THE PROJECT AND ITS SETTING

1.0 Introduction

The system design process usually involves creating and

evaluating a number of possible designs. The researcher team

discussed the advantages and disadvantages of each of these. The

design that was conceived accepted may be the most appropriate

technically but, more often than not, other factors such as the need for

compatibility with other systems, the need to use company standards,

the need to minimize risks in other parts of the system govern the

ultimate design choice. The design is simply represented as a

specification of the system which is to be implemented.

The E-Books and Sales Monitoring System is a complete

inexpensive system for management of sales, purchases, payments

and customer records. This system will help the user in creating

invoices, sales orders, service/s rendered, customer profiles and any

kind of the reports for monitoring the business. Inventory System

allows controlling customer balances and vendor balances.

The E-Books and Sales Monitoring System is an on-line

website for the Innova Dental and Optical Clinic. This system is

especially intended for storage of data covering all the transactions in

the clinic, for the on-line sharing of each branch of the company and to

advertise the its services being offered. The system is developed

through HTML, Php and a little JavaScript scripting codes using

Dreamweaver Cs3 software, phpMyadmin and Apache in Xampp

software.

The system provides an interaction between company and the

guests/visitors of the system. The partners of the clinic can share the

sales and transactions privately, because of the confidential nature of

sales and transactions. In this kind of process, the system provides

security in all records of the company and no one can easily access the

sales record unless the person is permitted to do so. The guests can

interact with the owner through sending suggestions, questions and

recommendations at via email.

The developers of the new system can refine its design by

breaking the system down into smaller tasks and then estimating the

time spent to complete it. The focus of this study is the use of many

tools with a collaborative mindset of the developers to systematically

improve business through the implementation of a new information

system. System developers can enhance in its learning through the

application of new techniques and tools.

2.0 Background of the Study

INNOVA OPTICS and DENTAL SPECIALISTS is an optical and

dental clinic located at 2nd Floor Susano Complex, Quirino Hi-Way,

Novaliches, Quezon City. It was started on December 11, 2004 with

one(1) staff dentist and a medical secretary. The Innova Optics and

Dental Specialist is owned by Dr. Rhona M. Subagan, a Doctor of

Dental Medicine who graduated from National University (NU). The

Clinic has a partnership with Optical Clinic owned by Dr. Armila David-

Cablay and has a branch located at Sampaloc, Manila.

` The Innova Optics and Dental Specialists offers Consultation,

Extraction, Restoration, Prophylaxis, RCT, Denture and X-Ray. This

clinic does not have any computer based system for its business even

though they have an existing computer system.

Clinic’s Mission:

INNOVA OPTICS and DENTAL SPECIALISTS strives to meet the

needs of its customers for total value by offering a good service.

Clinic’s Vision:

Years form now Innova Optics and Dental Specialists will grow

and expand its business by consistently providing a good and afford-

able service for its customers.

The problems of Innova Optics and Dental Specialists has an

unorganized compilation of different patient records and lack of

information regarding account receivables and payables that will be

useful in determining if the company is making profit or not. The

researchers choose the Innova Optics and Dental Specialists in order to

make their replace their existing system and transform it into a new

and most effective system possible for its improvement.

3.0 Statement of the Problem

Based on the interview conducted at the Innova Optics and

Dental Specialists, it was discovered that the clinic has an unorganized

compilation of different patient records and lack of information

regarding account receivables and payables that will be useful in

determining if the company is making profit or not.

4.0 General Objectives

To provide the most effective system for the improvement of

Innova Dental and Optical Clinic patients record system by designing e-

Book and Sales Monitoring Online System.

5.0 Specific Objectives

A useful system is essential to ensuring the use and acceptance

of the information system; there are several specific objectives that

the researchers try to attain when designing a system:

that is searchable through the use of the net.

To make the system user-friendly

To lessen the difficulties while searching files for follow-up

To monitor the sales and generate reports of the company

To advertise the companies services using the website

7.0 Process/Data Flow Diagrams

Data flow diagrams are used to describe how the system trans-

forms information. They define how information is processed and

stored and identify how the information flows through the processes.

When building a data flow diagram, the following items should be con-

sidered:

1. Where does the data that passes through the system come

from and where does it go?

2. What happens to the data once it enters the system (i.e., the

inputs) and before it leaves the system (i.e., the outputs)?


3. What delays occur between the inputs and outputs (i.e.,

identifying the need for data stores)?

When systems researchers attempt to understand the

information requirements of users, researchers must be able to

conceptualize how data

move through the Innova Dental and Optical clinic, the process of

transformation that the data undergo, and what the outputs are, so

these are the process and data flow of the existing system of the said

company.

The date was the patient is born.

The gender of the patient it is either “male” or “female”.

Case History indicates the illness or diseases of the patient

before proceeding to treatment. The doctor/employee will ask the

condition of the patient first to avoid accident and prescription of

wrong medicine that is not compatible for the illness of the patient.

The services rendered to the patient in the clinic such as

consultation, extraction, restoration, prophylaxis, RCT, denture and X-

Ray.

Fee

The given amount according to the service/s being rendered by

the patient.

The total amount of fees according to the service/s being

Entity-An entity is a specific object of interest to the business area. It

can be said that in an accounting system, two things are basically nec-

essary: Accounts and transactions. In a customer support system, we

would need to have some information about customers, for a start.

Each such unit of essential information is named ‘an entity’, with a

name and attributes.

Attributes-Each entity will normally have one or more attributes. At-

tributes may be thought of as smaller pieces of information within an

entity. Together they describe our entity to the degree we find neces-

sary.

Relationships-In a relational database, all entities have bonds

between them, expressed as relationships. A relationship is a link

between to entities, and it tells us something about which relationships

exists between our entities.

9.0 Problems/Requirements List

The company’s problem is the growing numbers of papers being

stocked in the storage box, because of this, it is not easy to find or

recover file records. Some of the files are not organized, because of

the manual errors such as instead of arranging the files according to its

surname alphabetically and sometimes the company employee

displaced it. And because of these problems the company is just

wasting its time and experienced an additional task that leads to

additional expenses for the company.

The following are the requirements list in improving the company’s

system:

1. The company must have a faster retrieval of records.

2. Less cost for operation or management of the company but

produces effective results.

3. Lessen the time of work.

4. Prevent manual errors.

5. Provides more organized and accurate records of files.

10.0 Analysis of the Existing System

The existing system of the Innova Optics and Dental Specialists

is currently using the manual information system which lacks the

proper management and control of the patient’s records that makes

the company files unorganized and over populated that caused to the

loss of files and it is not easy to retrieve some previous records of the

patient. The manual system of the company entails a lot of time spent

in recording and recovering the files of the patient. So, the researchers

need to propose a system that can help solve all these problems.

Chapter 2

METHODOLOGY

1.0 Project Design

The E-Books and Sales On-line Monitoring System (ESOMS) for

Innova Optics and Dental Specialists is an On-line database website

design coded in HTML, Php and a little JavaScript codes. This system

has been developed through Php coding using Dreamweaver Cs3 and

with the help of Adobe Photoshop CS3.

The effects and design of the system is made through Macromedia

Flash and Cascading Style Sheets (CSS) codes.

1.1 Research Design

This is a descriptive-exploratory approach on how an on-line

solution can deliver a big impact in an organization, particularly a

dental-optical company gearing it up for global competitiveness. The

researchers used both qualitative and quantitative research methods

for this proposition, where they intend to identify the perceived

strengths; benefits and even weaknesses of implementing a website

with on-line information system, as viewed by IT professionals and

students. Further, this proposal analyzes the perceived message

transmitted through the e-business with regards to the content,

structure and strategy used. Finally, the proponents look upon the

proposed system and the impact it would bring to Innova Dental and

Optical Specialists Clinic.

1.2 Problem Analysis

The company’s seen problems at Innova are addressed by the

proponents through the developed system. The system can easily save

records for the company’s customer profiles, sales and daily

transactions. The researchers designed an organized and a user-

friendly system for the company and are logically developed to avoid

errors and lost of files in the company. The system will help lessen the

time consumed in recording transactions manually and will lessen the

paper documents for the company. Most especially, the two branches

of the said company can share transactions through on-line anytime

and anywhere.

3.0 Project Development

In the first phase of the E-Books and Sales Monitoring Online

System project development, the researchers are concerned with

identifying the problems, opportunities, and objectives, this stage is

critical to the success of the rest of the project, because no one wants

to waste subsequent time addressing the wrong problem.

The first phase requires that the researchers look honestly at

what is acquiring in a business. Then, together with other organization

members, the researchers pinpoint problems. Often these problems

will be brought up by other, and they are the reason why the

researcher was initially called in. Opportunities are situations that the

researchers believe can be improved through the use of computerized

information system. Seizing opportunities may allow the business to

gain a competitive edge or set an industry standard.

Identifying objectives is also an important component of the first

phase. First, the researchers must discover what the business is trying

to do. Then the analysis will be able to see if some aspect of

information systems applications can help the business reach its

objectives by addressing specific problems or opportunities.

The people involved in the first phase are the users, researchers

and systems managers coordinating the project. Activities in this phase

of interviewing user management, summarizing the knowledge

obtained, estimating the scope of the project, and documenting

results. The output of the phase is a feasibility report containing a

problem definition and summarizing the objectives.

The next phase that the researchers enter is that of determining

information requirements for the particular user involved. Among the

tools used to define information requirements in the business are

interactive methods such as interviewing, sampling and investigating

hard data, and questionnaires. And unobtrusive methods, such as

observing, decision makers’ behavior and office environments and all

encompassing methods such as proto typing.

The next phase that the system researchers undertake involves

analyzing needs, again, special tools of techniques help the

researchers make requirements determinations. One such tool is the

use of data flow diagrams to chart the input, process, and output of the

business functions in a structured graphical form. From the data flow

diagrams, a data dictionary is developed that users all the data items

used in the system, as well their specifications.

During this phase, the system researchers also analyze the

structured decisions made. Structured decisions are those for which

the condition alternatives and actions can be determined.

Next is the design phase, in this phase of the systems project

development, the system analog uses the information concerned

earlier to the logical design of the information system. The researchers

design accurate data entry procedures so that data coming into the

information system are correct. In addition, the researcher provides for

effective way to the information system by using techniques if good

form and screen design.

In the fifth phase of the system project development; the

researchers work with their other programmers to develop any original

software that is needed. Some of the structured techniques for

designing and documenting software include structure charts, and

pseudo code. The system researchers use one of these devices to

communicate to their programmer when needed to be programmed.

Before the information system can be used; it must be tested. It

is must less costly to cycle problems before. The system is design over

to users. Some of the testing is completed by programmers alone,

some of the system researchers in construction with their

programmers. Servers of test to pin point problems is run, first with

sample data and everything with actual data from current system.

Maintenance of the system and its documentation begins in this phase

and is carried out routinely throughout the life of the information

system.

In the last phase of systems development, the researchers help

implement the information system. Some training is done by vendors,

but oversight of training is the responsibilities of the system

The proposal is the specific project or set of activities for which

you the researchers seek the grant of the new system and any support

and the budget requirements necessary to successfully complete the

work. Here the researchers look more closely at the key ingredients for

developing and implementing the project, and how to articulate these

concepts in the proposal. In this brief, the word “project” is used to re-

fer to a specific intervention or activity. The first step when planning a

project is to make sure there is a strong link between the organiza-

tion’s mission and the initiative the researchers are considering. The

project they planned and the funding should be part of the overall

strategy for addressing the issues. When developing the plan envision

the following:

• How does the project relate to the organization’s mission?

• What is the context in which the work and how is this unique?

• How will the project change or improve the conditions of the

company or beneficiaries?

Before developing the proposed system, the researchers conduct

an interview to the Innova Optics and Dental Specialists to gather more

information in the company and analyze its problems and ask what

kind of system proposal fits for the company. Then, the researchers

conceptualized what kind and qualities of the system should be

proposed in the company.

So, this is the proposed system, the system is developed through

Dreamweaver CS3 using the Dreamweaver Php and HTML where the

researchers wrote the Php and html codes. The researchers created

the forms needed to record all the transactions in the company, while

the systems layout is developed through the use of Adobe Photoshop

CS3 and Macromedia Flash for the additional effects and graphics for

the system.

4.0 Evaluation / Validation Criteria

4.1 Technical Considerations

The method of technical considerations in developing the

system for Innova optics and dental specialists\s is to ensure

that the clinic has a good condition of a computer (desktop or

laptop), the researchers is considering that the system being

developed does not required a very high specifications of the

computer. And lastly, the researchers consider that the

hardware and devices used in the proposed system is

available in the market.

4.2 Operations

The system is a very user-friendly, the user can easily

navigate to this on-line system but not all users can access to

the company’s records of transactions, only the

owner/administrator can access to it. The on-line system can

record the customer profiles, sales and daily transactions of

the company. The administrator can save, delete edit and

search the customer records.

4.3 Schedule

Once the transactions are saved it is already stored in the

system database and it cannot be deleted unless the

administrator will delete the record.

The owner can only share transactions through on-line and

both of the branch owners must have an Internet connection.

The administrator can always access to the system to add,

save, delete, edit and find the recorded transactions in the

company.

4.4 Economic / Cost Effectiveness

Every owner wants a cost-effective building. But what does this

mean? In many respects the interpretation is influenced by an

individual's interests and objectives.

Is it the lowest first-cost structure that meets the program?

Is it the design with the lowest operating and maintenance

costs?

Is it the system with the longest life span?

Is it the facility in which users is most productive?

Yes, the developed system is very helpful to reduce expenses in

the company and provide a good storage of transactions in the

company. Instead of buying papers, printing of forms and providing

storage box/drawers for storage. This is the system that has a full

package of the necessary things for the improvement of the company.

SYSTEM DESIGN

Description of the Proposed System

I. Logical Model Report

1.0 System Description

The E-Books and Sales On-line Monitoring System is a database

system of all the transactions and records for the Innova Optics and

Dental Specialist Clinic. It is also a website for the said company that

advertises their services and give information about the company.

The features of the proposed system are the form for customer

profile where the owner can record data all about their customers. The

next feature is the form for each service rendered by the customers,

with the amount/fee for each service and computes the total amount of

all fees. Through the given forms the owner can add, edit, delete and

save records. To have a fast searching of records, the developers add a

search engine where the owner can search the names of the

customers including the records. The owner can also upload pictures of

the customer profile in order to see the image of the patient before

and after the treatment.

And lastly the system also features the on-line sharing

information, this sharing is only allowed for the both owner of the

company’s two branches and not for the guest/visitor of the site.

Through this system, the owner can view the other company’s branch

sales and customer records.

2.0 System Requirements

INNOVA OPTICS AND DENTAL SPECIALIST CLINIC are using

a “Manual System” for their transaction. The E-Book and Sales On-

line Monitoring System for Innova Specialist required a minimum of

a processor (Dual Core 2.60 GHz) for Operating system (Windows

Server 2003 Standard Edition) and High Speed Internet Service

Provider.

XAMPP is an easy to in-stall Apache distribution containing MySQL, PHP and Perl. XAMPP is really very easy to install and to use - just download, ex-tract and start.

The most frequently used op-erations are supported by the user in-terface (managing databases, tables, fields, relations, indexes, users, per-missions, etc), while you still have the ability to directly execute any SQL statement.

Microsoft SQL Server 2005 (codenamed Yukon), released in

October 2005, is the successor to SQL Server 2000. It included

native support for managing XML data, in addition to relational

data. SQL Server 2005 also allows a database server to be

exposed over web services using TDS packets encapsulated

within SOAP (protocol) requests. When the data is accessed over

web services, results are returned as XML.

The instruments and techniques use din the collection of data for this

study were:

a. Observations

Before developing the proposed system, the

researchers observed to the subject company, the purpose

of this is to get a

clearer and richer understanding of what the proponent

need to do to improve in the given company, to know what

kind of system used in the company, what are the

activities inside the company and the disadvantages of the

current system in order to know what kind of system

should be proposed for the company.

b. Interviews

The researchers conduct an interview to the

company to know all the information and the problem of

the company. The researchers used cell phone as an

instrument for recording the conducted interview and

gathered some paper works and forms as a basis in

developing a new system for the company.

During the first interview and observations in the Innova Optics

and Dental Specialists, they have problems in their manual system,

The study conducted has yielded some conclusions based on the

findings that were summarized in the previous section. It is now pos-

sible to derive several conclusions based on the objectives presented

in the first chapter. These conclusions are the following:

The implementation of E-Books and Sales Online Monitoring Sys-

tem is highly successful because, it promotes the services of In-

nova locally and it helped the clinic company to reach their

clients easily.

The clients enjoyed the benefits of using the Software in doing

their transactions with the Innova Optics and Dental Specialists

Clinic.

The proposed software is considered to be efficient, advanced

and inexpensive.

1.2 Recommendations

Although, the implementation of E-Books and Sales Online

Monitoring System in the Innova Optics and Dental Specialists Clinic is

already highly successful, the company should still undergo some

improvements, like any other systems. Improving security of their


software and website is the most important factor that the company

should consider. The other factors that should be improved by Innova

Optics and Dental Specialists Clinic are their accuracy rate in order to

be more efficient. The company should also increase the number of

supported services in order to maintain their clients. At the same time

they should also attract more customers. In order to achieve this, the

clinic firm should have proper and wide marketing and advertisement

here in the Philippines. Finally, the company could make use of

database as a strategic weapon and new marketing techniques that

will give those gains from saving and increased revenues.
