NRC Conference Committee Report to NRC Board 1-24-20
Action Items
1. Based on the input from Board members noted below, we propose the following Motion regarding Attendees List for the National Zero Waste Conference:
“The NRC Board of Directors agrees to provide attendees a published attendee list for the National Zero Waste Conference with name, organization and email, with those already registered and new registrants given the opportunity to opt-out of the list.”
2. Discuss strategy for NRC to play in future for organizing National Zero Waste Conference
a. NRC is on track to achieve its goals for 2020 National Zero Waste Conference
b. Gary Liss is not able to be lead to organize next National Zero Waste Conference. Is anyone else on NRC Board able to be lead?
c. If not, NRC could negotiate with Zero Waste USA and U.S. Green Building Council to partner with one or both to organize next National Zero Waste Conference in 2021 or 2022.
Updates
1. National Zero Waste Conference (Co-Chairs: Leslie Lukacs and Gary Liss)
a. Registration – As of 1-24-20, there were 204 separate registration transactions, with 176 attendees, 6 sponsors, 57 speakers, 78 Earlybird, 24 full 2-day, 14 Wednesday,17 Thursday, 1 Gold 1 Silver, and 5 Bronze registrations from sponsors (\see Attachment A). . This next month we will actively promote the Conference to meet our goal of 300 attendees! If you haven’t registered, please do so ASAP! At the last Board meeting, we asked for Board input on whether we should publish the attendee list of those attending the Conference with or without emails, for all to have access, or just for sponsors. Chairman Mick Barry emailed the Board after our last call to get input. I have compiled the responses we received from the Board (see Attachment B).
b. Sponsorships
Alec Cooley and the Fundraising Committee has done a fabulous job coordinating sponsorships for the National Zero Waste Conference! Our Sponsorship and Exhibits goal is $31,000. We now have Total cash commitments of $31,072, meeting our goal!! (see Attachment C). In addition, Alec is negotiating to confirm UC Berkeley paying for the $4,000 cost of renting the venue site for the Conference as an in-kind contribution. Alec and Sarah are coordinating on sending links and following up with sponsors as needed, and Sarah is sending invoices to all sponsors.
Other organizations are actively considering sponsorship still. View complete list of all prospects in a Google sheet. Suggestions for additional companies and contacts are welcome. This Conference is one of the best opportunities for NRC to get sponsors as it’s providing a major new product/service.
PLEASE NOTIFY ALEC BEFORE THE BOARD CALL ON FRIDAY OF WHO YOU HAVE CONTACTED OR COULD CONTACT.
We are now considering providing a limited number of scholarships if specific sponsors wish to contribute to those. We are looking for someone to help coordinate the scholarship program if we proceed with that.
c. Cooperating Organizations - Groups are listed as Cooperating Organizations who we have confirmed have helped promote the Conference by: 1) sending an announcement directly to their members/network; 2) including an article in their next newsletter about the Conference; 3) including a Conference link on their website; and/or 4) promoting the Conference via their social media links. Amanda Waddle, from Zero Waste Gainesville in Florida, has reached out to groups we identified. Attachment D is the list of people Amanda has confirmed as of 1-24-20 (she’s providing weekly updates):
d. Program and Speakers Outreach
56 speakers have confirmed of the approximately 80 invited. A list of those speakers has been posted to the Conference website along with photos and bios. Some people are asking if they could speak. We’re still saying that our Program is full (see Attachment E), but we encourage them to organize Topic Lunches, Topic Dinners or additional workshops/events during Zero Waste Week. Chrise deTournay of Berkeley is helping to organize Topic Lunches and Topic Dinners. As we get NOs from invited speakers, we also still look for places to plug in additional people proposed. We are also revisiting whether we need as many speakers as invited for a number of sessions. The Container Recycling Institute will be organizing a Best Practices in Container Deposit Laws event on Monday, 3/16. CRI is making this available on an invitation basis at first to their members. Arthur Boone of the Center for Recycling Research in Berkeley is organizing a forum on Monday, 3/16 from 4 to 6 p.m. to address the topic: “What’s Next for Recycling: Overcoming the Errors and Omissions of the Last 50 Years.”
Karyn Kaplan (formerly of University of Oregon) is helping with follow-up to speakers to request them to submit bios, photos and ppts. She’s reaching out to all Moderators this week to ask them to convene a call with all their speakers within 2 weeks, and to ask their speakers to get in PowerPoints within 2 weeks thereafter.
National Recycling Coalition Board meeting at the Conference has been cancelled. Still awaiting word if the Recycling Organizations Council would like to hold a meeting in Berkeley during Zero Waste Week.
e. Venues
We have arranged for the Conference to be held at UC Berkeley’s Martin Luther King Student Union building. I asked Alec Cooley to follow-up with Cal Zero Waste on how best to pay for the venue as a sponsorship opportunity. We proposed to trade the equivalent number of registrations for Cal Zero Waste paying the Student Union for use of their facility. We need to finalize details on this soon.
Leslie Lukacs has reached out to the caterer used for the NCRA Recycling Update
to reserve their participation. We’re awaiting a proposed price for the services needed from them.
Leslie Lukacs also got a report from the Hotel Shattuck Plaza on the status of our room block (see Attachment F). We have met and exceeded our room block, with 133 room nights booked (~45/night on Tuesday and Wednesday nights). We’re still expecting that most people will use their own travel services to find the best hotels for their budgets. We heard from the Shattuck that there is a major Gamers conference going on in San Francisco that same week, so hotel space will be at a premium. If you haven’t already, please reserve ASAP.
Urban Ore is hosting a Tribute to Recycling Pioneers and the Recycling Archives Project of Earth Island Institute. Portia Sinnott is helping to lead that event for the Conference Committee. Urban Ore has also added a promotion of reuse as part of that evening, a tour of their operations, and possibly Karaoke of the best songs from the NCRA Players.
NCRA has agreed to be lead on organizing a dance on Wednesday night, 3/18/20.
CalPIRG is organizing a free student event for the evening of 3/19, where they could get several of the speakers from the Conference to join on a panel discussion. Rick Anthony is following up with them on the event that will likely focus on reducing the use of single-use plastics.
f. Promotions –
Promotions are the priority for February!
Marialyce Pedersen completed the latest News Release on 1-24-20. Mary McClellan sent a News Release on 1-8-20 to ROC and ROs. Sarah has sent info out to NRC social media. A number of ROs have run articles on the Conference.
Please add the following to your signature line on all your emails:
“Register now for the NRC National Zero Waste Conference! March 18-19, 2020 https://zwconference.org”
2. Subcommittees We have developed 12 Subcommittees to get more people actively involved with the details of organizing the Conference. We welcome other Board Members help on leading or helping on tasks of any of the Subcommittees.
3. Board and ROC meetings in Berkeley We agreed last month to not hold a Board meeting in Berkeley.
We still need to determine if ROC would like to hold a ROC meeting in Berkeley (as some ROC members may attend). Lynn Rubinstein indicated she would explore that with ROC.
4. Resource Recycling (RR) Conference 2020
a. Dave will update on his coordination with Assn. of Plastic Recyclers regarding a new deal for 2020.
5. National Recycling Congress (2021 and beyond?)
In November I attached is a discussion document prepared in 2017 when NRC was discussing taking back the responsibility for organizing a National Recycling Congress from Resource Recycling that led to RR proposing a partnership with NRC. This is a reminder that the Board should discuss options noted in this document soon.
6. Keep America Beautiful Conference February 12-14, 2020 (Memphis)
a. NRC is working to organize a Recycling Workshop at the KAB Conference on February 11, 2020. Dave will provide updates on Board Call.

From: Fryer, Chantal <[email protected]> Sent: Friday, December 20, 2019 11:31 AM …Yes we should- name and organization with email - with Opt-in at registration
From: Kerrin O'Brien <[email protected]> Sent: Friday, December 20, 2019 12:24 PM Have we promised any lists to sponsors or exhibitors? This is often a benefit of sponsoring/exhibiting and we should honor that. If not, we could just make names and organizations available.
From: Kerrin O'Brien <[email protected]> Sent: Saturday, December 21, 2019 8:26 AM I think it's a typical offering for sponsors and one we should consider.
From: Marialyce Pedersen <[email protected]> Sent: Friday, December 20, 2019 4:07 PM Hi, I vote that attendees be clearly provided the option to "opt in" to being included in a published
attendee list (with follow-up to those already registered). I think if yes, it would have to include name, org and email, otherwise not of much use?
From: Barb Eckstrom <[email protected]> Sent: Monday, December 23, 2019 7:14 AM …I think we should share names with organizations and emails.
