GET TRAINED

The Training page has four tabs, each provide training and learning opportunities in different formats.

Move between the tabs to find options that suit your needs.

Live Online Training is offered twice a week; this is an interactive session with the CCC CONFER staff,

it takes about one hour.

Self-Paced Training is an opportunity to train on your own schedule. Of course, you can contact

Client Services with any questions.

Recorded Training offers two minute recordings on how to use most features. Included are videos

for students and other informational recordings for faculty.

Practice Rooms are a place to explore the online room features, open to anyone at any time. For

‘serious’ practice, order your own meeting and keep your session private!

Features documented in PDF form are available for all downloading on how to use all the features

and functions in CCC CONFER.

MEETINGS

Request a Meeting

Log into your MyConfer account then click the Request Meeting tab. The Request Meeting form opens,

complete all the fields using this guide to explain the field requirements.

After clicking Create Meeting you will be returned to the Upcoming Meetings tab where your newest meeting

is displayed. An email confirmation will be sent within minutes.

1. Meeting Title: topic of the meeting and how it will

appear on our website for online meetings.

2. Meeting Type: Select from Meet & Confer, Teach &

Confer, Office Hours, and Webinars or Call Confer.

3. College/Org: Select the college or organization that

you want associated to this meeting. Note: You can add additional colleges or organizations to your profile.

4. Request Closed Captions: Notifies our captioner to

provide captions in this meeting.

5. Meeting Occurs: Choose a one-time meeting, a

weekly or monthly series on the same days/times, or

customize the scheduled days/times.

6. Date: Start date of a single meeting or series.

7. Time: Enter the actual start time of the meeting. Note: Moderators can enter the room early to prepare.

8. Duration: How long you expect the meeting to last. New! Schedule in 15 minute increments. Note: You will not be dropped from a session if you exceed the scheduled time.

9. Create Meeting: Completes the process, sends an email confirmation, and lists the meeting on the MyMeetings page.

Email Notification

The Presenter Confirmation along with the Participant Invitation is sent within minutes.

New! The Participant Invitation includes a direct link to log into the session.

Connect to Your Meeting

Meetings are displayed on your MyConfer home page, which lists your next three upcoming meetings.

Meetings are also listed on the MyMeetings page, Upcoming Meetings tab.

An active Connect button to launch today’s session appears on both the Upcoming Meetings page and the

MyMeetings page. Access to the room is available anytime within 23 hours of the scheduled start time.

First Time Connecting

Each time you join a CCC CONFER session, the Blackboard Collaborate Launcher is used to open any live or recorded meeting file. The first time you join a session, you will be prompted to download the launcher; once downloaded, the app stays with that computer.

Once you complete the log in form and connect, the browser page opens with a Blackboard Collaborate

message; it will be slightly different in each browser/version, but offers the option to download the launcher.

If you use Firefox or Chrome, go to the Downloads folder and run the Blackboard Collaborate Launcher file.

After installing the launcher, return to the browser page and click ‘Launch Blackboard Collaborate now’ or back to the CCC CONFER Connect page. A new meeting file is downloaded for each live (meeting.collab) or recorded session (nativeplayback.collab). Do not try to join the session using a previously downloaded file.

Edit a Meeting

Click MyMeetings on the top right menu bar, then the Upcoming Meetings tab. Locate the meeting to be

edited and click Details button.

The Details screen displays the current specifics, click Edit Meeting button. If the meeting is no longer

needed, click the Cancel Meeting button.

Invite Others to Your Meeting

When on the Meeting Details page, click Get Invite button to copy the meeting details, including the meeting

link.

Make the needed changes, then click the

Save button.

Click Select All to copy, then paste in an email and send to everyone you want to join the session.

Note: The meeting link goes go to the CCC CONFER website login page, the login data, allows you to generate attendance reports.

Note: The complete meeting link can also be captured from the Meeting Details page.

Add Presenters to Your Meeting

When on the Meeting Details page, click Presenters button to add any MyConfer member to your meeting

with moderator status.

Enter the email address, then click Add, the addresses will appear in the Presenters box, click Save before

leaving the screen.

Once you add a Presenter, create your own email communication to the new presenter and provide the

details. Added Presenters will connect to the meeting from their own MyConfer account.

Add Details to Your Calendar

Note: If the new presenter email address is not in our data base,

a ‘Not found’ message will appear. Contact Client Services for assistance.

When on the Meeting Details page, click Add to Calendar to post the meeting details to your calendar.

Choose your personal desktop or online calendar from the drop-down dialog box.

Generate Meeting Attendance Reports

Click MyReports button to generate an attendance report for live meetings, and who viewed a recorded

meeting.

From the dialog box choose Live Meeting, Recorded Meeting, or Combination which displays both the live and

recorded attendance for the same meeting. The All Meetings drop down menu lists all dates of scheduled

meetings to choose from.

Click Generate Report button to create a report that can be viewed on screen when Html is selected, or

downloaded to a desktop spread sheet when choosing CSV.

MyCalendar

Get a birds-eye view of all scheduled meetings from the MyMeetings page.

Click MyCalendar to view the current month; advance or go back to any month/year using the arrows.

Click on the meeting titles within the calendar to open the Meeting Details screen, all editing options are

available.

To view a list of all previously scheduled meetings go to the MyMeetings page, click Previous Meeting tab.

Previous individual meetings in a recurring series can now be renamed to clarify the content of that meeting

or class. Click the Rename button, the Edit Meeting dialog box opens, enter the new title and Save.

The new sub title will appear on the CCC CONFER website posting.

Manage your recordings; each button in the Actions column is describe below.

Public: Use the slider button to change between Public and Private status. Recordings are removed

from the CCC CONFER website posting within minutes, and re-posted if you select the Public setting in

the future.

Details: View meeting details, add a sub-title to a recording, play the recording, and access

MyReports.

Rename the recording:

Share: Copy the recording link to email or post to other locations. Choose the link to generate an

attendance report, or a direct link with no attendance reporting.

View: Launch the recording.

Update your personal details using the More menu; each option in the drop-down menu is described below.

My Profile: Edit your information when colleges or contact information changes, most important is

your email and telephone number. You can also change your MyConfer password.

My Colleges/Orgs: Add or remove colleges or organizations from your profile. Update the list to add

the college or organization to your meeting request form when ordering for different groups.

My Settings: Decide when you want to receive email notification when you create a meeting or

update the meeting details.

My Room: This is a future-use option.
