The HARTbeat of Hanover

As our name states, alumni are the heartbeat of Hanover College. You keep us running and growing. The Enrollment Management division relies on dedicated alumni who can help through various roles and reach students in every corner of the world. We couldn’t do it without you!

MAJOR ENGAGEMENT EFFORTS

College FairsOne of the most valuable opportunities for engagement is representing Hanover College at a local college fair. During fairs, prospective students and parents meet with college and university representatives to ask questions specific to their college search. Your participation in these events allow us to more effectively – and cost efficiently – expand our footprint.

Regional ReceptionsThroughout the year, we take Hanover College “on the road” and meet with prospective students and parents, alums and other important campus constituents within their own community. These 90 minute receptions connect local alumni with prospective students in Cincinnati, Indianapolis and Louisville.

Direct OutreachConsider reaching out to prospective students using Hanover College materials. You can refer a student, congratulate recently admitted students or reach out to “fence sitters” who have yet to make their college decision. Your personal touch will make a lasting impression.

COLLEGE FAIRS

Be prepared for an exciting evening! College fairs offer the opportunity for you to share your Hanover experience with prospective students. This is a great way to connect directly with students from your community who may be interested in attending Hanover.

Pre-Fair Prep• In the early fall, you will receive a box of materials

containing everything you will need for your display. To see a sample set up, please visit here. Additionally, links to all of the publications you will receive is available here, so you can prepare ahead of receiving your HART box.

— Table blanket, travel brochures, inquiry cards, pens, admission counselor cards, etc.

• Dress is business professional, unless you are wearing the Hanover College HART apparel provided. Wear comfortable shoes and don’t forget your nametag – and your smile!

• If possible, please try to arrive 20-30 minutes early in order to allow plenty of time for parking and set up. Once there, you will check in at the registration table which can usually be found at the fair entrance.

• Most college fairs will provide a hospitality suite for college and university representatives – it’s also a good idea to bring along a bottle of water, especially for fairs that promise large student participation.

COLLEGE FAIRS

After the Event• Pack up and clean your area. Take all Hanover materials with you and discard any trash.• If provided, please complete the college fair evaluation form. You may use [email protected] if an email address is

requested, rather than your personal or professional email. • Please complete the Hanover College feedback form located here. Remember to include the name of the event, along

with the event date, time, location and estimated number of student contacts. • Inquiry cards are key to building our student database. Please encourage any student who stops by your table to

complete this quick and simple card so that they may receive additional information about Hanover College. At the conclusion of your event, please return the cards using the simple instructions below.

To Return Inquiry Cards: 1. Combine all inquiry cards and staple them together. 2. Include the name, date, and time of the event you attended. 3. Return the cards in one of the postage paid envelopes included in your college fair materials.

During the Event• Stand behind your Hanover College table.• When approached by prospective students and parents, introduce yourself as a member of HART; as appropriate, you

are welcome to share a little about your Hanover College experience (i.e. clubs, leadership roles, major, travel abroad, etc.). • For your convenience, a list of answers to the most frequently asked questions can be found on page 7 of this toolkit;

remember, we don’t expect you to know all the answers! Included in your materials are business cards for the admission counselor assigned to your area. Don’t hesitate to refer prospective students and families to their counselor for additional follow up.

• Often you will be asked to compare Hanover College to other institutions; rather than disparaging other schools, simply focus on the benefits of a Hanover education.

• Encourage students to complete an inquiry card if they are not already receiving information from Hanover College! • Stay until the end! Even if the fair slows down and other schools begin to pack up, we stay until the end. College fair

standards require we remain at the event in it’s entirety.

REGIONAL RECEPTIONS

Throughout the year, we take Hanover College “on the road” and meet with prospective students and parents, alums and other important campus constituents within their own community. These events allow us to share Hanover’s academic programs, financial aid and scholarships, co-curricular programming and student outcomes, and are designed to compel students to take the next step and apply or commit to Hanover College.

Regional receptions are also designed to connect local alumni who have a passion for sharing their Hanover success story with these audiences. Depending on the activities in your area, you can volunteer as much or as little depending on your schedule.• Regional receptions are approximately 90 minutes, and include a brief address from a campus leader, a mediated

presentation and an alumni panel• Receptions may be hosted in homes, hotels, community centers, corporate venues, libraries or other suitable locations• Expenses assumed by HART members will be reimbursed by the College, or may be considered a donation in kind

DIRECT OUTREACH

Direct Outreach is designed to allow our HART members to connect one on one with our prospective students. While the Online Student Referral link is active all year, other opportunities for this type of engagement occur during a specific point in the student recruitment cycle and are designed to compel students to take the next step with Hanover College. There are three ways in which to participate:

Online Student ReferralsThis form allows you to directly refer students to our office using this link: hanover.edu/inquire. All members of HART are encouraged to participate in this!

Congrats ContactsWrite a note or email congratulating students on their recent offer of admission. All materials (notecards, contact information, mailing labels, postage, etc.) will be provided. Additionally, we are happy to shape your list based upon your desired target audience (size, local students, students who will graduate from your high school alma mater, students admitted into your major). This campaign is launched in late January.

Admitted Student Yield Campaign Write a letter to students who are “fence sitters”, sharing with them how Hanover College has been integral to your career success.
