Numeric Method Conversion Guide
Getting Started This section provides information on the following topics:
Overview, following
Installing the Check Format Library Files
Setting the Path to the Check Format Library
Overview
Changing from the Numeric method to the Configurator method requires creating a new stub format (.stb file) using the Configurator layout tool. This is easily done by selecting a stub file from the Mekorma MICR Check Format Library.
To streamline the transition from Numeric to Configurator, the Check Format Library contains prepared stub files that are very similar to the stub file formats available in the Numeric method (such as Std. AP and GL Distribution).
In addition to selecting a new stub format, you must activate the Configurator method for your company on the Mekorma MICR Configurator Global Setup screen (for Version 10.0 B31and later), or on the Location of Check Formats screen (for Version 10.0B11 and Version 9.0 and earlier), and then modify the information on the Mekorma MICR Setup screen (Payables and Payroll).
Installing the Check Format Library Files
Before converting from the Numeric method, verify that you have installed the Mekorma MICR Check Format Library files. Please review the following sections to determine which installation procedure is applicable to your company.
7
Version 10.0
IMPORTANT
Before converting, we recommend capturing a screen shot or image of your Numeric MICR setup so that you have a visual record of the current stub format you are using. This will be useful when selecting the equivalent format from the Mekorma MICR Check Format library.
Installing the Check Format Library for Mekorma MICR Version 10.00
For Version 10.00 B31 (and higher), the library is installed using the installation wizard that is launched from the Mekorma MICR V*.b*.exe file (where V* is the version number and b* is the build number).
For older builds of Mekorma MICR 10.0, the Check Format Library files are installed by running a separate executable called the Mekorma MICR Check Format Library b**.exe (where ** represents the build number). The executable file is installed in the Mekorma MICR folder created in your Dynamics GP root directory when you install Mekorma MICR.
Installing the Check Format Library for Mekorma MICR Version 9.0
For Version 9.0 B42 (and higher) the library is installed using the installation wizard that is launched from the Mekorma MICR V*.b*.exe file (where V* is the version number and b* is the build number).
For older versions of Mekorma MICR Version 9.0 (and all builds of Version 8.0), the Check Format Library files are installed by running a separate executable called the Mekorma MICR Check Format Library b**.exe (where ** represents the build number). The executable file is installed in the Mekorma MICR folder created in your Dynamics GP root directory when you install Mekorma MICR.
NOTE
For current version builds, please see the Mekorma MICR User Guide.pdf located in the Mekorma MICR folder of your Dynamics GP directory for instructions on installing Mekorma MICR components (including the Check Format Library).
For older versions and builds, please see the Mekorma MICR Check Format Library Reference.pdf file located in the Mekorma MICR folder of your Dynamics GP for instructions on running the Check Format Library executable.

Version 10.0
Check Format Selection and Setup This section provides information on the following topics:
Overview, following
Understanding the Differences between the Methods
Modifying the Mekorma MICR Setup Screen
Adding Signatures to the Check Stub
Overview
Setting up your checks using the Configurator method is slightly different (and much easier) than setting up your checks in the Numeric method. When you convert to the Configurator, you can select a check format that closely matches your existing format and use the same logo and signature information on your check.
Because the Configurator offers you a much larger selection of stub formats, we recommend printing a sample check using your existing format so that you have something to use as a basis when selecting a comparable format in the Configurator.
Understanding the Differences between the Methods
When you convert to the Configurator method, you will notice that the Mekorma MICR Setup screen contains some new fields, and that several tasks, such as adding a logo, choosing a check layout, or printing check/stub copies, are handled differently.
Choosing and Designing a Check Layout
When you use the Numeric method to select a stub format, you can choose from the following options in the Stub Format field:
14
Numeric Method Conversion Guide
The check layout design is done using the options on the Check Format Maintenance screen. This screen is launched by clicking on the Check Format ID field hyperlink.
In Numeric, the Check Format Maintenance screen is used to define your check stub layout which would include fields, signature lines, logos, comments. You would also determine the position of your checks and stubs, such as top, bottom, or middle, using the horizontal coordinates in the Top Left Check, Top Left Stub 1, and Top Left Stub 2 fields.
15
Version 10.0
When you use the Configurator method to select a stub format, you can choose from a list of prepared stub files by clicking the lookup icon of the Check Face field:
To design a check layout, you use the Configurator layout tool which is launched by clicking on the Check Face field hyperlink.
TIP
Please refer to the Mekorma MICR Configuring Check Layouts.PDF file for instructions on using the Configurator layout tool to modify your check format.
The Process of Adding a Logo
If you are adding a logo to your check stub, in the Numeric method, you define the path to your logo using the Logo 1, Logo 2, or Stub Logo fields.
16
Numeric Method Conversion Guide
In the Configurator method, you add your logo to the check stub using the Configurator layout tool.
TIP
Before converting, note the location of your logo bitmap file so that you can point to the location when adding the logo in the Configurator.
The Process of Adding a Signature
If you are adding a signature to your check stub in the Numeric method, you define the path to your signature image using the Signature ID field and the Mekorma MICR Signature and Password Setup screen (see Adding a Signature to a Checkbook).
In the Configurator method, in addition to configuring a signature on the Signature and Password Setup screen, you add a signature image directly to the check stub using the Configurator layout tool.
17
Version 10.0
Check and Stub Copies
In the Numeric method, the Type of Duplicates field is used to define the region positions on the check stub, such as Stub‐Check‐Stub (stub copy) or Stub‐Check‐Check Copy (check copy).
When you use the Configurator method, you can select the region layout from the list of prepared stub files provided in the Mekorma MICR Check Format Library.
Check Format Options in US Payroll
When using the Numeric method, you can adjust the check and earning statement using the options on the Display Fields For drop‐down list on the Check Format Maintenance screen:
18
Numeric Method Conversion Guide
In the Configurator method, you can select a check and earning statement stub format, based on your preference, from the Mekorma MICR Check Format Library files and modify it using the Configurator layout tool.
IMPORTANT
When converting your Mekorma MICR US Payroll stub layout, review your check format configuration carefully and print out a copy of the check stubs. This will make it easier when selecting a payroll stub from the Mekorma MICR Check Format Library that most closely matches your current format.
Modifying the Mekorma MICR Setup Screen
After assigning the location for the check format library and activating the Configurator method for your company (or companies), you must modify the Mekorma MICR Setup screen (for Payables or Payroll) for the applicable checkbook. For the purposes of this guide, we are using the Payables setup screen.
To select a new stub file format:
1. Select Microsoft Dynamics GP Tools Setup Purchasing Mekorma MICR Payables Mekorma MICR Setup. On the Mekorma MICR Setup (Payables) dialog box, select the Checkbook ID you are modifying:
19
Version 10.0
2. The screen displays information from your previous Numeric setup. Click on the look‐up icon next to the Check Face field to display the Check Format Lookup screen:
3. You see a list of all the .stb files in the folder specified in the Setting the Path to the Check Format Library section. Select the .stb file that most closely matches your Numeric format:
Sample Stub Name: AP Check_Bottom_2GP AP Stubs.stb
AP = Accounts Payables Check_Bottom = Check on the bottom of the stub 2GP AP = two 1/3 stubs on the top and middle
Numeric Stub Format Comparable Configurable Stub Format
Std. Payables Format AP Check_middle_2 Std AP Stubs.stb
GL Distribution Format AP Check_middle_2 GL Dist Stubs.stb
Voucher Number Format AP Check_middle_2 Vouch Num Stubs.stb

Numeric Method Conversion Guide
We recommend reviewing the Mekorma MICR Check Library Reference Guide.PDF before selecting a stub format. This guide provides information on the different stub formats available in the Mekorma Check Format Library.
4. After choosing the stub file, click Select. If you check the Use Primary Check Format for Continuation Stub option, the selected .stb format is used to print any voucher information that does not fit on the primary stub.
5. If you uncheck the option and click the lookup icon next to the Overflow Stub Format field, you can select a different .stb format for displaying overflow voucher information.
6. Click the Test Layout button to print a Test check. On the test check, verify the placement of the MICR line with a MICR Gauge (see the following section).
TIP
Refer to the Mekorma MICR User Guide.PDF for instructions on printing test checks.
Working With a MICR Gauge
Before sending checks to the bank, you should test the accuracy of the MICR line with a MICR gauge. A MICR Gauge is a transparent plastic ruler for checking the placement of the MICR line. You can usually obtain a MICR gauge from your check stock vendor.
Example of a MICR Gauge:
21
Version 10.0
The process for ensuring the correct alignment of the MICR line is:
1. Print a sample check on the check stock you will be using for live checks.
2. Line up the vertical dotted line on the right side of the gauge with the edge of the check.
3. Verify that the characters in the MICR line fit squarely within each box in the position as described by the specifications provided by your bank.
Adding Signatures to the Check Stub
Using the Configurator layout tool, you can print signatures on your Mekorma MICR checks. After creating the digital signature image (a scanned image of the signature), to add the signature to the check stub, you must complete the following steps:
1. Add the Signature guideline placeholder(s) to the check stub using the Configurator layout tool (see the section following).
2. Point to the location of the actual signature image file on the Mekorma MICR Password and Signature Setup screen (see Adding a Signature to a Checkbook).
TIP
The Mekorma MICR User Guide.PDF contains instructions for creating a digital signature image.
Adding the Signature Guideline to the Check Layout
After you create a digital image, you must add the signature image placeholder field to your check stub layout.
1. Select Microsoft Dynamics GP Tools Setup Purchasing Mekorma MICR Payables Mekorma MICR Setup. You see the Mekorma MICR Setup dialog box for Payables.
2. Open the Configurator layout tool by clicking on the Check Face field hyperlink:
22

3. Select the desired stub layout and scroll down to the check region:
4. Select the check region and click the Field button. On the Select Field dialog box, click the Category drop‐down list and select Logical Fields:
23
Version 10.0
5. Select the Signature File 1 field and click OK. In the Open dialog box, navigate to the location of your scanned signature bitmap file and click Open. The image is placed in the upper left corner of the check region:
6. Resize and reposition the signature image as desired. Use the corner handles on the image to resize it.
7. Save your changes and close the Configurator layout tool.
24
Numeric Method Conversion Guide
TIP
In the Configurator, you can place objects on top of other objects. For signatures, the Signature Line field should be placed on top of the Signature image.
You can use this image as a placeholder for your signatures. The actual signature image printed is determined by the location and signature image entered in the Mekorma Password and Signature Setup dialog box (see Adding a Signature to a Checkbook following). A few things to keep in mind when working with signature image files are:
We recommend keeping the size of the image at or below 50KB.
Mekorma MICR only accepts .BMP (Bitmap) format for images.
An image should be saved at the same size it will print on the check and in black and white.
For the image to print, it must be present in the specified file location at print time.
Adding a Signature to a Checkbook
After you have created the signature image and added it to the check stub, you must point to the location of the actual image file using the Mekorma MICR Password and Signature Setup screen. Each checkbook configured for Mekorma MICR must be assigned a Signature ID.
The following conditions apply to Signatures:
Signature images can be stored to removable media for added security.
Images must be accessible at print time. Mekorma MICR will only save the paths to the image files. The files must be present to allow check printing.
Users printing and configuring checks must have full permissions to the folders containing the images.
Images should be saved at the same resolution and size they will print.
Only black and white colored images are currently supported.
Signature images must be .bmp files.
25
Version 10.0
To configure a Signature ID:
1. Select Microsoft Dynamics GP Tools Setup Purchasing Mekorma MICR Payables Signature ID. You see the Mekorma MICR Password and Signature Setup dialog box.
2. Enter a Signature ID and a Description. If you are using dollar amount thresholds, enter a Lower Threshold amount and if desired, a Higher Threshold amount.
26
Numeric Method Conversion Guide
TIP
Thresholds are used to determine when signatures and signature lines should print and when passwords are required. If the frequency is set to “Always” or “Never”, thresholds are not required.
3. You can print none, one or two signatures on each check. For each signature, you can determine how frequently it will print: Always, Never, or based on the thresholds you entered. Set the frequency for Signature 1 and Signature 2.
4. Enter the path to each signature .bmp file. The signature .bmp file must be located in the specified path at the time checks are printed. For added security, the path can be set to a removable drive such as a floppy disk or a CD.
NOTE
If you would like to customize the conditions for signatures, please contact Mekorma at 888‐MEKORMA or click here to visit our website and fill out a customization request.
5. Set the condition for the Signature lines. These are the lines upon which the signature is printed or manually signed. You can set an individual frequency for each line: Always, Never or based on the thresholds you set up.
6. Save your changes and close the Mekorma MICR Password and Signature Setup screen.
TIP
For complete instructions on configuring passwords and signatures on the Mekorma MICR Password and Signature Setup screen, please see the Mekorma MICR User Guide.PDF file located in the Mekorma MICR folder of your GP directory.
