• Why do we take inventory?

– Inventory is a check and balance of how the system is performing.

– It is basically our report card.

– It allows us to review the data and list areas of focus.

• All tickets are pre numbered. Team leaders will be given tickets for each team in their area.

• Tickets will be distributed in bundles of 50.

• Check each ticket to verify none are missing from the printers.

• If there are missing tickets we need to know prior to going to the floor.

• Tickets should be used and placed on material in consecutive order.

• All material counted on one ticket must be in that area.

• Tickets for inventory on the racks should be placed as follows.

• Do not skip around.

• If you make a mistake on a ticket you must void that ticket and fill out another one.

• Place the voided ticket and the new ticket on the material.

• All tickets are left on the material until accounting clears that area.

• At that time we will pull tickets.

• When pulling tickets we separate at the perforated area and leave the stubs in place.

• Voided tickets pull stubs and ticket.

• Team leaders verify all tickets are pulled and accounted for.

• Inventory tickets will be returned to the manufacturing conference room for accountability and number extensions.

• Tickets must be returned in numerical order, in bundles of 50.

• This helps in accountability and the clearing of tickets.

• The conference room will serve as our ticket control area until all tickets have been keypunched and data processing has been alerted to process the inventory listing.

• At that time they will move to Tommy Young’s office for the reconciliation process.

• Upon receiving tickets from inventory that have been extended, sign onto the system.

• Once you signed onto the system, you will be in the Receiving Menu. From here you will need to take option (55) Shipping Menu and press the enter key.

• From the Shipping Menu, take option (1) Shipping Menu and press the enter key.

• From the Shipping Menu take option (10) Physical Inventory Menu and press the enter key.

• You now must choose which location you will be entering tickets from. For this procedure we will choose the Abbeville Menu, options (1,2,or 3).

Enter Inventory Tickets in SystemEnter Inventory Tickets in System• Option 1 is to Update/Enter transactions.

• Choose Option (1) and press the enter key.

• Fill in the ticket number from the top of the inventory ticket.

• This brings you to the part number field.

• Key in the 12 digit part number or the 5 digit part number and fill in the end with zeros. This will bring you down to the Department number.

• Key in the 4 digit Dept. # (ex. 0111). This will bring you down to the Quantity field. Key in the quantity and hit the tab or field exit key. This brings you down to the Unit of Measure field.

• Key in the UOM (ex. Lb, ft, ea, qt, etc) and this brings you down to the order number field. This should be used only on 12 digit non-stock, made to order stock which should be located on the bottom right of the inventory ticket.

• Fill in the order number and item number if applicable and press the enter key. This should make the screen disappear.

• Continue entering until all tickets are entered into the system. Press F9 to exit.

• Option 2 is to Display Transactions. Choose option 2 and press the enter key. Key in the ticket number in question and hit F3. This will bring up that ticket number. Scroll up or down to examine tickets that are missing or questionable. Press F9 to exit.

• Option 3 is used to VOID/Cancel tickets. Choose option 3 and press enter. Key in user code:

• V = tickets voided• U = tickets not used• O = open tickets up

• After choosing user code, key in beginning ticket number and ending ticket number. Press enter once then F1 to update the ticket. Press F9 to exit program.

• After a ticket is entered, but needs to be changed, choose Option 1, Update and Enter Transaction and press the enter key.

• Key in the ticket number 12345 and press F1 to display ticket.

• Make necessary changes to the ticket and hit F2 to change the ticket.

• To open up an unused ticket to be used choose option 3 Void and Cancel Tickets. Key in “O” for user code. Enter beginning ticket number and ending ticket number. Press enter. Press F1 to update and press F9 to exit screen. Choose Option 1 to enter the newly opened ticket.

• If a ticket has been used and you try to change it and it says “active ticket,” you must go to option 3 Void or Cancel Ticket and choose user code “O.” Enter beginning and ending ticket number. And hit F5 to open and active ticket. Press F1 to update.
