1 Getting started

Open PowerPoint fast by using the following command.

To start PowerPoint quick: Click start and type powertpnt

2 Use a NWU template

Choose a NWU template by clicking File> New> My templates

1. Select your Institution.

2. Choose the appropriate PowerPoint template.

3. Click OK

3 Hide or unhide the ribbon

To make more space in PowerPoint one can hide the ribbon.

1. To hide or unhide the ribbon, press Ctrl + F1.

2. Alternatively double click the Home tab.

4 Colour and Page layout

Do and dont’s of page layout:

Don’t change the logo size.

Don’t change Page layout to Portrait.

Make sure that content does not ‘drop’ over the margins.

Don’t change font type, use Arial.

You may change the Title Colour and Size of each slide.

4.1 Kerning to format a heading

Kerning allows increasing or decreasing the spaces between letters. The main idea is to make the heading more readable by applying this type of format.

1. Click the Home tab.

2. Choose the character spacing tool.

3. Select the appropriate action from the drop down list.

4. The Heading has been formatted with the selected option.

5 Crop a picture to a shape

Emphasis can be placed on a picture by cropping it to a Shape.

To insert a picture: Click Insert > Shapes > Textbox

1. Make sure the picture is selected.

2. The Format tab will appear then click Crop > Crop to Shape.

3. Choose the Shape from the list you want to crop the picture to.

6 Reuse a slide from another presentation

Click Home tab > New Slide > Reuse slides

If no slides appear on the right hand side, click the Browse button, top left to go choose the PowerPoint slideshow that needs to be duplicated.

The following window will appear.

Open a presentation from the left hand side panel, or Browse to where the presentation is.

Click the slide you want to reuse from the right panel.

7 Insert a screenshot

By using Print Scrn button it is possible to insert screen captures into your slide show.

First press the Print Scrn button to capture the image. Follow the image to complete this step.

1. Click the Insert tab.

2. Click Screenshot.

3. Select the image you want to use.

8 Insert a screen clipping

To use a specific portion of your screen as a screenshot, this option can be used to accomplish it.

Remember the window that you want to make a clipping off should be opened beforehand.

Click the Insert tab > Screenshot > Screen Clipping

9 Using Text boxes

By using textboxes one can add some creativity to a slide. Textboxes can be used to annotate a chart or to place an announcement on the slide.

9.1 Inserting a textbox

2. Click the Shapes icon.

3. Choose Text box icon.

4. Click on the slide to place the text box and enter the text. (Do not stretch the textbox).

Type the text in the Text box. Formatting (text size, colour and alignment) can now take place as usual.

Finally you can select the text box and drag it to the position where you want it to be.

It is possible to change the direction of the text box by rotating it, click and drag the green rotation handle.

9.2 Choosing an outline colour of a textbox

Select the textbox by clicking it once.

To select a colour for the textbox outline use the following steps below.

Click Drawing Tools > Text Outline option may be used or the preformatted WordArt Styles.

1. With the textbox selected, click Drawing Tools > Text Outline and choose a colour.

2. Or with the textbox selected, choose WordArt Styles.

9.3 Change the shape of a text box.

1. While the textbox is selected, click the Drawing Tools tab.

2. Click the Edit Shape drop down list

The following dropdown list will appear:

4. Choose the shape to which the textbox must be converted to.

The last step will be to resize the shape so that the text will fit in properly.

9.4 Changing the text direction

The picture below will give you an indication of the types of text directions.

Text read from left to right but artful ways can be applied to change the direction of text and make it more appealing. A brief explanation will follow on how to achieve this outcome.

Insert a text box, type the text (do not stretch the textbox). The text reads horizontal in other words in a normal way.

To change the direction of the Text do as follow:

1. Click textbox if otherwise not selected.

2. Make sure Home tab is selected.

3. Click the Text Direction icon.

4. Use the different options of the Text Direction icon, to experiment with the different results.

Remember to resize the textbox and use text alignment accordingly, to ensure the desired result.

Formatting a presentation

10 Bulleted or numbered lists

The main differences between these two options are:

A bulleted list is used when information is listed randomly.

Ranked information is ordered in a numbered list.

10.1 How to choose a different bullet, sizes and colours

Different types of bullets can be chosen and it is not limited to the default black dot as set by PowerPoint.

To choose a different bullet, please see picture below:

1. Click the Home tab.

2. Select the Bullets down arrow.

3. From the display list, choose which type of bullet you want to use.

4. Selecting the Bullets and Numbering option which will allow you to change the bullet’s size and colour.

5. Change the colour and size of the bullets accordingly.

6. The Picture button allows the use of default ‘picture’ as bullets. These pictures are by default supplied by Power.

10.2 Make a slide from a single bullet

1. Click Outline.

2. Select the Bullet text on the left hand side.

Press Shift + TAB, using this shortcut keys will create a new slide containing the bullet text as a title.

11 Some interesting Quick methods

11.1 Zoom with your mouse

Pressing the control key down on the keyboard, while rolling the mouse wheel, will allow a person to zoom in and out of a specific slide…

Selecting certain content on a slide and using the method to zoom will allow enlarging or decreasing the view of these selected items.

11.2 Use Slide Sorter view

The slider sorter view allows you to easily drop and drag a slide to another location. Just click on the slide you want to move and drag it to the location.

11.3 Use the Quick Access Toolbar

Frequently used options can be added to the Quick access toolbar.

Right click on any button.

Choose Add to Quick Access Toolbar

The Crop tool will appear on the left top corner of the Ribbon.
