floor, our Grand Ballroom is our most popular space for weddings. Our intimate

pre-function area and private outdoor terrace adds an additional 1,000 square

feet of space.

Frequently Asked Questions1. Do you allow outside food & beverage in your event spaces?We allow outside cultural food items and a per person plating fee will apply. Details can be further discussed with your Catering Sales Manager. Outside beer and liquor is not permitted, but wine is permitted with a corkage fee.

2. Is there a corkage fee for bringing in our own bottles of wine?Yes, corkage fee is $25.00 per 750mL bottle.

3. Are we required to utilize your vendors?We are pleased to offer a list of preferred vendors, however, you are not required to exclusively utilize these vendors. Please note that all vendors need to be licensed and insured.

4. What is the cut off age for the Children’s Menu?Children under the age of two are complimentary and children from the ages of two to twelve are eligible to order from the Children’s Menu. Anyone over the age of thirteen is considered an adult.

5. When can we access the event space?The event space is available to you starting at 2:00pm on the day of your event for setup. Details and arrangements can be further discussed with your Catering Sales Manager if the event space is available for an earlier setup time.

6. How long is the event space available to us?In an effort to minimize noise disturbances to our guests and neighbors, the event space will be accessible to you until 12:00am for evening functions. For afternoon functions, the event space is available for a four hour window and will be able to you until 2:00pm.

7. What is the difference between the Catering Sales Manager provided by the Hotel and a Wedding Coordinator?Our Hotel’s Catering Sales Manager specializes in customized food and beverage selections, detailed event specifications, and vendor and staff coordination. They will be there on your wedding day but depart after the entrée course is served with a seamless transition to the Banquet Captain. A Wedding Planner is your personal consultant that is present in all aspects of the planning process and will mediate, negotiate, and co-create with you and for you for every detail of your day. Please see our vendor page for a list of our preferred Wedding Planners; we will work hand in hand with your Wedding Planner or Day of Coordinator, and in doing so, we create a perfect environment for your perfect wedding.

What are the noise level restrictions?Although we allow music and/or entertainment during the wedding, we reserve the right to request music volume levels to be reduced based on guestroom noise complaints or at the discretion of Hotel Management. Additionally, no amplified music is permitted on the Mezzanine level.

9. What is the Hotel’s deposit policy?When signing a wedding contract, a 25% non-refundable deposit of the event rental fee and food & beverage minimum is required. Six months prior to the wedding, 50% of your required minimum expenditure is due. Three months prior to the wedding, 75% of your required minimum expenditure is due. The final estimated payment is due in full 10 business days prior to the Wedding in the form of a credit card of personal check.

10. What is the Hotel’s cancellation policy?If cancellation occurs, charges will apply as follows:Cancellation after contract signing and (6) months prior to wedding date 25% of total estimated charges Cancellation between (6) months and (3) months prior to wedding date 50% of total estimated charges Cancellation between (3) months and (11) business days prior to wedding date 75% of total estimated charges Cancellation (10) business days prior to wedding date 100% of total estimated charges

11. Does the Hotel offer a discount on additional wedding related events booked in addition to the wedding ceremony and reception?We will be happy to decrease our menu prices by 10% for any other wedding related events booked in addition to your wedding ceremony and reception.

12. Is there a minimum attendance required for any of the Wedding Packages?All of our Wedding Packages have a minimum attendance of 50 guests.

13. Is the bartender fee included in the Wedding Packages?No, the bartender fee is not included in any of the Wedding Packages. A $200.00 bartender fee will apply to all bars.

14. What is the starting food & beverage minimum and event rental fee?Food & beverage minimums are based on anticipated attendance, dates and times. The food & beverage minimum is set for each specific event space and is met by ordering through our Wedding Menus. Please ask your Catering Sales Manager for specific details.

PoliciesGuaranteeAttendance must be specified 72 hours (three business days) prior to function. This number will be considered a guarantee and will not be subject to reduction. All charges will be calculated based upon this number. If the Catering Office is not advised by this time, the estimated figure on the banquet event order will become the guarantee.

MenuEntrée selections are limited to one per menu with the exception of buffets. If a choice of plated entrée is required, the per person price will be based on the higher of the two entrées selected and the selection will be limited to two items (plus the Vegetarian Entrée du Jour). The client must provide own Entrée Cards to designate each guest’s selection of entrée.

Deposit/MinimumA non-refundable deposit and a Food and Beverage Minimum Spend Guarantee may be required to confirm a function space reservation.

Service ChargeAll Food and Beverage prices and Audio Visual Equipment are subject to a 21% service charge and the prevailing California Sales Tax. California Law states that service charges are taxable. (California State Board of Equalization Regulation #1603).

PaymentPayment for the guarantee and overset is due in full ten business days prior to the event in the form of a credit card, cashier’s check or cash.

Dietary RequestsAny special dietary needs must be communicated to the Catering Sales Manager at least 10 days prior to the event to ensure the Chef can accommodate these needs.

Labor FeesA Labor Fee of $95.00 will be assessed whenguarantees are fewer than 20 guests for all full Breakfast, Lunch, Reception or Dinner Functions. For each Chef Attendant required, a $225.00 Fee will be assessed for a three hour period. A charge of $7.00 per person will be added to the menu price for dinners served after 9:00pm. A charge of $10.00 per person plus tax will be added to your bill on the following holidays: New Year’s Day, Martin Luther King Day, Independence Day, Labor Day, Thanksgiving Day and Christmas Day.

Bar FeeA $200.00 bartender fee will be assessed for each bar set. A $50.00 per hour Bartender Fee will be assessed for each hour after four (4) hours.

Liquor Law and RegulationsAlcohol will not be served to guests who appear intoxicated, under the age of 21 or are unable to produce proper identification.

Coat Check$30.00 per hour for a four hour minimum.

CorkageNo beverage of any kind is permitted to be brought into the Hotel by the client or guest without special permission from the Hotel and must be served by Hotel staff if permission is granted. A per-bottle corkage fee of $25.00 will be assessed.

Banners/SignsThe Hotel does not permit hanging or affixing anything from its existing walls or ceiling. Hanging banners, signs, seals and flags from rented Pipe and Drape may be arranged with the Catering or Conference Services Manager. A $55.00 per banner charge will apply, in addition to the cost of renting Pipe and Drape.

Audio VisualA full service audio-visual company is located in the Hotel to service your function. For a complete description of services and charges, please refer to the Encore brochure or contact them directly at 415-273-3043. Audiovisual Services are subject to prevailing Service Charge and Sales Tax Rates.

SecurityA Hotel Loss Prevention Officer can be provided at $50.00 per hour/four hour minimum. The Hotel will not assume responsibility for damages or loss of merchandise left in the Hotel at any time. Arrangements can be made for Hotel Security to assist with your needs.

DécorAll decorations must meet the San Francisco City Fire Department’s regulations. Any open flame requires a permit and must be furnished to the Hotel prior to the event. Theme parties can be created and props must be approved prior to installation.

ElectricalAdditional power is available for most of our banquet rooms. Charges will be based upon labor costs and actual power requirements.

Shipping MaterialsShipments will be accepted up to three days prior to function date. A handling charge of $5.00 per box will be assessed. Crates over 100 lbs. will be charged additionally. Please address all boxes to the attention of the Banquet Department at 500 California Street, San Francisco, CA 94104, “HOLD for ‘Meeting Name, Meeting Date, On-Site Contact’.”

Food and BeverageNo food and beverage of any kind may be brought into the Hotel by the client or guest without special permission from the Hotel. The Hotel reserves the right to charge for the service of such food and beverage.
