PROJECT MANAGEMENT

• Identifying requirements• Addressing stakeholders’needs, concerns and expectations as the project is

planned and executed• Communicating to stakeholders• Managing them to succeed in the project

PRIMAVERA PROJECT MANAGEMENT MODULE

• Primavera was launched in 1983 by Primavera Systems Inc. and was acquired by Oracle Corporation in 2008. The latest version of Primavera is 8.3 of Primavera P6 Enterprise Project Portfolio Management

• The Project Management module enables us organization to store and manage its projects in a central location. The module supports work breakdown structures (WBS), organizational breakdown structures (OBS), user-defined fields and codes, critical-path-method (CPM) scheduling, and resource leveling.

BENEFITS

Management benefits• Ensures thoroughly control of deadlines and the provisioning of resources

assigned to the projects at organization level and accurately describes the progression and identifies the key events

• Provides unitary and structured insights for all the ongoing investments• Allows finding the blind spots of the investments and making corrective decision

in real-time.

User benefits• Automatically retrieves the information from the quotes/cost estimates programs;• Tracks down to the smallest detail the execution stage of the works and the

settlements, and allows comparing the execution stage to the initial planning• Provides information about the project progress stages as tables and Gantt

charts• Tracks, coordinates and corrects by scenario method• Provides real-time information for fast and objective decisions;• Builds "What If"-type analyses.

Cost benefits• Ensures features for risk

management, document management or alerting in case of exceeding the costs, terms or time;

• Analyzes the contractors' performance via economic efficiency indicators (Earned Value and ROI-type analyses)

• Makes available completely assessed terms, costs and resources;

• Automatically matches the spent item quantities to the work's physical stage (the payments can be done depending on the achievements).

• Decreases the project execution time by 22-27% and achieves a savings of 15% of the total cost of the project

BreakdownStructures

2.1 OBS (Organizational Breakdown Structure)

• The organizational breakdown structure (OBS) is a global hierarchy that represents the managers responsible for the projects in enterprise.

• The OBS usually reflects the management structure of organization, from top-level personnel down through the various levels constituting your business.

• We can associate the responsible managers with their areas of the EPS either nodes or individual projects.

• Structure of the organization, from top-level personnel down through the various levels.

• Constraints: Maximum of 25 levels can be created.

• Maximum character length of an OBS element is 100.

2.2 EPS (Enterprise Project Structure)

EPS create/edit form :

• The Enterprise Project Structure (EPS) forms the hierarchical structure of your database of projects. • Each EPS node (or folder) can be subdivided into multiple levels to represent the work that needs to be

done in your organization. The number of levels and their structure depend on the scope of your projects and how you want to summarize data.

• Perform top down budgeting.• Organize OBS and WBS into one common structure.• Manage multiple projects.

Adding project to EPS hierarchy. We can organize unlimited number of Projects in EPS in groups.

2.3 Creating Calendars

Create and assign calendars to each resource and each activity. These calendars define the available work-hours in each calendar day. We can also specify national holidays, your organization's holidays, project-specific work/non-workdays, and resource vacation days. Calendar assignments are used for activity scheduling, tracking, and resource leveling.

• Global: Contains calendar that apply to all

projects.

• Resource: Separate pool of calendars for

each resource.

• Project: Separate pool of calendars for

each project.

2.4 WBS (Work Breakdown Structure)• A WBS is a hierarchy of

work that must be accomplished to complete a project, which defines a product or service to be produced.

• The WBS is structured in levels of work detail, beginning with the deliverable itself, and is then separated into identifiable work elements.

• Maximum of 50 levels are available.

• Activities are fundamental work elements of a project. They are the lowest level of Work Breakdown Structure.

2.5 Defining Resources.Resources include the personnel and equipment that perform work on activities across all projects. Resources are generally reused between activities and/or projects.

2.6 Adding activity to WBS

WBSTask / Activity

Activity Detail form

Activity ID, Name & Type of activity. Start, Finish Dates (Early, Late). Steps of an Activity (Breakdown the activity to smaller units). Relationship between activities (Predecessor, Successor). Resource Assignment (Labor, Non-Labor & Material) Activity Calendar. Constraints. Status of activity (Actual start & finish dates, % of progress). Expenses. Any other comments, notes etc.

List of common Inputs / Information to be given to an activity

Project schedule can be calculated one of two ways: when we choose the Scheduling command or each time we make a change that affects schedule dates.

The Critical Path Method (CPM) scheduling technique is used to calculate project schedules. CPM uses activity durations and relationships between activities to calculate the project schedule.

2.7 Scheduling Project

To update the progress of the individual activity, the following inputs are to be given in the activity detail form.

1. Start Date (If activity is started)

2. Finish Date (If activity is completed)

3. % of duration completed (if activity is in progress)

4. Remaining duration to complete the activity

ObjectiveProblem statement:

Plan college admissions drive SNAP-IT with SCMHRD.

What is SNAP-IT:

Pan India drive to boost SCMHRD applications and clear aspirant doubts & queries regarding SNAP & SCMHRD.

Objective:

To enumerate and logically arrange all the activities required for SNAP-IT in a Work Breakdown Structure (WBS), along with resources and responsibilities assigned to each of those.

Approach:

Using Primavera

Prepare OBS> Create WBS> Create activities and assign to WBS> Assign Relationships between activities> Assign Resources & Responsibilities
