Michael GroomSpecial Guest Presentation: Sheer WillMichael Groom is unquestionably one of the world’s greatest ‘big’ mountain climbers. In 1999 he successfully climbed Makalu, the smallest and for Michael, the last of the ‘big five’ - the five highest mountains in the world, Makalu, Lhotse, Kangchenjunga, K2 and Everest. In 1987, while descending from the summit of Kangchenjunga, his first big five mountain, he suffered crippling frostbite and later had the front third of both feet amputated. He was advised to get a desk job and that his climbing days were definitely over. He succumbed to incessant pain and disability. For two years Michael withdrew from the world and became yet another victim of the wrath of the world’s highest mountains. Michael lives in Brisbane with his wife, Judi, and son Harry. He motivates soldiers going off to war zones, athletes struggling to come back from serious injury, professional people keen to get a little closer to the truth of ‘‘no pain no gain’’, and ordinary folk who just love to listen to one of Australia’s most amazing human endeavour stories.

Project & Portfolio Management Expert Panel Discussion - all You Need to Know on 4 Key Issues Plus More!

Come and join two absolute SAP PS thought leaders from Australia and the USA as they tackle a discussion about 4 “Hot Topics” in an interactive environment with the audience. The complimentary session will run on Sunday 29th August from 17.00 for 75 minutes and the audience should come armed with questions on the following:

Defining Project Portfolio Management (PPM) - The What, Why and How of PPM for Your OrganisationProject Portfolio Management (PPM) is a business tool used to effectively manage a number of portfolios or projects towards an overall objective. Each individual project is created in order to achieve a specific business objective or advantage. They should all benefit the overall project portfolio. PPM is an umbrella for all of the individual projects.

Estimating and Forecasting - It’s So Much More Than a Project PlanTo many organisations, estimates and forecasts provide information relative to the estimated cost of completion of a project. However within PPM the processes deliver critical information to multiple facets of the portfolio lifecycle. This session will focus on these processes and tools.

Scheduling - How Can You Schedule Your Projects Using SAP? Take a look at an overview of the scheduling capability available to ECC, cProjects and SAP Enterprise Project Connection users and how these tools schedule and communicate with your Project Management tools.

Enhancement Packs - What Cool New Functionality Can You Expect? When you put in EHP’s, what will you getting for PS and can it make a difference? Enjoy a 15-20 minute review of Project System related improvements included in ECC 6.0 enhancement packs 4 and 5.

Dates, Dates and More Dates - Taking Control So They Work For You

SAP can be confusing with dates and SAP Project System has lots of dates to throw into the mix. This presentation will help you understand the dates, what they mean and how it can help lessen your work load overall. Hear what Dow Corning had to do before it could start to schedule with SAP. It was not a light commitment but the integration was worth the lessons learned. Let the people who enter the details, first understand the overall project. This will create a list of activities that needs to be linked together to build your overall schedule. You will take away with you some real life definitions and how and why it will improve your whole system.

• Understand the difference between the dates - basic, schedule, earliest, latest, and forecast

•Relationships lead and lag

•Planned delivery time

•Float and what the differences are?

• SAP transaction CJ2B the planning board - top-down planning; bottom-up planning; free planning; layout and set for ease of use; and define user settings

Understanding all this will give you critical path, provide a visual description of the project, allow for useful date reporting, provide improved resource allocation and cost forecasting. Also understand why you should do this in SAP, or Microsoft Project or Primavera.

Jason Seymour - Engineering Planning Manager, Dow Corning (ZJG) Co., Ltd (China)

Target audience: Project Management staff involved in managing project performance, Functional Leads (PS, PM, etc.) and Business Analysts.

More Than Just Training and Communications! How to Successfully Navigate Change in an SAP Enabled Program

Change is challenging. A change program involving SAP typically represents a major undertaking across a wide scope of the business and each part of the business needs to work together to effect change. Successfully navigating change requires more than traditional training and communications to ensure that real value and benefits are achieved. Achieving the right balance between supply for change and demand for change, taking action at a macro level (organisation) and a micro level (individual) and placing emphasis on different activities at the right time are keys to success.

This presentation will discuss the change management components and tools needed to ensure successful outcomes are achieved including:

•Learning and performance support

•Communications and engagement

•Organisation readiness

•Organisation design and culture

•HR alignment

•Value delivery and benefits realisation

Janine Griffiths - Senior Executive, Talent and Organisation Performance, Accenture Australia Ltd

Target audience: This presentation is aimed at Program and Project Managers, Business Process Team Leads, Organisational Change Management Leads and Change Agents who have a vested interested in the successful implementation or deployment of an SAP solution and its components.

Total Customer Visibility with SAP Portal Makes Your Project Look Amazing

Porter Davis Homes have been named the HIA Most Professional Builder for several years running. One of many features differentiating Porter Davis in a highly competitive market is providing clients with 24x7 access to monitor the progress of their new home construction - via the SAP Portal. Clients can review their own finalised building documents, interact with their customer service consultant and monitor the construction of their home.

• SAP PS is the backbone for the Portal, used to track every client’s interaction from payment of a deposit, through documentation, selection of colours and finishes and construction progress

• Automatic PS templates based on the house selected by the client, including all administration and construction activities depending on location and double or single storey home

• Revenue associated with the lifecycle is tracked on the project along with procurement of all consumables in the build process, thereby providing financial forecasting and transparency, WIP calculation, margin monitoring and finally profit realisation

• Progress tracking via reports that track baseline, forecast and actuals, baseline margins and actual margins

This presentation will include a live simulation between a customer and a Porter Davis Customer Service Consultant - watched by the audience! The demonstration will show interactively how the complexities of home building become a professional experience for the customer.

SAP PS Integration - Successful Navigation Through the Pot Holes of Integration

System and data integrations are becoming more common-place as companies are faced with new requirements imposed by customers and markets. Such demands have led to the need for integrating SAP with non-SAP assets. In the project management space, one such non-SAP solution that has a large market share is Primavera. In an era where best-of-breed solutions are gaining popularity, it is not surprising that SAP and Primavera would be combined to produce a robust solution for planning, execution and management of projects. Implementing this type of solution can be tricky and there are a few things to consider before embracing such a challenge:

•Be aware of the various use case models that are being addressed

• Be aware of the need for a standard semantic model for the coherent and effective exchange of information

• Be aware of the potential performance issues for geographically diverse implementations

• Be aware of the constraints that can be imposed by large, diverse end user communities that are geographically dispersed

• Be aware of the inherent problems that occur when there is more than one end user agenda. Does the solution work for the project management office or the finance department, or both?

• Be sure that there are not too many chefs in the kitchen

Keynote Presentation:Global Business Intelligence and Reporting to Support and Improve Project Portfolio Performance and Earned Value Management

More and more companies are learning the hard way that business intelligence (BI) business requirements and the solutions that are spawned from these requirements, often fail to live up to the expectations of the end users. This becomes more prevalent in global scenarios and is directly proportional to the size of the organisations brave enough to embark on such an endeavour.

The solution AREVA formed was a hybrid solution that created “MashApps” that included Extract Transform and Load (ETL) to a regional data mart. This fixed some issues they had with standard SAP BEX and the long cycle times that come with the governance of a global solution. Their goal was to provide answers to regional managers in a way that was aligned with the regional business models and their processes.

Share in the experiences of one organisation’s journey to achieve success in the effective distribution and interpretation of business data to support and improve project portfolio performance and earned value management.

•Current capabilities and limitations to standard ECC PS reports

•Current capabilities and limitations to standard BI based reporting solutions

•Alternative architectures to alleviate pain points and improve user acceptance

•Low cost open source alternative solutions for data integration and data marts

• A solution example and associated costs. Both build and run cost comparison and impact of TCO

Forecasting is a Key to Project and Portfolio Success - Make Sure Your Project Managers Are Doing It!

Regular and accurate forecasting of your project’s costs, quantities, resources and dates are key to project success and a key contributor to risk mitigation. Embed this practice in your project management methodology and the effort to benefit ratio cannot be exaggerated.

•Some commonly used forecasting methods on different types of projects include:

- Cost to complete, cost and/or quantity to complete, including time distribution, earned value derived forecasts etc. Automatically calculated forecasts and/or manually influenced forecasts

- Forecasting on project types ranging from simple (e.g. job), maintenance contract projects, through to major construction projects i.e. Level of detail (person or equipment, commodity, discipline, activity, etc) from which the forecast is built up

- Forecasting scheduled dates

- Forecasting resources e.g. person hours and aggregating the forecast to team, skill or discipline level

• Solutions in SAP to support forecasting, from simple to advanced. Standard SAP and enhanced SAP. Making it easy for project managers to forecast

•Embedding variation management into forecast processing

• Consolidation, moderation and reporting of forecasts at program and portfolio level

Mastering Project & Portfolio Management with SAP Conference Close

Closing Keynote Presentation:How to Get the Most Bang for the Buck in PS Reporting

SAP’s Project System module offers many standard, out-of-the-box reports. However, some business users feel that these reports need to be tweaked just a little bit, or to create brand new reports to meet their specific reporting requirements. This session will provide essential building blocks for the PS power user to create their own reports in R/3.

This session will cover the basic steps in how to create a Report Painter Report by going over the following key topics:

•Key PS and CO Tables in R/3 or ECC6

•Value types, CO versions, CO cost elements and activity types

•WBS (Work Breakdown Structure) and alternate hierarchy reporting structure

•Report painter form and report

•How to create a reporting transaction

Michael Kim - Principal Consultant, Project Planning & Execution, Inc. (USA)

SAP Contract Management

Better understand how SAP’s Contract Management functionality can benefit your business via improved administration and monitoring of various contracts through the contract lifecycle.

The contract lifecycle follows the contract from its early planning, through contract quotation, vendor evaluation, contract award, execution, and invoicing.

Visibility is improved with reporting of data that is gathered and stored throughout the contract lifecycle, providing you with a historical view of a single contract or a range of contracts as you choose.

Discover if reality a few years later is as they expected and what their current challenges are in the same space.

•Telstra’s systems landscape prior to implementation and post implementation

•The value proposition for the project

• The issues faced, solved and still outstanding from both an IT and business perspective

•People impacts

•Eliminating manual processes for contractors using SES and RCTI

•Leveraging the ESS and MSS capability

•Customisation of the input screens - how we did it and why we did it

•Lessons learned

•Current challenges

Effective Integration Between Project System, Asset Management and Plant Maintenance. How We Did It!

While installing a mega project Dow Corning developed an integrated team to utilise the standard SAP interfaces between modules. This drove down their PS settings to meet their corporate needs in FI. What did they learn for future project structures? Assets need to be created and material spares to be inventoried for fast and easy asset verification. This presentation will identify what Dow Corning did with a mega project to get the FI and PM systems linked, as simply as possibly.

• Form an integrated team between finance and engineering to meet each departments’ needs

• Understand that PM is your true list of assets in detail. Master data must be correct and in good use

•Create assets for WBS and use percentages to allocate general costs

•Understand the importance of:

- Providing a clear link from FI to asset which is linked to WBS

- Allowing for easy asset verification

- Tying all this back to the install date and acquisition value
