1. PURPOSE

The document outlines the Company’s benefits provided to Sales Associates globally. Statutory requirements

leave and other employment terms and conditions will remain as per AHBs for applicable location country.

3. SCOPE

This is applicable for all IT Sales Associates across the globe. 

4. LEAVE

Offshore / India based associates will be eligible for leave as per Attendance & Leave Policy India & onsite

associates are governed by guidelines mentioned in AHB applicable for location country.

Process of approval: RG1 it is RM approval while for RG2 it is self-approval.

5. CONVEYANCE

 Associates may use their own vehicles to travel for business reasons and the eligibility within India is as

follows:-.

Travel by Two-wheeler  All 2.00 per km

Terms & conditions as well as process guidelines are detailed out in Conveyance Policy India.

Global entitlements, terms & conditions as well as process guidelines, are mentioned in AHB applicable for

respective country.

6. DOMESTIC TRAVEL

 All Associates, irrespective of their roles can travel by economy class. For RG1 IBU Head approval is required

& self-approved for IBG head & above roles. For RG2, their respective RM approval is required. For any short

trip upto a max of 30 days, per diems entitlements will be as per below table.

•  It is mandated that Associates claim for Post Paid reimbursements within 2 months from the date of invoice

as the Company shall not be liable to pay any such claims made beyond 2 month 

•  With proper documentation & proof (bill or receipt from the service provider), Associates can claim for prepaid

service also as per eligibility. Claim should be raised only once within 1 month from the date of bill. The

entitlements remain same as for postpaid bill.

 All bills submitted by the associate every month needs to be approved by the associate’s RM and by BU/BG

head for the 1st time only. 

8. RELOCATION

India -

Lateral joinees and associates transferred will be eligible for reimbursement of expenses for relocation

payable towards the following subject to the distance-specific maximum amounts as specified below:

•  Transportation of Personal  Goods, including loading and unloading charges and transportation of self-

owned Vehicle. 

•  Porter charges and Local Conveyance: Local Conveyance will include expense incurred for travelling from

residence to station and travel to the guest house/place of accommodation in the city of relocation.

Entitlements for Associates joining from overseas to India: 100,000 INR across all roles.

INITIAL RELOCATION

Particulars Details

Eligibility •  Associates relocating from India/base location to onsite location.

Entitlement •  14 days of accommodation and conveyance as per diems chart & travel

expenses (Airfare).

10. LEASE BREAKAGE

Full time regular long term deputes when asked to relocate/repatriate, by the company, for business

exigencies are eligible for lease breakage.

Company will not reimburse any amount towards lease breakage in case of associates, who have resigned,

been terminated, or are serving notice period.

11. BROKERAGE & RENTAL ADVANCE

 Associates are also eligible for Brokerage & Rental advance entitlements when asked to relocate based on

12. OVERSEAS BUSINESS TRAVEL

 Associates will be eligible for per diems as per Annexure 1 in this handbook. Mode of travel will be in

economy class for all excluding exception scenarios approved by the CPO.

13. SALARY ADVANCE

Offshore / India–

 Associates can avail a maximum of one month’s gross pay as salary advance in the event of emergency as

under, subject to production of relevant proofs.

•  Hospitalization of Self / Dependent immediate family members which includes spouse, children and parents

excluding siblings and parents in law (medical proof required with doctor signature & hospital stamp in of case

hospitalization).

•  Burglary at Residence (Copy of FIR required).

•  Marriage of Associate / Children (Copy of invitation card required).

•  Demise of dependent family members (medical proof required).

Onsite -

•  Entitlement - 50% of monthly gross Salary for personal emergencies. Request for salary Advance needs to be

approved by Reporting Manager & Finance.

•  Pre-Travel Advance: Associates travelling to onsite on Work Permit shall be eligible for Pre Travel advance.

Reimbursement will be made on the submission of Bills /Receipt of the payment made. This will cover Tuition

Fee and any One-Time Enrolment / Admission fee which might be payable either at the time of admission

or in installments during the course of the academic year(s), including any refundable deposit. All expenses

which are ‘refundable’ must be repaid to the Company at the end of tenure / education of the Associate’s child

(ren).The expenses mentioned below are not reimbursable.

•  Local transport cost from home to school

•  Uniform / dress allowances

•  Costs for excursions

•  Any additional course selected for over and above the regular curriculum.

 Any tax liability arising out of reimbursement of Children Education Expenses will be borne by the Associate.

15. STAFF WELFARE ALLOWANCE

This amount is to facilitate meetings and get-togethers that encourages bonding amongst Associates within

the unit. This includes engagement activities for associates.

The entitlements as below:-

Guidelines:-

•  The amount would be paid in the local currency taking into account the prevailing currency conversion rate.

•  Claims towards the meetings/get together under the unit budget, will have to be claimed by the unit

representative nominated by the Unit head, through the self service module in PS (F) as Staff Welfare

Expense.

16. SHORT TERM DEPUTATION

 Associates in RG1 & RG2 travelling on WP for less than or equal to 3 months assignments to few countries

will be eligible for a Short Term Deputation Allowance as mentioned below :

•  UK: Associates travelling to UK for less than or up to 56 days

London - 2000 GBP per month

Rest of UK - 1600 GBP per month

•  Australia – 4000 AUD per month

•  New Zealand – 4100 NZD per month

•  USA – 1500 per month

•  Canada – 1500 CAD per month

•  Malaysia – 4500 per month

•  Singapore – 1200 SGD per month

•  Bahrain – 2930 BHD per annum

17. INDIA INSURANCE

 All associates will be eligible for entitlements as below:

Medical Insurance coverage amount (4+2 Lacs) - Provides coverage for Self, immediate dependents

(Spouse, Children) & Parents / Parents-in-law. Coverage applicable only for Inpatient Hospitalization with

active line of treatments. Coverage amount Rs.4 Lacs will be provided to the enrollments for Self and

Immediate dependents, if parents/ parents-in-law added (Optional) additional Rs.2Lacs will be added which

acts the total amount has floater. (Additional Coverage premium should be borne by associate). Applicable to

associates working from India.

Deviation requests, if any claim request is over and above the entitlements mentioned in the respective

policies on BMS and above will be governed by the guidelines specified in Empowerment Policy Matrix for

approvals including exception approvals on entitlements under various policies.
