Introduction

This handbook provides the information required to understand and use the SIMS Learning Gateway (SLG) web parts. Web parts are web applets that can be added to a SharePoint portal by an administrator. SIMS web parts provide an interface to the SIMS database and cover the main areas used by classroom teachers as well as providing learning data for parents (restricted to their child or children). It also allows students to view their own records in SIMS.

For information about installing and configuring SLG, please refer to the SIMS Learning Gateway System Administrators handbook. For SLG technical specifications, please refer to the SIMS Learning Gateway Technical Guide.

Read only Web Part that enables parents to view event details of all their children who are attending an SLG School.

Read-only web part which enables parents to view the student details of all their children who are attending or have attended one or more schools registered with SLG.

SEN Summary Information

Read only web part that displays summary SEN information for a student (SEN events, reviews, status, provisions and statements).

Can display date/type/summary for status, current provision, future events and reviews to users including parents, pupils and staff.

Today’s Attendance

Read only web part that enables parents to view daily attendance details of all their children who are attending an SLG school.

Web Parts Updated in this Release

Attendance Register

Default to Preferred name in Attendance for teacher.

The Attendance Register page can display indicators for SEN, today’s behaviour incidents, and gifted and talented are displayed to staff.

Teacher Timetable Calendar Data

Staff can see the cover they are assigned.

Staff can see who is assigned to cover their class.

A class teacher's planner and timetable can display the lessons that they have been assigned to cover for another class teacher.

Web Parts Explained

SIMS Learning Gateway Web Parts can be added to the SharePoint portal by the administrator. When registering a school, the administrator can choose which sub-sites to create (such as Teacher site), which pages to include within the sub-site (such as School Details) and which web part (such as School Contact Information) to display on each page.

This section displays the Portal/WSS home site map as well as the school, pupil/student, teacher and parent sub-sites that are created as part of registering a school with SIMS Learning Gateway.

Introduction

This section describes each SIMS Learning Gateway web part, including properties and permissions.

Permissions are specific access rights that are used to grant access to individual areas of functionality in SIMS. Access rights are defined in System Manager and control both functionality and access to information. Web parts are not available if you do not have the appropriate permissions.

To use the functionality of the web parts detailed in this handbook, you must be a SIMS user with membership of the System Manager User Group.

For more information on setting up permissions in SIMS, please refer to the SIMS System Manager handbook. This document is available from the SupportNet Home page (1http://support.capitaes.co.uk), by entering System Manager in the Site Search field and clicking the Go button.

Descriptions of User Account Related SLG Web Parts

Change My User Account Password



Description

Enables you to change your user account password.

Properties

Web Part Property Description Default Value

Change Password Help Determines the description to help users understand the site’s Password Policy.

Your new password must comply with this site’s Password Policy.

Show Sub Title Shows the sub title for a specific web part if it has one to be shown.

Descriptions of Student Related SLG Web Parts

My Planner

Description

A read-only web part that displays a student’s class schedule and their Microsoft Exchange calendar data. The information is collected from the My Planner list. The My Planner list is populated with information from the following hidden web parts that are deployed on the same page as the My Planner web part:

If assigned to a member of staff this permission enables the member of staff to view their own Timetable

The member of staff will not be able to view the Timetable for another member of staff.

Student Assessment Summary

Description

Read-only web part which displays summary assessment results for a student.

The columns displayed are as follows:

Assessment – the column heading of the template used in recording the assessment.

Description – includes a description of any associated result set (if applicable).

Result – the result achieved.

Notes – if the result is a grade, the name of the grade set is shown.

NOTE: The results are ordered alphabetically according to the contents of the Assessment column.

Customising Column Headings in the Student Assessment Summary

1. Log into SLG as an administrator (or as a user with sufficient permissions to access the Site Actions button) and navigate to the Student Assessment Summary page.

2. Click the Site Actions button and select Edit Page from the drop-down list.

3. In the Student Assessment Summary title bar, click the Edit button and select Modify Shared Web Part from the drop-down list to display the web part properties.



4. In the Visible Columns panel, enter the new column titles into their respective fields.

5. Click the OK button so save any changes and close the web part properties.

Student Basic Information

Description

Read-only web part which displays basic information about a student.



Permissions


If assigned to a student, this permission enables them to view their own legal name, preferred name, photograph and gender.

If assigned to a parent, this permission enables them to view their child’s legal name, preferred name, photograph and gender.

Students\Basic Details\View(Own)

If assigned to a member of staff or external provider, this permission enables them to view the legal name, preferred name, photograph and gender for all of the students that they supervise.

Students\Basic Details\View(All) If assigned to a person, this permission enables them to view the legal name, preferred name, photograph and gender recorded for any student.

If assigned to a student, this permission enables them to view their own age related information (DOB, Age, and Birth Certificate Seen).

If assigned to a parent, this permission enables them to view their child’s age related information (DOB, Age, and Birth Certificate Seen).

Students\Basic Details\Age Related\View(Own)

If assigned to a member of staff or external provider, this permission enables them to view age related information (DOB, Age, and Birth Certificate Seen) for all of the students that they supervise.

Description

Selecting Columns to Display in the Student Conduct Summary

1. Log into SLG as an administrator (or as a user with sufficient permissions to access the Site Actions button) and navigate to the Student Conduct Summary page.




3. In the Student Conduct Summary title bar, click the Edit button and select Modify Shared Web Part from the drop-down list to display the web part properties.

4. The first item displayed is the Visible Columns panel. Expand the achievements or behaviour tree and select the check boxes of the column you wish to display.




Selecting Behaviour Events to Display or Hide

It is possible to set a flag in SIMS in order to prevent behaviour events with a particular status from being published to parents or students via SLG (for example, until they are resolved).

1. In SIMS, select Tools | Lookups | Maintain to display the Find Lookup Type browser.

2. Enter Behaviour into the Description field.

3. Select Student from the Data Area drop down list.

4. Open the Behaviour Status lookup to display the Lookup Type Details: Behaviour Status screen.



5. In the Values panel, select a value and click the Open button to display the Add/Edit Lookup Value dialog.

The Publish Only To field determines who can view behaviour events in SLG. A value of <All> means anyone can view them. A value of <Teachers> means only teachers can view them.

6. Enter the required value into the Publish Only To field and click the OK button to return to the Lookup Type Details: Behaviour Status screen.

7. Click the Save button.

Student Contact Address Information

Description

Read-only web part which displays the current address information for a person recorded as a contact for a student.

Description

If assigned to a person who has been recorded as a contact for a student or applicant, this permission enables them to view the current Address Information recorded as part of their own student contact record.

NOTE: The person will not be able to view Address Information recorded for other contacts.

Contacts\Address\View(Own)

If assigned to a member of staff or external provider, this permission enables them to view address details recorded for the contacts of the students they supervise.

Contacts\Address\View(All) If assigned to a person, this permission enables them to view Current Address Information recorded for any student contact record.

Description

Configuring the My Planner Web Part to Display Exchange Data

To allow the My Planner Calendar to display Exchange calendar information, the Exchange Calendar Data web part must be added to the My Planner calendar page and be configured to retrieve data from the Exchange server.

The Exchange server must support communication through WebDav (Outlook Web Access) and authentication to the Exchange server must be possible using the credentials of an SLG user. In order to pass the authentication details to Exchange, SharePoint must be configured to use Basic Authentication.

The following properties of the Exchange Calendar Data web part must be configured in order to communicate with Exchange:

Exchange server URL: must be set to the http URL of the Exchange server, for example, http://myexchangeserver/exchange. For additional information about how to configure the HTTP (WebDav) URL for Exchange, please see 1http://technet.microsoft.com/en-us/library/bb676493(EXCHG.80).aspx In general, the URL of the Exchange server will be http://[exchange server name]/exchange. If the URL is configured for secure communication (HTTPS), then the server must have a valid Secure Sockets Layer (SSL) certificate installed into the Exchange web site.



NOTE: A temporary, test, or expired SSL certificate will not work.

Exchange server domain: must be set to the default top-level domain used by the Exchange server. For example, if the email address is [email protected], the domain is exchange.co.uk.
