Paying Your Deposit

New Students

All new students accepted to a program are required to pay a $200 deposit. The deadline to pay the deposit is stated in your acceptance letter. Your program deposit will be applied towards your first term tuition and fees.

*International students please refer to your acceptance letter for deposit amount and instructions.

*International Student: Not a domestic student and one who requires a Study Permit or other visa to enter, or remain in, Canada.

IF YOU FAIL TO PAY YOUR NEW STUDENT DEPOSIT BY THE DEADLINE, YOUR APPLICATION WILL BE CANCELLED AND YOU WILL LOSE YOUR PLACE IN YOUR PROGRAM!

Returning Students

Returning students (domestic and international) in the following programs are required to pay a $150 deposit by:

4:30 p.m. on August 1, 2013

•Bachelor of Arts and Education Transfer

•Bachelor of Commerce

•Bachelor of Physical Education Transfer

•Bachelor of Science

•General Studies

Students with money still owing from previous terms must pay this balance in addition to the $150 returning student deposit.

IF YOU FAIL TO PAY YOUR RETURNING STUDENT DEPOSIT BY THE DEADLINE, YOU WILL LOSE YOUR PLACE IN ANY COURSES YOU HAVE ENROLLED IN!

Students paying with student loans, sponsorships, or payment plans must still ensure that their deposit is paid by the deadline.

You can pay your deposit online, in person, or by mail. See page 25 for details on using these payment methods.

Your myMacEwan Account

What can I find on myMacEwan.ca?This is the central location for all MacEwan University online student resources. The following applications are available in the portal:

•myMail – your MacEwan University email account

•Blackboard

•Library

•Declare a Major/Minor

•Get your T2202A Tax forms

•myStudentSystem – Enrol in courses, drop courses or make course changes. You can also check your fees, check your grades and follow your program requirements.

•Locker Registration

Getting your user ID and passwordYour MacEwan University Network user ID and password were emailed to you when you first applied to the university in an acknowledgment letter entitled “Network ID Letter.” If you have lost your Network ID Letter please contact the Office of the University Registrar or email [email protected]. If you are a returning student and have forgotten your login information, please contact Technology Support at 780-497-4357.

How do I login to myMacEwan?To access the MacEwan University portal visit myMacEwan.ca and enter your Network ID and password. See page 10 for more details.

Check your myMail frequentlyPolicy E3101 Student Rights and Responsibilities makes it the student’s responsibility to read email directed to this account.

You’ve made a great choice starting at MacEwan University and our Student Success team and program areas are all looking forward to helping you get started.

Whether this is your first time at university, you’re new to Edmonton or Canada, you’re looking for a head start on study skills, or you’re now a MacEwan parent wanting to support your daughter/son, the programs and Student Success has something for everyone! Orientation Summer ProgramWe want to help you get ready for your classes this fall, so we’re offering a summer orientation that will give you the information you’re looking for. Our summer program will offer class-size sessions on information every student needs. Be sure to check MacEwan.ca/Orientation for dates and details.

Orientation Day: Thursday, August 29, 2013

We have planned an action packed, information-filled orientation day for you. MacEwan University wants to make your start as easy as possible. In the morning, you will get information about the university’s student services, and in the afternoon you will meet faculty and get details about your program.

Morning MacEwan University Orientation•A campus tour will help you find classrooms and services.

•Student leaders will provide you with tips on books, photo ID cards, the U-Pass, student loans and more.

•Meet other students and have some fun!

Orientation events are planned at three campuses:

•Faculty of Fine Arts and Communications

After you’ve learned about student services, attend an afternoon orientation session to learn about your program. Orientation sessions differ from program to program, be sure to check directly with your program for details.

Wait – we have more!Mature Orientation Wednesday, August 21, 2013

The needs of mature students are unique. Mature Orientation addresses the special challenges facing students who are returning to class after an absence of one or more years. Whether you’ve been out for a year or more or you’re a parent of a student in this situation, this session will help you connect with others who share your concerns.

NOTE: Mature students are advised to also register for New Student Orientation on August 29 as the information provided at the events is not duplicated.

Parent Orientation Monday, August 26, 2013

MacEwan University welcomes your interest and involvement in your student’s education. This information session gives you answers to your questions and will introduce the many MacEwan University services and departments that your student will be using.

Kick Start Tuesday, August 27, 2013

The one-day workshop that gets you ready for class.

Students have told us they want some help getting back into student mode, so we created Kick Start just for you. Kick Start gives you a head start on everything from time management, reading textbooks and note taking skills to the always popular “Take 5” – our “speed dating” style session that gives you quick tips on 16 different topics. Kick Start is always a favourite, so book early. (Workshop fee: $100.00, includes lunch)

EnrolmentChoosing Your Courses

Web EnrolmentThe majority of students at MacEwan University enrol in courses online through myStudentSystem.

You can access myStudentSystem by logging in to myMacEwan.ca .

Be sure to know the term you are enrolling in (e.g. Fall 2013, Winter 2014, Spring 2014), the course subject (e.g. PSYC), and course number (e.g. 104). For example, Fall 2013 PSYC 104.

Refer to pages 18 and 19 to see if your program does not web enrol. A few programs may complete enrolment for you. Others may have you enrol in person.

Step 2: Access myStudentSystemClick on the myStudentSystem link.

You will have to enter your login information again to launch the system

Step 3: Enter the Student Center and enrolment areaOn the left side of the screen, select the Self Service link and click on Student Center.

On the screen click on the Enrol link.

Step 4: Select the termSelect the term that you want to enrol in.

Click Continue to search for courses.

Step 5: Search for coursesSelect Class Search and click on Search.

Note: The “Class Nbr” field is used only if you know the specific numerical code number of the course you want to search. You normally won’t use this field.

Step 6: Search for coursesSelect the course subject that you are looking for from the drop down menu. (1) Enter the course number, or if you don’t know the number, leave this box blank (2). Click Search (3).

Step 7: Search for coursesClick on the name of the course that you want in order to view the available sections.

Step 8: Select your class sectionNote whether each section is Open (available to all students), Closed (full), or Reserved (available only to students in select programs). If the section you want is reserved, make sure you are in one of the listed programs, or you will not be able to enrol in that section.

When you find the class section of the course that you would like to enrol in, click on Select Class.

If there is a lab or seminar that you must enrol in with the course, you will be prompted to do this on the next screen. If so, take note of the number of seats available in each lab section.

Step 9: Add your class sectionVerify that the class section is open and has seats available. Click on Next to continue.

Step 10: Confirm your coursesA message will appear stating that the course you selected has been added to your Shopping Cart.

Click Search to add more courses, or if you are finished adding courses click on Proceed to Step 2 of 3 link to continue.

Note: At this stage you are not enrolled in your chosen course. You must finish all steps in order to complete your enrolment.

Step 11: Finish enrollingClick the Finish Enrolling link to review your enrolment.

Make sure you see green check marks beside your courses. If you see a red X then you may need to choose a different class section or contact your university/faculty advisor for other course options.

Your Registration StatementYour registration statement lists your classes along with their times and locations, and shows you a breakdown of all fees charged for those classes.

To access your registration statement you will first need to access your myMacEwan account. See page 10 Steps 1 through 3 for login information.

In your Student Center, scroll down until you see the View My Enrollment/Registration Statement link.

Click on the magnifying glass icon and select the appropriate term (1).

Then click on View My Enrollment/Registration Statement (2).

This will open a copy of your registration statement that you can print.

�Check your schedule! Ensure you have enrolled in the correct courses. Print your class schedule and note the start dates and room numbers for each class. Remember to take your schedule with you so you can find your classrooms.

� Pay your fees. Refer to the tuition and fees section of the guide for more details.

How to Read Your Registration Statement

A. Student ID: Your student identification number. You should make note of this number for future reference.

B. Course Description: The names of all your classes.

C. Days, Times: The days and times when your classes will run. Days are abbreviated:

M = Monday T = Tuesday

W = WednesdayTH = Thursday

F = FridaySA = Saturday

SU = Sunday

D. Bldg/Room: The location where your class will take place.

•City Centre Campus: The building is listed first, followed by the room number. For example, 5-024 is building 5 room 024.

•Other campuses: An abbreviation will be listed along with the room number. For example, AC-315 is Alberta College Campus room 315.

AC = Alberta College CampusCFAC = Centre for the Arts and CommunicationsSC = South Campus

•Online and distance learning. Some of the common designations are:

V-MCO = MacEwan OnlineV-ECO = eCampus WP-OC = Workplace Learning Off CampusED-OC = Edmonton Off CampusCA-SC = Calgary SAIT Campus

E. Start Date: The first day your class will be held.

F. Refund Code: The refund policy for your class. See page 27 for more details.

Program Assisted EnrolmentIf your program is listed below, the program will enrol you in your core courses. Please check your myMail and myStudentSystem accounts frequently so that you are aware of any changes or outstanding fees.

You may be required to select some elective courses. The most current version of programs requiring electives and elective courses is available at MacEwan.ca/Electives . If you have questions about electives, please contact your university/faculty advisor.

When Can I Enrol?

2013 Enrolment Dates for Returning StudentsFor students with an admit term prior to Fall 2013

Withdrawing from a program?If you do not plan to return for your second (or subsequent) year, you must advise the Office of the University Registrar in writing.

Non-attendance does not constitute Notice of Withdrawal, and you will be held responsible for all fees assessed.

*In order to be considered a declared student and receive the earlier appointment date you must declare your major before:

March 15, 2013 for 2013/2014 enrolment March 21, 2014 for 2014/2015 enrolment

2013 Open Enrolment DateMay 6, 2013

This is the enrolment date for all new students, as well as those students whose program is not listed in the table above or on page 18.

Open Studies

What is Open Studies?Open Studies allows students who are not following a specific certificate, diploma or degree program to access credit courses. Open Studies students may study credit courses at MacEwan University for personal interest, to build professional skills, to add to post-secondary qualifications, or as Visiting Students.

How do I know if Open Studies is right for me?For advice on Open Studies, please contact an advisor at 780-497-5063. Visit MacEwan.ca/Advising for more information.

Didn’t get into your chosen program?Open Studies may help your achieve your educational goals by providing a pathway to your desired degree or diploma program. Speak with an advisor for more information at 780-497-5063.

I have been accepted into Open Studies; how do I enrol in my courses?Students admitted to Open Studies can enrol in courses through myStudentSystem. See pages 10 – 15 for step-by-step instructions on enrolling in courses. Open Studies students can enrol in courses beginning May 6, 2013.

Class section numbers available to Open Studies students begin with “OP” (e.g. PSYC 104 OP01). Open studies students may be allowed to access class sections other than “OP” sections closer to the start of term. Use the “Search for Classes” tool on the Open Studies web page at MacEwan.ca/OpenStudies to see all available class sections.

Classes can fill up quickly, so make sure to apply and enrol as early as possible in order to avoid disappointment.

How many credits can I take in Open Studies?Students can complete a maximum of 30 credits in Open Studies.

If you intend to apply to a MacEwan certificate or diploma program, you may be limited to two or three program courses before you must apply to your new program. Please see an advisor to discuss your intended course of study.

How much will my courses cost?See the tuition and term fees tables on pages 23 – 24.

The same deadlines apply to Open Studies students as to program students. Make sure to pay your fees before the deadline!

Enrolment: Frequently Asked Questions

How do I get the New Student Enrolment Hold off of my account?If you have already paid your deposit, please contact your program office for more information about removing your New Student Enrolment Hold.

Who do I contact if I need help enrolling in my courses? Please contact your university/faculty advisor for assistance with course selection and program planning. If you are having a technical problem with myStudentSystem, please contact the Help Desk at 780-497-4357.

How do I find an advisor? Need more information? Not sure what courses you need to take to fulfill your program requirements?

Visit MacEwan.ca/Programs, select your program, and look for “Contact Information” to find a listing of advisors and other program contacts. Not sure which program to take? Call the Advising office at 780-497-5063.

What can I do if the class section I want is full? Can I get on the wait list for a class?There are no wait lists for classes. If the class you want is full, check back often to see if a space has opened (this could happen if someone else drops the class), or speak with your university/faculty advisor about other courses that may fulfill your program requirements.

What do I do if a class I want is reserved?If you are not in one of the listed programs, then you will not be able to enrol in a reserved class section.

Some reserved sections may be opened to general enrolment closer to the start of term. If you have questions about enrolling in a reserved class section, please contact your university/faculty advisor.

What are prerequisites and do I have them?A prerequisite is a course that must be successfully completed before another course can be started. Prerequisite information is found in the academic calendar or under course descriptions on the website. It is your responsibility to ensure that you have completed all required prerequisites, as programs may withdraw students from a course at any time if the prerequisite has not been met. For assistance or questions regarding prerequisites, please speak with your university/faculty advisor.

Fee payment methods1. Pay Online

Log into myStudentSystem. In the “Finances” section of your Student Centre, click the “Make a Payment” link. Pay close attention as the most common mistake made is paying for the wrong term. Please note that you cannot use a Visa Debit card when paying online.

2. Telebanking/e-Banking

Pay through your bank online or via phone. Use your student ID as the account number to which you make a payment. Please contact your bank for further information. Payments via this method must be made no later than August 27, 2013 for the Fall term, December 30, 2013 for the Winter term, and April 29, 2014 for Spring/Summer term.

3. Mail in

Please have your payment in the mail prior to August 15, 2013 (December 15, 2013 for the Winter term and April 15, 2014 for the Spring term), and check myStudentSystem to ensure it is processed before the payment deadline.

4. Pay in person: Cash/ Debit Card/Cheque/ Visa or MasterCard

You may need to notify your bank before paying by debit to ensure your daily limit is sufficient.

5. Student Loans:

Please remember to take your signed documents to the EDULINX table at City Centre Campus or a designated Canada Post outlet.

6. Sponsorship

Proof of sponsorship must be made or documented on your student record prior to the published payment deadlines, so that you are not penalized.

Please note, sponsorship letters must be specific to the term and a new sponsorship letter is needed each year.

7. Student Payment plans

Payment plans are available for students whose student loans have not been confirmed, or for students who are not able to pay all or part of their tuition fees by the tuition payment deadline date.

1. Payment plans are subject to a non-refundable payment plan set-up fee of $35.00 (per term).

2. An initial payment is required at the time of the payment plan set-up.

3. The remaining tuition owing is divided into as many as 3 equal instalments, which must be paid on the 1st or 15th of the month.

4. Payment plans must be paid in full before the end of the term.

5. Any unpaid instalment may affect your access to future enrolment and outstanding balances may be assigned to the collection agency.

How Am I Going To Pay For It?

Student loansOnce you have applied for a student loan and the application has been assessed by Student Aid Alberta, you will receive a “Notice of Assessment” (NOA) in the mail. This will detail the total funds you are receiving and when they will be released. Student loan certificates are either enclosed with the NOA or mailed at a separate date.

Tuition and Fees: Frequently Asked Questions

What will happen if I can’t pay my fees on time?

What happens if I pay for my fees and then get a student loan remitted?If this happens, then any overpayment will be refunded to you.

I see that I have a credit on my account. How long will it take to get my refund?Assuming that the credit does not get applied towards additional fees (for example if you add another course), your refund will take 4 to 6 weeks to process.

I paid my fees through my bank but the payment does not show on my account. It can take up to 5 days for a payment made via a bank to show on your student account.

How do I get a receipt?When you pay online through your student portal, no receipt is generated. Instead, the balance shown on your online account will change to reflect any payments that you make. If you require a receipt, please choose an alternate method of payment. If you are paying in person it is best to come early as lineups can get very long just prior to the fee payment deadline.

How do I get my Health and Dental fees waived?Please see “Health and Dental Plan” on page 35 for information on the Health and Dental plan, including how to opt out.

Failure to pay your fees on time will result in your account being sent to collections!

If there is a chance that you will not be able to pay your fees on time, make alternate arrangements as early as possible! See “Paying Your Fees” on page 25 for more information on setting up a payment plan, and check out the “Fee Payment Methods” section for other payment options.

Student ID/Library CardYour photo ID card is the official MacEwan University student identification and library card. It is also used as U-Pass identification and for borrowing at the Edmonton Public Library (L-Pass) and other libraries in the Edmonton area (NEOS). Your ID card can be obtained from the service desk at your campus library. In order to get your photo ID card, you will need to provide the library staff with your MacEwan ID # and a piece of photo ID.

Keep your ID card safe! You will be asked to present this card when requesting information about your program or assistance with your student account.

LibraryEach campus has a library that offers a wide range of resources and services. The student portal (www.myMacEwan.ca ) is the access point for finding books, articles, e-resources, and other information about library services.

U-Pass*The U-Pass is a Students’ Association of MacEwan University (SAMU) initiative that provides full-time MacEwan University students with unlimited use of regular Edmonton Transit, St. Albert Transit and Strathcona County Transit systems, including use of the LRT. The U-Pass is valid for the Fall and Winter terms only.

Before you can use the U-Pass, a sticker must be attached to your student ID card. Visit the SAM Centre at City Centre Campus (room 6-108) to get your sticker. Students at the Faculty of Fine Arts and Communications and South Campus can pick up their stickers at their campus SA offices.

U-Pass stickers may be available for pickup in late August; check with the SAM Centre (780-497-4444) for the date.

Eligibility Enrolment CriteriaThe cost of the plan is included in your fees, provided you meet certain eligibility criteria. Students with dependents also have the option of adding family coverage to their plan.

Do you already have health and dental insurance?If you have comparable health and dental coverage, you can apply to waive your health and dental benefits. All waiver forms must be completed by SEPTEMBER 30, 2013. Approval of your opt out will result in the plan fee being removed.
