NEW! BOOTH ASSIGNMENT POLICY Booth locations will be assigned on February 1, 2016, in accordance with the following criteria:1. Full payment of exhibit space.2. GEST’s priority point system, which is based on the number of years

a company has exhibited at GEST (since 2012), the booth size held each year and the additional marketing opportunities purchased from the previous years.

3. Date of registration. Applications received after February 1, 2016, will be assigned in the order they are received.

Registered exhibitors will have an opportunity to select an approximate booth location, based on their priority points, the week of November 30, 2015. Meeting organizers reserve the right to re-assign exhibit space when deemed in the best interest of the meeting.

TERMS OF PAYMENTFinal payment for exhibit space at the symposium must be received by November 30, 2015, or exhibit space will be reassigned and the exhibitor will forfeit all deposits paid. If paying by check, please make payable to Complete Conference Management (Tax ID# 20-2000570) and mail, along with a copy of your confirmation or invoice to:

CANCELLATION POLICYRequests for cancellation of reserved exhibit space must be made in writing. Refunds less a 10% administrative fee will be granted for requests received on or before April 25, 2016. After this date, refunds for reserved space will not be granted. No refunds will be given for space left unoccupied during the symposium.

EXHIBITOR BADGE POLICYExhibitor badges are reserved for company staff and will be labeled EXHIBITOR, along with the name of the registered company. All exhibitors are required to clearly display the official meeting badge, which allows access into the Exhibit Hall and educational sessions. Log into the Exhibitor Center to register your representatives, make changes at a later time and purchase additional badges at $500 per badge. Each 10’ x 10’ exhibit booth unit is entitled to three complimentary badges. Please note that when making changes to the exhibitor badges, you will also have to update your room reservations to reflect that change. The deadline to register/change/cancel representatives is April 25, 2016.

LOST BADGE REPLACEMENT POLICYThe official GEST badge must be clearly displayed at all times. Business cards or other items inserted into or affixed to the front of the badge sleeve will not be permitted. There will be a fee of $150 to replace a lost badge.

EXHIBIT SERVICES AND SHIPPINGExhibiting companies are required to coordinate their booth logistics through the official Service Contractor. GEST 2016 U.S. advises that exhibiting companies refrain from shipping directly to the hotel to avoid additional costs and any delays in delivery. A complete list of services and pricing will be available in the Exhibitor Service Kit, which will be available February 1, 2016, and emailed to each company contact along with booth space assignment. The kit will contain all necessary information and order forms, including:• Drayage and shipping information• Labor regulations and rates• Furniture, display and decorating rentals• Electrical and telephone service• Audiovisual and computer rentals

LIABILITYThe exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of the exhibitor’s activities on the hotel premises and will indemnify, defend and hold harmless the New York Sheraton Hotel, Complete Conference Management, GEST, their owners their management companies, as well as their respective agents, servants and employees, from any and all such losses, damages and claims.

SECURITYThe conference organizers will take reasonable precaution to protect exhibitor property. The provision of this service, however, shall not be construed as an assumption of obligation or duty with respect to the protection of the exhibitor’s property.

MAILING LISTEach registered exhibitor will receive a pre-registration list via email the week of April 11, 2016, as part of their booth package. A final registration list will be sent approximately two weeks following the conclusion of GEST 2016 U.S. The list will include the names, designations, mailing addresses and specialties of attendees. Use of the lists is restricted to one time and limited to information directly connected with GEST 2016 U.S.

All companies registering for and exhibiting at GEST 2016 U.S. must comply with the terms and conditions outlined, and in registering for the symposium agree to abide by such guidelines.
