Prinect Business Manager
Service Information for V 7.15
As always we strongly encourage all customers to perform a solid test procedure on a separate environment before updating the production environment to a new PBM version!
The following conversions (ibscnv) are automatically executed upon installation of the new software version. Upon installation of a new PBM version, the PBMWinInstall program adds new fields and tables to the database. A number of conversions are executed as well. These conversions are done by the program C:\Program Files (x86)\Cerm Utilities\ibscnv.exe. More details you will find in the online help: http://www.cerm.be/hd/onlinehelp/System/Database/Conversions_(ibscnv).htm
Logon name and password extended
The logon name is extended to 254 characters. The password is extended to 50 characters.
Copy customer to supplier (PD‐91974)
It is possible to copy a customer to a supplier.
Environment of PBM
This Prinect Business Manager version has been tested in the following environment:
PBM Database server: Windows Server 2012 R2 PBM database: SQL Server 2008 R2 PBM client: Windows 8.1 and Windows 10
Extent the producttype configuration to support formats per product part
The possibility is given to define sizes depending on a product part, not only for a product type.
Extent the production parameters for the product type parts
In the product types "parts" a registercard "technical" with extended parameters is available ‐ checkbox for "work and turn possible" ‐ checkbox for "work and tumble possible" ‐ Calculation methode
How to get there: PBM Explorer > Production > Product types > Select a product type > Properties > Product part
The part "Production facilites" and the "Machine group" you will find for a global setting in: PBM Explorer > Parameters > Calculation parameters > Sheet/web parameters (see screenshot below)
Web UI for RFQ to support flaps and spine In the UI of the Customer Portal it is possible to enter informations about flaps ‐ left, right,
top, bottom.
Also entering the spine is possible. This informations will be transferred via the ibsintservice
to the Prinect Business Manager.
Depending on the configuration of the folding scheme, these fields are visible or not!
1. How to configure the folding scheme: PBM Explorer > Parameters > Calculation parameters > Printing > Folding scheme > Editor create a new one (e.g. copying an existing one and rename this). Spine thickness, Front flap and Back flap you will find in the X direction. Top flap and bottom flap you will find in the Y direction. Move those parameters from the "Possible" to the "Selected".
The scheme on the right side at the bottom will show you the actual configuration. Making here a double click, you can enter standard values which should always been taken starting a new quote from the Prinect Portal or from the Prinect Business Manager. This predefined values can be overwritten.
2. How to implement this modified folding scheme: PBM explorer > Production > Product types > Selecting a product type > Properties > Product parts > Select the e.g. the cover At the line "Default folding scheme" you can add the folding scheme you adjusted before.
In the UI of the Prinect Portal you will get the "spine thickness, front flap, back flap and the bottom flap" as a field to enter the values.
The values will be transferred by the ibsintservice to the Prinect Business Manager.
Note: This screenshot will show you a wrong flat size. This will be fixed in the released V7.15
Support formats per product part
The WebUI for RFQ is extended to support formats per product parts.
PBM Explorer > Production > Product types > Select a product type > Product parts> Checkmark the used sizes at the column"permitted".
In the WebUI of the Customer Portal, only this permitted size will be selectable.
Additional you have to possibility to add a min. and max size at custom.
Support the format per product part in the Speedestimator
You have here the possibility to predefine a format not only for the product type but also for the product parts like cover,...
PBM Explorer > Production > Product types > Select a product group > Product parts
Select a product part e.g. the cover and define the "default" size.
Where to find the speedestimator?

Here you will see the preselected format.
Enter transport zone at new address
You have now the possibility to add a "transport zone" when creating a new customer.
You can add the transport zone in this window or in the PBM Explorer > Parameters > General parameters > Address files > Transport zones
Send purchase orders to supplier SAPPI (paper) from PBM via EDI
The electronic sending of a purchase order directly to the system of SAPPI via EDI. The mechanismen to send purchase orders for paper via EDI is already implemented in PBM.
Note: Before implementing on the customer side, please contact the PBM‐Hotline ([email protected])! It is not tested on customer side!!!
Stock Materials for General Finishing Calculations
You have the ability to select concrete stock materials for general finishing processes during the calculation.
the possibility to configure such a material in the properties of a general finishing process costs will be taken from the cost categories, not from the material itself the possibility to change the selected material on the fly during the caculation of an
estimate/job these materials listed in the bill of materials an automatic generation of a material request, when copying an estimate to a job the possibility to reserve these materials
How to setup: PBM Explorer > PBM Explorer > Parameters > Calculation parameters > Finishing parameters > Calculation materials
Add this "Calculation material" to a General finishing device:
PBM Explorer > Parameters > Calculation parameters > Finishing parameters > Internal finishing
Create a new estimation! Select the "General Finishing device" you configured.
Create a JobTicket!
In the “Materials (scheduling) you will find the requirement for the additional material in the general finishing.

Service to transfer the xml to Signa Server
Create a service to transfer the xml from Prinect Business Manager to SignaServer for ganging sheetfed labels. It is a service that receives an xml‐file over http from Prinect Business Manager RMI (Remote Methode Invocation) Interface of SignaServer. In the Prinect Business Manager you will find a a ganging wizard and at the end there is a production job and the xml file created. The file will be given asynchron the ibsintservice.
Motivation: To reduce the steps in the software, we can additional use the SignaServer to create a gang run form, not only a single SignaStation.
Description: Requirements: INT, SignaServer, Ganging Option, Prinect Business Manager
Konfiguration:
With the configuration of the Prinect BusinessManager in the Cockpit, the adresse of the SignaServer will be written in the database of the Prinect Business Manager: (srvbas__:prnSrv, Rechnername, 6351, IntegrationService/signa/doGangLayoutDataBased, 4)
PBM Explorer > Parameters > General parameters > Prepress Parameters > Prepress templates: The possbile productpart templates from the SignaStation will be entered. It is also possible to add/define a default template.
In the Prinect Business Manager you have to define a press and all printing processes.
The way of collecting should be set to SignaServer PBM Explorer > Parameters > General parameters > Calculation and production > Production standard configuration > Ganging
Also in SignaSation the productpart templates should be available.
Process:
Purchase orders from different products will be collected to one or more orders via the Ganging Wizard in the Prinect BusinessManager.
It is possible to define one name and one “product part template”per order.
At the end of the wizard, the following steps happen:
o Becoming empty productionorders o Send those to the SignaGangServer o The result will be imported back to/in the order. o Afterwards a JDF can be generated automatically.
Remark: This is also working with Signastation.
Probably in the plate template you have to define the output parameters to "Prinect Business Manager).

Make sheet descriptive name configurable
Status before Version 7.15: Currently, the Sheet description is created from the name of the folding scheme. Depending on the way of working by the operator, a number may be added (when using "Add inner sheets") or not. It is possible to modify the name by hand, but such manual modification cannot really be expected in day‐to‐day operation...
New in 7.15: Define the naming of the sheets and use different criteria, such as the Sheet sequence ID, the folding scheme, variant etc. The current DescriptiveName of BM is not oriented on the need of the press operator.

Very important: the sequence number of the sheet would be found easily at the beginning (not hidden anymore in the middle or at the end of the sheetname).
Customer Portal ‐ Implement license check
In case no INT‐System is available, you can install the following parts as an option:

Precutting per material (not per sheet)
When having a job with several pages and a small quantity, this will be produced on a digiatl press or an offset press.
Example: Quantity: 50 copies Pages: 160 Format: A4 = 210x297
Will be produced with 40 press sheets with 2 positions in format 315x440.
The parent sheet will be 630 x 880 mm so, each sheet will be calculated with a separate precutting. At the end, there are 40 precuts with each of them having 3,5 cm. In fact they pick all the paper and cut them within three piles. The makes a difference about x‐hundreds of Euros, which is in digital printing more than 30% of the total costs!
The system must have the option, to cumulate the equal paper and cut them together!
In this case it is taken the same paper for the whole job > only once the precutting was calculated. If you select different papers, additional precutting costs will be calculated.
RFQ: Support 2nd amount for blocks
20000 blocks with 90 pages each shall be produced. Here 90 pages mean 90 * Inner. This block here has a Cover‐page and a back‐page. Back has no colors and will not need to be printed.
Remark: If back shall be produced without colors (paper / cardboard as is) then a color‐code with 0 colors is needed. Here it's called "no colors". Don't create the color‐code with ID "0" this will not work.
Estimate in BM with calculated amounts and costs:
Job in Cockpit with amounts and multiple ups (20.000 ex. * 90 pages for inner = 1.800.000 / 9 ups = 200.000 print amount for inner).
Configuration of product type:
"2nd quantity" needs to be checked. Define the unit of the second quantity and the translations of the the unit. You can also define a default value.
Configuration of product type parts:
Choose the product type part which shall be affected by the 2nd quantity.
Here the 2nd quantity affects part "Inner".
Internet comment field for products is extended
PBM Explorer > Products > Products > Select a product >Properties > Internet
Customer Portal stock product need minimum price
Ordering products with price "0 Euros" is possible now. This will be used when a customer has ordered a product and the invoicing was already done. The customer is paying in front and the printer keeps the produced products in stock. The customer is ordering this products via the portal.
Important: The pricing of the product needs a graduation table like you see below. So you get the possibilty to order products with an amount of 0 Euros. Note: If you delete this graduation table, you will be not allowed ordering the product.
Call‐off‐contracts
Due to the extensive modifications to the call‐off contracts, it is required to modify the call‐off contract layouts to be compatible with the new internal structure!

Call‐off contracts have been extended and can now contain multiple products. For each product, a call‐off item is added to the call‐off contract. A conversion adjusts all existing call‐off contracts to the new structure. Note: This new structure required extensive changes in the software, and results in a breaking change regarding lay‐outs. Links to the call‐off contract info were added to the Shipment explorer of the sales orders: in the grid and in the Go To menu.
Permissions
A user group (Calculators, Jobmanager, Scheduler, salesman...) can have a default access type. The default setting of the group is controlled by the default parameter in the System management. Be aware that for the software upgrade to v7.15 the default parameter is automatically set to complete access (because this was the default behaviour in all previous versions).
A user can now belong to multiple groups. The new User permission report helps to get an overview of the permissions that apply to a user. How to get this report: System management > "User" button > Data > User permissions
This does not affect the Profiles management, the profiles are always read from the user group which is defined on the users Identification tab.
All new permissions can be found via the permission module. After installation, click 'New in this version' to obtain an overview.
Customer reporting > updated names
We have updated the names and translations of the different existing functions for custom reporting/export to have more aligned and expressive names:

‐ Extra fields/features
‐ Transport trip properties: the button was added on the right of the grid
with destinations to apply the current sequence of records in the grid as
order for the destinations.
‐ Product SKU management, you can now enter descriptive names for the 4
content description fields of sku's in the Production standard configuration.
‐ Products warehouse: when refreshing or loading data on the main screen
with SKU Stock, a warning is shown if more then 1,000 records will be
loaded. This way the user in informed that, depending on the amount of
records, loading the data can take some time.
‐ On main screens where multiple views are available, for example Products
warehouse has a Stock view and SKU view, the info on the status bar on the
bottom is now refreshed properly when switching between the views. This
info wasn't always refreshed in previous versions.
‐ Product explorer and product properties: an indication for SKU products
was added to the upper right
‐ On the User XML, Export XML, Custom JDF and L&L based exports a button
was added next to RowAction and LineAction to insert tags.
‐ The due dates for sales invoices are now available as global variables, so
they can be used in Standard e‐mail texts.
‐ A link to the Interfaces was added to the list of parameters on the main
screen of suppliers and sales invoices.
‐ Some missing checks were added to the check for deletion of price codes.
‐ The description of colour codes is now extended from 30 to 100 characters
‐ Upon a deletion of an employee, you are first asked to confirm the
deletion.
‐ In the job module, the name of the logged in user was added as a global
variable: loginname.
‐ Scheduling: you can now save a data grid profile for the overview of work
steps in the schedule job wizard.
‐ Material reservation properties: next to the quantity: the consumed,
reserved and required quantity and surface are shown.
‐ System administration
‐ Upon execution of the database installation or upgrade, you will first be
prompted to identify yourself and to indicate that you have made the
necessary precautions. Also the ‐r option to do a background installation is
no longer supported.
‐ After the software and database upgrade, the conversions are executed. If,
for some reason, one of the conversions fails, a warning will be shown on
screen. This error will also be shown on screen when a users tries to log in to
the software.
‐ Layouts
‐ The current version of List und Label is 21
‐ Inclusion of external PDF files v1.6 and higher is now supported.
More info in List und Label tips and tricks.
‐ Editing a layout automatically puts a lock on the layout to make sure that it
can't be edited by different users simultaneously (which results in data loss).
From now on only 1 user can open the properties or the design or the XML of
a given layout.
Remark: there is only 1 lock property for a layout record, which means
you can only edit 1 feature at the time. It is for a given layout not possible to
open the XML in a screen and open an other screen to open the design.
Key figures takes into account
The calculation of "key figures" now also takes into account the cost of the semi‐finished goods (Job) and the fixed costs.
Other addresses
Upon creation of a new "Other address", the default VAT regime is now proposed (identical as when creating a new customer). Change it to the appropriate regime according to the situation for this address (e.g. within EU, export,...)
Sales orders ‐ deviation shipment date
It is now possible via the standard configurations products and sales orders to set a parameter which controls whether and from which deviation when a warning should be shown if the real shipment date differs from the expected shipment date.
How to do the configuration:
PBM explorer > Parameters > General Parameters > Products and sales orders > Standard configuration > Registercard "Sales orders"
Import sales orders
Upon a manual import of a sales order linked to a product that is not approved, a warning is now shown, if the parameter in Approvals is set that no sales orders can be made for products without approval. In that case only the sales order linked to a product that is not approved are not created, the other sales order are (before, the complete import was blocked)
When problems occur when import of sales orders is done via a hotfolder, the errors are now logged in the Processes. PBM Explorer > File > Processes

Ref. at customer is new property of job version
Ref. at customer is a new property of a job version. The ref. at customer is copied from the product to the job version. A conversion will copy the ref. at customer in existing versions.
The ref. at customer is also searchable from the navigator on the main screen of the jobs It is also added to the Job versions report. Upon copying a job, the value is also copied from the original job version.
Supplier catalogs moved
The settings for the paper catalogs have moved from the supplier properties to the interfaces. Where to find the Interfaces: PBM Explorer > Parameters > General Parameters > Interfaces
The only thing that is left in the supplier properties is a link to the appropriate interface.
Material movements report
A band with purchase invoice information was added.
PBM Explorer > Materials > Stock management (per material card) > Data > Material movement report
Improved stock location – Warehouse
You can manually assign a stock location (PBM Explorer > Parameters > General parameters > Logistics > Stock location)
In several modules (see below) by clicking the magic wand button next to the stock location field.
The window gives an overview of the possible stock locations and their current content is shown.
As from v7.15 all types of stock (materials, semi‐finished goods (Job), semi‐finished goods (P), Product SKU and tools) are taken into account. This give a better insight in the actual content of the stock location you are about to assign.
Search Products: At the top of the screen you can narrow down the presented stock locations by searching within a range of stock locations ID's. Materials: At the top of the screen you need to indicate a Class to get the possible stock locations. The class will be proposed automatically from the properties of currently selected material. Also, you can indicate if 1 stock location is sufficient or more then 1 stock location is needed (Neighbouring stock location).
Result The stock locations that match the search criteria are shown in the center part of the screen. For each presented stock location a summary of the current content is presented:
Column 'Utilisation': overall indicator whether the stock location is empty (= 100% available) or not empty (you can put goods in there, but you might want to check the current content)
Next to the Utilisation column there are columns per type of content to specify what the stock location holds (if not empty) For example, it the are no tools in the stock location, the column 'Tool' will show , if tools are present, it will show .
By default, the stock locations are presented ordered by priority in ascending order and utilisation ( empty stock location on top).
In the lower half, details about the stock that is currently present in the selected stock location is shown.
Supplier properties moved to Interfaces
The supplier properties contains all supplier related data. Depending on your permissions, you will be able to consult and/or modify data.
The EDI Interface properties have been moved to the Interfaces.
The Interfaces you will find in: PBM Explorer > Parameters > General parameters > Interfaces > Interfaces
Consignor transport EDI
New transport interface (http://www.consignor.com). The transport data and details of the content of the shipment can be sent to Consignor, which is a logistics service provider which supports companies in the delivery of parcels to their customers via a large library of national and international carriers, which includes all stages of shipment and delivery. This means you only need an EDI link from the Prinect Business Manager to Consignor and Consignor handles the bidirectional communication with the carrier of your choice. Note: In this version there is no feedback possible yet from Consignor to PBM, this will be implemented in a next version.
Check content mobile program has been extended
The Check content mobile program has been extended ‐ to show material SKU, semi‐finished goods (product), semi‐finished goods (order), tools and non SKU‐stock of a stock location. ‐ to show material SKU on a pallet ‐ some columns were added in the grid: Material quantity, supplier keyword, delivery date (in stock), Validity date, Invoiced batch, Quarantine status. Note: this grid has been developed from scratch in this version, so existing grid profiles are lost.
Since it can be hard to press the correct function with a finger in the start menu on a mobile device, a POC for a new mobile start menu: C:\Program Files\CERM\CrmMblStartMenu.exe. The new start menu only allows better navigation on touchscreens, the applications behind the menu haven't changed. Note: This version doesn't support the creation of screen profiles yet, this will be added in the next version. ‐ Based on Windows tiles (automatic re‐size depending on screen size) ‐ Big enough to press on mobile scanner

Invoicing of jobs (CP) Commercial Print When the property "Invoicing mode" of the job is set to "No invoicing, a warning (you can continue) is shown upon opening the "Job invoicing" wizard.
Open the JobList > select the order for invoicing > Properties Select the registercard "Invoicing" and set the Invoice mode to "No invoice"
Invoicing the job, the pop‐up‐warning is shown, but the Invoicing can still be done.
Sales order invoicing
Sales order invoicing: invoicing in a currency other than the currency of the sales order and exchange rate changes are now supported, to cover situation where e.g. the customer of the sales order is in GBP, the invoice customer is in USD, while you own system currency is EUR.

Material categories ‐ available in the configuration
The list of Material types is still in use, but is no longer accessible via the parameters. The properties that were linked to the different material types were outdated for a while (everything was moved a long time ago to the Material categories). So the only remaining data that was still in use was the "Material cost category" per material type. These fields are now available on the 'Stock' tab of the Material standard configurations.
L & L export XML
L&L export XML has been extend which now holds the possibility to add your own levels and variables (next to the existing levels which are based on L&L variables) and thus generate a structured multi‐level output. This was necessary to be able to create export layout files for e.g. transport via Consignor and other applications.
These functions are only possible (and automatically applicable) for the new L&L export XML you will create. Existing export XML will continue to work in the 'old' way. You can't transform an existing export XML to the new structure.
In this example, the transport is structured per sales order, with a detail per product. And for each product the shipped SKU are listed.

Upon execution of the database installation or upgrade, you will first be prompted to identify yourself and to indicate that you have made the necessary precautions. Also the ‐r option to do a background installation is no longer supported.
After the software and database upgrade, the conversions are executed. If, for some reason, one of the conversions fails, a warning will be shown on screen. This error will also be shown on screen when a user tries to log in to the software.
Include sequence ID in sheet description when writing JDF
The sheet name in the Prinect production workflow coming from PBM does not always represent the correct sequence of the sheets. Depending on manual changes in the PBM you could have a situation like:
Sheet 1 ‐‐> Sheet name = ST85 Sheet 2 ‐‐> Sheet name = ST84 Sheet 3 ‐‐> Sheet name = ST86
To enable the correct identification of the sequence of the sheets in the Prinect production workflow (Cockpit, Press Center, Data Terminals..) the following extension in the JDF Connector of PBM is required:
Create the sheet description written into the JDF based on the following rule:
sheet description in JDF = [last 3 digits of sequence ID from PBM]_[sheet description from PBM].
As the sequence ID always represents the correct seqence of the sheets within one job, this solves the customer demand and the modified sheet description can be used in the Prinect production workflow (configuration is required in the Prinect Cockpit to show the sheet description)
Adding "Last payment date"
It is possible to add the "last payment date" as a column. This value is changeable. Note: Be aware, that import from accounting system will always overwrite the manual entries. PBM Explorer < Sales Invoices > Unpaid invoices
Add the pdf in DP
To open/create the PDF there is a new button > Open PDF in new tab.
This button is shown on the delivery level: ‐ create the PDF if not existing ‐ open the PDF for the delivery note ‐ set the status for these sales orders to "ready for shipment"
This button is shown once or twice on each level for the packing: ‐ create the PDF if not existing ‐ open the PDF for the selected level (box, pallet, ...) ‐ if the amount in the last item differs, we will have two pdf files ‐‐ first file from first to the one item before last ‐‐ second file for the last item
Changing the delivery date
In the Dispatch‐Portal you have the possiblity to change the delivery date/shipping date. 1. Klick on the icon with the pencil
2. This window will be opened, where you can change the shipping date!
3. The shipping date will be updated ‐ see the screenshot below!
4. The expected shipping date edited in the Portal will automatically update the date in the Prinect Business Manager.
Changing the packing information
It is the same procedure as changing the delivery/shipping date!
It is also upated the packaging in the Prinect Business Manager!
Product status
No JDF and/or custom JMF is sent when none of the product statuses has actually changed! E.g. when a product has already been produced it already reached the reprint status 'Unchanged' at the end of the first production. So when the product is produced for the second time, the reprint status will automatically be set to 'Unchanged' again at the end of the second production as the versions are ticked...however, since the change from 'Unchanged' to 'Unchanged' is no actual status change, no JDF will be sent.
Cerm JMF Sever
The Cerm JMF server will no longer send JMF to prepress for the status changes to "DigitalArtUploaded" and "OnlineEditingInProgress" because both statuses are meant for the web4labels front end and do not bring any usefull information for prepress.
Custom JMF/JDF
Custom JMF/JDF: the list of JMF for status changes has been extended with a status change option based on the delivery status of the job (not delivered, partly or completely delivered) based on the shipment of the related sales orders.
Capture and log error messages
Improvements have been made to capture and log the error messages coming in via JMF from the JDF partner, which is useful to find the root cause in case of problems.

Semi‐finished products can be SKU managed
Semi‐finished products can be SKU managed from now on and these SKU can be consumed on a job as well:
via import of a csv‐file via scanning to the SKU ID in the Shop Floor Data Collection (machine) (ibsatlwp) via scanning to the SKU ID in the shipment explorer
SKU can not be consumed via the Semi‐finished goods (PR) module
Registered SKU consumptions can not be corrected!
Send the shipped status to Prinect
The feature "Send JMF on status changes" is extented with the status "ready for shipment".
This status is also set by the Delivery Portal when you print the delivery note.

The file for comments is extended to approx. 100 characters.

Performance Diagramm
Thinking about pricing for a quote, the degree of capacity utilisation in a print shop has a big influence.
On the screen where you define the sales price, there you will find a new area with "capacity utilisation". This screen shows informations from the Prinect Scheduler.
The selection of the date is in dependency with the delivery date. The workload is shown from today till the delivery date.

Import product colours from Prinect
It is possible to import colors of a product based upon an XML‐file received from Heidelberg Prinect. The XML file is derived from the XMP‐information out of the product artwork PDF.
At this moment Prinect can not return printing method data.
Parameters To make this work:
1. Colours are not synchronized with Prinect, however you can still import the colours from the product to match the colours manually with the HEIDELBERG PMS colours,
2. The Prinect workflow needs to drop xml‐the file which contains the product colours into a dedicated hot folder. There are different hot folder solutions possible, depending on the purpose of the file, coming out of Prinect.
o Standard : only 1 hot folder for all colors (standard import) (use the ‐o option). o Exceptional
Send a supplementary file with the colors for the new plates that are to be made (use the ‐n option in this hot folder)
Send a separate file per side to be printed (front, back, adhesive) (use the appropriate option (tf|‐tb|‐ta) per hot folder)
Syntax for the import action
ibsafgklr.exe ‐PImport ‐f<filename> [‐d<backupdir>] [‐o|‐n] [‐tf|‐tb|‐ta] [‐i] [‐s]
filename: The location of the XML file to be read. backupdir: A directory to where the file needs to be copied when the import fails (Optional). ‐o: When the colors already exist, these colors must be overwritten (Optional). ‐n: Only the colors for which a plate needs to be made are in the XML‐file (Optional). When
those colors are imported, the colors in the product get a status 'make new plate' to indicate this. Colors in the product not present in the xml file get a status 'use existing plate'.
‐tf|‐tb|‐ta: The colors to be read are colors that need to be printed on the Front|Back|Adhesive. Be aware this information is not available in the XML file itself, Prinect must create an XML file per print side in different hot folders to make this work) Also, in combination with the ‐o or ‐n parameter, looking for existing colors will only look for existing color printed on this 'side'. When this parameter is not added, a new color will always have 'Front' as its side.
‐i: When multiple colours with the same name are in the xmp file, only 1 is imported, the others are ignored.
‐x: when a color isn't found (based on the search rules described below), the color isn't added to the Cerm PMS colours. For these colors, only the color description (text) is put in the product colors.
‐s: when this parameter is in the action string, there will be no size check action in Cerm and this no according status updates. Since the size check is part of the Prinect workflow, it shouldn't be done in Cerm. So make sure this parameter is part of the hotfolder syntax. However, only if the size is not defined yet in the product technical properties, the size of the product artwork PDF is copied into the product.
Remark: Do not use ‐o and ‐n at the same time.
The automatic import needs to be executed using the Cerm Folder Monitor. A possible configuration of the Hotfolder action can be: ‐PImport ‐f%f ‐d"C:\hotfolders\PrinectBackup" ‐o ‐u<User> ‐p<Password> ‐s
Logging
There is a possibility to log the import. To activate this, you need to create a file 'ibsafgklr.log' in the Application Data (= open windows explorer and open the address: %programdata%)\Cerm directory.
Errors and remarks also can be found in the module 'Processes' with Processing ID 2390.
Workflow
Product ref.
The name of the xml file has to be the product reference (e.g. 400256.xml for product with ID 400256). If the reference is invalid, the xml‐file is copied to the backup‐directory.
Colors
For each colour present in the XML file, a PMS color is searched in the table of PMS colours. The PMS colours are searched based upon their description. A PMS colour is found when:
It matches the <Color> attributes (Name & Colorbook) in the xml in color At least 1 PMS colour exists with an empty ColorBook and ColorBookEntry but with exactly
the same Name description (klrpms__.omschr__), if so, the first record found is applied. No exact matches are found, but exactly 1 colour exists that starts with the same description,
and has an empty ColorBook and ColorBookEntry.
These colours are then added to the Product as follows (but only if the ‐x option is not used !)
When a PMS colour is not found, a PMS colour record is created in the table of PMS colours unless the colour has colourbook 'none'. For this automatically created PMS colour, only the Keyword, Description, Colourbook and Colourbookentry are filled in based on the data in the xml‐file. All other values of the colour will be the default values.
When a PMS colour is found, the ink preparation parameters of the PMS colour are copied to the product colour.
A colour in the xmp file will not be imported in the product when the value of the Color Type is 'Dieline' (since this defines the cutter colour which is not really part of the product colours).
The Ink consumption (only the %, not the surface) is also imported from the <Ink> Coverage values.
When a product color already exists with the same PMS color (or when no PMS color is found for the color to import, with the same description), a new product color is not added, but the existing color is updated (except when no ‐n or ‐o parameter is used: see below). The fields that get updated are the Ink consumption and the ink preparation parameters.
Size
Since the size check is performed by the Prinect workflow, the 'Size OK' status is updated by Prinect. The xmp file also contains the sizes out of the product artwork PDF. As from version 7.14 R0, these sizes are automatically filled out in the product properties (afgart__.etiket_b and etiket_h are updated), but only if the product has no size properties yet (0 x 0 mm) at that moment.

What if the product already contains colors?
The import is started without a ‐n or ‐o parameter No colors will be imported. If the import is started with a specific Side, then no colors will be imported when there already exist colors for this specific side (for example ‐tb: No colors will be imported when Back colors already exist).

Import stock products
This wizard allows to import the initial stock of products with or without SKU (Stock Keeping Unit). This is the stock management by unique identification of each indiviual logistic unit for raw materials, finished goods or tools e.g. a palet, a roll, a box, a die ,...).
Procedure PBM Explorer > Products > Warehouse > File > Import > Import stock
Input You have the possibility to import .csv, .txt and .xml‐files.
Attached you will find sample files with SKU and withhout!
The product must be available in PBM as SKU/no SKU Stock locations must be available in PBM and match to the "vak_ref" (stock location ID) The "other software ID" in the product have to match with the "prd_orig" (other software ID)
