Each registered driver will be held personally liable for speeding or parking infringements.

* Minibus Use• Requests from Clubs to use the Minibus must be made to the Sport & Recreation Manager.• Bookings will be made on a first come first served basis.•• Collection and return of the vehicle is the responsibility of the registered driver.

• The Registered Driver must ensure that the Collection and Return times are strictly adhered to and that all necessary trip forms, checklists and so on are completed and submitted as required.

TRANSPORT REGULATIONS

• The registered driver must follow the law, Highway Code and the guidelines as laid down by the LCTS Driver’s Handbook at all times – inc. loading, breakdown and emergency procedure, alcohol consumption, seatbelt use - and any other guidelines as may be laid down from time to time by LCTS or the Students’ Union.• Only fully-paid up members of Goldsmiths Students’ Union Clubs may travel in the minibus to Club activities, unless otherwise agreed with the Sport & Recreation Manager.•• The minibus may only be used for the stated purpose – i.e. for Club activity. Personal use or transport of non-members will invalidate insurance and leave the registered driver liable for illegal PSV operation.• No alcohol should be consumed onboard Minibuses and all passengers are expected to behave in an appropriate manner, subject to disciplinary proceedings.•• Failure by a Registered Driver to observe the necessary guidelines/ procedures, in the opinion of the Sport and Recreation Manager, will result in retention of the £25 deposit and/or withdrawal of Minibus privileges.

* Charges for Minibus Use• Each Club will normally be charged for use of the minibus at £20 per Trip.• This fee should be collected from Club members by the captain and deposited with the Sports & Recreation Manager within 48hrs of the agreed return date for the vehicle.•• Failure to deposit this fee will result in suspension of vehicle use until such time as this fee is paid

* Public TransportGoldsmiths Students’ Union makes provision for use of Public Transport by Clubs, including trains, busses and trams.

Goldsmiths Students’ Union will not meet Public Transport costs for travelling to a friendly fixture, or for training.

Goldsmiths Students’ Union will reimburse 2/3rd’s of legitimate expenses to the value of a Young Goldsmiths Students’ Union will reimburse 2/3rd’s of legitimate expenses to the value of a Young Persons Railcard incurred by Competitive Sports Teams travelling to a ULU or BUCS competitive fixture OR for a budget-approved Club activity on the following basis :o Claimants must be a member of the relevant Club and have paid the relevant membership fee to the Students’ Uniono Claims must be made to the Sport & Recreation Manager within 2 weeks of traveloo Where a return journey is being claimed for, claimants must produce BOTH sections of the ticket OR a valid receipt.

If it is necessary to use a taxi between train/bus stations and the venue, this must be agreed IN ADVANCE with the Sport & Recreation Manager. No payments will be reimbursed if not agreed prior to travel.

TRANSPORT REGULATIONS

* Hired VehiclesGoldsmiths Students’ Union makes provision for the use of hired vehicles byCompetitive Sports Teams travelling to a ULU or BUCS competitive fixture OR for abudget-approved Club activity.

Goldsmiths Students’ Union will not normally hire vehicles for travelling to a friendly fixture, or for training.

* * Hired Coaches & Drivers• A Coach may be hired when a sufficient number of teams or persons are travelling to the same venue to make this an economical option. This will normally only happen if at least 3 teams, or 40 persons, are playing at the same venue.• Hired Coaches will be arranged and booked by the Sport & Recreation Manager, as appropriate.• Each person boarding the coach must pay a £5 contribution towards the transport costs. This will be collected prior to travel by the Sport & Recreation Manager or another representative ofGoldsmiths Students’ Union.Goldsmiths Students’ Union.• Only fully-paid up members of Goldsmiths Students’ Union Clubs may travel in a hired Coach to Club activities, unless otherwise agreed with the Sport & Recreation Manager.

* Hired Minibuses• A Minibus may be hired when more than one Club legitimately needs transport to a fixture/activity at the same time that the Goldsmiths Students’ Union Minibus is being used.

* Private Vehicles•• Goldsmiths Students’ Union makes provision for the use of private vehicles for Competitive Sports Teams travelling to a ULU or BUCS competitive fixture OR for a budget-approved Club activity• Goldsmiths Students’ Union will not meet private vehicles costs for travelling to a friendly fixture, or for training.•• Goldsmiths Students’ Union will reimburse 40p/mile for mileage incurred on approved Club activity only if a Vehicle Registration Form & Disclaimer has been completed and approved in advance, and photocopies of MOT certificates and insurance are given to the Sport and Recreation Manager.

N.B. receiving money for travel may invalidate your insurance • Vehicle Registration Forms can be obtained from the Sports & Recreation Manager.•• Mileage will be calculated by the Sport & Recreation Manager from the AA Route Planner website.

If you are travelling from Central London / Old Kent Road direction, you must take the first right – Amersham Rd. - after entering the one-way section, follow this road to the traffic lights and turn right onto Lewisham Way. FFrom the M2, M25 and Dartford Crossing, follow the A2 to New Cross, but once on the one-way section opp. New X Station, continue up Amersham Rd. and turn right onto Lewisham Way.

BBy Road : From Lewisham take the A20 through Lee Green to Ruxley Corner, the 2nd round-about after the Sidcup bypass, and turn left onto the A223. Loring Hall is next to The White Cross Inn which stands at the start of Water lane, a slip road giving access to Loring Hall from the A223. Please do not obstruct access to the Home; there is provision for spectator parking in the lay-by.

By Rail : British Rail from Charing Cross to Albany Park. Exit the station andimmediately turn left into the car park where you can re-enter the station building and immediately turn left into the car park where you can re-enter the station building and cross over the tracks. A short footpath and set of steps will lead you out on to Longmead Drive. Turn left and follow Longmead. Continue as the road turns right into Betterton Drive. Follow the footpath at the bottom of the hill and cross over the footbridge – you will see the playing pitches on your right. Continue up Water Lane until you reach the main road and turn right into the grounds.
