5. During Exhibition. Exhibition halls will be open from 7.30 a.m. to 5 p.m. daily (Exhibitors and Services Providers only).

6. Dismantling of ExhibitsDismantling of stands will be allowed on October 12, the last day of MINE-ENTRA 2018 from 5:00 p.m. until Hall doors are locked at 8:00 p.m. They will be re-opened on October 13 at 7:00 a.m. when dismantling may continue. Exhibitors shall remove all exhibition goods from the grounds and dismantle all site structures in the halls by 19 October, 2018.

7. Official Opening: Thursday, October 11 at 17.30 p.m. Hall 3.

RULES AND REGULATIONS RELATING TO THE HIRE OF SITES1. The following words or phrases shall, unless the context otherwise provides, bear the meaning

assigned to them:“The Authority” shall mean the Zimbabwe International Trade Fair Company (ZITF):“Exhibitor” shall mean the person, firm or company whose name appears as the hirer of the site/s.“Exhibition Centre” shall mean Zimbabwe International Exhibition Centre.

2. The rental set out overleaf, shall be payable as follows:(a) A 50% non-refundable deposit shall be payable on the date this form is delivered to the Authority. Should the form not be accompanied by such deposit,

then this Application Form shall be deemed null and void and shall not be considered by the Authority or be binding on it.(b) The balance of the rental shall be payable on or before the 31 st August of the year of the Exhibition. Should the Exhibitor fail to pay the said balance by

the said date, this contract, subject to clause 26, shall be deemed cancelled, without the Authority being required to give notice to the Exhibitor, and the Authority shall be entitled to:(i) Retain the said non-refundable 50% rental deposit;(ii) Re-sell the space that had been reserved for the Exhibitor as aforesaid, without further notice to that Exhibitor and without any obligation to the

Exhibitor.(c) However, at its sole discretion, the Authority may give the Exhibitor a grace period but only on condition that the Exhibitor pays an additional 20%

escalation on the rental for the space and the invoices are settled within 7 working days, failing which clause 2. (b) above would apply.

3. The exhibitor shall not, without the prior written consent of the Authority, cede, assign or transfer the whole or any portion of the site/s hired, nor shall be sublet, nor allow any person to occupy or in any way use the whole or any portion of such site/s. Only the bona fide goods and property of the exhibitor, or goods and property in which he deals in his business shall be exhibited by him on the site/s unless otherwise specially agreed in writing by the Authority.

4. Exhibitors hiring open sites shall have the right, at their cost:(a) to erect such buildings and structures as they may require for their use provided that:

(i) no building or structure shall be erected within 1.8m of any roadway;(ii) the design and specification shall be approved by the Authority before any work thereon commences;(iii) no building or structure constituting or causing a fire hazard or danger to the public shall be permitted;(iv) no building operations shall be allowed nor shall building plant and material, or rubble or debris, be left on the site while Mine-Entra or any other

Exhibition promoted by the Authority is in progress without the prior written approval of the Authority; (v) no private sanitary conveniences shall be installed except by prior written agreement with the Authority;

(b) to fence the site to a design and specification approved by the Authority;(c) to make connection to the Authority’s private mains for the purpose of leading water on the site/s provided that the connection to the authority’s

mains shall be made by a plumber nominated by the Authority and the charges in regard thereto, which shall be paid by the exhibitor to the Authority, shall be those determined by the Authority from time to time.

5. Exhibitors hiring sites in halls and covered areas shall:(a) have the right, at their cost, to erect such temporary structures as they may require for their own use provided that:

(i) the design and specification of such structure shall be approved by the Authority before erection;(ii) no structure constituting or causing a fire hazard or a danger to the public shall be permitted;(iii) no work on such structure or the erection there shall be allowed, nor shall any building or other material or rubble or debris be left on the site while

Mine-Entra, or any other Exhibition promoted by the Authority is in progress;(b) conform to the Authority’s requirements which may be issued from time to time in regard to:

(i) the playing of musical instruments and the volume of noise therefrom;(ii) the height of structures which may be erected;

(c) comply with the requirements of the Chief Fire Officer of Bulawayo.

6. Exhibitors shall have the right at their own cost:(a) to erect on their sites or on any buildings or structures thereon or display anywhere on their sites such advertisements and signs as in the opinion of the

Authority (i) are descriptive of the articles or things manufactured or dealt in by the exhibitor, (ii) are true, (iii) the claims made therein can be substantiated to the satisfaction of the Authority, (iv) are not offensive towards other exhibitors, persons or companies, and (v) do not infringe any of the laws of the country. The Authority may require to be removed any advertisement or sign which does not conform to the above. Should the exhibitor fail forthwith to remove such advertisement or sign when so requested by the Authority, then the Authority may remove or cause to be removed any such advertisement or sign and the cost incurred in so doing shall be recoverable from the exhibitor.

(b) to lead electric power from the Authority’s private mains to their site/s provided that -(i) the connection to the Authority’s mains shall be made by an electrician appointed by the Authority and the charges in respect of this connection and

current consumed shall be those from time to time determined by the Authority, and(ii) all internal wiring shall conform to the standard regulations of the City of Bulawayo and any regulations issued by the Authority from time to time.

7. Exhibitors shall be obliged:(a) display only foods and/or services precisely described upon registration.(b) to keep sites at all times in a clean and tidy condition and particularly during the Mine-Entra or Exhibition to have them cleared and ready each morning

in time for the designated opening hours. Exhibitors can contact Commercial Cleaning Services, details can be found under Section E of the Exhibitors Manual.

(c) to conform to the Public Health Bye-laws on the City of Bulawayo:(d) to complete the preparation of exhibits and be ready at least 12 hours before the opening of the Mine-Entra or Exhibition.(e) to insure his exhibition goods on consignment to site, during the Mine-Entra period and return from the ZITF.

7.1 LiabilityThe Authority shall hand over the defect-free stand to the exhibitor before the event starts. The exhibitor shall report any damage immediately and give the Authority the opportunity to rectify it. After the event ends, the exhibitor shall return the stand to the Authority in the same condition it was in before it was handed over to the exhibitor.

The exhibitor shall be liable for any damage caused to the Authority or third parties by the stand operator or its agents. The exhibitor commits to taking out necessary insurance cover (liability insurance, accident insurance etc.) and shall release the Authority and all companies involved from any claims by third parties.The Authority shall not be liable for any damage to items brought in by the exhibitor, damage to the stand and its fixtures or fittings, or damage to the exhibits. The exhibitor is obliged to insure its property appropriately.

7.2 Exclusion / clauseThe Authority is entitled to revoke its permission and re-allocate the space if the exhibitor violates one or more of the contractual conditions despite a spoken warning or if the stand space is not recognisably occupied on time by 2 hours before the official start of the event. In this case any claim for the previously paid stand rental shall expire, as flat-rate damage compensation.

8. No exhibitor shall:(a) cut down any trees without the prior written approval of the Authority;(b) use the site/s or any building or structure thereon in a manner which may cause damage or nuisance to the public, the Authority or exhibitors or

occupiers of other sites;(c) distribute any advertising literature or display any advertising matter elsewhere within the Exhibition Centre than upon the site/s unless previously

authorised in writing by the Authority;(d) sell, whether or a wholesale or retail basis, any goods from site/s unless specially authorised thereto in writing by the Authority and then only in respect

of such goods and on such conditions as may be stipulated by the Authority. It is especially agreed that the taking of orders for delivery elsewhere than on the Exhibition Centre is not prohibited by this clause: the exhibitor is responsible for obtaining special Trading Licences, if required, in accordance with the ZITF Act or as amended;

(e) carry on the business or trade other than the exhibition of goods and articles in which the exhibitor normally deals or the manufacture thereof and the taking of orders for the delivery of such goods elsewhere than on the Exhibition Centre unless otherwise specially authorised in writing by the Authority.

(f) use of name “ZITF” or “Zimbabwe International Trade Fair” or any of its logos;, except with the previous, explicit written permission of ZITF Management.

9. The Authority shall not at any time be responsible for any loss or damage whatsoever suffered by, or caused to any exhibitor, his officials, servants, workmen, contractors, hirers, agents, or principals arising from any cause whatsoever including, without limiting the generality, defects in structures, buildings or drains, defect in or failure of the water or electricity supply or other service, fire, flooding, theft, vandalism, terrorism or act of war.

10. Exhibitors may obtain temporary telephone installations on application to Tel*One. Charges in respect thereof which are laid down from time to time by the Postmaster-General shall be payable direct by the exhibitor to Tel*One.

11. Halls will be opened daily during the Mine-Entra or Exhibition one and a half hours before the official opening time and close half an hour after the official closing time.

12. Removal of Exhibition Goods, Buildings and Structures from Halls:Exhibitors shall remove all exhibition goods from the halls and dismantle all structures within three days of the conclusion of the Mine-Entra or Exhibition. Goods and structures may be removed from the Exhibition Centre immediately after the closure of the gates to the public on the last day of the fair, only if special permission has been obtained from the authority. A gate release permit must be obtained from the General Manager or duly authorised representative.

13. Removal of Open Site Buildings and Structures:Exhibitors shall remove site buildings and structures within 30 days of the official closing of the Mine-Entra or Exhibition unless otherwise specially authorised in writing by the Authority. All sites must be left in a clean and tidy condition and all excavations filled in. Any building or structure or other exhibition material or goods not removed in accordance with provisions contained in the clause shall be deemed to have been abandoned by the exhibitor and shall, if the Authority so elects, be and become the sole and absolute property of the Authority without payment of any compensation whatsoever. Alternatively, the Authority shall be entitled to arrange for the removal of such buildings, structures and other exhibition material and goods and recover the cost thereof from the exhibitor.

14. No approved signboards, advertising matter, painting or other matter or thing shall be affixed to any building or structure by an exhibitor on his site/s in such a way as to interfere with the vista or otherwise than parallel with the front of the site, save as may be specially arranged with the Authority. No signboard, advertising matter, painting or other matter or thing whatsoever shall be attached by the exhibitor to any building or other structure belonging to the Authority without the prior permission of the Authority, and then only on such condition as the Authority may from time to time determine.

15. Obstruction of Gangways or Open Spaces:No exhibitor shall any time obstruct or allow to be obstructed by his goods or in any other manner whatsoever, gangways, thoroughfares, passages, open spaces, roadways or pathways. A breach of the conditions of this clause shall entitle the Authority to have such obstruction removed at the cost of the exhibitor should he fail to clear such obstruction within 60 minutes of being so required by the Authority.

16. Fencing of Machinery:All machinery in motion must be railed or fenced off and all moving parts must be adequately shielded or protected in such a way as to protect the public and others from injury.

17. Dangerous, Objectionable and Noisy Exhibits:(a) The Authority may in its absolute discretion require any exhibit which, in its opinion, is dangerous or objectionably to be removed forthwith.(b) The Authority may make such rules and regulations as it may consider necessary from time to time in the interests of public health, comfort and safety

in respect of objectionable or noisy exhibits which may cause inconvenience.(c) No exhibitor shall install or use any sound amplification or Public Address system on or from his site/s at any time.(d) Exhibitors of radios, gramophones, television sets, tape-recording instruments and other similar appliances shall ensure that the volume of sound

therefrom does not constitute a nuisance to other exhibitors and to the public attending the Min-Entra or Exhibition. The Authority reserves the right to bring into force and vary as may be necessary from time to time, regulations in regard to the playing of such appliances and the volume of noise therefrom.

18. Indemnity:The exhibitor hereby indemnifies the Authority against all loss, damage or claim whatsoever and the costs of defending any such claim.(a) arising out of a breach of the Rules and Regulations or any act, commission, or neglect on the part of the exhibitor, his officials, servants, workmen,

contractors, hirers, agents or principals, or(b) arising out of or as a result of any injury or accident cause to or occasioned by any goods, exhibits, machinery, building or structures which are owned,

hired or borrowed by the exhibitor, or for the presence of which at the Mine-Entra or Exhibition the exhibitor is responsible.

19. Consigning Goods or Exhibits to the Grounds:All goods forwarded for exhibition of the Mine-Entra or Exhibition must be consigned to the Exhibitor, c/o ZITF, Zimbabwe International Exhibition Centre, Bulawayo and all charges thereon must be prepaid. All contractors employed by exhibitors for the erection of buildings and structures prior to the Mine-Entra or Exhibition must consign all material to the exhibitor as above.

20. Admission to Exhibition Centre prior to ZITF or Exhibition:Admission to the Exhibition Centre prior to the Mine-Entra or Exhibition shall be by pass issued by the Authority. Exhibitors and/or their duly authorised contractors, artisans and employees shall obtain such passes from the Authority, which will admit them to the Exhibition Centre at any time during normal working hours for the purpose of erecting such structures as may be required to house their exhibits. All exhibitors, artisans and contractors must produce their passes at any time when so required by the Authority’s officials. Admission will be by such access gates as shall from time to time be decided by the General Manager.

21. No exhibitor shall paint, colour-wash or otherwise colour or disfigure any of the internal walls of any hall without the prior written consent of the Authority or otherwise cause any damage whatsoever to the property of the Authority. Any damage so caused shall be made good at the entire cost and expense of the exhibitor concerned and to that end the Authority shall be entitled at its opinion to cause such repair work as may be necessary to be done and recover the cost thereof from the exhibitor concerned.

22. The Authority Shall Have the Right:(a) to reserve the right of admission to the Exhibition Centre at any time or on any particular occasion;(b) to make such charges for admission to the Exhibition Centre as it may from time to time decide;(c) through its authorised representatives and workmen, to enter upon any site or any building or structure thereon for the purpose of inspection and to

carry out such work thereon or thereover or thereunder as may be deemed necessary or desirable;(d) through its authorised representatives and workmen, to erect, lay, inspect, repair and maintain, pipelines, power-lines and sewers over or under any

open site provided that it makes good any damage to the exhibitors’ property occasioned by its so doing.

23. Cancellation of Contract:(a) Provided that written notice of an intention to cancel, together with a statement in writing setting out the reasons for requiring to do so, are submitted by

an Exhibitor to the Authority 90 days (ninety) before the start of the Exhibition, due consideration shall be given by the Authority to the granting of such cancellation. In the event of the Authority agreeing to the requested cancellation:(i) The Authority shall be entitled to retain 50% plus VAT of the rental as damages for cancellation;(ii) Refund the Exhibitor the balance of the rental paid.

(b) No cancellation shall be considered, if made within 90 days (ninety) of the Exhibition and if any Exhibitor does cancel, nonetheless, then in such eventuality, the Authority shall:(ii) Retain or be entitled to 100% of the rental due for the space that had been reserved for the Exhibitor; and(iii) Be entitled to re-sell such space without incurring any obligation to the Exhibitor.

24. Breach of Regulations:In the event of the breach by any exhibitor of any of these rules and regulations then in addition to any other legal remedies available to the Authority, the Authority shall at its option have the right to:(a) cancel the booking of the site and, if the exhibitor is already in possession thereof, eject him therefrom. In such even the Authority shall have the right

to retain any rental paid as damages for breach of these rules and regulations, the exhibitor and the Authority agreeing that the rental so paid is a fair and reasonable estimate of the damages suffered by the Authority as a result of the breach. If any building or structure has been erected on the site, such building or structure shall accrue to the Authority without payment or compensation. Should such building or structure not be required by the Authority it shall be entitled to have such removed in which event the costs of removal shall be recoverable from the exhibitor:

(b) call upon the exhibitor to remedy the breach and failing compliance therewith, cause the breach to be remedied and recover the cost of so doing from the exhibitor;

(c) claim payment of all damage suffered as a result of the breach complained of;(d) claim legal costs on the legal practitioner and client scale where legal practitioners are employed to demand payment or give advice on the breach of

these rules or otherwise act so as to enforce these rules.(e) cancel the contract if the exhibitor advertises / offers any other goods and/ or services apart from those registered (see Clause 8e). Once the Authority

has cancelled the stand contract, it may immediately rehire the stand. In this case, the Authority shall charge a flat-rate processing fee in the amount of 50% of the hire price for the stand area booked, plus VAT.

25. The Exhibition Centre is private property and only authorised vehicles may be brought into the area. Authorised vehicles must be parked in designated car parks. All vehicles brought into the Exhibition Centre are at the owner’s risk and the entry of a vehicle into the Exhibition Centre impliedly authorises the Authority to remove it at the owner/driver’s cost and risk if incorrectly parked or present without authority.

26. Notwithstanding anything herein contained:(a) The Authority shall be entitled to act through its General Manager or any authorised Committee or person;(b) This Contract shall only be effective and binding once the Authority has signed the Contract accepting the Application of the Exhibitor.

27. Force MajeureIn the event of the Exhibition being cancelled by the authority as a result force majeure the exhibitor shall be entitled to a refund of 75% of the rental. If the Authority is forced to shorten the hire period once it has begun, or call it to an early close, the exhibitor shall not be entitled to any reimbursement of the stand rental either in part or in full.

28. Final provisionsOrally concluded agreements shall only be valid if they are immediately confirmed in writing by the Authority. If the exhibitor has commissioned the Authority to provide fee-based services in addition to the services which comprise this contract, a separate invoice shall be issued for such services. If any individual provisions of this contract are invalid in whole or in part, or if the contract contains any gap, this shall not affect the validity of any other provisions or parts of such provisions. Corresponding legal regulations shall come into effect in place of the invalid or missing provisions.

14. Payments14.1 Payment of stand rentals/ advertising charges: Rentals and advertising charges are payable to ZITF, and not to individuals. Zimbabwe

Exhibitors may settle their account by cash or by cheque payable to Zimbabwe International Trade Fair to be sent to aforementioned address. Foreign Exhibitors are requested to make all payments by bank transfer and follow above procedures. See also Section A, p.4, Item 2. All payments must include full bank charges.Exhibitors who book a stand three weeks or less before any exhibition must pay their stand rental and any other Mine-Entra charges in cash or by banker’s cheque. Company or personal cheques will not be accepted.

ZITF will issue a PROFORMA INVOICE. Upon receipt of payment thereof, a fiscal invoice will be issued.If payment is made by bank deposit, a copy of the deposit slip must be faxed to ZITF and the name of the exhibitor and of the bank where the deposit was made must be clearly marked. Please use the Remittance Advice Form.

If by the first day of the Exhibition, the Exhibitor is still in debt to ZITF, the stand may be closed by ZITF Management until full payment has been effected. The Exhibitor may be asked to leave the stand and a Security Guard appointed by ZITF may be placed on the stand.

14.2. Payment of services: The administration fee for the Stand Attendant service (see Section B, p.10, Item 14) is payable to ZITF. The daily fee is payable to the stand attendant direct. All other services such as telephone installation, furniture and plant hire, courier service, etc., must be settled direct with each contractor. Exhibitors are themselves totally responsible for making their own arrangements for services required.

15. Contractual obligationsPlease refer to the “Rules and Regulations relating to the Hire of Sites”. Making payment and/or participation in Mine-Entra 2018 automatically implies acceptance of above Rules and Regulations on page 4 of this Exhibitors Manual.

16. Insurance of goodsPlease refer to Section D for Order Form and NOTE THE DEADLINE.

17. Sale of goodsBecause of the professional nature of the exhibition, the direct sale (spot sales) and open price-labelling of goods or samples on the stands is prohibited. No unauthorised commercial activity, in particular the offering or selling of objects or services of any kind is permitted within the Exhibition Centre, unless specifically authorised by ZITF Company in writing or from stands specifically designated for the purpose of selling. ZITF Company Management has the right to inspect the stands and take the appropriate measures if these rules are not adhered to. If an exhibitor violates his/her contractual obligation through direct sales, the ZITF Company is entitled to close his/her stand.Compensation or claims for reimbursement by the exhibitor are ruled out in the case of all above-mentioned measures. See also Rules and Regulations relating to the Hire of sites, Item 8d and e on p.5 of this Exhibitors Manual.

18. Receptions on stands in exhibition hall Reception time: Receptions may be held on stands within the Exhibition hall between the hours of 9 a.m. and 5 p.m.,

provided the reception does not start after 3 p.m. and prior approval of ZITF Management has been received.

Stand boundaries: Receptions must not extend beyond the boundary of the exhibitor's stand and must not encroach onto the public passageways. SUCH RECEPTIONS WILL NOT BE PERMITTED TO CONTINUE AFTER 5 P.M. AS THE EXHIBITION HALLS HAVE TO BE SECURED FOR THE NIGHT.

SUITABLE VENUES ARE AVAILABLE IN THE ZIEC FOR EVENING RECEPTIONS. CONTACT THE LOGISTICS ADMINISTRATOR ON [email protected].

Only Exhibitors on external sites are allowed to host receptions after closing time.

19. Publications19.1 Catalogue

Please refer to Section D for Order Form 1 and NOTE THE DEADLINE. The MINE-ENTRA Catalogue will contain general exhibition information, lists of local and foreign exhibitors, the exhibition

products/services of each exhibitor, a products and services index and advertisements. Each Company represented on the stand, is entitled to one free copy of the catalogue to be collected from the Exhibition Co-

ordinator. Catalogues will also be for sale at the ZITF information stand and at Gate 6. All exhibitors are requested to complete Section D, Order Form 1. and return it to the ZITF Administration Office not later than

September 7, 2018 to ensure inclusion in the MINE-ENTRA 2018 Catalogue. The information supplied on Order Form 1 will be inserted free of charge, but ZITF Management reserves the right to re-word

the information where necessary. Please T Y P E all information in order to avoid transcription errors. Use the online facility to complete all forms on www.zitf.co.zw/mineentra.

21. Complimentary Exhibitors' BadgesEvery exhibitor will be entitled to free exhibitors' badges depending on the area of stand occupied as enumerated below. These badges allow unlimited entry into the Zimbabwe International Exhibition Centre and to all exhibitors' facilities.

Tickets and badges will be available from the ZITF Office from the stipulated date onwards. Tickets and badges will NOT be sent to exhibitors, but will be kept at our offices and may be collected by any person who can submit proof of identity that he/she represents the exhibitor.

22. Traffic regulations in the Zimbabwe International Exhibition Centre22.1. Roads

Please note that the roads within the Zimbabwe International Exhibition Centre, are as far as the Road Traffic Act is concerned, regarded as public roads, therefore all appropriate rules of the road must be observed: - Drive on the left.

- Give way to traffic approaching a junction from your right. - Accidents should be reported to the Traffic Police.

22.2. Speed limitDue to the great congestion in the Zimbabwe International Exhibition Centre and the many blind road junctions, we insist that you at all times observe the special MAXIMUM SPEED LIMIT OF 20KM PER HOUR.

22.3. Vehicles in exhibition hallsNO vehicles may be driven into the exhibition hall for unloading/loading purposes. Any damage caused by goods vehicles entering the halls illegally must be reported to the ZITF Facilities Manager or Hall Manager immediately. The driver will be held responsible for any such damage. Any drivers found contravening the above regulations will not be re-admitted to the Zimbabwe International Exhibition Centre. This restriction would take immediate effect.

22.4. ParkingDuring the exhibition guarded parking for exhibitors and visitors is available in the Zimbabwe International Exhibition Centre via Gate 7.

TECHNICAL DESIGN, PLANNING & CONSTRUCTION23. Construction Times Of Stands In Halls

All stand construction should cease within 36 hours prior to the opening of Mine-Entra. The last 36 hours may only be used to organise the display on the various stands.

24. Modular Stand Service: PLEASE NOTE THE DEADLINES ON THE ORDER FORMSSTAND BUILDING - For all queries: Contact [email protected]

Once an exhibitor has booked and paid for a modular stand, this order cannot be cancelled. Exhibitors are urged to discuss their stand building requirements before placing their order with ZITF.

24.1 Basic Modular Stands:ZITF can offer Modular Stands of various sizes, comprising: White Partitioning with System Section to a height of 2.50m 1 x blue Fascia board (1.200m x 0.260m deep) with one company/country inscription and stand number 1 x 15 amp plug 150 Watt spotlights (minimum 2 spotlights) - The number of spotlights depends on size of stand. Carpet tiles Additional fittings are optional as per price list on Form SB1.

For Exhibitors who book space only in a Hall, the hire of a single-phase electrical distribution board is compulsory.

24.2 ZITF offers New Innovative Design for the Walk-on-Packages including the regular modular stand. Lockable cupboards, plinths and other features that allow for extensive branding on facias and towers.

24.3 Designer stands: ZITF can deliver custom-built stands at exhibitors’ expense. An Internationally renowned prize-winning Expo Guys is the ZITF strategic partner for the provision of exhibition infrastructure, which comprises designer stands and features, furniture and marquee hire.

24.4 New guidelines for stand design/building are applicable

No draping will be allowed on the stands because they are considered a fire hazard. The maximum length of any wall facing a passage is 4m. The panels above must NOT be left plain but be decorated with graphics, posters or any other material (except draping) so

that passers-by and neighbours face a pleasant display. Stand builders will be requested to take down any wall that is not suitable and spoils the over-all aesthetic effect of the exhibition.

Designers/stand builders must submit to ZITF for approval plans as front, side and top elevations with dimension for stands larger than 18m2. E-mail or plans to [email protected] or fax to 884921.

ZITF reserves the right to inspect the stands and recommend such adjustments and if such changes are not made ZITF reserves to close the stand

24.5 Passageways EncroachmentPlease ensure your stand design or the contents of your stand stay within your allocated space and do not protrude into the passageways/ gangways. This includes rags, mats, plants, rockeries, covering of any sort.

24.6 Furniture and Extras Orders (Order Form SB1): Please refer to the separate Furniture Catalogue for illustrations of most of the items listed on Order Form SB1. Orders for extra electrical fittings and system furniture will be acceptable only from exhibitors who have reserved a modular

stand and when made on Order Forms SB1 and SB2. Orders with payments must reach ZITF and be accepted before 21 September 2018. No orders can be accepted after this

date as this may delay the deliveries of stand building materials. No orders will be fulfilled if ZITF has not received payment. The prices quoted include 15% VAT and are for the duration of the show. They are SUBJECT TO CHANGE upon advice from

the suppliers. Orders received after the deadline will incur a 15% surcharge. Availability of materials: All orders are subject to availability of materials and ZITF RESERVES THE RIGHT TO DECLINE

ORDERS IF NECESSARY DUE TO LACK OF MATERIALS OR TIME. Contractors’ Office: Two weeks before and during Mine-Entra, the Mine-Entra modular stand builders’ office will be situated

near Door 6 in Hall 4.

24.6 TELECOMMUNICATION DEVICES: ANY EXHIBITOR OR CONTRACTOR WISHING TO INSTALL ANY TELCOMMUNICATIONS DEVICES WITHIN ZITF PREMISES SHOULD GET PRIOR PERMISSION FROM ZITF MANAGEMENT. Contact Alois Mabika the ICT Co-ordinator on [email protected]

25. Damage Or Disfigurement To ZITF PropertyYour attention is specifically drawn to Rules and Regulations to the hire of sites which can be found in Section A, p.4 of this manual. It reads as follows: "No Exhibitor shall paint, colour-wash or otherwise colour or disfigure any of the walls or floors of any hall or ZITF preconstructed stand without the prior written consent of the Authority or otherwise cause any damage whatsoever to the property of the Authority. Any damage so caused shall be made good at the entire cost and expense of the exhibitor concerned and to that end the Authority shall be entitled at its opinion to cause such repair work as may be necessary to be done and recover the cost thereof from the exhibitor concerned".The present policy regarding the mutilation of the fabric of any ZITF exhibition hall or preconstructed exhibition stand is:- NO HOLES may be drilled in floors or walls or other fabric of our halls or preconstructed stands. NO NAILS may be driven into our hall or stand material. NO PAINT, adhesives or varnish of any kind may be applied to hall floors, walls or ceilings or preconstructed stands. NO FLOOR COVERING may be stuck down by adhesive. (Double-sided tape is quite acceptable). ZITF will not give any authority for such mutilation of the fabric of our exhibition halls or preconstructed stands.

26. Contraventions.Any contractor/exhibitor found contravening these requirements will:-- IN THE FIRST INSTANCE be required to immediately cease work and BEFORE PROCEEDING WITH THEIR CONTRACT,

return our property to the condition in which it was found, to the complete satisfaction of ZITF.- IF CONTRAVENTIONS CONTINUE/RE-OCCUR the contractor/ exhibitor will be immediately denied all access to the Exhibition

Centre, and ZITF will repair/return the area to its original condition, at the contractor's/exhibitor's expense.

27. Contractual obligationsPlease refer to the Rules and Regulations to the Hire of Sites on page 4 of this Exhibitors Manual for the following items:

30. Height of exhibitsThe maximum height of exhibits in the hall is 4,5m, unless special written authority to exceed this height has been given by ZITF Management. Partitions dividing adjoining stands must not be higher than 2,50m unless a specific height has been negotiated between the neighbouring exhibitors.Please note: 1. For safety reasons plans must be submitted to the ZITF authorities for any stands that exceed the maximum stipulated height

in any hall. 2. If, on any stand in any hall, a level above the ground floor is occupied for exhibition purposes, an extra 25% of the space

rental fee will be charged per m2.

31. Weight of exhibitsThe exhibition floor area in all Halls is concrete and has an unlimited weight load.

32. Fire regulations32.1. Materials

All materials used in the construction of stands and exhibits should conform with local regulations which are available from: The Chief Fire Officer, BULAWAYO.

32.2. Fire fighting equipmentThere are static fire hose reels at designated positions in the exhibition hall. The optional installation of fire fighting equipment on exhibitors' stands is left to the discretion of the individual participant, but is strongly recommended.

33. Fencing of machineryAll machinery in motion must be railed or fenced off and all moving parts must be adequately shielded or protected in such a way as to protect the public and others from injury.

SMOKING IS NOT ALLOWED IN THE HALLS OR ADJACENT ROOMS

SERVICES34. Storage of goods34.1. Storage of packing cases

No charge will be made for the storage of packing cases and containers prior and during MINE-ENTRA on designated areas. Though reasonable care will be taken, ZITF Management does not accept any responsibility in case of damage or theft.

35. Security in the Zimbabwe International Exhibition Centre (ZIEC)35.1. General Security

Exhibitors can hire guards from any reputable security firm that is a member of the ZITF Service Providers Association (ZSPA). In such case, the exhibitor should complete Order Form 8 to advise the organisers of their choice.

35.1.2 No guards in Halls overnight. Halls will be locked at 17.15 every night.35.1.3. Security needed between 7.30 a.m. - 9.00 a.m. before opening of Expo.

35.2. Operational ConditionsOver the years it has been shown that certain exhibitors that have employed unlicensed security companies have experienced difficulties during the Exhibition. Therefore, in order to regulate the hiring of security personnel, it is incumbent upon the exhibitor and contractor to ensure that the security organisation employed is fully licensed under RGN 302 of 1978 (as amended). This licence has to be renewed annually. If the security organisation is not licensed, ZITF reserves the right to deny access into the Zimbabwe International Exhibition Centre to guards of that organisation. Security firms that operate at MINE-ENTRA must charge the minimum tariff determined for their guard duties. The contractors listed in Section E of this Manual have registered with ZITF, but no guarantee is given or implied by the ZITF Authority. ALL SECURITY ORGANISATIONS THAT WISH TO OPERATE IN THE ZIEC MUST BE A MEMBER OF THE ZITF SERVICE PROVIDERS ASSOCIATION.

36. Electrical servicesRefer to Section D for Order Form and NOTE THE DEADLINE.See Rules and Regulations to the Hire of Sites on page 4, item 6b with further regulations.

36.1. Basic electrics available at the Zimbabwe International Exhibition Centre36.1.1 Voltage supply : 50 cycles/hertz

(Permissible variation 48.75 - 51.25 cycles)220 volts - single phase (Permissible variation 210 -240 volts) 380 volts - 3 phase (Permissible variation 365 - 415 volts)

36.1.2. Mains supply: 300amp. three phase maximum at major distribution points throughout the grounds.

Please note: ZITF does not guarantee a dedicated power supply and is not responsible for any fluctuation in power supply that may reflect on your electronic equipment.

The Zimbabwe International Exhibition Centre is subject to Zimbabwe Electricity Supply Authority (ZESA) load shedding. You are to exonerate ZITF Company from any liability for damage or inconvenience caused by such ZESA power cuts.

36.2. Installations36.2.1. Hall lighting Hall 3

Perimeter stands: No fitted lighting. 13 amp. single phase power outlet at regular intervals.Central stands: No fitted lighting. Electricity and telephone carried overhead to all stands. All stands will be provided with at least 1 power outlet free of charge.

36.2.2. Hall lighting : Hall 4Perimeter stands: No fitted lighting. 13 amp. single phase power outlet on stands.Central stands: No fitted lighting. Electricity and telephone carried overhead to all stands. All stands will be provided with at least 1 power outlet free of charge.

36.2.3. Hall lighting : Hall 5Perimeter stands: No fitted stand lighting. 15 amp. single phase power outlets at regular intervals.

36.2.4. Modular StandsBasic lighting and one only 15 amp. single phase power outlet per stand. Adptors are available on hire.

36.2.5. Pavilions, Open Sites: One only 15 amp. power outlet provided on External Sites not on lease. Exhibitors are responsible for the cost of additional installations on the stand.

36.2.6. Three Phase Supply: Available at outlets throughout the exhibition centre at the exhibitor’s expense.

36.3. Extra Electrical RequirementsMost parts of the Zimbabwe International Exhibition Centre are well supplied by electrical reticulation systems. Any extra electrical fittings or power points required by exhibitors, may be installed by the ZIEC Official Electrician.Fill in Order Form 6, Section D for the ZIEC Official Contractor. For safety reasons, please list the equipment that will be in use. Any extra work required must be arranged by the exhibitor with the contractor and any charges involved must be invoiced direct from the contractor to the exhibitor.

36.4. Electrical specifications 36.4.1. Use of parallel flexible twin cord

This cord is known as 'rip-cord'. The Area Manager of ZESA has instructed that this type of flex must only be used in strict accordance with rule 411B of the Central African Wiring Rules, i.e. for a single fixed light or pendant. It may not be strung or tacked along wood or metal supports, owing to the considerable risk of fire or shock. It may not be used in any location where abrasion could occur.

36.4.2. Connections Unless specifically authorised by the ZITF no person other than the authorised official ZITF electrician shall be permitted to make or remove any connection from any grid, pillar or any other existing system or distribution point other than a properly installed plug outlet, or other recognised connection on an exhibitor's own site. By regulation this onus of safety of an installation is on our Electrician. If it does not comply with safety standards he cannot energise the system until rectified. FINAL CONNECTIONS OR DISCONNECTIONS TO THE ZITF DISTRIBUTION POINTS MUST BE MADE BY OFFICIAL ELECTRICIAN who will charge a nominal amount for the work. This Electrician can be Contacted on ZITF telephone number.

36.4.3. Cables All light circuits MUST be run in cable of not less than 1,5mm PVC. All plug circuits MUST be run in cable of not less than 2,5mm PVC. All electrical equipment drawing current in excess of 15 amp. must have cable sizing to C.A.S. Wiring Regulations No. CCI 1964 Amendment 4 (1974).

36.4.4. Circuit breakers All lighting circuits to be on a maximum breaker of 10 amp. All single phase plug circuits to be on a maximum circuit breaker of 15 amp.

36.4.5 DISTRIBUTION BOARDS. For Exhibitors who book space only in a Hall, the hire of a single-phase distribution board is compulsory.

36.4.6. Earthing All metal fittings, switches, plugs and sub-boards to be securely fixed to a stable structure, and properly earthed.

36.4.7. Inspections The Bulawayo Director of Engineering Services has advised us that inspections of stands, pavilions and sites will be made by a senior Installations Inspector of the Department. C.A.S. Regulations will apply to all installations. Should the Inspector be dissatisfied with the safety of any electrical installation, he will instruct our contractors to de-energise the system forthwith.

THESE RULES ARE MADE FOR THE SAFETY OF ALL. PLEASE CO-OPERATE. YOUR OWN AND PUBLIC SAFETY IS OF PARAMOUNT IMPORTANCE.

37. Water supply in the Zimbabwe International Exhibition Centre37.1. Water on exhibition site

No water is available on stands in exhibition halls. If running water is required in individual outside pavilions or on open sites, this may be arranged at the exhibitor's expense, if not already installed on the stand. All plumbing work must be carried out by a qualified plumber with prior reference to the General Manager or Facilities Manager.

37.2. SewerageNo connection to be made to the ZIEC sewer and water without prior reference to the ZITF General Manager or Facilities Manager.

38. Customs clearing and forwardingClearing of goods: Exhibitors using clearing agents are requested to send a set of ORIGINAL documents plus 3 copies to the agents by courier. The clearing agent must be a member of the ZSPA.

We request exhibitors advise to ZITF of the transport and clearing companies they use in case assistance is needed.All goods must be consigned to the Exhibitor, not to ZITF Management.

39. Seminar/conference facilitiesA full conference programme will be organised during MINE-ENTRA, details of which are available from Ms Stella Nkomo, Marketing and Public Relations Manager.Venue: Hall 3 - Zimbabwe International Exhibition Centre.

40. Stand cleaningSee Rules and Regulations to the Hire of Sites, item 7a on page 4 of this Exhibitors Manual. 41.1. Rubble and Rubbish Removal: All rubbish from stands in halls should be dumped OUTSIDE the hall in a bin, near the closest door, NOT in the hall passages or on other stands. Exhibitors and stand builders must assume that all stands in halls have been sold and must therefore be clear of rubbish at all times in order to allow other exhibitors to commence with their stand construction. We ask for courtesy and co-operation in this respect.

41. Public ConvenienceToilets are situated in Hall 3 by door 2, in Hall 4 near door 3 and in Hall 5 by doors 4 and 5.

42. Exhibitors Lounge The Exhibitors Lounge is situated next to door 3 in Hall 3 and door 5 in Hall 4 and is for the use and comfort of exhibitors only.

In actual fact, the service costs hundreds of United States dollars and is valid for three years.

Please note that Construct Data Verlag has also used our name and information from our website without our knowledge or approval. ZITF Company would like to point out that we are not in any way affiliated to or have any business dealings with Construct Data Verlag. We explicitly distance ourselves from the business practices of that company.

We are reliably informed that Construct Data Verlag will also threaten to take legal action against companies that do not pay for their services after signing up for entry into their directory. However, to date, we are not aware of any case that has been ruled in their favour.

Expo-Guide.com play an old trick, but one that is easy to fall for. By sending out a confusing application for directory listing to trade show exhibitors, Expo-Guide.com effectively cons applicants out of 3,543 euros each.EXPO-GUIDE is an online business directory that you can find at www.expo-guide.com which is effectively conning thousands of people into entering into a legal contract to pay the company thousands of euros just to get an online listing on their directory website.The way this scam works is as follows: Expo-Guide.com, the front of a Mexican organisation called Commercial Online Manuals S de RL de CV, scans European trade journals to find out when the various trade shows and business expositions are taking place. They then get a list of upcoming exhibitors or past exhibitors for those shows which they send a letter and application form for their Expo-Guide.These are the letters recently sent to health companies in the UK before The Natural Trade Show in Harrogate. (Identifying details have been blanked out but they are actually typed in automatically so all you have to basically do is sign the form and put it in the pre-paid envelope.)The fuzzed out address is the address of the business to which this form was sent. Notice how it is very easy to assume that this is a directory listing for the Natural Trade Show itself. You can be assured that this confusion is deliberate.Here is the application form that is sent:On the back is some very faint terms and conditions printed in very light gray so the applicant is very unlikely to read them. Here is a scan that has had the contrast considerably bumped up and gamma adjusted so you can read it here:If you were a business Exhibitor about to go to a trade expo, and you were sent the above letter and form (remember, the terms and conditions are either tiny or extremely faint) you might well be under the impression that this is a directory listing for the trade show that you are attending. In fact, most offices might have admin employees that don't read the small print because they are so busy. So this is an easy scam to fall for, especially considering the number of businesses "advertising" on www.expo-guide.com.Be warned that by signing the form and sending it off in the prepaid envelop it appears you are legally liable to pay this Mexican company €1181.00 per year for a minimum of a 3-year contract. Not only that, if you do not cancel in writing within 3 months before your 3 years is up, you will have another year to pay and another after that until you cancel in writing. When we asked trading standards the same question they said they had a thick file on this company and generally advised people who have fallen for these types of directory scam not to pay them. (This is not legal advice... just the personal opinion of the guy speaking on behalf of trading standards.)And if you choose not to pay, Commercial Online Manuals S de RL de CV will certainly threaten legal action, but ultimately it is very unlikely they are going to want to go the expense and bad publicity of taking you to court in your own country. But they will ring you and hassle you to the point where you may get frightened and/or fed up and just pay them. They continue these scams because a percentage of people pay them for running them.What is more, the Expo-Guide organization has tentacles in many different countries, so that if they are chasing you for money they will get someone who is your own nationality to ring you so that the threat of prosecution is more immediate (if a Mexican rang you up on a long-distance c2all to demand money you would be far less likely to pay). This is all part of the process of trying to maximize intimidation which in turn maximizes the proportion of victims who pay up.Legally we are obliged to tell you to check with your lawyer, but our non-legal advice is to firmly tell Commercial Online Manuals S de RL de CV, their project manager Alejandro Esteban, or whoever rings you up on their behalf that you resolutely refuse to pay and that they can take you to court if they want. Collect as much info as you can and be prepared to take it to court. (We are not lawyers but we do know other individuals who have done this and they have ended up being left alone. But you have to make that decision yourself.) If you do this, it is very likely they will realize that intimidation won't work on you and will go after easier prey.The Expo-Guide scam is actually just one small scam in a whole array of directory and guide scams.
