1. 2013 Popcorn Calendar2. Unit Popcorn Sales Job Descriptions
• Use this to form your team. It lists 5 “Captain” positions and their duties. It’s easier to ask someone when they know exactly what they’ll be doing.
3. Sample Show-N-Sell Tally Sheet• Used for checking out popcorn/money for Show-N-Sell.• Change to fit your popcorn varieties.
4. Quantity per Case / Wholesale Prices5. Scout Sales Tracking
• Complicated Excel spreadsheet for tracking Cub Scout sales. Double check work. Use at own risk.

• Three Ways to Sell Popcorn• Show-N-Sell• Take Order• Online
• Tracking Sales• Trail’s End Website

Subjects of this Powerpoint
• Your unit (Pack, Troop, etc.) is a Popcorn Store... without a storefront.Stores buy at wholesale and sell at Retail.
• Scouts are the salesmen on commission. For Packs, Den Leaders are like the managers.
• What’s a popcorn store need?
• Atlanta Area Council gives you popcorn. You pay for it later.
Up first, Show-N-Sell.

• 1, 6, 8 or 12 per Case (more later)
2. Order a variety, but not every flavor. That’s a lot of inventory to try and sell everything at a store.
3. Make sure you can access the storage throughout sales period
4. You will not sell all popcorn. (more later)

What is Take Order?
Door-to-door, friends, family, etc.TAKE an ORDER for popcorn
Deliver later.
Makes the most money.
Take Order Popcorn
Step 1Decide on ...
- Kick Off Date: Pack Mtg, Troop Mtg, Special Mtg, etc.- Unit Prizes / Awards (not from Trail’s End)
Take Order Popcorn
Pack 123 Kernel
Awards?
Top Seller Prize
Pack Committee
Top Den/Patrol Prize
Door Prizes
Pie in Cubmaster’s Face
Refund DuesFree Overnight Trip
Local Business Freebies
Take Order PopcornA Note on Unit Prizes / Awards
It is possible for a Scout to sell enough popcorn he won’t have to pay for anything in scouting. We suggest you structure it so the more a particular Scout earns, the less that particular Scout will pay for trips, banquets, uniform, dues, camping, equipment, etc. It’s their money. And parents will be more interested when it affects their wallet. (Troops for the most part already do this. This is directed at Packs.) Yes, some of the money should stay with the unit to pay for unit costs. But many units give a half or more back to the scout instead of lumping all Scout earnings into one account. This does require more tracking, but is rewarding (and more fair) to the family that works hard to sell.
This isn’t a Council mandate so it’s up to you to decide.
Step 2Have an Awesome Kickoff! Get kids excited! At minimum ...
- Hand out & explain popcorn forms- Demonstrate how to (and how not to) sell door-to-door- Explain flavors & costs (not in detail, don’t bore them)- Explain rewards / incentives / unit awards
Take Order Popcorn
Pack 123 Kernel
Are you ready to sell some
popcorn?!?
Yes!
Step 3Scouts get selling.Collect money at Point-of-Sale (if possible) in this order:
1. Cash or Check2. Credit Card (Square, Paypal, etc.)3. Pay Later
Take Order Popcorn
Take Order Popcorn
Paypalpaypal.com2.70% per swipe
Squaresquareup.com2.75% per swipe
Use these to capture credit card sales. Great for Show-N-Sell.Many units had success using them. Yes, you lose a little bit in
charges, but that beats losing the sale all together.
Readers and Accounts are Free.
Step 3Suggestion: Checks made out to parents. At turn in, parents write one check on their account to pack. Helps Treasurer from dealing with several hundred checks and lots of cash.
Put Scout’s name on check.
Take Order Popcorn
Step 3Alternative: Take Show-N-Sell door to door. Many have had success in having the corn right there at the door. Good for planned neighborhood canvassing by a den, pack or patrol.
Take Order Popcorn
Step 4: Collect money & orders• At least 1 week before due (Oct 16): Parents are
notorious for taking their time and missing deadlines.• Leave forms with Scouts so they can deliver later• Collect 1 check from parents• Use a spreadsheet
Take Order Popcorn
Pack 123 Kernel
Step 5. Tabulate how much popcorn you need to order.a. Take total Sold Door-to-Doorb. – subtract left over from Show-N-Sellc. = Equals Total you need to orderd. Round up to Container size (maybe)
Take Order Popcorn
Door to Door = 40 Caramel CornLeftover Show-n-Sell = - 10 Caramel Corn
Need = 30 Caramel Bags
BUT there are 12 bags to a container. Round up...

Step 6Order Popcorn at Trail’s End Website by Oct 16.
Take Order Popcorn
$10,000 (retail) Ordering(this is a little harder)
$10,000 of popcorn coming right up!
Take Order PopcornStep 7Pickup ordered popcorn on Nov 9.
Step 8: Give popcorn to Scouts to deliver- Usually on same day as pickup, step 7- This is the reason they keep forms
Take Order Popcorn
Step 9Turn in Money & Top Seller Forms by Dec 5.2nd Qualification for extra 5%.
Take Order Popcorn
$$$$$ to
Trail’s End OrderingDonations
Flat donations...• First: Apply to Military Popcorn
• Either by individual scout or by unit• Then anything < $30 is donation to unit
• ex: If have $90, buy $50 & $30 Military. $10 to unit.
• Note: Still apply ALL donations to Scout’s prize level
Remember, you’re a popcorn store.• You’re selling popcorn at RETAIL cost
• The Council bills you at WHOLESALE cost
• Your Unit keeps the difference.• Rest goes to Council & Trail’s End
• Council pays you back 5% if attend Kick Off and pay by Dec 5.
So, how did you make money?
Example ...You order $3,000 (retail) for Show-n-SellYou order $7,000 (retail) for Take Order
If sell all, $10,000 in unit’s bank account.
In November, Council bills you at 70% of Retail. You’ll pay $7,000.
The 30% that’s left is your profit: $3000
So, how did you make money?
Extra 5%?If you ...
1. Attended an August Kick-Off AND2. Pay your bill by December 5
Council will mail a check in January.
5% of $10,000 = $500
$3,000 + $500 = $3,500
So, how did you make money?

There two systems which can easily be confused ...

b) Leaders will see what the Scouts have sold on-line and use to add into their prize earnings
This is the system wherea) Popcorn Kernels will order
Show-N-Sell and Take Order bulk orders
b) Popcorn Kernels will start to order the Scouts’ prizes.

Trail’s End OrderingPull Downs NOT To Use – Scouts
We suggest you don’t try and track den and scout sales using this system. Many have found it to be tedious (smaller packs might want to try. Up to you.) We suggest you track all sales in a spreadsheet and then bulk order Show-N-Sell, Take Order and prizes for the whole unit.

This is the ordering screen. Let’s zoom in a little.
Trail’s End OrderingOrdering
You’ll need to have some number here. 1 or 2 or your number of scouts. Doesn’t matter because I don’t think if affects anything. But your order won’t process without it.
Trail’s End OrderingOrdering
You’ll order your corn by putting the number of cases you want in here. Remember CASES not bags or tins.(Note: don’t order Military popcorn for Show-N-Sell, of course.)
Trail’s End OrderingOrdering
How many bags or tins are in each case?Look for the ratios at the left. For example• The Cheese Lover’s Collection is
1:1 = 1 Tin per case.• But the White Chocolate Pretzels is
1:8 = 8 Bags per case. Remember, you order CASES not individual bags or tins.
Trail’s End OrderingOrdering
You can view adjustments, print your unit invoice and save your changes with these buttons. Nothing is finalized at this stage.
Trail’s End OrderingOrdering
But when you click SUBMIT TO COUNCIL, you’ve committed your order. If you see you have an error, contact your District Kernel for a change.
Trail’s End OrderingOrdering
This is where you’ll order Scout prizes after you submit your Take Order order. If will take you to this page ....
Trail’s End OrderingOrdering
This is a new system and so can’t walk you through it. However, you’ll be able to order for the whole unit and it seems to me a modern-day ordering system with clear instructions. If you have issues, contact your District Kernel.
Trail’s End OrderingOverages / Underages
You WILL have extra popcorn because of ...- Show-N-Sell not absorbed into Take-Order- Rounding up to Container
Trail’s End OrderingOverages / Underages
Remember this problem from previous? We need only 30 bags, but have to order 36 because there are 12 to a case.

In Foothills, we’ll set up an open Google Doc spreadsheet that anyone can modify. Units post Have/Need info to find other Kernels. Note below that Rocky Balboa has 4 extra Kettle Corns and Adrian Pennino needs 4. A perfect match.
Trail’s End OrderingOverages / Underages
Ask your District Kernel what they’ll do. If they have no plans, you can take it upon yourself to find other units on your own.
Trail’s End OrderingOverages / Underages
Districts have a Swap Day
In conjunction with the spreadsheet, some Districts will have a Swap Day on the same day as Take Order pickup in the afternoon. Kernels can come and buy or sell what they need. Ask your District Kernel to plan such an event if possible.
One of the biggest issues Kernels have in buying product from another unit is understanding how much they pay for it. Remember, your unit is a store that makes profit from the difference between Wholesale and Retail. If you buy from another unit at Retail, you’ve wiped out your profit.
So say it with me....Buy and Sell between units at WHOLESALE.
(Note: wholesale is 70% of retail)
Think of it this way, when you buy it from Council, you’ll buy it at Wholesale cost. So if you’re getting from another unit, you should still get it at wholesale cost. The other unit is paying Wholesale costs, too. If you’re the selling unit, you’re won’t lose money. In fact, you’re saving money by getting rid of extra corn that you would otherwise be stuck with (and that you paid Council for). You’re just acting as a middle man with no loss or profit.
The following slides walk through a sample transaction to hopefully clarify this...

Getting people to help is one of the hardest Scouting job. Asking in general at a meeting almost never works. Right? So don’t do it. Try these steps.
1. Have someone in mind. All Captain positions are great short-tem roles for parents who aren’t registered leaders.
2. Ask them in-person. Phone calls and emails reduce the success rate.3. Tell them why they can do it. Be positive. Say why it’s important.4. Have their Job Description (from the handout) ready to give to them.
People want to know what specifically is expected of them.5. Be honest and tell them how much time it will take.
The “1-hour a week” thing is funny, but it’s not honest.6. If they say yes, keep them in the loop, support them, treat them like you’d want to
be treated if you’d volunteered for something (which you did!)Treat them nice and maybe next year they’ll be the Kernel!
7. Success rate for this process: 85%(okay, I made that stat up, but it is really, really good.)
