The “Travel Leisure Company” employs you as a travel agent. Following your “training period”, you, along with other travel agents will be hosting an Open House to promote travel destinations/packages to a variety of customers. You are responsible for preparing a promotional package and display materials for the Leading Hotel of the World (www.lhw.com).

MEET YOUR CUSTOMERS

Your customers will include the following target audiences:

Family of 4 – mom, dad, son (age 8) and daughter (age 12) o mid-range budget, interests: horses, swimming, gymnastics, history, theme park buffs; Dad is a college

basketball coach – mom is an interior designer, sister is a cheerleader and brother is an avid reader, skateboarder and plays electric guitar.

Senior couple o budget – luxury/high; golf, British ancestry, boating/sailing, fine dining/culinary, retired U.S.

Navy/chef & author

Young married couple o mid-range budget, he is a police officer and she is a teacher; favorite sports – soccer, swimming,

basketball, tae kwon do (he is a black belt), hunting, track

Group of friends – college friends reunion– ages 22 – 30 o group of 8 – same gender; budget mid-range

Things to Remember…

You are working to please the customer not yourself. Make sure you take time to review all web site information (for your destination and the country/surrounding area). If you have copied and pasted extensive amounts of information without reading it and knowing it you will be unprepared to present and interact with your customers.

It’s all about the marketing mix: o Product – what are your selling? o Price – what are the options for different budgets? o Promotion – is your information and display appealing? o Place/Distribution – where can your customers access additional information?

PART 1 – PROMOTIONAL FOLDER

A. Cover design an attractive, professional cover including company information and your showcased Leading

Property and the surrounding destination. Create this after preparing all other materials.

B. Business Card must include your name as specialty travel agent, complete company information and

standard company logo or other logo graphic.

C. Accommodations Brochure to include a variety of information about the hotel/resort that you are

showcasing. Brochures requirements:

FORMAT

o Three panel format

o Your name and company information on page 1.

o Full company information (including address, phone, email and url, logo) on the back page.

o Organized information.

o Coordinated use of color, size fonts and graphics.

CONTENT

o Amenities and feature of the property.

o Include three (3) level of accommodation: value, moderate and top of the line. This might include

“packages”. Include details about the type of room and amenities included with each price

point/package. Familiarize yourself with the different room options available so that you can answer

questions and make suggestions for your customers.

o Do more than just copy and paste! Use the tools and features available in Publisher to fine tune and

perfect your work.

D. Promotional Newsletter – to include the following topics.

FORMAT

o 4 page newsletter format.

o A bold title that suits the persona of your resort/destination.

o Your name and company information on page 1.

o Full company information (including address, phone, email and url, logo) on the last page.

o Organized information.

o Coordinated use of color, size fonts and graphics.

o Table of Contents – add to page 1 when the publication is complete.

COUNTRY/CITY FACTS AND DETAILS

o Country/City Highlights - Description that introduces/highlights the country and or city.

PART 2 - DISPLAY

A. Display – The main purpose of your display is to showcase your dream destination.

Your display will showcase your assigned Leading Hotel of the World.

Your display board should draw the attention of customers from a distance to stop by your booth and ask for information. Remember that we are showcasing LUXURY properties. Your display should exude luxury. Displays should include: Standard company information and logo. A large title. Pictures, drawings, and other items to illustrate information about your destination and the

surrounding area. Do not just print out information and pictures. Create a display that exudes the persona of your

property/country and the attractions/features that you are selling. Colorful, professional theme – should coordinate with Promotional Folder materials. Suggestions:

use the colors of the TLC Logo, add a holiday/Christmas twist, add a 3-D appearance to your board, use stickers, scrapbooking materials, lights, decorations to make your board amazing! Design a background before placing information on your board. Remember your board is a quick glance and you will need to explain details to your customers.

Additionally, enhance your booth with additional materials such as props, maps, flags, posters, signs, books, models, videos, music, etc.

The purpose of your display and presentation is to promote your property, the country, city and the attractions of the resort and area. It is important that you know accurate information and details about your destination. Do not mention or show something that you cannot verify.

SPELL CHECK and PROOF all materials.

All drafts are to be printed in black and white. No color printing until your work has been approved.

PART 3 – OPEN HOUSE PARTICIPATION

The Open House for the Travel Leisure Company

will take place on Thursday December 12, 2013

from 8:00am to 12:00pm. Students must obtain teacher permission to participate in this activity. Students are responsible for making up any missed assignments in classes missed during the Open House event. A pizza lunch will be provided after clean up Each student must contribute $2.00 toward the cost of the lunch. Students will return to class at the beginning of 8th period. ANY STUDENT WHO IS NOT PREPARED TO PARTICIPATE WILL BE SENT TO BACK TO CLASS AND WILL FORFEIT THE PARTICIPATION GRADE (200 pts.)! This includes setting up the event, having all materials ready, being dressed professionally, and cleaning up after the event. Each travel agent will be responsible for setting up their booth, including display, copies of brochures, pictures, etc. Be professional and creative. Travel Agent Role-Play – Each student will work in the role of a travel agent, specializing in information

pertaining to his/her assigned destination. Each student will be evaluated by a questioning/interview session by the teacher. Additional evaluation will include interaction with high school faculty, students, and tourism professional from the surrounding community. Professional conduct is required at all times.

Dress requirements – students must be dressed for success for this event (professionally). Based on the luxury, “black tie” theme, gentlemen are asked to wear black (or as dark as possible) pants, white dress shirt and a bow tie or regular tie. Bow ties are preferred. Dress shoes, No sneakers. Suit coats/vests are optional. For the ladies, black pants or a skirt (no pencil skirts) and a white blouse/shirt with a bow tie is required. Dress shoes required – no flip flops, Uggs, or sneakers.

Refreshments – each student is required to contribute one tray of baked goods (homemade or purchased)

for the Open House activity. Baked goods must be brought in by Wednesday December 11, 2013. Set-Up/Decorations – all students are required set up the library and their displays in advance of the open house.
