Getting to knowICTA-UAB

ICTA-UAB is the Institute of Environmental Science and Technology and it belongs to the Autonomous University of Barcelona (UAB).

ICTA-UAB's MISSION is to promote and carry out research, and to train researchers who

can contribute to our understanding of the environment and meet the challenges posed by the interaction between society and the environment.

ICTA-UAB's GOAL is to become one of the leading European centers in environmental

studies, distinguished by its international focus, multi-disciplinary background and cooperation between various stakeholders within the framework of sustainability based on social civil responsibility.

The dynamics of developing university studies in Environmental Science, approved by the UAB in 1992 and ratified as an official university degree programme in 1996, generated the need for a centre which would be open to students and professors alike and also serve as a useful and flexible instrument for communication between public authorities, private companies and society in general.

The Centre for Environmental Studies (CEA) - forerunner to the present ICTA - was set up in 1996 with these objectives in mind:

• A place of exchange, debate and discussion for researchers from different disciplines.

• Promote interdisciplinary research in environmental science along with the various departments and research groups involved.

• Foster research programmes on different aspects of the environment and related areas.

• Collaborate with training in environmental science, coordinating and promoting Master and PhD study programmes as well as further training in this area.

• Create links between university and society to favour and promote dialogues across sectors of society and discussions about the environment and territory.

• Provide a framework for research, academic and technical counselling and methodological tools to deal with the management of the environment and society at different levels.

The Institute of Environmental Science and Technology (ICTA-UAB) was accredited as a ‘María de Maeztu’ Unit of Excellencein 2015 (MDM-2015-0552) by the Spanish Ministry of Economyand Competitiveness (MINECO). The award is the highestinstitutional recognition of scientific research in Spain. Thisprogramme, which aims to recognise excellence in stableresearch centres and includes a grant of 2 M€ over four years,confirms ICTA-UAB as a leading research institute focused onenvironmental science and global change.

ICTA-UAB is implementing a Strategic Research Programme(2016-2019) intended to consolidate its scientific capabilities,contribute to the leadership of Spanish research and act as aninternational pole of attraction for talent. The plan addressesmajor global environmental and sustainability challengesrelated to anthropogenic climate change, focusing onestablishing the current state of knowledge on climate changeand its socio-economic impacts, and on putting forwardtransformative solutions at the local and regional levels. ICTA-UAB researchers follow a trans-disciplinary approach thatranges from the natural sciences to engineering and socialsciences.

ICTA-UAB’s Council Board

Its COMPETENCES are: development and approval of ICTA-UAB’s normative, election of the director, approval of management, scientific and academic decisions, etc.All PhD researchers with an ICTA-UAB affiliation participate in the Council, butother collectives are also represented.

In the case of PhD STUDENTS, 20% of the students belong to the Council Board and aim to present the ideas, concerns and proposal of the students. This, currently, corresponds to 6 students who attend the bi-monthly meetings of the Council Board.

1.4.3. Permanent Board

The Permanent Board is composed of the management team, 4 academics elected by the Council Board, the coordinators of the Environmental Science degree and the post-graduate program, the coordinators of ICTA-UAB’s research groups, 1 PhD student, 1 Master student and 1 PAS member. This organism meets at least once per trimester and carries out the competences assigned by the Council Board.

1.4.4. PhD students Council

Students from different research groups are actively interacting with each other, especially since we all moved to the new ICTA-UAB building. Because our activities and time schedules vary every so often, they decided to meet at lunch

time ONCE A WEEK. These meetings are open to everyone, and are normally

arranged beforehand so that everybody is aware of them.

During meetings, they get to know each other, exchange ideas on common areas of research, discuss the proposals and decisions they would like to support at Council and Permanent Boards, etc. By doing so, the student representatives can contribute to ICTA-UAB meetings on behalf of the entire collective.

Also, the agendas and agreements are sent out to all students via mailing list.

1.4.5. Research Board

The Research Board is composed of the Deputy Director of Research, all ICTA-UAB members with a doctorate to the ICTA-UAB, 1 PAS member and 1 Research Support Technician.

1.4.6. Postgraduate Board

The Postgraduate Board is composed of the Deputy Director of Postgraduate Studies, the coordinator of the studies and 1 student.

Starting the PhD Programme

ICTA-UAB’s PhD programme is the PhD in Environmental Science and Technology.

Students registering after October 2013 are evaluated according to the RD 99/2011, which established a set of requirements for every student in the PhD programme.

In this section, you can find a brief description of what you can face during your formation period. Section 2.2 additionally provides some guidance on basic things you have to know to progress on your PhD.

2.1. Responsibilities and opportunities as a PhD student

2.1.1. Thesis

The main and final product of a PhD is the doctoral thesis. The years you spend doing your PhD will be devoted (although not solely) to developing your thesis. When applying for the PhD, you will need a research topic that will constitute the framework of your research. You will not be alone in this process: you will be supported by 1 to 3 supervisors, who will check on your progress and meet you when they/you see fit.To complete the PhD, you are required to submit at least 1 scientific paper according to the UAB regulation. However, at ICTA-UAB you are expected to publish an average of 2 papers. These publications will be part of your thesis document. Also, you might contribute to other publications outside the scope of your thesis, which is indeed very interesting to broaden your knowledge, experience and expertise.

Besides the follow-up meetings that you might arrange with your supervisor(s), youmight be asked to attend other types of meetings. You might have to conductinterviews outside the UAB with experts, focus groups or other research collaboratorsfor data gathering, networking or discussion. You might feel that you are wasting a lotof time. Bear in mind that these are essential for introducing yourself, obtaining certaindata or organizing the tasks you have to do.

2.1.2. Attendance at meetings

2.1.3. Presentations at conferences

Another way of communicating your research is a CONFERENCE CONTRIBUTION.Research papers are very detailed and provide information that readers would likereview for complementing their own studies. In contrast, conference contributions arevery useful to share experiences with researchers from all over the world and to findways to collaborate with each other. In this sense, there are 2 main types ofcontributions: poster and oral communications.Depending on the budget (registration can be rather expensive), you might be allowedto attend a conference. If you are not, there is also the possibility that anotherresearcher from your group may present your contribution on your behalf.

Projects are the basis of every research. They provide the budget and tools to obtainand communicate data. However, you might find different situations:• Your contract is based on a project, so your thesis focuses on the project’s scope.• You have been awarded a grant, but the topic you work on is based on an on-going

project.• You have been awarded a grant and have a certain research topic, but also

participate in other projects within and/or beyond the scope of your thesis.

These collaborations might entail a series a workshops and meetings with other projectpartners, field work, trips to other cities, etc. and should be discussed with yoursupervisor.

Interaction with RESEARCH groups outside of ICTA-UAB is very important. You will findthat your group works together with other universities or research institutes.

This is essential for getting funding and projects, but also for envisioning your researchquestions from different perspectives.

2.1.5. Teaching assistance

Depending on the type of grant that you have, you might be required to TEACH ACERTAIN NUMBER OF HOURS. However, ICTA-UAB is not a department, but a researchinstitute. As such, it is not able to provide students with teaching hours.

This competence belongs to the university departments. If you need these hours, youhave to plan with your supervisor in advance. Normally, you can be assigned some

LESSONS at the department your supervisors belongs to (if he/she does belong to one)and receive a signed statement of your collaboration.

2.1.6. Networking with international research groups

You might get the chance to do research abroad for a certain period of time before you

finish your PhD. If you wish to obtain an INTERNATIONAL MENTION on your PhDcertificate, this is typically a period of, at least, three months.

The opportunity to do this stay might vary depending on different factors, includingbudget, travel grants, availability and/or research interests.

2.2.2 SUBMIT DOCUMENTS AFTER ADMISSION

A few months after the admission and the enrolment, thePhD coordination will ask you to follow

4 NEW PROCEDURES.

These are:

a) Commitment document: Here you state the agreements between you and your supervisor(s).

b) Activities document: Here you enumerate the mandatory and optional activities (conferences, papers, teaching, projects, others) that you will complete during the program.

c) Research plan: A brief summary of your research methods and planning of your thesis.

d) Code of good practice: It is understood as a code of values and principles that inspire its activities and adhered to by all those taking part in them.

2.2.1 REGISTER AND PAY THE ANNUAL FEES

The academic year starts in October 1st, so every year you must pay the fees by this date, at the Doctorate School or online.If you do not, you will not be enrolled in the PhD program and you will not be evaluated.

2.2.3. PREPARE FOR THE ANNUAL EVALUATION

Each year, you will be asked to present your progress to an evaluation committee.

This committee will always be the same for each student and depends on their area of expertise. The committeewill decide whether the student may or may not continue in the programme. This decision will be based on a reportsubmitted by your supervisor(s) and your presentation.

KEEP IN MIND: The evaluation is normally in June/July (1st and 2nd years) and September (3rd years and above).You can only change your evaluation day ONCE if you can’t attend.

2.2.4. RECEIVE CREDIT FOR YOUR ACTIVITIES

Once you fulfil one of the activities (attending a conference, for instance), you must obtain a certificate or aproof of completion.

Then, you have to upload it to an online application.

In addition, you have to upload the agenda of follow-up meetings with your supervisor(s) as well as a scannedcopy of the commitment document, activities document and research plan.

This application must be accessed by your supervisor to approve the documents you uploaded.

Two institutes share this building: ICTA-UAB and ICP (which stands for Catalan Institute of Paleontology).

This is how the building is distributed:

Floor -2 Shared storage rooms

Floor -1 Shared parking lot and dressing room

Floor B Shared kitchen and meeting rooms. Administrative Department and Direction are ICTA-related.

Floor 1 ICTA-UAB office rooms

Floor 2 Institut Català de Paleontologia (ICP) office rooms

Floor 3 ICTA-UAB and ICP labs

Floor 4 Agrourban lab (ICTA-UAB) and free spaces.

3.1. Who works in the building?

3.2. Opening hours and access to the building

From 8 am to 8 pm (Mon-Fri) there is free access to the building.

You have to check in and out at the reception every day. You can stay until 10

pm or come earlier once you get your fingerprint access. This will also grant your

access on the weekends and selected holidays (you will be asked whether you

want to come on holidays or not). To do that, ask the administrative department.

3.3. It is posible to have my own locker?

PhD students have their own closets and drawers in their offices, which

can be locked when they are away.

Master students have the option of owning a locker while they are

enrolled. Lockers are located on the ground floor (Floor 0), at the

working corner. To get a locker and a lock, please ask at the

administrative department.

You are only required to present your ID or passport to obtain the lock,

which must be returned by the end of the academic year.

3.4. What can I do in my office? Does somebody pay for it?

Once you are assigned an office room, there are

different facilities available. You have your own

desk with computer, drawer, lamp and closet.

There are normally 3 PhD students per office room

(unless you share your desk with more students).

Junior researchers are generally located on the first

floor above the seminar rooms and in the middle

compartments on the first and third floor.

Supervisors pay for the place you are using: the fee

is about 400€/year/researcher.

In terms of UTILITIES, there is diffuse

refrigeration/heating through the floor and ceiling.

The only thing you can do is switch on the fan and

open/close the upper windows (they also work

automatically) using the control panel on the left-

hand side of your door (Figure 1).

For using the fan, 1 means strong ventilation and 3

low ventilation (see the round panel in the middle).

On top, you can set a degree change in the room’s

temperature, but it will only adjust to the

temperature parameters of the building. At the

bottom of the panel, there are the buttons that

open and close the upper windows.

3.5. How do I get an e-mail adress?

Because you are registered in the PhD program,you automatically get an e-campus address, whichis the student’s e-mail. You can access with yourNIU (University Identification Number) andpassword.You get the institutional mail (uab.cat) once yousign your contract with the UAB.

Yes, you can use the meeting rooms.Reservation is required. To that, contact theadministration department ([email protected])and indicate the room, date, duration and reason. 3meeting rooms are equipped with laptop andprojection system, 2 rooms have an IPvideoconference system and 2 rooms only provide ablackboard.

3.7 . Can I use the meeting rooms?

To use the computers you have to yoursupervisor’s permission. Entering the computerrequires that you have a NIU and password, whichare associated with your contract.

3.6. How do I get access to computers?

For invoice payments, conference registrations, flights, etc. you must contact the administrative department.

All documents must be original, not scanned. The required documents will be provided by the administrative staff once you contact them. Note that documents must be submitted within 6 months after making the payment. You will receive the money back in 2-3 months time.

3.8. How and when can I deliver administrative documents?

Every user has to CLEAN and DRY their own plate, glass and cutlery after using

them, and then put them away in the drawers or take them home. If you wish to

minimize the use of kitchen paper, you can wait till they dry but then put them

where they belong to!

This also applies to all kitchenware. And also take care of CLEANING THE SINK after

you use it!

Users must RECYCLE; indicative signs will be placed in each bin.

On FRIDAYS, in rotating shifts, there will be one person in charge of emptying the

fridge. The names of the person responsible will be randomly selected from the list of fridge users.

If you do not use the fridge please communicate it to someone from the kitchen commission

(Francesc Baró, Petra Benyei, Cristina Duran) o to ICTA manager ([email protected]).

All crockery and kitchenware found un-stored at 17h WILL BE WITHDRAWN from

the kitchen. Talk to your colleagues to enforce these rules if you don’t want to be

without plates, glasses or pots! THE SINK.

3.9. Recommendations for a smooth functioning of the kitchen

Please use as LITTLE SOAP as possible for cleaning cooking equipment and tools.

The water treatment system does not supp ort large amounts of soap. Otherwise,

we risk that the system is damaged.

For the same reason, do not pour ANY OIL INTO THE SINK

Use the SMOKE EXTRACTOR to minimize odors.

RESPECT FOOD placed in the fridge and associated equipment belonging to

colleagues.

Return glasses and cups belonging to ICTA-UAB after use outside the kitchen.

Do not throw food in the TOILET and do not wash any dishes in the toilet sink.

The right to use the kitchen will depend on the appropriate use of this space

following the above mentioned rules.

3.10. Where can I get office supplies?

Yes, you can use the meeting rooms.Reservation is required. To that, contact theadministration department (and indicate the room, date, duration and reason. 3meeting rooms are equipped with laptop andprojection system, 2 rooms have an IPvideoconference system and 2 rooms only provide ablackboard.

If you need a pen, notebook, folders or anyother type of office material, please ask theadministration department and they willprovide you with it, when available.

3.11. Who can access the parking lot? How?

If you would like to park a car or bike insidethe building, please ask the administrationabout the usage policies.

3.13. How do I download software?

Specific software that you might need for your researchis purchased by your supervisor most of the times.However, there are basic programmes such asWindows 2010, SPSS, etc. that are offered to UABpersonnel by UAB itself. They can downloaded from thedrive soft$ available in My Computer (\\sicl1v01)(S:).

3.12. Did you know we have showers?

There are showers on Floor -1. These primarily servepeople who come by bike and need a shower beforestarting to work as well as the maintenance staff. Youcan also use them asking the administration forpermission.

3.15. How can I use the phone?

When you are assigned an office room, you will automatically see your phone extension on the phone’s screen. To call other colleagues at UAB, you only have to type the extension number (last 4 digits). If you have to call outside the UAB, you have to enter the full number, beginning with a zero. Example: 0935555555

3.14. Where can I see what is happening at ICTA-UAB?

3.16. How do I print and scan?

There are 2 printers you can use: one on Floor 1, and another on Floor 3. They are located on the floor’s central area. Additionally, there is a scanner available on Floor 1.

Important notes:

PRINTING

Before printing from your computer, you must have administrator rights on your computer. If you don’t, please contact the technical department.

Z-icta1-bn and z-icta1-color refer to the printer on Floor 1, whereas Z-icta3-bn is the one on Floor 3. “bn” means black and white and is the recommended option.

If the printer blocks and there is a red light on the screen, please follow the instructions. Normally there is paper stuck inside the engine.

If there is no paper, you can look at the little closets next to the printer. If there are no boxes left, the administration department will provide you with one.

If you want to pick up your printouts but they are not on the tray: (1) check the closets, where there are printouts people forgot to collect; (2) try printing again.

SCANNING

The scanner can be used to send files to your e-mail address.

Photocopies can’t be made. You have to scan and print from your computer.

When scanning, assign a name and owner to the document; otherwise it won’t work.

3.17. How do I send letters and parcels abroad?

It is possible to send letters and parcels abroadthrough ICTA-UAB. You can prepare the documentin the envelop (with no stamp) and deliver it to theadministration department, who will send it to theappropriate entity.All the mail you may receive will be delivered inyour mailbox, located in the first floor, next to theprinter.

3.19. Are there internal mailing lists?

Once you are at ICTA-UAB, you will automaticallybe added to the centre’s mailing list. You willreceive news about new staff, seminars,conferences, important events, etc.In the case of students, there is a mailing list ([email protected]) where studentsdiscuss recent events, propose activities, sendmeeting agendas, etc. You can send an e-mail tothis list to be included in the thread.Also, depending on the research lines, there areother internal lists such the Ecological Economicsgroup. For more specific details, please refer toyour supervisor or other members of theseresearch lines.

The UAB’s emergency number is 2525. You willfind it on your phone. The development of theSelf-protection Plan is in progress.

If you have problems with your room or otherfacilities, you can turn to the reception (8777) orthe maintenance service of the building (8700).
