Introduction

We are excited to announce the release of PMWeb version 5.0 which we believe will prove to be a landmark in our product development history.

Ease of Use – Interface

We first focused on making PMWeb easier and more fun to use. Some of the highlights of all of the new features and enhancements include:

• System look and feel overhauled. All controls throughout the program have been upgraded to be lighter on the page, resulting in faster load and save times. The icon set for our Classic “skin” has been refreshed and a new skin – Metro – has been added as an option in the PMWeb Admin.

• Attach directly to record lines. Most Details tables now include an Attachments column that shows a number in parentheses. Click the number to open the View Attachments dialog. Use the dialog to attach files directly to the line, either by browsing or drag & drop, and view files already attached to the line. Throughout the program Attachments tabs now include a Linked Line field as well as other metadata fields and a Layouts button.

• Notes tab enhancements. Notes tabs have been enhanced to include new metadata fields, drag & drop line reordering, sort by column, and a Layouts button.

• Enhance tables to have Freeze Header and Freeze Columns. Tables in most Details tabs now have the option to control grid width, set frozen column #, freeze header and more. All of these settings can be accessed in the new Grid Layout dialog that opens when a user saves a custom layout. Also, these layout settings can now be pushed to users via Settings. See Ease of Use – Administration.

• Details tab controls are grayed out when adding records. To help users better understand the process, when adding new records all of the controls on the Details tabs are loaded but grayed out and inaccessible until the record has been saved using the toolbar at the top of the page.

• Filters added to most of the tables in the application. Users can opt to work with simple column filters (the default) or advanced filter statements that can include multiple parameters in each column and pick lists of existing column values to choose from. The filter option is now a part of the My Settings page.

• Additional data caching for Workflow Status and Recaps. Throughout PMWeb the Workflow Status of records – “Step 1 of 8”, for example – is now being cached with the record and this information is again available to display in the Manager pages. Record recaps are also being cached to make Manager and record pages load faster.

• Log in to Program/Project function streamlined. The Program/Project Login drop–down function has been merged into the breadcrumbs that are always visible near the top of PMWeb pages. See PBS and Project Explorer for more information.

• “Copy” button added to the toolbar of custom form records. Users can now click a button in the toolbar of custom form records to instantly create a copy.

Ease of Use – Administration

• Set system date format in PMWeb Admin. Administrators can now choose which date format to display across the interface. For example, a setting of “MMM-dd-yyyy” will display dates like this: “Jul-01-2016”. The table below shows format options based on an example of April 8, 2016:

• BI Reporting tab added to Settings. Administrators can select a User Group or User, then select a report, configure the report parameters and click the “Deploy Settings” button to push the report settings to the selected User Group or User. The “Load” button lets you copy settings from another User Group or User.

• Grid/Sub-grid tab added to Settings. Administrators can use this tab to configure any number of layouts for most Details tab tables and make them available to User Groups. The settings in this tab are also visible when you edit a custom layout from within a record.

• My Settings tab added to Settings. Administrators can use this tab to create any number of My Settings profiles and push them to User Groups or Users. The “Load” button lets you copy settings from another User Group or User.

• Show/Hide Tabs tab added to Settings. Settings for showing or hiding Notifications, Checklists, Clauses, and the new Collaborate Tab have been grouped together under the Show/Hide Tabs tab.

• Currency settings moved from the PMWeb Admin to Portfolio/Setup. See Advanced Multi-Currency for more information.

Advanced Multi-currency

PMWeb has long had multi-currency by project but now we’ve expanded that powerful capability all the way down to line item level. That’s right, as of version 5.0 you now have the option of using multiple currencies among the lines of a single record. For example, a Purchase Order can now include 2 lines in US Dollars, 3 lines in Euros, and 5 more lines in Yuan. Conversion rates can be stored with the record if you wish or linked to a conversions matrix in Portfolio. You can even subscribe to an online rate service to automatically update your conversions matrix at whatever intervals you specify. By default, Advanced Multi-currency is turned off so when you upgrade to version 5.0 you won’t notice any changes to the interface. Advanced Multi-currency can be turned on using the option in the PMWeb Admin. See the document PMWeb Advanced Multi-currency.pdf for more information.

Scheduling

For version 5.0 we basically reinvented PMWeb Scheduling. We completely overhauled and spruced the interface and added many new features that make Scheduling much more powerful and easier to use than before. Some of the highlights from the long list of Scheduling enhancements include:

• Multi-project, multi-schedule links. When creating predecessor and successor links you can now select tasks in other schedules, even schedules in other projects.

• Added the Task Details tabs to the bottom of the page. Now when you click on a task in the grid you can see all of its details displayed in a view at the bottom of the page. All of the information from the classic Task Details dialog is there, plus additional data. We’ve also completely reorganized this information to make it easier to read and understand. (You can also right-click on a task to open the Task Details dialog if you wish.)

• Control of the page layout. Users can configure the Schedules page the way they like and the system will automatically remember their modifications. For example, users can collapse/expand the record header, collapse/expand the new details tabs at the bottom of the page, drag the horizontal bar up or down to control the Gantt chart height, and more.

• A simplified toolbar with new functions. We reorganized the Details tab toolbar and added a clean new icon set with additional buttons that make the table and Gantt chart more responsive and easier to use.

• Caching of Duration field. We now cache the Duration field which allows for faster calculation, page loads, and reporting.

• User defined work calendars. An unlimited number ofcalendars – days on and days off – can be created and each Schedule can be linked to one to determine working and non-working days and then use those in calculating durations. Calendars can be defined for each project or by program or portfolio.

• Constraints. A constraint can be selected for each task and used in its calculations. Available constraints are:

o None (the default) o Finish No Later Than o Must Finish On o Must Start On o Start No Earlier Than

• Recap section in the header. A new read-only recap section in the header of the record instantly shows you Start, Finish and Duration for Early Start, Late Start and Actual.

PMWeb Viewer

As with Scheduling, version 5.0 sports a whole PMWeb Viewer. Here are just a few of the improvements we made:

• Viewer records can now stand alone. Because they are no longer required to be linked to a record attachment or a Document Manager file Viewer records have Notes, Attachments, Notifications, Workflow, the new Collaborate Tab, and a Manager page just like other PMWeb records.

• Actions log moved to a collapsible fly-out. Redlining now appear in an interactive table on a fly-out pane that can be collapsed, expanded, and resized.

• Now link to Project records. The classic Polylining feature has been expanded to include project based records. For example, drop a link to a Submittal Item directly on top of the related item in a floor plan.

• New markup types added. Notes (paragraph type), a cloud symbol, and image stamps have all been added to the toolbar and are also available from a right-click context menu.

• PMWeb Viewer settings. Create default settings for Users and Companies and customize them per Viewer record as desired. Assign colors, user-defined stamps and image stamps.

Collaborate Tab

A new tab, “Collaborate”, is available to display in most record types. Use the Collaborate tab to invite Users to review and contribute to records on the fly. Collaborators can edit the record if you grant permission and add notes, attachments and comments. Collaboration actions are logged and time and date stamped by user to automatically create detailed “conversations”. The Collaborate tab can be turned on or off in Portfolio/Setup/Settings. A new Collaborate Inbox widget is also available to be shown in the User Home Page via My Settings. Note that the Collaborate tab will not appear in records which you have configured to use Visual Workflow. For records with Workflow enabled you can use the Team Input feature to achieve similar results.

PBS and Project Explorer

A new field, “PBS”, has been added to Programs, Projects and Initiatives and a PBS page has been added to the Portfolio module. The PBS field provides an additional piece of metadata to graphically categorize projects. Use the PBS to create an unlimited user-defined tree structure then drag and drop your projects onto any node in the tree to classify them. PBS can be used in filters, queries and reports and also in the new Project Explorer feature. To open the Project Explorer click the first segment (the underlined part) of the breadcrumbs that appear at the top of each PMWeb page. The Project Explorer temporarily replaces the PMWeb control panel. Locate a project in the tree and click on it to log into that project and close the Project Explorer. The breadcrumbs are updated to show the selected project. Note that with Project Explorer open you can also use the drop-down list below the tree to log into a Location (select “Location View”) or a Program (“Program View”). You can also filter the Project Explorer tree using the filter field at the top and the Status list at the very bottom.

BIM - Revit Add-in

PMWeb can now integrate directly with BIM models using the Revit add-in. Install the add-in on PCs that host your Revit models, open the Revit file, and use you PMWeb user name and password to directly connect to your PMWeb database. You can use the add-in to automatically create PMWeb records from the BIM model, including assets (like Floors, Spaces, and Equipment records) as well as other records such as RFIs, Submittals, and Work Orders.

Multi-Project Records

In the Cost Management module Budget Requests and Journal Entries can now be made into multi-project records. Each line in these records can be assigned to a different project if you wish. To make these record types multi-project you must first enable them in Portfolio/Setup/Settings/General Settings. (The default for these settings is unchecked, so if you upgrade to version 5.0 you will see no change in your interface until you visit Settings and enable them.) With the Settings enabled, the header of the record will display a Program field. Select a program or leave the default “(Portfolio)”. Leave the Project field in the header blank. As you add lines to the record you assign them to a project.

Revised Value

In Commitments, the Revised Quantity feature that we have had for several versions has been expanded to include Revised Value. Now, throughout the change process for a Commitment, if you link to a Commitment line you have the option of adjusting not only the quantity but also the total currency amount. The revised quantity or the revised currency value can then be blended into Progress Invoice lines to make billing easier and clearer for all parties.

Enhanced Scoring

The Scoring feature has been greatly enhanced. For every Scoring “question” you can now define the data type of the answer. The data types available are:
