Dear Exhibitor:On behalf of the Society for Industrial Microbiology and

Biotechnology (SIMB) and the BIOT Division of the American Chemical

Society (ACS BIOT), please accept this invitation to participate in the

Tabletop Exhibit at the thirteenth conference on Recent Advances

in Fermentation Technology to be held October 27- 30, 2019. Held

biannually, the conference provides a forum for academic and

industrial scientists to discuss the latest developments in fermentation

technology. Program chairs for 2019 are Tiffany Rau and Tim Davies,

Rubus Scientific. Space for the tabletop exhibits will be assigned on

a first-come, first-served basis. Cost includes 2’ by 6’ draped table, 2

chairs, and company sign.

Benefits

§ Participating exhibitors will be listed on the SIMB meeting

website with company link, on signage and in the meeting

program as well as acknowledged in opening remarks..

§ A pre- and post list of conference registrants and a scientific

program with abstracts will be provided to each exhibitor with

one use authorized per list.

Please submit a 50-word description of your company for publication

in the meeting program with your application. Space is limited, so

submit your application early.

Meal Plan

If staying for the entire meeting, we are offering exhibitors the

same meals and events as meeting attendees which includes all

breaks, receptions, breakfasts, lunches and banquet. See tabletop

application form for fees.

Exhibitors may register only two representative per table. See tabletop

application. If planning to attend sessions, please register online as attendee. Attendee registration includes all meals and uploads of presentations.

Terms and ConditionsPLEASE READUse of space - Products and services to be exhibited must be in keeping with the interests of the Society for Industrial Microbiology and Biotechnology (SIMB). No subleasing of space is permitted. No side rails or counters may exceed 4 feet in height; background must not exceed 8 feet in height, including signs. Exhibits should be no higher than 48 inches above the table or wider than 6 feet. If you have a tabletop exhibit exceeding these limits, please contact [email protected]. Demonstrations or displays away from the exhibit hall during exhibit hours, except with permission of SIMB, are prohibited. No table may block the view of surrounding tables and must have adequate see-through area. Exhibitors may not place anything in the aisles during exhibit hours. SIMB reserves the right to limit or restrict operations, which for any reason might be considered objectionable, without any liability for refund or damage.

Cancellation - It is mutually agreed that in the event of cancellation of the RAFT exhibition due to fire, strikes, picketing, embargo, injunction, acts of war, acts of God, governmental regulations, emergencies, any act beyond the control of SIMB, or any causes which would prevent its scheduled opening or continuance, then and thereupon this agreement will be terminated and SIMB shall determine an equitable basis for the refund of such portion of the exhibit fee as is possible, after due consideration of expenditures and commitments already made.

Requests for cancellations must be submitted in writing to the SIMB office. Refunds are available until September 27, 2019, if space can be resold, less a $75 administrative fee. No refunds will be issued after September 27, 2019.

Prohibited conduct - The following practices are prohibited:1) distribution of promotional material, samples, catalogs, pamphlets, or publicity, except in the exhibitor’s space; 2) use of disruptive audio equipment; 3) use of noisy electrical or mechanical equipment; 4) entry into another exhibitor’s booth without permission; 5) photographing or examining another exhibitor’s space without permission; 6) affixing anything to columns, walls, floors or other parts of the hotel’s building or furniture by any means; 7) selling in the exhibit areas or in meeting rooms.

Insurance - The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury or damage to exhibitor’s displays, equipment and other property brought upon the premises of the hotel and shall indemnify and hold harmless the Society for Industrial Microbiology and Biotechnology (SIMB) and the Hyatt Coconut Point Hotel, and any authorized representative, agent or employee of the foregoing of any and all losses, damages and claims.

Security - Security guards for the exhibit area will be hired, but SIMB and the hotel do not guarantee, nor protect exhibitors against loss of any kind. Exhibitors are advised to carry their own insurance. Each party agrees to be responsible for its own property through insurance or self-insurance and shall hold harmless the Society for Industrial Microbiology and Biotechnology (SIMB) and the Hyatt Coconut Point Hotel for any and all damage caused by theft.

Safety, fire and health - No painting, mixing of chemicals or explosive materials is allowed in the exhibit hall at any time. Exhibits using food, beverage, ink, chemical or other liquids must be installed over visqueen. Exhibitors are responsible for disposing of all reagents or chemicals used in their exhibit, as well as any cost associated with doing so. The Society for Industrial Microbiology and Biotechnology (SIMB) and Hyatt Coconut Point Hotel will not be responsible for disposing of any materials.

Trademarks/Copyrights - SIMB shall not be liable for and expressly disclaims any liability for infringement or alleged infringement of the trademarks, copyrights or other intellectual property of any third party arising out of the actions of any exhibitor.

Amendments - SIMB reserves the right to interpret, amend and enforce these terms and conditions. Written notice of any amendments shall be given to each exhibitor. Each exhibitor and its employees/agents agrees to abide by all terms and conditions set forth herein or by any subsequent amendments and interpretations.

Enforcement - Any exhibitor not abiding by the terms and conditions set forth herein may forfeit the right to participate in future exhibitions, may be asked to leave the event without refund, and may be subject to additional penalties.
