Introduction This document describes how you set up and configure:

Sage 50 Mobile on your computer

The Sage 50 Mobile Client on your BlackBerry smartphone

When these are successfully installed and configured, authorised users can access your Sage 50 Accounts data remotely on their BlackBerry smartphones.

Note that the following BlackBerry smartphone models are compatible with Sage 50 Mobile:

Prerequisites

Before you carry out the tasks described in this document, make sure that you have installed Sage 50 Accounts 2010 on your computer.

In the case of a networked installation, Sage 50 Mobile should be installed on the server.

You’ll also need a SageCover contract and administrative rights in Sage 50 Accounts 2010.

Task 1.1: Create company subscriptions and assign users

Each Sage 50 Accounts 2010 company that you wish to make available through Sage 50 Mobile

requires at least one company subscription. Each user who needs to access the company

using their BlackBerry smartphone is assigned to a company subscription.

You can associate a particular set of data access rights with a company subscription. This means

that all users assigned to the subscription will acquire that set of rights.

So if you have two classes of user who require different sets of data access rights to the same

company, you need to create two company subscriptions for that company.

Note: As the creator of a subscription, you are automatically added to it as a user, so you don’t

need to add yourself as a user.

(Later in this document you’ll see how to associate a set of data access rights to a company

subscription.)

To create a company subscription and assign users to it, carry out these steps:

1. Click here.

2. On the web page that opens, sign up for Sage 50 Mobile.

3. You will receive an e-mail in which you are prompted to activate your account and

confirm your password.

4. Log into the Sage Mobile site with the credentials you have just set up.

5. You can now set up your first company subscription. Specify a suitable name for the

subscription. Generally, it’s best to use the name of the relevant Sage 50 Accounts

2010 company, combined with the data access level that will be assigned to it.

6. Click the Add New Company link.

The company subscription is now added to your list.

7. To associate a BlackBerry smartphone user with the company subscription, click the

company subscription’s Add/Remove Users link. (There is a separate link for each

company subscription.)

8. Enter the user’s name and e-mail address, and click Add User.

9. The user is added to the list of BlackBerry smartphone users with access to the relevant

company.

You have now created a Sage 50 Mobile subscription for a Sage 50 Mobile company and

assigned users to it.

Task 1.2: Install and enable Sage 50 Mobile on your computer

Sage 50 Mobile enables your computer to link to your BlackBerry smartphone, and ensures that

your accounts data always remains secure.

1. Download the Sage 50 Mobile installation file by clicking here and clicking the

Downloads link.

2. In the Downloads page, click the Download Sage Mobile Software link.

3. When the setup.exe file has downloaded to your computer, double-click it to install

Sage 50 Mobile.

Now that you’ve installed Sage 50 Mobile, you’ll notice that a new view called Sage

Additions is added to the navigation pane on the left-hand side of the Sage 50

Accounts 2010 desktop.

4. In Sage 50 Accounts 2010, select the Tools - Internet Options.

5. Select the Sage 50 Mobile checkbox in the SData Settings tab.

6. Click OK.

You have installed and enabled Sage 50 Mobile on your computer.

Task 1.3: Install Sage 50 Mobile subscriptions

Before you can use Sage 50 Mobile to access a particular company, you need a suitable

subscription. Previously, you created at least one Sage 50 Mobile subscription.

Now you need to install your company subscriptions in Sage 50 Accounts 2010.

1. In Sage 50 Accounts 2010, click Sage Additions in the navigation pane on the left.

This opens the Sage Additions view.

2. Click the Sage Mobile icon. This opens the Sage 50 Mobile window.

3. Open the Subscriptions tab.

4. Use your Sage Passport credentials to log in. (You created your company subscriptions

in Task 1.1 using these login credentials.)

5. The Subscriptions tab now lists your subscriptions. Click a subscription in the list that

you need to install.

6. Click Yes to confirm that you wish to install the subscription.

7. You need to associate a Sage 50 Accounts 2010 company to the company subscription

you are installing. Specify the location of the company’s SETUP.DTA file.

8. The Test Connection button becomes active. Click it to ensure that the data link is

working.

9. Click Save Configuration to finish.

10. Click OK.

You have successfully installed a Sage 50 Mobile subscription by mapping it to the appropriate

Sage 50 Accounts 2010 company.

Part 2: How do I install the Sage 50 Mobile Client on my BlackBerry smartphone?

Carry out the following steps to install the Sage 50 Mobile Client on your BlackBerry

smartphone:

1. Begin by ensuring that the latest version of the Blackberry Desktop Software is installed

on your computer. You’ll find this on your BlackBerry smartphone’s setup CD.

Alternatively, you can download it from this location. Bear in mind that the file you

download is a ZIP file, so the installation file will have to be extracted from it.

2. Downloaded the Sage 50 Mobile Client installation file. You’ll find it here. Log in using

the credentials you set up in Task 1.1. Select your handset model and click Download

Now. Make a note of the location on your computer to where the file is downloaded.

3. Launch Blackberry Desktop Software on your computer.

4. Connect the BlackBerry smartphone to your computer.

5. In the desktop manager on your computer, select Application Loader.

6. Click Start in the Add/Remove Applications pane.

7. Click the Browse button and specify the location of the Sage 50 Mobile Client

installation file that you downloaded in Step 2 above.

8. Select the SageMobile.alx file, and click Open.

9. The Sage 50 Mobile Client application is now added to the Device Application Selection

list in the desktop manager.

10. Ensure that this item is selected, and then click Next.

11. Click Finish.

You have successfully installed the Sage 50 Mobile Client on your BlackBerry smartphone. This

completes the process of setting up the Sage 50 Mobile link between your computer and your

BlackBerry smartphone.

You can now disconnect the BlackBerry smartphone from your computer.

Use your Sage Passport credentials to log into the Sage 50 Mobile Client on the BlackBerry

smartphone. If you have more than one company subscription, make sure that you use the right

one.

Part 3: How do I assign access rights to users ? The top level of data access control resides in the Sage 50 Accounts Settings – Access Rights menu option. If a user has No access to a particular module in the Data Access window, when that user logs into Sage 50 Mobile using the same login credentials, all elements relating to that module will be unavailable. For example, if the user has No access to the Customers module in Sage 50 Accounts, customer records will be unavailable to them in Sage 50 Mobile.

The second-level data access rights are set within a company subscription. The set of users associated with that company subscription will have a particular level of access. However, settings in the Sage 50 Accounts Settings – Access Rights menu option will always override these settings if they differ.

You control user access levels in a company subscription by creating a separate subscription for each level of access you need to set up. You then associate each user with the appropriate company subscription.

To define a level of data access within a particular company subscription, carry out these steps:

1. In Sage 50 Accounts, click Sage Additions in the navigation pane on the left. This opens the Sage Additions view.

2. Click the Sage Mobile icon. This opens the Sage 50 Mobile window.

3. Open the Subscriptions tab.

4. Use your Sage Passport credentials to log in.

5. Click the Con gure icon corresponding to the relevant Sage 50 Accounts 2010 company.

6. Click the Features tab. This contains a set of checkboxes corresponding to the elements of Sage 50 Mobile to which a user can have access.

7. Select the checkboxes as appropriate. Generally speaking, there are two kinds of user:

Owner - Managers usually have access to all elements.

Field Operatives usually have access only to elements in the Lookup branch.

However, you can also define your own customised levels of access.

8. When you have specified your settings, click Test Connection . After you have confirmed that the connection works, click Save Con guration to save your settings.

You have defined data access settings for a particular company subscription. You can now add users to this company subscription who should have this level of access.
