Kia ora. 

I am delighted to have the opportunity to pen a few words to introduce this publication. It provides a wealth of information about weddings and about what Rotorua has to offer. I am sure it will be very useful for those planning or even just contemplating such an important event in their lives. 

As mayor of New Zealand's most popular visitor destination – yes, Rotorua people share their district with around three million visitors a year -  it is a real treat to

see so many people coming here to enjoy our world-class facilities, our living culture, fascinating history and outstanding events and attractions. In our great outdoors alone we boast 14 major lakes, spas and geothermal attractions, the Redwoods forest cycleways and walkways, spine tingling and adrenaline rushing activities, and much, much more. The ideal spot for a wedding or honeymoon. And it’s all right here on our doorstep. 

Rotorua has been hosting visitors for centuries and our unique tradition of offering genuine welcoming hospitality – ‘manaakitanga’ as it is called – remains alive and well in Rotorua to this day. If you’re reading this introduction to the 3rd edition of the Rotorua Wedding Booklet, then you’ve either recently become engaged and are seeking valuable advice along the road of your wedding planning journey, or you’re assisting someone who is. In either case – congratulations! The purpose of this booklet is to guide you to respected and highly regarded wedding and events professionals who will offer you the best of their industry knowledge and experience with a view to making your wedding day, or special event the best it can be.

There are many different ways a couple (…and especially a Bride-To-Be)can approach the planning aspect of an event as personal as a wedding day. I have been in the Liquor industry for 8 years, helping people plan events, weddings and functions for just about as long - this is a special time for my customers and it has always been important to me to make sure that I look after them as best as possible so their event or special day goes off without a hitch.

The time has finally come for me to plan my own wedding and being a part of “The Wedding Group” I thought where better to start than using “The Rotorua Wedding Booklet”? It seemed to have everyone I might need to talk to and as part of the group it made a big DIY undertaking feel easy.

In booklet I was able to get quotes and information on all suppliers I needed to deal with who could be involved in our big day to help it go to plan.

Having known Peter Duncan for a few years now he was an easy choice when it came to a celebrant. However venues, photographers, transport, suit hire, cake and other suppliers needed to be carefully considered to work out who would work best for us at a cost that we could afford.

After careful consideration and a few quotes and visits to certain suppliers in the booklet we have almost planned our entire wedding out of this book (2012-2013) with ease. The timelines and suggestions that are outlined in the book help you make the right decision for you and in the timeframe that fits you.

It would be unfair to name suppliers that we did choose for my wedding but the people involved have helped me make a very special day work to a smooth plan and have kept in contact to make sure everything has been organised.

So thanks to “The Rotorua Wedding Booklet” for making my life as a supplier easy when it came to my turn to celebrate. I look forward to recommending the book to my customers and other suppliers going forward, explaining how much I relied upon it to find people I may never have heard of, or considered in the past, to help our special day go off without a hitch.

The Paperwork & Legalities

A marriage licence application, referred to as a ‘notice of Intended marriage’ BDM 60 can be obtained from a marriage registrar’s office in your area, or online at the Department of Internal Affairs’ website:www.bdm.govt.nz

If applying for a marriage licence in Rotorua, you will need to go to the Rotorua District Court, located on Tutanekai Street.

If you’re seeking to marry in Rotorua but live elsewhere, you can apply for your marriage licence in the town/city in which you live.

The Legal Requirements for your NZ Ceremony

You must be married by a registered wedding celebrant. To find out if a celebrant is formally registered in New Zealand, visit the Births, Deaths, Marriages website: www.bdm.govt.nz

You must have a marriage licence to be signed on the day by the bride and groom, two witnesses and the wedding celebrant.

You must marry at either of the two places mentioned on your marriage licence application.

During the ceremony you must say to each other in some way that you are going to take each other as husband and wife or words to similar effect.

The full names of the couple must be used when making their declaration.

You must be over the age of 16 years of age. If you are 16-20 year old, you need the signature of your guardian or one of your parents.

Your wedding day should be unique and memorable for all the “right reasons”, and while all celebrants are required to meet the same legal requirements in registering your marriage, no two celebrants will go about the planning and presentation of your ceremony in the same way.

It’s vital to choose your celebrant carefully: cheap is not necessarily the best. Remember, your ceremony cannot be repeated.

They should be a great listener, appreciative of your needs, and give you the confidence that your ceremony will be professionally prepared and conducted. They should be the right fit for you as a couple, with an appreciation of your needs, concerns, personalities, and what you wish to achieve for your ‘Big Day’.

ConSIder The folloWInG PoInTS before maKInG your Preferred CelebranT ChoICe:

Do you want a contemporary or traditional ceremony, a simple and relaxed ceremony, or something different?

Does your celebrant have lots of great ideas and do they give you the impression that your marriage is as important to them as it is to you?

Is the product that they are offering in tune with what you want?

Are they an experienced public speaker with a clear speaking voice? Will everyone be able to hear the ceremony?

Do they use a PA system and if so, do they provide this as part of their services?

If you change your mind about the content/style of your ceremony is your celebrant sufficiently innovative and flexible to adapt as well? Do they have both a professional air as well as a friendly approachable demeanor?

Do you feel welcome to contact your celebrant about any issues regarding your ceremony without being considered a nuisance?

Is the fee quoted the total charge, or are there (hidden) extra charges that might be levied later? What if you should decide to add elements to your ceremony - will this involve an additional charge?

Do they have testimonials/photos from previous clients available? Does your celebrant take bookings for more than one ceremony per day?

What happens if your ceremony runs over time or there is a delay in the start of the ceremony?

What happens if, after paying any required deposit, your ceremony needs to be cancelled?

Here is a checklist of suggested questions for your celebrant on interviewing them for the first time.

- Are they currently registeredas either an Organisational or Independent Marriage Celebrant in New Zealand?

- How much input will you (the Bride & Groom), have into the preparation of your ceremony? Can you write your own vows? Will you know what the celebrant intends to say at your ceremony? In what ways will your ceremony be personalised?

- If you have children what suggestions do they have for including them? - Will you feel comfortable working with your celebrant in preparing the content of your ceremony?

- Do they offer you a selection of ceremony suggestions, wedding vows, etiquette, samples of poems or readings etc. from which to choose?

- Do they inspire you with a feeling of confidence?

- Do they have professional manner?

Spending the extra for a professional photographer is not so much an expense but rather an investment. Ultimately, photographs and memories are all you have to cherish and to hand down to the generations to follow.

It’s important that you select a photographer you feel comfortable with and whose style of photography you can relate to. Often, the more weddings they have photographed, the better they can explain how it all works and where and when appropriate images can best be taken.

Make sure to discuss the timing of the whole day with your photographer so you’re both aware of whether there is enough time for the amount of images you would like to be taken.

Questions to ask your prospective photographer:- Ask to see images from weddings they have photographed - a whole album, not just one or two good pictures of the day.- Are they a member of a registered organisation such as the New Zealand Institute of Professional Photographers - And are they a

qualified member? Remember, this can be important if things don’t go to plan. It gives you an organisation to fall back on for complaints etc.- What packages do they offer: full day, half day or hourly rate?- Do they provide digital negatives and at what cost?- What ideas do they have for photography locations?- Do they have two sets of equipment in case one breaks down?- Do they have a contract or some type of guarantee?- Is the photographer happy for guests to take photographs at the same time?- Do they have a studio or some alternative for wet weather?- Do they have options for one photographer or two?- Do they have options for you to make instalment payments?- Do they offer albums and books, CDs DVDs enlargements etc.?- Are they GST registered?- How long after the day until you see the proofs?

Wedding Flowers are one of the oldest wedding traditions and play a big part in personalising your wedding celebration.

Flowers are incredibly adaptable and help to create a mood or theme for your special day. As every bride is unique, so too should be her bridal bouquet. There are many different bouquet styles and a multitude of colours and types of flowers to choose from.

We are blessed in New Zealand with a great availability of flowers all year round, but there are always some exceptions. If you have a favourite flower you’d like in your bouquet or arrangements, check with your florist about flower availability during that time of year.

It is wise to book your florist well in advance to ensure they can secure beautiful fresh flowers for your special day, don’t wait until the last minute.

A good florist will meet with you in person to get a good feel of your expectations and style - they should ask you about your dress colour and

style and it can really help if you can supply a picture. In that way the florist can suggest a style that would best suit your type of dress and reflect your personality, They should be able to guide you in flower type and colour choice to compliment your vision.

Although each bouquet is unique, you also can give them a more personalised touch by adding different items like sentimental pieces - your grandmother’s necklace, ring etc. Or, how about adding different grasses, seedpods, berries or even fruit for a point of difference?

Although the bridal bouquet is generally the main focus, flowers can really tie in a theme for the entire day. Flowers for the bridesmaids, buttonholes for the groom and groomsmen, buttonaires for the ladies, flowers for the hair or cake, table arrangements, church arrangements etc. - nearly anything is possible, just talk to your florist and they will come up with some great ideas!

The Wedding Reception

The wedding reception is where you are “received” for the first time by your family and friends as a married couple. Whether it’s an intimate picnic along the shoreline of one of our beautiful Lakes with a spitroast, or a large lavish affair at a Hotel – Rotorua has it all. On the other hand, a laid-back affair in the back yard with family and friends around the BBQ could be great too, especially if you’re on a tight budget.

The reception is traditionally regarded the largest cost in most weddings so it’s important you think it though carefully.

A few important things to remember for planning your wedding reception:

1. ensure the whole day has “flow” When your guests attend your wedding, they plan a day of it. Sending them home after your ceremony to only come back a few hours later can be somewhat annoying. Ideally, have refreshments and canapés between ceremony and reception to ensure the party mood builds and guests are catered for while official photos are being taken.

2. your budgetRemember, it doesn’t have to break the bank. If you’re a more laid-back couple, a party at home rather than a restaurant might be more suitable and affordable. However, guests might be happy to contribute toward the cost of the dinner. Think it through as a couple, as you both know your friends and family best.

3. your guest listOnly invite actual friends and close family if your funds are limited.

4. bar TabIf you’re organising the event yourself, get your liquor in bulk from a reputable supplier who knows their stuff. Meet to discuss your beverage requirements and budget. Ask about their return policy. If you’re putting a tab “on the bar”, then ensure you clearly communicate with the Hotel/Lodge the tab limit, and y what guests are limited to ordering, i.e. Beer, Wine, juice etc

Rainy Day Tips

rainy day tip 1 Keep the possibility of rain in the back of your mind during your venue search. If your heart’s set on having an outdoor wedding, look for a venue which offers an indoor option on the property which can be used in the event of rain.

That way, at least you’ll have a plan “B” that won’t break the bank! However, in case your ceremony venue doesn’t offer in indoor alternative, then ask whether you can erect a marquee on site as the next best thing.

rainy day tip 2Think about transport. The “short walk” will take on a whole new meaning in the rain. If it’s a light sprinkling of rain (as opposed to a downpour), be sure to have pretty parasols, or colour coordinated umbrellas in the back of the Limo – just in case. Umbrellas are a very easy contingency to have in place and there are some really pretty or unusual designs around to choose from, which could also double up as a parasol if the sun comes out.

rainy day tip 3 Rain and hair are NOT best friends! Even the most gorgeous, hair-sprayed

arrangements can fall victim. Talk to your hairdresser about making your style as secure as possible for your wedding day and ask them to show your mum or bridesmaid how to recover it if it starts to look a little windswept of frizzy. This may involve emergency supplies of hairspray, and hair straighteners close to hand.

rainy day tip 4Similarly, don’t risk ruining your wedding heels on the way to the ceremony. Consider taking a pair of stylish gumboots (for yourself and your bridesmaids), which can add a really fun look to your photos if the heavens open; or perhaps buy a second pair of shoes that you can wear outside, and then change into sexy stilettos later leading into the wedding reception.

rainy day tip 5 It’s not only yourself, your wedding dress and your groom (in that order!) that you have to worry about if the weather is wet on your wedding day. Think about your valued guests and how they’ll stay dry too. Perhaps provide the ushers with a supply of umbrellas to hand out to soggy guests and also ensure that they greet guests

at the car where possible so they don’t get drenched on the way in to the ceremony or reception.

rainy day tip 6 Looking at the weather forecast might seem obvious, but to a busy bride just before her big day, that will be the last thing on her mind. Instead, it will be spray tans and last-minute dress fittings! Perhaps this should be left to the groom or an usher, but looking ahead at the weather forecast will help you prepare for even the wettest of weathers. It is better to be safe than sorry, especially when your wedding dress and makeup are at stake!

rainy day tip 7The very best advice is to ensure that you keep things in perspective and enjoy the day as a whole. Whether you are met with showers and storms or glorious sunshine on your wedding day, your day will be perfect no matter what, so long as you’re in the right mindset.

It’s also worth noting that a rainy wedding day is actually considered a great thing. In some cultures, rain is good luck, and can represent cleansing

or stronger unity in the marriage.

It comes from several cultures (mainly from the Hindu) with the idea that a wet knot is harder to untie. Since marriage is often referred to as “tying the knot*”.

Rain was also a symbol of fertility to agricultural societies, since rain restored and maintained the wellness of crops. Crops were peoples main source of stability and income so it was thought to guarantee a long happy marriage!

Looking at it another way, every time it rains after your big day, it will be a nice reminder of the happiest day of your life – especially if there’s a rainbow!

Planning your Transport

The sooner you plan your mode of transport the better.

It’s amazing how many couples marry on the same day, particularly in the “wedding season”. Transport is often the groom or best man’s responsibility, so keep on their case as these decisions are important and usually left to the last.

There are many options available but your budget determines the end result.

The most economical could be found within your family/friends circles - who has similar vehicles in make, model and colour? Ask if you can borrow their vehicles for the day - often they will even offer to drive. It may cost you a few petrol vouchers to show your appreciation. You can decorate the cars yourself and of course a good, clean, shiny vehicle inside and out is essential - don’t be afraid to emphasise this point as it is really important!

Whatever mode of transport you decide on, remember the weather, think about a back-up plan if hiring a horse and carriage or even a helicopter.

If you do choose a limousine, here are valuable points to consider: Choose a company that is fully insured and registered as a commercial vehicle. This protects you should there be an accident on the day (of course no one wants to see this happen).

Some vehicles are not easy to disembark from elegantly - especially with a full wedding dress - so ask to view the transport that you are keen on before paying any deposits. While you’re enquiring about the deposit, also ask if you are able to pay off the residue prior to your wedding day: this option can certainly help with an already stretched wedding budget.

The cost of hiring the limousines will be dependent on how long you hire them for - an hour hire is the minimum, and generally up to 3 or 4 hours is sufficient. (If the ceremony, photos and reception are all at different locations, do check with your photographer as to how long they anticipate they will need.)

Setting the Scene with Music

Music has the power to set a tone, create atmosphere, and evoke powerful emotion.

Traditionally, there are three opportunities within a wedding ceremony where music will feature:· Bridal entrance· Signing the wedding register· Exit music - following the introduction of the newlyweds to their guests

The bridal entrance is one of the most important and memorable aspects of a wedding day. It is that pinnacle moment in which the bride walks to meet her groom, and the music played during her grand entrance will often be remembered by the couple for many years to come. Choose according to what resonates most for you -whether it’s a “live” performance of Vivaldi’s “Four Seasons” by a string quartet, or Suzy Quatro’s “Stumbling In” played via iPod – it’s all good. Music is a very personal choice, there are no strict rules to selecting wedding ceremony music .

Signing the marriage licence and wedding register toward the ceremony

conclusion can take between 5-7 minutes. It’s the perfect opportunity to have a “live” performance from a talented family member or friend, or a favourite song or instrumental track played while the bride and groom and their elected witnesses sign the marriage documentation. Again, there are no rules regarding what you can or can’t choose.

Once all signatures have been secured on the marriage licence, it’s time to formally introduce the newlyweds to their guests for the first time as “Mr & Mrs”, prior to their exit. The exit tune (in similar fashion to the bride’s entrance) can be a traditional tune or fun and funky statement. Song selections can be as varied as Stevie Wonders “Signed, Sealed, Delivered”, The Verve’s “Bitter Sweet Symphony”, or the theme tune to iconic New Zealand TV show “Country Calendar”.

Whatever you choose “enjoy the journey as much as the destination”.

4. hydrate your flowers“Have a vase of water ready for bouquets when it’s hot and dry outside” Pamela Jenkins of Rotorua Florist advises. “Certain flowers, like hydrangeas and lilies need water, so if you want your bouquet to live past the ceremony, don’t let it get thirsty!”

Give your legal documents to someone responsible“Appoint someone to keep your signed marriage license until the end of the evening so it doesn’t get lost” recommends Rotorua Celebrant, Sue Anaru. “Either the parents of the bride or groom is best, or ask your celebrant to hold it in safe-keeping until you return from honeymoon.”

6. Pack a ‘big day’ emergency kit Brides: prepare for the unexpected by packing a wedding day emergency kit! Wedding Planner, Valeta Duncan, recommends bobby pins, extra-hold hairspray, face powder, lip gloss and lipstick, heel-stoppers, panty hose, an umbrella and a shawl, white chalk (to cover any last minute smears or smudges on the wedding dress), tissues and backup copies of your music choices should something happen to the originals.
