Overview

Thank you for choosing Passy-Muir’s online meeting option. By meeting online, we save fuel, paper, and time. This guide will walk you through the initial meeting process, so that when it is time for your scheduled meeting, you will be able to join with no delay.

In order to join our online seminars, the minimum requirements are:

A PC or Mac computer (See “System Requirements for Windows and Mac” at the end of this document for more information)

A fast and reliable Internet connection—most broadband connections are adequate A phone connection, with speakerphone for multiple participants

If your facility has access to a training room with a projector, microphone, or loudspeaker system, we may be able to use these assets to enhance our presentation, and make it visible to a larger audience.

Webex is an online meeting service combined with a traditional phone teleconference. The only thing you will need to download will be a small program called Meeting Manager which works with your browser (Internet Explorer, Firefox, Safari, etc.) to run the meeting on your computer. You may need to check with your IT department if you have trouble installing the program, as many companies limit their employees’ access to certain features.

During the meeting, you will be able to view PowerPoint presentations, a whiteboard, live webcam, and any other programs the clinician shares with the viewers. You will also be able to hear the clinician, although the clinicians (called “presenters” in Webex) can decide to mute participants at times.

Here are a couple more things to think about before your meeting:

Passy-Muir’s Webex meetings make use of some Flash video content. If you ever browse the Internet, you probably have a Flash player installed. Just to be sure, you can follow the link below and click “Check Now” next to “Flash Player 6.0 or later.”

It may be necessary to turn off your Pop-up Blocker to connect to the meeting. You can turn it back on later.

Running a Test

Before a meeting is scheduled, a Passy-Muir employee will send you a “meeting test” link that will determine whether or not your computer has the capability to run a Webex meeting. This can be done at any time prior to the meeting—you will only join the actual meeting a few minutes before the scheduled starting time.

We highly recommend that you use the test link if you have not participated in a Webex meeting before. Please contact us at the number below if you run into any technical issues.

This link should be tested on the same computer(s) that will be hosting the actual meeting. If you do not have that information handy, or if you have not yet run the test, use this link:

Enter your information here. Webex will ask for your name and email when logging in to a meeting as a way of identifying you.

The first time you join a Webex meeting or meeting test, you will need to install Webex Meeting Manager. This will occur after you have clicked through several security warnings, depending on the programs you are using. You can proceed by clicking “Install” or “Run” on the warning screens that appear. Follow the instructions you see on the screen. Webex will try to start the meeting using Active X, and if this does not work, it will use Java. These are commonly used to run applications on the Internet, and starting a Webex meeting should not pose any kind of risk to your computer.

Meeting Manager should begin installation automatically if this is your first time joining a Webex meeting. This process takes about two minutes.

The test meeting screen should open, telling you that you are able to join a Webex meeting. If you have experienced any difficulties or were not able to reach this point, please contact Passy-Muir at the phone number or email address listed below.

Joining a Scheduled Meeting

If you have been invited by Passy-Muir’s Educational Services department to join an online seminar, you will receive an email containing all of the information required. This is how your invitation might appear in Outlook:

When you receive an email, make sure that the time and date are correct. This will be the time that the actual meeting takes place. Make note of any time zone differences between yourself, and host time zone. You may want to save the email message so that you can return to it later and join the meeting using the link. You can also add the meeting to your schedule if this option is allowed by your email program.

Webex will require you to register before the meeting begins, so you may want to register early. You can do this and see all of the scheduled meetings on our Webex page by following this link:

If you choose to wait until your scheduled meeting time to visit the meeting site, remember to join the meeting 10-15 minutes early in order to allow for registration, or to sort out any technical issues that may arise.

When you enter a meeting, you may need to wait for other participants to appear. The name that you typed in earlier should appear in the “Participants” panel. You will be able to send a message to the meeting host (the clinician giving the inservice) or other participants using the “Chat” panel. You may be able to view the host in the “Video” panel.

CEUs

Our webinars, like our online self-study courses, are each worth 1 hour of CE credit through ASHA (0.1 CEU at the intermediate level) and AARC (1 CRCE credit).

After the inservice has finished, you will be redirected to our online evaluation (survey), where you will be asked to enter your ASHA or AARC number, as well as other information required to process your credits. If you are not interested in earning CEU’s we are still interested in your opinion, and you are welcome to fill out the survey. The survey will keep looping back to the beginning so that multiple participants can use it. Patients have 48 hours to go online to take the survey and apply for CEUs. There is no paper version. The survey link is available from the webinar itself, and from the webinar invitation that may have been sent to someone at your facility.
