School Support AssistantFaculty of Education, Social Sciences and Law, School of Law

We are looking to recruit an individual with excellent administrative, interpersonal and organisational skills with office experience. You will be able to demonstrate a high degree of personal responsibility and initiative in all areas of the role as well as a high level of attention to detail, and experience of providing excellent customer service. You will be able to work to deadlines and have the ability to assimilate written and verbal communication quickly. You will be fully competent using Microsoft Office and be able to manage email and internet effectively.

You will be to providing clerical support within the School of Law, as part of the School Support Team, in a variety of non-student areas including making travel arrangements; purchasing goods and services; and maintaining electronic and paper based records. You will also be a first point of contact for non-student visitors and enquiries.

Standard working hours for the post will be 9am to 5pm Monday to Friday however there may be an occasional need to work outside these hours to ensure events are successfully supported.

What does the role entail?

As a School Support Assistant your main duties will include: Responding to and resolving/redirecting telephone and email enquiries

received in the Management Support Office in a prompt, accurate and courteous manner;

Maintaining the School's stationery stock and ordering fresh supplies when necessary, anticipating any peak periods and creating purchase requisitions on SIPR and Science Warehouse (electronic purchasing systems) as appropriate;

Placing purchase orders for goods (e.g. furniture, IT equipment, books) and services (e.g. catering/travel, accommodation, consultancy) and conference registration using the University systems (e.g. SIPR/Science Warehouse) including sourcing goods and services where necessary;

Regularly reviewing orders to ensure deliveries are received as and when expected and ensuring goods receipting of deliveries/services takes place in line with University procedures as required;

Making national and international travel and accommodation arrangements within approved budgets, providing itineraries and ensuring all information and travel documents are in order;

Assisting with arrangements for conferences, workshops, training courses, School meetings and other events, including organising refreshments, publicising and transport arrangements;

Assisting with submission of expenses claim forms, ensuring they are in the correct format and include original receipts, and are produced in accordance with the University's/Faculty's financial regulations and deadlines;

Acting as first point of contact for photocopier related issues (including integrated printers and scanners) within the School including user support; clearing of faults or escalating to external maintainers; replacement of supplies; maintaining mailboxes; and basic staff training;

Assisting other team members as directed by the School Support Co-ordinator;

Contributing to maintaining online and paper resources and records; Organising, supporting and minuting meetings within the School as required; Providing PA support where required, including effective diary management,

to holders of School Leadership and Management roles, as appropriate and directed by the School Support Co-ordinator;

Acting as Fire Warden and First Aider, which requires regular training and updating on University procedures.

GCSEs in Maths and English at grade C (or equivalent) or above or relevant experience;

Evidence of accuracy and attention to detail; Computer literacy, with experience of using Microsoft packages in particular

Outlook, Word and Excel in an office environment; Demonstrable ability to work well as part of a team and independently; Evidence of good communication and interpersonal skills in a work

environment; Evidence of excellent organisational skills with the ability to prioritise jobs and

work under pressure in order to meet deadlines; An ability to be flexible, adaptable and able to show initiative; Demonstrable aptitude for learning new tasks.

 You may also have: Experience of working within purchasing and financial procedures; An understanding of Health and Safety in an office environment; Experience of working in a Higher Education environment.
