Email is our preferred channel of communication. Staff members may be contacted by email however it is essential that parents understand that due to the nature of their work parents should not expect an immediate response. A response will be made within 48 hours.

If your child is going to be absent please complete a pink Absence form and pass to the class teacher or email your class teacher direct. Please do not email through to your class teacher change of going home plans or any matter that needs immediate attention regarding your child, these matters need to be sent to the office. For urgent matters phone or visit the school office. Please note it is very difficult to ensure that students receive last minute change of home arrangements if phoned through after 2pm.

Teachers are interested in meeting with parents to discuss their child’s progress or behaviour. Appointments are necessary so that teachers can give the necessary time to parents for discussion. Appointments can be made directly with teachers via email. Appointments with the Principal or Assistant Principal can be arranged via telephone with the school office.

Mathletics This year Sacred Heart has subscribed to Mathletics. Students and teachers trialled a number of online Mathematics sites during term 4 last year. After receiving feedback from the teachers and students we have decided to subscribe to Mathletics as a school for 2019. Mathletics will replace the previous homework option of Maths Mentals. Mathletics is a targeted, rewarding and captivating online learning resource, which is aligned to curriculum standards. Students sign in with their school username and password using any compatible computer or mobile device. www.mathletics.com Learning tasks will be assigned by the teachers for homework on a weekly basis for students in Year 2-6 and will be differentiated according to ability levels.

Attendance: Attendance notes (early departure/late arrival/absence) – please give to your child to hand in to their teacher. 10+ leave or scheduled absences (in advance) – please hand into the office. For early departures, please ensure you also sign out your child in the Student Sign Out Register, located at the office window. This is not only a compliance obligation, but an important safety measure in the event of a school emergency and allows us to know whether your child is on the school grounds.

Security: Please use the breezeway entrances to enter and exit the school (not via the admin office foyer door). If the door is locked, we can “buzz” you through. The outside breezeway door will also now be closed (unlocked between 7am and 6pm). Access to the school grounds is not permitted via the staff carpark driveway for safety reasons - please use the kiss and drop gate or the main entrance gate near the school crossing, thank you. After School: When collecting your child from after school care, please ensure the breezeway doors are closed.

QKR! – Just a reminder to update your child’s new class details to ensure payments are correct. Carol Bartlett, Senior Admin Officer

School Photography Guidelines for Parents and Carers

Information for Parents and Carers We recognise that parents and carers enjoy photographing and recording the progress of their child at school and on school activities. We recognise that many of you like to share these personal memories online and on social media. We ask for your cooperation and care concerning the use and distribution of photographs of other children at our school. Some families have very real legal and safety issues which could put a child at risk if an image is made public online. More generally, it is respectful of the privacy of other members of the school community to ask permission before posting an image online. Even if your social media settings are private, it is easy for images to become public, particularly if they are tagged or shared by others.

Best practice guidelines The following best practice guidelines have been adopted by our school to keep our students and school community safe, and to ensure respectful practices concerning the use of social media. When taking photographs or recordings at school or at school events and your images include other identifiable persons please follow these guidelines:

Crop out other students or seek the permission of the student or (for students under 16) his or her parent/carer before posting online.

Do not tag or name the person without permission. If a parent or carer requests that you do not circulate an image of their child to others, please comply with

the request. Please seek the permission of our staff to photograph or record their activities at school. Photography of

staff presenting or receiving awards is permitted. The school will periodically review these best practice guidelines.

Mandatory policies The school may from time to time determine that photography or recording at school events or on school grounds is restricted. Where restriction is notified, failure to comply may result in your exclusion from school premises or activities. Under no circumstances may you photograph or record in private areas such as change-rooms, or in school offices or staffrooms, or at meetings, without express permission.

Queries and further resources The following resources provide further information about safety online, privacy and avenues for complaints about privacy online. If you wish to discuss an issue further with the school, please contact the school office.

On occasions information such as academic and sporting achievements, student activities and similar news is published in school newsletters, magazines and on our website. This may include photographs and videos of pupil activities such as sporting events, school camps and school excursions. The school will obtain permissions annually from the pupil’s parent or guardian (and from the student if appropriate) if we would like to include such photographs or videos (or other identifying material) in our promotional material or otherwise make this material available to the public such as on the internet.

8 Parents may seek access to personal information collected about them and their son/daughter by contacting the school. Older students may also seek access to personal information about themselves. However, access may be refused in certain circumstances such as where access would have an unreasonable impact on the privacy of others, where access may result in a breach of the school’s duty of care to the student, or where students have provided information in confidence. Any refusal will be notified in writing with reasons, if appropriate.

9 The school from time to time engages in fundraising activities. Information received from you may be used to make an appeal to you. It may also be disclosed to organisations that assist in the school’s fundraising activities solely for that purpose. We will not disclose your personal information to third parties for their own marketing purposes without your consent.

10 If you provide the school with the personal information of others, such as doctors or emergency contacts, we encourage you to inform them that you are disclosing that information to the school and why.

11 The school may use online or ‘cloud’ service providers to store personal information and to provide services to the school that involve the use of personal information, such as services relating to email, instant messaging and education and assessment applications. Some limited personal information may also be provided to these service providers to enable them to authenticate users that access their services. This personal information may reside on a cloud service provider’s servers which may be situated outside Australia. Further information about the school’s use of online or ‘cloud’ service providers is contained in the school’s Privacy Policy.

12 The Diocesan Schools System Privacy Policy sets out how to make a complaint about a breach of privacy and how the school will deal with such a complaint.

Band Rehearsals Welcome to a new year of exciting music with the training and concert bands and also our lovely choir. Training Band: Rehearsals will be held in the hall each Wednesday from 7:45am to 8:45am. Yesterday, our budding musicians arrived enthusiastically. If you were unable to attend or have not yet organised your instrument, don’t worry – the next rehearsal or two is to familiarise our younger musicians with their instrument, rather than a formal rehearsal. Players will require their “Essential Elements” book for their instrument for next week, Week 3. Enrolments are still open and we encourage you to come along – it is a beautiful way to start the day, to meet new friends and create music in a supportive environment. Concert Band: Welcome back to all our senior musicians. Rehearsals will be held in the hall each Thursday from 7:45am to 8:45am. I look forward to working with you as we have some exciting pieces to learn. Clare McFadden – Band Director
