Release Notices

QFM Compatibility

The QFM 3.00.03.24 release is compatible with the following QFM software:

• QFM WFS: 3.00.03.06

• Mobile App: 3.00.01

• Mobile server 3.00.01

• Desktop Version: 164.08.09 In order for this release to perform at an optimum level, Service Works strongly recommends that client organisations upgrade to these software versions or later.

Crystal Reports

Please note that clients wishing to upgrade to v3.00.01.37 and above will be required to upgrade Crystal Runtime to 13.0.27. For users with multiple installations on the same machine, all instances will require an upgrade to v3.00.01.37. Please speak to your SWG Account Manager to discuss specific requirements or to raise any concerns. Additionally, clients who wish to upgrade to 64bit will also require all custom Crystal Reports to be updated. SWG will upgrade all standard reports within the core product and provide clear directions to users who have additional custom reports not maintained by SWG. Furthermore, whilst 32bit does not currently require Crystal Reports to be upgraded, it is recommended that Crystal Reports which use TTX are upgraded, as these are no longer supported by SAP and SWG cannot guarantee future 32bit runtimes will be backward compatible.

New Features Summary

The QFM v3.00.03.24 release includes two new features. A summary is provided below, with further details on the following page. Import/Export Data - Enhancements The Import/Export utility, used for transferring data in and out of QFM in bulk, is enhanced with the

addition of some new data categories and expansion of data in some existing categories.

A new method for the configuration of data columns for inclusion is also introduced. Select Bookings from Integrated Floor Plans The Bookings module integration with QFM Space is enhanced to provide the ability to select a desk/room and make a booking, directly from the floor plan.

Details of QFM v3.00.03.24 enhancements are provided in this section.

Import/Export Data - Enhancements

Overview

The Import/Export utility, used for transferring data in and out of QFM in bulk, is enhanced with the

addition of some new data categories and expansion of data in some existing categories.

Features and benefits include:

• Additional data available for Import/Export provides increased options for bulk data updates.

• New Column configuration tool makes it easier to select the data types required.

Introduction

Typically, the Import/Export utility is used to extract existing data from QFM so that it can be easily manipulated on a spreadsheet, in bulk. The data can then be re-imported into QFM. New data categories are added to the Import/Export utility, together with enhancements to some existing categories. These are summarised below.

Extract and import data for Maintenance Schedules. This Import/Export is for updates to Schedules only. Inserts must be completed through the standard QFM desktop import procedures.

• Asset Work Types and Costs

Extract and import Work Type and Cost data for specific Assets. An Equipment Group must be selected.

Column Configuration

The method for selecting data columns for inclusion in an Import/Export is enhanced. A new Configure Columns tool is added for easy selection, (as shown in the example below). Simply select and move data columns for inclusion (left box) and exclusion (right box).

Note: Not all Import/Export categories include the Configure Columns tool.

How to Import/Export Data

The steps below show how to export data out of QFM and re-import a data spreadsheet.

Exporting Data

Follow the steps below to export data from QFM to an Excel spreadsheet.

1. Select the category of data you wish to export, from the drop-down list.

2. Select Export in the (Select Transfer Option) drop-down list.

4. In the Configure Columns section, select the data columns for inclusion (left box) and exclusion

(right box).

5. Select Export. A Download File message (similar to below) confirms the export is being prepared.

6. Open or save the export file, as appropriate.

Importing Data

Follow the steps below to import data into QFM from an Excel spreadsheet.

1. Select the category of data you wish to import, from the drop-down list.

2. Select Import in the (Select Transfer Option) drop-down list.

3. Click the Select button to pick the file to upload.

4. When the file is ready to import you will see a green dot next to the file name.

Select the file delimiter from the drop-down list below, either: Tab for a Unicode Text file type or, Comma for a CSV (Comma delimited) file type. Note: If the delimiter is not correct, the import may fail.

5. Select Load File then select Import. A Download File message (similar to below) confirms the import is being prepared.

6. You can open or save the imported file if you wish to make further changes. If not, select Cancel to close the dialog (shown below).

Select Bookings from Integrated Floor Plans

Overview

The Bookings module integration with QFM Space is enhanced to provide the ability to select a

desk/room and make a booking, directly from the floor plan.

Features and benefits include:

• Improved user experience from the ability to select the desired location direct from the

floor plan.

Introduction

The Floor Plan tab is enhanced to enable users to book a desk/room directly from the plan. Once the booking search criteria is added, the Floor Plan tab allows a selection to be made.

Desks/rooms available to book are highlighted green. Those already booked are highlighted red. At this stage you can select a desk/room by simply clicking on the numbered location. This immediately

turns orange and the location number is populated into the Loc. No. field. A button also becomes available, (as shown in the example below).

Once the button is selected, the location is shown in the Summary tab, (as shown in the example below). If there are different Layouts set up for the location then these are shown separately for selection. The current selection can also be cleared prior to making the booking ( ).

Once the button is selected for the required location and layout, the booking details can be added in the usual way.

General Settings

A new General Setting is added for the Bookings module. This is applied by User Class.

Booking module.

Minor Enhancements and Changes

The v3.00.03.24 release addresses issues highlighted in the product. Details are as follows: SWG Description Reference 24585 Issues which may have occurred when a Contractor assigned to a linked (sub) Event

attempted to enter Remarks, have now been resolved. 27311 Remarks shown added to an Event are enhanced to become more intuitive. Remarks are now displayed in sequential order, with the latest Remark added to the top of the list. Details included are; Operative Name, Rejection Reason (if applicable), Date and Time, narrative. 27349 When a user opens a Wizard tile to create a new Event, and the tile is configured to automatically populate the user’s own geography, an issue whereby the geography may not have been correctly populated in certain specific scenarios, is now resolved. 28154 An issue causing the generation failure of Event History Reports scheduled for creation and distribution via the Scheduled Jobs facility, is now resolved.

Known Issues

This section details system issues which are identified in v3.00.03.24. These will be rectified at the earliest opportunity. Please contact your SWG Account Manager for further details. SWG Description Reference 17276 Resource Scheduler - Auto Allocation may fail to allocate Visits when the 'End Date' is not set in Shift Calendar. 25860 Dynamic Forms - Invalid external URLs attached to Dynamic Forms can cause issues with Reports. 26739 Event Screen Survey Tab - Selected rows may remain highlighted when the user navigates to the next page. 27172 Resource Scheduler - In some cases batch confirming 200+ Visits can cause problems dispatching. Service Works recommends the maximum number of Visits to dispatch is 200. 27929 When updating Schedule definitions using the enhanced Import/Export for Schedule Activity Information, the 'Initial Event' is case sensitive and is incorrectly validated. Clients should use upper case values, e.g. 'NOTIFIED' otherwise the system will ignore the update silently, without prompting the user that there was a problem.

QFM Installation Notices

This release is compatible with QFM Desktop 164 versions only.

Service Works Global (SWG) does not recommend QFM is run with Internet Explorer 6, 7 or 8 browsers. Use of these lower specification browsers may result in users experiencing unstable operation, script, rendering and performance issues. SWG has no current plan to address these issues.

The Workflow Scheduler is a mandatory requirement in order to run this QFM release, as it performs essential background tasks.

SWG is not responsible for user defined reports and should a client upgrade from a non-time zone database to a time zone enabled database it is likely that their user defined reports will be affected as all times and dates will be relative to UTC not local time. SWG strongly recommends clients review all reports against an upgraded database before relying on the output. It is the responsibility of the client to ensure any issues are addressed, however Service Works Global may provide consultancy at the standard rates specified in the Customer Order to help the process should this be required by a client. Please contact your SWG account manager if you need to make use of this service.

QFM includes SAP Crystal Reports runtime environment to enable users to benefit from integrated web based reporting. Clients should refer to the SAP website (www.sap.com) to understand the full strengths and capabilities of the product. SWG will make best endeavours to help support and resolve any issues that arise in this environment but as it is a third party product SWG does not provide any warranties over its abilities or functionality. SWG will aim to implement new patches to this software as they become available and are viewed as stable. It is the client’s responsibility to ensure that any bespoke user reports work within the environment provided. Furthermore, extensive concurrent use of reporting within QFM can negatively impact the performance experienced by interactive users. This should be monitored and controlled accordingly. Please note that clients wishing to upgrade to v3.00.01.37 and above will be required to upgrade Crystal Runtime to 13.0.27. QFM utilises some 3rd party components, as listed below, in order to provide extended functionality. Use of these products may be subject to separate license agreements with the specific vendors/service providers. Use of these 3rd party components is not covered under the QFM licensing agreement with SWG. It is the client’s responsibility to ensure that they have up to date licensing for these specific 3rd party products before they are used within the QFM product. QFM is designed to be run on a range of devices such as tablets and smartphones. These devices may have little or no native support for certain features such as printing, Skype, Facetime, Telephony, etc. QFM does not limit the use of these features but their use is not supported under the standard QFM license agreement.

Please note that support for some Self Service user profile settings has changed. A default value of zero is no longer supported for the following administration settings applied to the Self Service user profile: ● Priority ● Worktype ● Service ● Service Group Users with a Self Service profile will no longer be able to save events if their default values have not been updated. Client organisations upgrading to version 1.29 onwards should check these Self Service default settings to ensure they have a value other than ‘0’, as ‘0’ is no longer supported. Users who use Self Service express event logging should validate that the process is unaffected. If any issues are encountered, users simply need to check the aforementioned settings and replace any values of ‘0’.

From version 3.0.3 onward the secure flag for cookies will be enabled by default. Please be aware that if your system uses HTTP rather than HTTPS this setting may need to be disabled.
