RTK QualityAustrian Conference-Culture• The quality certificate “Certified Conference Culture Austria” emerged from a joint initia- tive by the Ministry of Commerce and the Chamber of Commerce• Seminar, congress, event and incentive providers all over Austria can be certified• The inspection and rating is carried out biannually by independent testers and cus- tomers.

Quality in five areas and ten criteriaAn establishment’s quality is listed and rated in five areas each with ten criteria. In every area there is a maximum of 20 points, so a grand total of 100 points. This means you, as a customer, can see precisely how each offer can contribute to the success of your event.

The five areas and it’s criteriasCommunication„Communication with the customers” forms a new quality area, which shows the ser-vices provided by the establishment for the customer before and after the event. Central aspects are wishes, requirements and the customer’s ideas. 1. Conference folder/hotel brochure includ- ing floor plan of the conference rooms with m2 details 2. Internet appearance updated daily 3. Offers returned in under 2 h for confer- ences 4. Conditions of payment, accounts and cancellation are communicated to the customer along with the offer 5. Systematic inquiry into the specific cus- tomer needs before the event 6. Booking confirmation with checklist for inspection and correction by the cus- tomer 7. Clarification of the course of events for the conference with conference manager before the event 8. Inquiry as to customer satisfaction and suggestions for improvement 9. Route plan and well sign-posted access 10. Check up call shortly before the event (PAX, collection service, trainer’s name)

RoomsThe quality of the rooms, such as confer-ence zones, conference rooms, work group rooms, break and dining area as well as data transfer and other work stations and trainer’s rooms are rated. 1. SupportSeminars or conferences are events that require continuous care of the guests. The support team ensures that the various wish-es & needs that come up during the day are met quickly. 1. Support and assistance by trained con- ference assistants. 2. Rapid availability of conference assis- tance. 3. Support by offering secretarial duties for example (fax/copy service). 4. Ensuring a working message transfer. 5. Ensuring an undisturbed conference. 6. Flexibility in time and place when providing service. 7. Discreet arrangement of the conference schedule. 8. Active entertainment of special wishes. 9. Shuttle service to public transport. 10. Opening hours of hotel facilities are oriented on the conference guests.

CateringThe particularly high requirements of con-ference guests for „eating and drinking” are covered by the term catering. The quality criteria gathered in this area relate to the degree of customer satisfaction. 1. Quality of food and drink (light cuisine) 2. Conference compatible selection choices at lunch (Standard: 3 course menu or buffet) 3. Vegetarian / whole-food dishes 4. Punctual and fast realisation 5. Flexibility with regards to changes in time of service 6. Break time catering and conference drinks: tea, coffee, mineral water, fruit juices, canapés, pastries as standard 7. Wel-beingOne aim a hotel strives for is to complete the „hotel services” to the fullest customer satis-faction and to create or at least provide for a feeling of „well-being”. This area includes the most diverse factors that on the one hand concern hotel and room arrangements and

on the other the organisation and execution of the event. Additionally, factors such as opportunities inside and outside the hotel must be considered. The most important criteria are: 1. Hotel standard of a higher quality. 2. Comfortable atmosphere (for example: stylish furnishing, colours and pictures). 3. Room furnishings suited to conference guests (writing area, desk and reading light, European and TDO telephone sockets). 4. Friendly staff. 5. Sauna and solarium. 6. Activity and sports range. 7. Provision of additional offers outside the hotel. 8. Does the building make a well-kept impression over all? 9. Availability of non-smoker rooms. 10. Parking availability.
