Sample Business Letter

Here is a selection of sample business letters and other correspondence that you can copy and modify as you wish.

1. Letter Requesting Information How to ask somebody to send you information.

2. Letter Sending InformationWhat to say when you send information.

3. Letter Changing InformationWhen a person or company changes important information, such as an address, price, or date, it is necessary to send valued customers a letter with the new information. This letter informs customers of a change in price.

4. Resume or CVA resume (AmE) or CV (BrE) is usually requested by a prospective employer as a record of your qualifications and professional experience. CV stands for the Latin words "curriculum vitae", meaning "the course of one's life".

5. Covering Letter for Resume or CVIt is usual to send a covering letter (BrE) or cover letter (AmE) with your resume/CV when applying for a job.

6. Letter of ReferenceCompanies and other organizations often ask for a letter of reference. This is a character reference written by someone such as an ex-employer who knows the subject personally.

7. Letter of ResignationThough it is not necessary to give a reason, it is standard business procedure to send written notice informing your employer that you are planning to quit your job.

11. Internal Memo or MemorandumMemos are sometimes used internally to inform an entire company or department of something. This is an example of a memo referring to a staff Christmas party.

12. Termination letters Can be written for various situations, but the most common one is a job termination letter. Some people confuse termination letters with resignation letters. The sample termination letter below is typical for a job elimination situation. As the sample demonstrates, a job-related letter of termination needs to be drafted with sensitivity and respect.

13. Sympathy letters, or letters of sympathy Are written for both personal and business situations. In both cases, these letters should be short and sincere. Personal sympathy letters should be handwritten on standard stationery and business sympathy letters should be typewritten on corporate letterhead paper. The example sympathy letter below is a typical business situation in which the letter is from an employer to the spouse of the deceased person.

14. Donation letters Can be written for many different situations. Most often, they are used by community groups or public organizations to solicit donations of money or resources to support some sort of worthy cause.
