Imaging Services’ Offerings 1. Scanning and Indexing: Our experts scan and index

all documents, regardless of how they are packaged. We then give you the native electronic images/index data for import into other systems as needed.

• Paper documents of any size, including large format and unique sizes

• Micrographics, including microfilm, microfiche and aperture cards

• Services to convert paper or electronic documents to COM

2. Indexing Only: We can provide indexing services for documents you have scanned or imported. All that is required is electronic access to your OnBase system.

3. Hosting: We can make all imported documents available via the web client with our Cloud Services.

4. Courier Services, Physical Storage and Secure Destruction: Logistics for document hand-off meet your exact needs, whether you prefer our courier services or yours. We then return the physical documents to you, store them in our warehouse or vault, or perform secure destruction that satisfies security and document retention policies.

Imaging ServicesImaging Services helps you convert paper documents, film and other data formats to electronic content within OnBase. Performing inventory and indexing of these assets can be cost prohibitive in terms of allocating resources over extended periods of time using very manually intensive processes. In contrast, our Imaging Services team uses intelligent capture software for faster, more accurate indexing, specifically designed hardware for separation, and resources dedicated to the imaging practice. We do all the heavy lifting, and you get all the content you need in one place and immediately accessible via OnBase.

Likewise, if you’re packaging, shipping and storing documents in an offsite warehouse, basement, file cabinets or with a third-party, Hyland can convert these documents to immediately accessible and electronically indexed content.

Database Platform Migration ServicesPeriodically, our customers need to migrate from one database platform to another. Our Oracle® and Microsoft® certified database engineers can help if you are faced with this task. We’ll help you optimize the destination database to maximize performance and validate data migration. We also provide comprehensive documentation of the migration.

1. Comprehensive: Our consultants take complete ownership of every aspect of your conversion project in this turnkey, fixed-bid service. We conduct all project tasks – from discovery through export, import and QA, reducing constraints on your internal resources. We use custom conversion tools and a proven extraction methodology, built from over 20 years and hundreds of conversion successes. We’ve converted from more than 50 enterprise systems and platforms as well as home-grown solutions in all industries.

2. Transform & Load: This service is essentially the Comprehensive offering with the exception of the extraction step. Hyland provides the specifications and your team manages the content extraction. This may be ideal for teams with a hosted OnBase system and advanced expertise of the converted legacy system.

DATA CONVERSION SERVICES

If you have one or many existing content management systems in place today, you will inevitably have to consider converting data from them. Hyland has performed hundreds of successful conversions from legacy systems to OnBase – totaling over 4.5 billion documents migrated into OnBase.

3. Consulting: Our conversion experts act as your mentors at this service level. We afford your team the opportunity to learn best practices, methodologies and insight to support the necessary conversion tasks. This enables you to engage a conversion consultant on-demand and still drive the conversion process from beginning to end as you see fit.

4. Export: This option affords you the ability to own the task of importing legacy content and data into OnBase. Our consultants extract your legacy system files and metadata to an agreed upon staging location. You then import the legacy data at your own pace. This may be ideal for you if you have in-house resources with conversion experience yet you’re looking for specific guidance or oversight on a conversion from a specific system.
