Thank you for being part of ISE 2019 and welcome to the re-booking brochu-re and process for our 2020 show.

As in previous years rebooking for ISE 2020 will take place on the Wednesday, Thursday and Friday in the RAI Amster-dam Holland Lounge, situated next to Hall 13. Please refer to the Floorplan in the centre of this brochure for help with finding this location.

Each exhibitor has been allocated a time slot – please pay close attention to yours.

Once the scheduled rebooking period has concluded, ISE 2020 exhibition spaces will be offered on a first-come, first-served basis to all companies, regardless of their priority rank.

Please note that the number of Priority Points awarded to each exhibiting com-pany is based on the length and extent of that company’s participation in ISE. If your points are forfeited, they cannot be replaced.

Your rebooking position has been calculated using your unique Priority Points total. For 2020 we are updating our system and Priority Points will be

allocated based upon overall spend at ISE – not just Euros spent on exhibition floor space. So, if you are a sponsor you will earn additional points. We feel this is a fairer system and rewards those that invest most in ISE.

For 2020 exhibitors are not allowed to increase their booth space from what was booked at the 2019 show. Exceptions are dependent upon space availability and specific circumstances. Changes to this policy can only be ap-proved by the rebooking management.

You are invited to attend your allocated slot and select the size and position of your booth for ISE 2020. This ISE Priority Space Selection Package has been supplied to you so that you have an opportunity to discuss options with other members of your staff and plan your participation in ISE 2020.

All exhibitors should note that as part of EU regulations we will be complying with General Data Protection Regula-tion. Full details are contained in this brochure.

If your company misses the ISE 2020 Priority Space Selection you can still book space after the advance sale clo-ses at 16:00 hours on Friday 8 February. However, your ranking position will no longer be valid at that time. Some high value positions may still be available but the range of choices will diminish rapidly if you wait until later in the year to book.

Please take this opportunity to reserve the best space for next year. If you are unable to attend at your allo¬cated time you may sign a proxy form authorising the organisers to assign the best possi-ble option available at the time of your allocated rebooking time slot. The proxy form is also part of this package.

How to get your rateFirst, have a look at the floorplan in the center of this brochure. You will find Yellow, Purple and Green areas on the plan which indicate if a booth is in Area A, B or C. Then note your booth configuration (see chart below). Choose the right price matrix for you at the bottom of the page depending on if you are a Member of AVIXA and/or CEDIA, or if you are a founding exhibitor, During rebooking, you will be eligable for the „Early Bird“ rate. After 31 March, regular prices apply. Founding exhibitors have the same price all year round.

Integrated Systems Events is using the Priority Points system adopted since ISE 2005 and will be using this to ascertain the order of priority for all ISE Exhibitors in choosing booths for the next show. This policy has been upda-ted for the 2020 show.

Accrueing pointsExhibiting companies can accrue priority points through the following two methods:

Method 1:Exhibiting companies earn Priority Points on the following basis:• 5 points per year for maintaining membership in any of the 2 Associa-

tions (AVIXA and CEDIA) in each year the company participates at ISE

• 5 points per year for participation as an exhibitor in Integrated Systems Europe

• 1 point per 2.600 EUR spent with ISE, regardless if it is for booth space or sponsorship, meeting room, shell scheme etc.

Example:An ISE exhibitor who participated in the last ISE edition (5 pts) who is also member of AVIXA (5 pts) and who spent a total of €5.200 with ISE (2pts) will have earned 12 Priority Points for the next ISE edition.

ISE Exhibitor Priority Points Policy

Rebooking Rules & Regulations

1. Only exhibitors of the current ISE edition are eligible to book space for the next ISE edition before March 1.

2. Allocation of booths: The allocation of booths will be carried out strictly according to the ranking list. If an exhibitor appears later than his allo-cated ranking number he can go right away to the access control of the operator area after passing the check in but he can only book from the available space by that time. Already booked booths of other companies, even with a lower rank, cannot be overridden. Where multiple firms have the same number of Priority Points, determination of the ranking for space selection has been made by sorting computer-generated random numbers assigned to each firm.

3. Confirmation of your ISE 2020 exhibit space selection and an invoice for your 20% exhibit space deposit will be sent to you on or before 31 March 2019. Continuation of your ISE 2020 priority exhibit space assignment is contingent upon ISE Show Management‘s receipt of your deposit payment by 31 March 2019. If we do not receive your deposit by 31 March 2019, your company shall lose its priority exhibit space selection and must reapply for another available space. Space assignments will only be guaranteed with a minimum 20% deposit of the total exhibit space cost. Please refer to the ISE Show Rules and Regulations for further details.

4. Pre-selected spaces: those spaces have to be signed by the respective agreement in advance of the priority space selection. Should an exhibitor miss to confirm the pre-reserved space in time the space may be taken over by one of the following exhibitors, even if they rank lower on the priority list.

5. Exhibit space within the area marked “No Redraw” on the floor plan can neither be altered nor combined. No other placements are allowed when booking a booth in such an area.

6. All islands must be purchased as is. Minimum size for islands is 80 sqm for customers who have had an island booth at ISE 2019, for all other customers, minimum size for islands is 100 sqm.

7. Features / Specific areas: Please note that exhibitors can only book booths in areas which are relevant to their trade ( e.g. exhibitors located in the Residential area must present and offer residential products, same with Digital Signage etc. ). ISE reserves the right to reject requests and/or cancel contracts conflicting with this condition.

8. Exhibitors are not allowed to increase their booth space for ISE 2020. Exceptions are dependent upon space availability and specific circum-stances. Changes can only be approved by the rebooking management.

9. If an exhibitor requires to rent a space within an island the minimum size is 25 % of the total island space. Placement is at the discretion of the operator. The booking must leave a feasible booth size and shape for further renting. Minimum space sizes may get adjusted at ISE‘s discreti-on.

10. Due to the nature of the priority points system, exhibitors may not be able to book the same space they had in the last edition.

11. Bookings of more than 3 booths is not permitted.

12. Booking slot: Each exhibitor has a 3-minute slot in which to execute their booking. In the event that you do not complete your booking during this period, you must leave the booking area and enter the loop again when you are ready to book.

13. Only 3 people per company are allowed to enter the operator area.

14. There are no cellphones allowed in the booking area, If you need to make a phone call, please leave the booking area and reenter when you are ready.

15. Exhibitors who are not exhibiting for 3 consecutive years will lose all priority points previously earned.

16. Founding Exhibitor Status: To be eligible the company has to be the original founding exhibitor from 2004. This status is not transferable by merger or acquisition etc.. In addition, to retain founding exhibitor status, the company has to have participated at every ISE show.

17. Exhibitors do not have the right to determine the contents or exhibitors of their neighboring booths or any other booths at ISE except their own.

18. If your company wishes to move or re-size, this will be considered on a case-by-case basis by ISE Show Management following ISE 2019. A waiting list for such requests will be available during Priority Space Selection. It is your responsibility to see that your company submits a waiting list form if you desire to move or re-size after your priority space selection has been made.

19. Association Membership: Memberships of AVIXA and CEDIA are recognised by ISE as long as the contract is still valid. It doesn’t matter in which country the membership contract was signed. Membership contracts have to be signed before the ISE booking. Should you have any questions about membership or want to become a member, please get in touch with your local AVIXA or CEDIA representative.

20. No handwritten notes are accepted on the contracts.

21. The Official ISE Contract Terms and Conditions, the Show Rules and Re-gulations (including the Cancellation policy) and the Exhibit Space Rate Schedule are also part of your contract.

ISE Exhibitor Priority Points Policy (continued)

Method 2:Exhibiting companies can earn Priority Points through the acquisition/purchase of other exhibiting companies. The greater of the two Priority Point totals of the merged companies is utilised and the lower of the two Priority Point totals is forfeited.Example:XYZ Company who had 20 Priority Points for the last ISE edition purchased ABC Company who had 15 Priority Points for the previous ISE edition. The newly merged ABC-XYZ Company now has 20 total Priority Points that will apply towards its Priority ranking for the next ISE edition.

Please note:If such an acquisition/purchase of a exhibiting company occurs, the purchasing company must notify ISE Management in writing (with sup-porting documentation of the purchase) at least sixty (60) days prior to the opening of the current year’s Show to request that the higher of the two companies’ Priority Points be used for space selection for the following year’s Show.

In the case where both companies will continue to exhibit at future ISE Events, the purchasing company will control the use of the Priority Points and the purchased company’s booth space must be contracted by and identi-fied as a division of the purchasing company. Such a combination of Priority Points may occur only once and the points acquired will remain under the control of the purchasing company.

Example:Sometime in the future, XYZ Company sells ABC Company (or ABC Company wishes to act independently of XYZ Company), who in turn wishes to partici-pate as an exhibitor at ISE. ABC Company is no longer entitled to the Priority Points they earned by exhibiting at ISE. ABC Company will be considered a first-time exhibitor at ISE without any accumulated Priority Points.

Additional Priority Point RulesThe total number of Priority Points accrued by each ISE exhibitor determi-nes the exhibitor‘s Priority Number or “Priority Ranking.” These Priority Numbers are recalculated each year, thirty days before the start of each exposition, and are used by ISE Management to assign booth space at the Priority Booth Selection for the following year‘s Show.

Current exhibitors and companies who have exhibited in the previous year’s shows are ranked according to accumulated Priority Points and are listed both in descending order of Priority Rank Number and alphabetically in the Priority Points Roster which is published and distributed to each exhibi-tor in their ISE Priority Booth Selection Package. The “Priority Package” documents are made available prior to the Show online at www.rebooking.org , are mailed to exhibitors and are also distributed at Show-site to each exhibitor’s booth. Priority Packages are available at the Show Management Office prior to the Priority Booth Selection.

Large Exhibit Space Pre-AssignmentShow Management has “pre-drawn” exhibit booth spaces for the Top 50 ranking positions in order of Priority Number and stated preference (where possible). A draft floor plan for the next ISE will be submitted to such exhi-bitors in advance of the Priority Booth Selection for confirmation of booth size and location. Upon confirmation of these pre-assigned booths, a final Priority Booth Selection Floor Plan will be printed and distributed to all cur-rent exhibitors as indicated in the previous paragraph. Exhibitors with such pre-assigned exhibit booth spaces will remain responsible for completing an exhibit space contract and adhering to all exposition rules and regulati-ons as set forth in the Priority Package.

Priority Numbers may also become a deciding factor in the resolution of disputes between two or more exhibitors and whenever a dispute arises pertaining to exhibit space usage. Use of Priority Numbers in resolving such disputes is solely at ISE Show Management‘s discretion and shall be review-ed by the ISE Exhibitor Advisory Committee.

Consolidated bookingIn cases where multiple companies/brands are owned or acquired by a common parent company/owner (regardless as to whether such parent company/owner is privately held or is a publicly traded company), Priority Space Selection for such exhibitors may be conducted in one of the following ways:

1. Individual Company Brands maintain their own exhibit booth spaces on the Show floor (in adjacent or separate locations):a. The existing Priority Points held by each individual company brand

will remain with the respective brand.b. Exhibit booth space selection will be made by each brand’s priority

point rank.c. Separate contracts will be made by each brand for its individual

exhibit booth space on a brand by brand basis.

2. Brands consolidated into a single exhibit booth space:a. The highest priority point total of the consolidated brands will be

used for priority space selection.i. Once consolidated, the parent company or brand with the highest

priority points of the consolidated brands will earn the priority points for its entire brand collective. Should any of the consoli-dated brands be divested, sold or otherwise choose to contract exhibit booth space independent of the parent company in the future, the priority points earned by such separated brand prior to consolidation will remain with the separated brand. The brand or brands that are split off will continue to acquire priority points moving forward under the Show’s policies.

b. The consolidated single exhibit booth space must conform to the Show’s rules, including:i. A single consolidated exhibit booth space may not cross a safety

aisle as indicated on the Show floor plan.ii. Should the consolidated single exhibit booth space design have

internal aisles to create separation between brands, the space used for such aisles will be considered part of the exhibit booth space and will be treated as paid exhibit space at the applicable Show exhibit space rate.

iii. In the case where one or more brands within the consolidated group desire a separate exhibit space located away from the consolidated exhibit booth space or common brand pavilion (e.g. audio brand wishes to occupy exhibit space within the audio pavilion and the rest of the consolidated brands have a common pavilion of brands in the general exhibits area of the Show floor), such brand(s) may select space at the individual brand’s priority rank.

c. In the case of a single common exhibit booth space such space will be assigned under one contract and the individual brand names will be listed in the Show Guide and Exhibitor Listings as provided for by the Show’s rules.i. In the case of a single consolidated exhibit booth space, the con-

tracting parent company/brand name will be used to indicate the exhibit booth space location on the Show floor plan.

ii. In the case of multiple exhibit spaces in separate locations on the Show floor, each individual brand name will be used to indicate the individual brand’s exhibit booth space location on the Show floor plan.
