REPORTS TO:

Senior Director,Communications and Philanthropy

STATUS: Exempt

CLASS SUMMARY: Incumbents are responsible for performing, planning, coordination and executing activities requiring thorough knowledge and understanding of rules, regulations and policies in area of assignment in order to perform activities in support of theater initiatives.

TYPICAL CLASS ESSENTIAL DUTIES: (These duties are a representative sample; position assignments may vary.)

FRE-QUENCY

1. Process donations and prepare acknowledgement letters and other correspondence in a timely manner.

2. Create monthly fundraising reports and other database reports as needed.

3. Continually update and correct database records and help design organization’s database table structure on the donor side.

4. Conduct preliminary research on prospective corporate foundation and individual donors.

5. Coordinate the production and mailing of donor appeal communications.

6. Track tax credit donations in the database and keep a file for each tax credit donor.

7. Send appropriate documentation to process credits to donors.

8. Answer donor questions regarding tax credit programs and gift designations.

9. Maintain guest lists, gather and prepare registration materials and other duties as assigned for fund-raising events.

Handle administrative details associated with the Board Development Committee meetings (i.e. prepare and distribute notices, agendas, minutes, etc.).

Assemble donor kits for events and meetings.

Maintain foundation, corporation and individual donor files.

Other duties as assigned.

Training and Experience (positions in this class typically require):

Associate's degree in a related field. A minimum of three years' experience in an administrative position, preferably in a not-for-profit

development office . Proficiency in Microsoft Word, Excel and PowerPoint; database management experience – Tessitura

preferred . Excellent verbal and written communications skills . Ability to present information concisely and effectively, both verbally and in writing. Ability to organize and prioritize work . Ability to work independently with little supervision. Excellent interpersonal skills.

Licensing Requirements (positions in this class typically require): None required

Knowledge (position requirements at entry):Knowledge of: Fundraising best practices including donor acknowledgement and campaign management; IRS charitable contribution guidelines; Integrated databases and report constructs; Basic principles of nonprofit management, arts and education.Skills (position requirements at entry): Must have experience in managing projects from conception to implementation; Must have good analytical skills and sound judgment; Detail oriented and organized; Must have experience in MS Office suite of programs and database management; Must have skills in prioritizing, reviewing and assigning work, organization and attention to detail; Excellent written, oral and interpersonal communication.

Physical Requirements: Positions in this class typically require: fine motor skills, hand/eye coordination and unimpaired hearing or visual capability.

Sedentary Work: Exerting up to 50 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
