What To Look For / Helpful Tools Ensure G/L account numbers are correct; these put the

purchase in the right budget category Ensure G/L account number is in the right value category Ensure that employees entering requisition understand

requirements of the Grant Ensure right tracking code listed for taxes

Wrong code means taxes might be charged when they shouldn’t (i.e. PC=Patient care items, R=Research, T=Teaching, O=Other)

Check SAP reports often (i.e. ZMM27, Z_Freight_Charges, CJI3)

Alisha Jett - Department Procurement Process Department Procurement Tips

Requisition should be reviewed by PI, Grants Manager or Purchase Releaser prior to entering requisition

Grant Manager Should: Check staff benefits monthly, Review cost distribution or salary changes with PI, review expenses with PI monthly, provide PI grant budgets (with projections) monthly, review commitment items regularly and resolve.

Grant budgets / Required Reviews – Staying on top of it Will provide a useful monthly grant budget template with projections

and monthly required documents enclosed in one electronic form

Having to Say No – How to be Helpful Is this an allowable expense?

Should the grant manager say no, or consider options? Knowing when workable alternatives are possible If the answer is no, provide explanations and remind of rules Balancing act: being supportive, but following guidelines
