GRADE PUBLISHING IN SCHOOLMAX When the grading period opens you should navigate to GRADEBOOK and press a class link to start:

Next you’ll see this screen and you should press GRADE PUBLISHING

Next you’ll see the screen below:

As the year progresses radio buttons are available and unavailable depending on the grading period. You must select a radio button or your grades will not publish:

Select •Grade Period P1 = progress report Q1 Q1 = report card Q1 (quarter grade Q1) P2 = progress report Q2 Q2 = report card Q2 (quarter grade Q2) FG = Final Grade semester class P3 = progress report Q3 Q3 = report card Q3 (quarter grade Q3) P4 = progress report Q4 Q4 = report card Q4 (quarter grade Q4) FG = Final Grade year long course •Term Grade for the category group •Period for calculation type (it is already selected) •Press PUBLISH

Next screen is called Grade Publishing Review • You can see calculated grades that are not editable • You can override calculated grades • After P1 all overrides grade are retained so you have to erase them

When done, PRESS PUBLISH (if you don’t press PUBLISH and exit this screen, your grades are missing in APEX)

After P1, the comments you see are the saved comments from previous grade periods published and you have to change the screen in order to record comments Go to the upper left and change the Comment Code Association to the present grade period.

• When done, your screen will look like this, comments blank • Press edit at the bottom of the screen and you can edit

Enter COMMENTS on the next screen, you can enter three comments. This is another time you can change/override the grade in the data entry box under the grade period. Notice the absences and tardies are taken care of for you. If they are incorrect you would have to go back and edit the attendance under the ATTENDANCE tab. FOR COMMENTS: Be sure you are on the correct comment code association. The choices are:

Enter comments and press submit (the yellow circle with a question mark has a legend of comments)

Press SUBMIT (if you don’t, your grades are missing in APEX)

The quickest way to tell if you’re done is to look at the bottom of your screen. • If the bottom has an EDIT button, you’re done • If the bottom has a SUBMIT button , you’re not done • If you press EDIT right now, you can edit grades and comments

Next screen is the end

This is what your screen will look like if you press EDIT. You can change values in any open box and press SUBMIT.

IF THE GRADING WINDOW IS OPEN If all is well you are done. If you enter more scores before the grading window closes you will have to PUBLISH again otherwise your grades for the period will be as they were on the last screen even if you enter new scores and Refresh Avg / Save Changes in GradeMAX. So if you PUBLISH and then enter scores in GradeMAX after the fact, you have to publish again. During the time the grading window is open you can PUBLISH as many time s as you like. BUT PLEASE NOTE: Each time you PUBLISH previous data is overwritten and cannot be retrieved IF THE GRADING WINDOW IS CLOSED You will have access to GradeMAX for the rest of the quarter so you can enter scores in your GradeMAX after the grades are published. But the published grades will not change after the grading window closes. If you change scores in GradeMAX and Refresh Avg / Save Changes after grades are published and the window has closed, the new grade will have to be changed manually by a grade manager.
