JOB DESCRIPTION

Puyallup School DistrictPAEOP Level IV

High School Data Processing Specialist/ High School Registrar

Purpose Statement

The purpose of this position is to maintain student record in the BusinessPlus system. The position processes records to enroll, withdraw, and transfer students; maintains student permanent academic records reports; responsible for a variety of other duties involving computerized student records.

Essential Functions

Processes records for new students; enters student demographic and immunization information into eSchoolPlus; requests records from students; previous school(s); Researches out of district transcript for accurate conversion calculations for entry into eSchoolPlus

Contacts parent/guarding to obtain Verification of Residency when a student’s physical address changes; notifies parent/guarding of the Non-Resident Enrollment process in the event a student lives or moves outside of PSD boundaries.

Creates and maintains an up-to-date independent electronic log for all building entries and withdrawals to include a variety of student information.

Posts summer school grades and community and technical college grades for Running Start students; verifies and posts Washington State course codes and course designation information; verifies, updates and maintains student names and grades for Running Start students attending Community and Technical Colleges, and coordinates this information with the Running Start Managers.

Processes records for students withdrawing or transferring from school; prepares records for transmittal to other schools; manages present and historical entry and withdrawal codes in eSchoolPlus and in an independent electronic log.

Maintains students’ permanent academic and accumulative records; ensures that current year records are updated regularly; manages student and parent Home Access Center accounts for online access to student schedules, class work, attendance, discipline transcripts, interim progress reports, report cards, and demographic information;

Generates and prints Enrollment Verification Forms; verifies updates and maintains information in eSchoolPlus from the returned Enrollment Verification Forms.

Coordinates scheduling process with administration and counseling staff. Maintains student scheduling information; processes schedule changes; sets up and maintains course catalog; designs, creates, verifies, enters and updates master course schedule

Verifies accuracy and makes corrections if needed to the Washington State monthly P223 report.

Creates a database of student information to military recruiters per federal law. Coordinates student schedules with department chairs and administrators for student with

unique circumstances

Other Job Functions: Assists other personnel as may be required for the purpose of supporting them in the

completion of their work activities. Performs similar, related duties as assigned

Minimum QualificationsHigh school graduation and three years of secretarial experience, including data entry and experience in working with computerized records. School district experience preferred; data entry experience required.

Working ConditionsOffice job; working under limited supervision using standardized practices and/or methods; requires visual and mental concentration on high volume of detail; requires prolonged exposure to visual display terminal; computer operation requires dexterity and precision; experiences frequent interruptions and inflexible deadlines; regularly required to deal with distraught, frustrated and angry people, as well as be available at all times to District administrators.

Licenses/Special RequirementsCriminal justice fingerprint clearance. Must successfully complete district clerical testing and additional testing upon interview.. Reporting RelationshipReports to assigned Principal and Assistant Principal.
