reader’s page

Dear Reader,

In the last few years, the MICE industry has witnessed a fast growth mainly driven by globalisation and cross-border

trade. Business simply cannot function in the absence of face-to-face meetings. More and more companies now understand the effectiveness

of meetings, conventions and travel exhibitions. Incentive travel is growing by leaps and bounds to promote sales in today’s competitive environment, leading to an increase in demand for convention centres equipped with hi-tech facilities,

interesting locations and large and varied hotels.

MICEtalk ventured out to find some of the best convention centres in Asia as suggested by MICE tour operators. We have highlighted their USPs in this issue’s cover story.

Thailand is fast emerging as the most efficient, activity filled and affordable MICE destination in South East Asia. We have tried to explore why it has been termed as the appropriate

‘value-for-money’ place.

In our series of team building activities, our focus is on cooperation within a team through outbound travel and learning. We also bring you a company experience of Siyarams, where

they share the reason for their preference for Malaysia over other MICE destinations.

To benefit MICE tour organisers, we asked some tourism boards about their special offers for attracting MICE groups and how Chapman Freeborn, a service provider for

MICE travel, creates a change by providing different travel solutions.

Within our country, Nashik is emerging as an upcoming MICE hub. Explore the city and what it offers with MICEtalk.

Happy Reading

Learning from ChallengesLearning due to stretching past your comfort zone and the surprise element tend to stay with you. Experiential learning involves challenging the participants, wherein there could be a scenario with some of the players being part of the exercise by choice. Hence, participating fully in the experience through ownership. However, most of the time outbound learning involves creating an environment where participants are asked to search for opportunities to stretch and grow during the experience. This kind of participation provides a learning opportunity for each member of the group.

How to set Goals? There is diversity in teams and that proves to be another source of strength. The key learning from these activities is goal setting. These activities create opportunities for learning how to set goals that are in neither the comfort nor the panic zone, but in that slightly uncomfortable stretch zone where the greatest opportunities for growth and learning lie. The stretch zone requires them to take their collective knowledge, experience & ability and stretch them to a limit that exceeds one’s own perception of one’s abilities.

Raft Building & Racing Instructors provide the teams with the instruction booklets or design clues for building a raft. Using this raft, teams have to cover a certain distance on the river/swimming pool/lake in as less time as possible.

The nature of challenges involves:• Strategy - through routing the course,• Construction – building a contraption that can

withstand the challenges that the forces of nature bring forth,

• Navigation - real time conditions of moving craft, manuevering the craft,

• People – working in unison to put the activity together in a specified time frame.

High Rope GamesThe entire team is trapped in a forest fire and has to cross the firewall that has engulfed them with the mechanism available. The team members have one fire-proof rope that works as a swing to take them to safety. The team is supposed to land each member on a designated spot of the safe area. These spots are in the shape of a pyramid and marked with tyres. Once a person reaches a particular safe area he or she can’t move into a new area.

5 Pointed StarThis activity requires all the participants to be blindfolded. Each participant is then given a part of a rope to hold. The group is then expected to form a 5 pointed star as per the instructions of the facilitator. Once a single task is achieved, a new challenge will be presented.

Activities such as rock climbing, rafting, rappelling, high rope games with an element of perceived risk are stellar examples of stretching yourself past your comfort zone.

Attracting MICE in a Big Way

Philippines: Showcasing tremendous MICE potential Komal Seth General Manager, Philippines Tourism Marketing Office, India

We are reaching out to corporate decision-makers, MICE specialists, media partners, travel and trade associations as well as event planners to showcase the Philippines as a preferred MICE destination through aggressive promotional campaigns.

The Philippines offers the right infrastructure and the facilities to hold events that match the best in the world. Offering the 14-day visa-free entry for Indians with valid visa from a European Union-member country or six other countries - Australia, Canada, Japan, Singapore, USA and UK, is an added advantage for group movements as it is difficult to obtain visas for a number of people at the same time.

Switzerland: Exclusive Support for MICE Groups Aishvarya Guhagarkar Manager MICE, Switzerland Tourism

As support for MICE groups, we have the following guidelines:

• Stay of 5 nights in a 5 star hotel.

• Minimum half-day use of conference facility (this to differentiate from a pure leisure group).

• Travelling only to Switzerland (stand-alone destination).

In Switzerland, we support the group with chocolates, welcome letters and at times with some giveaways. City maps & brochures are given, if asked. At times we do make exceptions on the above requirements, by keeping in mind the profile of the client & purpose of travel, like if they are top-end doctors attending a large congress/conference, bankers meet, and high ranking CEO meet, etc. Each group is treated as case-to-case basis, especially if the travel agency does regular MICE business to Switzerland & is one of our key accounts.

Locally in India, ST keeps the MICE agencies informed about the updates in Switzerland via product trainings, e-newsletters, meetings, workshops, etc. As and when the agencies inform ST about MICE groups, we, in turn, keep the Consulate & Embassy informed for easier visa facilitation. ST also helps out with program innovations, information & suggestions.

Canada offers a plethora of options to host a truly exceptional event. Be it the business meetings in Edmonton at the Downtown’s Shaw Conference Centre or a convention at the world-class Ottawa Convention Centre or an incentive travel to one of the most livable cities in the world, Vancouver.

One of the various reasons why a business should host a meet in Canada is the great value that the country offers with five-star products at affordable prices and a huge choice of itinerary. “Indian corporates are looking for new destinations, different experiences and a variety of options for their business events, all of which are available in Canada.” Singh adds.

Marriott eyes MICE in India

Future Plans for MICEBelieving MICE is the way forward, the company aims to have over 100 MICE hotels by 2015. Attending Trade FairsA few tips for presenting a cohesive image of your firm at these events by Shital Kakkar Mehra.

With Indians going global, launching new products at international trade fairs is an integral part of global business. Although,

trade fairs appear chaotic as you stand in your booth surrounded by collaterals, competitors and clients, do remember that they are an ideal place to create favourable impact on potential clients and media.

• Your attire: As booth staff, your attire should be professional and in tune with your company’s image. Although, dress codes vary across the world, it’s best to be conservative. Do not get carried away by the festive

atmosphere at these fairs by showing up in sloppy jeans, printed shirts, sneakers or collarless t-shirts.

• Display punctuality: Also, dispose-off empty cartons and used water bottles before the visitors arrive. Arrive early to ensure your booth appears attractive and is well-stocked with business cards/company literature/promotional gifts

• Convey professionalism: During the day, take turns for breaks, ensuring your booth is adequately staffed till the closing hour. Food and beverages are best consumed far away from the booth.

• Visitors to your stall: Stand up to greet all visitors as attendees’ maybe future clients. Engage visitors in meaningful conversation and try to comprehend their requirement. Collect business cards of all visitors and send them a short email, keeping the communication channel open for future. One of the biggest faux pas made by booth staff is chatting amongst themselves, signaling they’re ‘busy’ to potential buyers

Always wear business casuals teamed with a blazer or good quality logo-shirt with formal

trousers to help attendees identify your company

Always remember that at international events, you are brand ambassador of both your company and

your country

• Handling Trade media: Make an effort to personally meet with visiting editors and journalists of publications who cover your industry. Be ready with a well-rehearsed speech and a handy press release. Use these events as opportunities to build long-term relationships with the media and follow-up with a crisp thank you note when you return to your office desk.

• Fellow exhibitors: Although, many will be your competitors, try to build a healthy working relationship with them. Speaking loudly, choking the aisles with equipment or soliciting business from attendees to their booths will make you unpopular within your chosen industry. Ph

Embracing a New Meetings Business & Fun FrameworkTechnology combined with social change has caused a revolution in the way we plan, execute and attend meetings and events. We are constantly faced with the challenge of deciding what technology to use, where to use it and how to maximize the benefits of its use. In addition to this, a larger challenge is how the future generations will want to participate in events, how they will want to use technology and how we can embrace this social change and add value to every attendee, before, during and after the event.

Recently I met with industry author and visionary, Shuli Golovinski who after a successful career at Microsoft founded Newtonstrand Limited.

He shared his vision. The Business & Fun Framework in future events is

crucial to ensure the overall experience and outcome for delegates, and the future success of our industry meetings. By opening our events to the younger delegates, as well as developing the traditional elements of the meeting format for previous generations, we can ensure that the conference or meeting remains as successful as it always has been.

Fun-Social ElementCreating an environment where delegates can mingle with colleagues in a relaxed atmosphere outside of the conference will play a major role in how successful a meeting is. A formal dinner only allows delegates to sit with the same people they have been with all day. They will be listening to more speakers and perhaps seeing some entertainment but not actually getting to know their colleagues. A cocktail or drinks party will allow industry delegates to build future friendships, based on business as well as personal interests.

The new conference Business & Fun Framework model brings interactivity, sharing of knowledge and structured networking to our events for traditional attendees as well as providing the overall experience required by younger generations.

Other smaller shows also have DMCs where we openly promote Indian destinations and attractions. There is no hard and fast rule to attract MICE clients, the key is to target the right companies and demonstrate how we can offer the most effective travel solutions.

What are the future prospects for targeting corporate groups in 2013?Some of the factors that lure Corporates to international MICE destinations include: Value for money: Destinations like Sri Lanka, Thailand, Dubai and others have reduced their costs to provide an attractive option to these destinations. Close proximity: Dubai, Sri Lanka, Malaysia, Thailand and Mauritius are just a few hours away. Accessibility: Different airlines have increased the frequency of their flights and added more seats, so that travellers have easy connectivity to several international destinations.

With the burgeoning of enterprises, business persons are becoming globally aware and seeking a presence at trade fairs and conventions across the world. A number of business groups and exporters regularly participate in international exhibitions and trade fairs related to consumer products, handicrafts and jewellery. Such activities help them in launching

new products, attract new clients, increasing sales and exchanging useful information.

What kind of growth do you envisage for the Indian MICE market? MICE industry in India is growing day-by-day. There is a desire to move away from the conventional style, to bring a new definition to ‘business with pleasure’. With the continual process of upgrading the MICE facilities, India is now better equipped to bid for international conferences. New hotels are being built which are ready to cater to all the needs of the Meetings industry. India’s tour operators are in discussions with overseas carriers to form alliances for MICE business. Given the huge growth potential, India’s tourism is moving at the right direction by focussing on ‘MICE holidays’ in India.
