LETTER FROM THE PRESIDENTOn behalf of the Arctic Winter Games International Committee I welcome you to the 26th Arctic Winter Games, the 50th year of the games.

A well deserved thank you to all the dedicated mission staff, host societ-ies, coaches, volunteers, the cultural participants and athletes who make this premier Circumpolar sporting event possible.

To the athletes involved, compete hard, compete fair and above all have fun.

The new friends and memories you will make during your week will last you a lifetime.

About the GamesThis year celebrates the 50th Anniversary of the Arctic Winter Games! The inaugural Arctic Winter Games were held in 1970. The games now contain nine contingents from all over the Circumpolar North. Almost 2000 athletes competing in 21 different sports will represent their regions at the Games this year. This is the 7th time the Yukon has hosted the Games, and we could not be more excited to welcome you all back to our beautiful Territory!

Mascot InfoDuring the week, keep an eye out for Däch’äw (rhymes with nacho), our lovable mascot! His name means Porcupine in the SouthernTutchone language, which is one of the many languages spoken in the Yukon. Däch’äw represents everything that the Yukon is; tough and formidable on the outside while also soft, cuddly and welcoming to those who come to visit. Our Mascot this year was designed by Owen McDonald.

The Hodgson Trophy Since its creation in 1978 The Hodgson Trophy has been awarded to the contingent which best exemplifies the values of fair play and team spirit during the Games.

Fair Play PinThe Fair Play Pin is not the same as the Hodgson Trophy. While the trophy is awarded to one contingent, these pins are given to individuals.The pins are awarded to members of any contingent, coaches, officials, and others by members of the Arctic Winter Games International Committee who feel the individuals have exemplified the ideals of fair play and team spirit.

Accreditation Each participant will be issued a picture accreditation

badge. It is important to wear this tag at all times during your time at the Whitehorse 2020 Arctic

Winter Games. This will give you access to the dining hall, athlete’s accommodation,

bus transportation, and competition venues. If you lose your

accreditation, report it to your coach or mission

staff immediately.ATHLETE SERVICESAthletes, coaches and managers will be residing in classrooms at the six accommodation schools. At each accommodation school there will be 24 hour security, a Mayor’s Office, as well as athlete lounges.

SECURITYDuring the Games, you will need proper accreditation visible to access control volunteers to enter specific venues. You will only be allowed access to the accommodation venue you have been assigned to.

24 hour Security will be provided at each Accommodation venue, it will be a combination of volunteers (access control) and paid security.

All rooms will lock automatically upon exit. Participants will need to visit their Mayor’s Office to request entry into their room, the Mayor or an access control volunteer will let you into your room. Participants will only be allowed to access the rooms to which they are assigned.

CURFEWQuiet time in all accommodations venues is 11:00 pm. Curfew for all participants residing in the accommodation venue is 12:00 am. Please respect the quiet time hours as all participants staying within your accommodation have different competition schedules. Any participant who violates curfew will be stopped by security and reported to their respective Contingent Chef de Mission.

ACCOMMODATION VENUE RULES Please respect the venue property and assets.  Do not touch

any electronic equipment or other classroom items.  

Participants can only sleep in the room they are assigned to.

Designated Female rooms are strictly off limits to males and Male rooms are strictly off limits to females (except for emergency situations).

No food is permitted in any accommodation room. Food may be eaten in common areas but participants are responsible for putting garbage in trash bins.

No alcohol is permitted in any accommodation venue.

Smoking or vaping is not permitted in any accommodation venue or on school grounds. 

Fire Exit doors are to remain in closed/secure position. Door propping is not permitted.

Visitors will not be permitted in accommodation venues. Participants must meet with visitors in non-restricted areas.

All rooms are set up with bunk beds. These are not to be moved. Mattresses are to remain on the bunk beds.

All accommodations have waste stations placed throughout the hallways for participants to segregate their own waste. Janitorial staff will empty bins when needed.

CLEANINGIt is the responsibility of the participants to maintain a level of cleanliness in their individual rooms. Washroom facilities and common areas will be cleaned by janitorial staff but we ask that participants make an effort to tidy up after themselves in all areas of their accommodations. Each accommodation room will have a garbage bin, we ask that you place your bin outside the door before lunch each day to be emptied by janitorial staff.

SECURED STORAGE & LOST PROPERTYParticipants are solely responsible for their personal items. Participants are urged to keep valuables in a secure location (locked classroom). In cases where teams/contingents may have to share rooms, secure storage space will be available in the Mayor’s Office to safeguard personal effects. Participants will be required to sign in/out their personal items and accreditation badges will be used as proof of identification. 

A Lost and Found bin will be located at the Mayor’s office at each accommodation venue. Please see Mayor’s Office or an access control volunteer to turn in or claim any Lost and Found items.

DAMAGESContingents will be held financially responsible for damages to Host Society property and accommodation venues.

SKATE SHARPENING

ATHLETE GIFTParticipants will receive an athlete gift from the Host Society, this includes one “50th Anniversary AWG” sleeping bag, one pair of Slides, and one set of sneaker ball shoe deodorizers.

LAUNDRY SERVICESLaundry service is not provided at accommodations but Whitehorse has laundry facilities available. Supplies can be purchased at each facility and all facilities are coin operated.

WIFI Participants will have access to wifi in every accommodation

venue. Wifi access points will be located within both the active and quiet lounges. Passwords will be posted within these locations.

ATHLETE ENTERTAINMENT ACTIVITY SCHEDULEThroughout the week there will be workshops and activities available in the evenings from 6 – 10 pm at each accommodation. The schedule will be posted within your accommodation, feel free to stop by the Mayor’s Office to find out more about it!

SWIMMINGThe Whitehorse Lion’s Aquatic Centre, located in the Canada Games Centre has a 25 metre pool with eight lanes, a leisure pool with water features including a lazy river an indoor waterslide, as well as a hot tub, steam room and sauna.

AWG participants will have free access to the Aquatic Centre throughout the Arctic Winter Games during public swim times below;

Monday 16th 4:00 – 6:00 pm (open to public)Wednesday 18th 6:00 – 8:00 pm (open to public)Thursday 19th 4:00 – 6:00 pm (open to public)

There will also be two dedicated “AWG Swims” for Games participants only.

Tuesday 17th 6:00 – 10:00 pm (closed to public) Friday 20th 6 :00– 10:00 pm (closed to public) Friday’s swim will include the Wibit which is an interlocking inflatable obstacle course providing fun for all ages!

FUN DAY AT SHIPYARDSOn Saturday, March 21 from 10:00 am – 2:00 pm, AWG participants can stop by Shipyards Park to enjoy a day of sledding and fun events, then warm up by the fire while sipping on hot chocolate or hot cider.

Food ServiceThe Cafeteria will open at 6:00am on Saturday, March 14 and will be operational until Saturday, March 21. The Cafeteria will open daily from 6:00 am – 10:00 pm and will be offering full meal service at the following times:

Breakfast 6:00 am – 9:00 amLunch 11:00 am – 2:00 pmDinner 4:30 pm – 8:00 pmGrazing stations 6:00 am – 10:00 pm

During time periods where full meal service is not offered, participants can access grazing stations which include items such as: continental breakfast, pasta stations, stir-fry stations, soups, chilli, sandwich bars, salad bar, assorted fruits and drinks.

Please note: all backpacks, sports bags, water bottles and coats must be checked at the coat check before entering the dining area.

CEREMONIES FEEDINGThe Cafeteria will have different operational hours on Sunday, March 15 and Saturday, March 21 due to the Opening Ceremonies and Closing Event. Cafeteria hours and feeding plan for these days will be shared with Mission Staff and will be posted within the Cafeteria.

There will be two levels of service offered to participants light meal service and snack boxes.

Medical Services The Polyclinic for the Whitehorse 2020 Arctic Winter Games will be

housed at Yukon College. As of March 14th the Polyclinic will be open daily from 8:00 am – 10:00 pm.

A Physiotherapy Service will be available from Monday to Friday from 4:00 – 8:00 pm at the Polyclinic. Before you can make an appointment for Physio you must receive a referral from a Doctor at the Polyclinic.

The polyclinic will not provide overnight or long term infirmary services, anyone requiring longer term care will be transported to Whitehorse General Hospital.

A 24-hour medical advice telephone line is available to all participants if they require medical advice outside of the Polyclinic hours. Should they need to, participants can call 811 and speak to a medical professional at any time.

Medical professionals will be located at all sport venues during competition.

CULTURE AND CEREMONIESOPENING CEREMONIESThe Opening Ceremonies will take place at Takhini Arena beginning at 7:00 pm Sunday March 15. Mission Staff will be given more information from the Host Society upon arrival to Whitehorse!

CLOSING EVENTThe Closing Event will take place at the Canada Games Centre beginning at 5:30 pm Saturday March 21.

CULTURAL GALAOn Thursday afternoon, March 19, AWG participants are invited to attend the dress rehearsal for the Cultural Gala, featuring cultural participants from all contingents. This takes place at the Yukon Arts Centre. Each team will be offered a block of seats. Contact your Mission Staff if you would like to attend.

AWG ART EXHIBITS - YUKON ARTS CENTREBefore or after a meal at the Yukon College cafeteria, stroll over to the Yukon Arts Centre to check out unique AWG exhibits.

The Main Gallery features emerging Yukon First Nations artists. Pick up a paintbrush and help paint one of nine murals in the Community Gallery, featuring all nine contingents. Artwork from Yukon children and youth will be on display in the Youth Gallery. Hours are 10:00 am – 5:00 pm Monday – Friday (hours extended until 7:00 pm Thursday).

CULTURAL FESTIVAL PERFORMANCESWe’re taking Yukon arts & culture to AWG participants as much as possible. Watch for short pop-up performances March 16–20 featuring Yukon artists at various AWG2020 venues.

MERCHANDISE & PINSAWG MERCHANDISE Hit up the official AWG store for all your Swag needs! Centrally located

at the Canada Games Centre, the store is stocked with AWG 2020 gear. AWG 2020 Merchandise will also be sold at Sports Experts on Main Street.

If you’re looking for something more local, there are plenty of shops in the downtown core. Ask your Mayor’s office for more information on the local shopping area and what you’ll find there! And don’t forget to check out the Cultural Marketplace at the KDCC, full of Yukon artists for something special to bring home!

PIN TRADING & BOOTHS The pin trading centre is located in the Canada Games Centre (CGC),

outside the merchandise store.

TRANSPORTATION

Bus TransportationOur bus system is called the Arctic Bus Network (ABN) which runs four continuous loops with transfers to accommodation and sport venues.

Yukon College will be used as the main transfer station for the four loops.

Service begins at 5:30 am and ends at 11:00 pm daily.

Each continuous bus loop is identified by a colour.

EMERGENCY INFORMATIONIN CASE OF EMERGENCY

In the event of an emergency, remain calm, stop what you’re doing, and follow all directions provided to you. If you

identify an emergency situation yourself, notify the nearest Security personnel or Games Volunteer immediately. Always

seek assistance rather than trying to handle an emergency situation on your own.

(867) 667-5551 for minor incident reports.

MEDIA INTERVIEWS Interviews will not be encouraged immediately prior to competition.

Media may, however, be granted an opportunity to interview a participant if a team official, preferably the Mission Media Liaison Officer, coordinates the interview through the team coach or manager.

During competition, media are not permitted on the field of play. “Court-side” comments at the end of competition will be permitted if requested.

Media interview areas are available adjacent to most sport venues where media scrums can take place immediately following competition. Coaches and/or mission staff are encouraged to attend these media scrums if appropriate.

Media interviews are not permitted in the locker room. Exceptions may be allowed if media make specific requests through Mission Media Liaison Officers and are sponsored by a team manager or coach.

Reconciliation Action Plan Tuesday, March 17, 2020 is Reconciliation Day for AWG2020. All participants are invited to wear their regalia on that day and come on down to the Kwanlin Dün Cultural Centre for programming and the opportunity to get a limited number of Reconciliation pins!

The Yukon leads the way as the only jurisdiction in Canada with 11 self-governing First Nations, so it was important for the Host Society of the 2020 Arctic Winter Games to demonstrate leadership by acknowledging reconciliation as a goal of the Games.

Arctic Winter Games 2020 Sustainability CommitmentAWG2020 is committed to leadership in sustainability performance by embedding economic, social and environmental standards of international accepted best practices, and leaving a positive community legacy in the delivery of these 50th Anniversary Games.

HELP US GET TO ZERO WASTE!The AWG 2020 Host Society is committed to its core sustainability principles and aims to host environmentally friendly games. Here are a few examples of what we are doing:

Offering free bus transit

Helium balloon-free event

Not providing single-use water bottles

Free safe drinking water stations available at most venues

Providing convenient containers for compost and recycling

Using caterers who source local foods as much as possible

BE ON OUR TEAM: Bring your water bottle, mug and reusable bags.
