Municipalities and Townships

• Municipalities and Townships have been added to the Geographic Tab

• This characteristic was not populated for providers• CCIS must populate this field for providers before

using this method of searching.

Service Schedule Consolidation

• Alike choices have been combined to avoid confusion.

• If a characteristic existed for a provider previous to 4.0.6, it WILL be populated automatically for the combined value.

• The Service Schedule List under the Schedule Tab has been consolidated for the following items:

Former, separate New, consolidated

Second Shift and Evenings Evening Care

Third Shift and Overnight Care Overnight Care

Saturday and Sunday Weekend Care

Drop-in Service and

Emergency Care

Drop-in Care

Private School Searches

• Private school search has been added to the Transportation Tab.

• Three ways to filter private schools:– By County– By school type– By school name

Private School Searches

• The source of information for private school types is http://edna.ed.state.pa.us/

• Clicking Filter Schools will bring up the list of schools and the Transportation Type options.

• Transportation Type has also been added to Public Schools. This list of options will also appear after clicking Filter Schools for Public.

• Private schools serviced by providers and Transportation Type for both Private and Public schools will not be populated. This data must be entered by the CCIS in order to be used for searches.

Referral List Cover Sheet

• Will accompany a referral list as page one of the PDF.

• Provides basic information and an introduction to quality.

• This information is also included in the body of an emailed referral – with included hyperlinks.

Edits to the Case Referral History Screen

• Addition of a “Sent Date” column to indicate that a particular referral was actually given to the client.

• A Sent Date is generated when a referral is either printed or emailed.

• CCIS staff must still use case comments to document R&R activity.

• Addition of “Email Referrals” button

Referral Follow-up

• Ability to multi-select barriers. When “Other” is selected as a barrier, the text box unlocks, allowing the user to enter additional barriers when needed.

• Three additional questions added to survey similar to the Parent Survey.

• When “No” is selected for the “Did you select a Keystone STARS provider” question, the text box unlocks, allowing the user to enter parent responses.

• An additional comments text box has also been added.

• Ability to email a follow-up form to the parent.

Referral Follow-up

• The emailed follow-up form contains questions and responses worded in a way that can be better understood by the parent. However, these questions and responses still follow the format and meaning of the existing items in CCMIS, with the exception of:– “What type of care have you chosen?” (Family, Group,

Center, etc.)

– For this response, the CCIS will investigate the provider given in the parent response, determine the type of provider, and enter the appropriate value in CCMIS.

Email Enhancements

• New functionality for the emailing of referrals and the referral follow-up form.

• The “From” field will be populated with an R&R mailbox for each individual CCIS office.

• The parent can respond by simply replying to the email.

• Replies will land in the sending office’s R&R mailbox (attached to agency CWOPA account).

• Proactive, not reactive process.

Report Enhancements

• Total Referral Report (RE808):– Totals will reflect only referrals with a “Sent Date”

• Local Planning Report – Client View (RE810):– Case and Individual Identifiers added to allow sorting

to group matching individuals and cases together.• Local Planning Report – Provider View (RE812):

– Addition of categories: Legal Entity Name; Location Name; Phone Number; and Provider Rates.
