2 Intelligent Services Center

The Intelligent Services Center (ISC) is a new, easy-to-use interface that simplifies the process of setting up and monitoring Intelligent Services in your system.

Intelligent Services Center: An Introduction

The Intelligent Services Center (ISC) enables HR analysts and IT or HR Administrators to model their business processes for Intelligent Services. It is included by default for new Intelligent Services customers when Intelligent Services is enabled through the Upgrade Center. Existing Intelligent Services customers please contact Customer Support to enable this tool. Once the upgrade is complete, Event Center will not longer appear.

Publisher and Subscriber activities are referred to as a Flow. All preconfigured activities can only be turned on or off. However, activities that run off the Intelligent Services Center framework can be configured using business rules and timing options.

You can configure, customize, and monitor Intelligent Services events that include:

● Publisher details● Subscriber actions and notifications● External Event Connector● Integrations created through the Integration Center● Event monitoring

3 Getting Started with Intelligent Services Center

3.1 Permissions

This section lists the permissions that are required for Intelligent Services Center.

● Intelligent Services Tools: Intelligent Services Center (ISC)● Admin Center Permissions: Read Execution Manager Events● Manage Integration Tools: Access to Integration Center● Metadata Framework: Configure Business Rules

If you have Role-Based Permissions enabled, you should have the following additional permissions in Metadata Framework:

● Configure Object Definitions● Read/Write Permission on Metadata Framework● Admin access to MDF OData API

If you do not have Role-Based Permissions enabled, you should have the following additional permission in Manager Users:

● Employee Export

3.2 Enabling Intelligent Services Center as a Feature in Upgrade Center

From Q1 2017, Intelligent Services Center (ISC) acts as a default tool for Intelligent Services in place of Event Center. If you have permission for Event Center, permission to access Intelligent Services Center is granted automatically.

Prerequisites

● In Provisioning, select Enable Intelligent Services option. Only when this option is selected in Provisioning, Intelligent Services Center will be available in Upgrade Center.

● Enable permissions for ISC. For more information on setting up Role-Based Permissions (RBP) and the Administrative Privilege tool (non-RBP), see Setting Up Intelligent Services Guide and Event Center Guide.

Context

To enable Intelligent Services Center in Upgrade Center, proceed as follows:

Procedure

1. Go to Admin Center.2. Search and click Upgrade Center.

The Welcome to the SuccessFactors Upgrade Center page is displayed.3. Under Recommended Upgrades, click Learn More & Upgrade Now for Intelligent Services Center.

NoteIf Intelligent Services Center is already enabled, it is not displayed under Recommended Upgrades.

The Intelligent Services Center page is displayed with the description about Intelligent Services Center and the prerequisites to enable Intelligent Services Center using Upgrade Center.

4. Click Upgrade Now to continue the upgrade Intelligent Services Center process.

The Upgrade to Intelligent Services Center dialog is displayed.

5. Click Yes to upgrade the Intelligent Services Center.

6. Click OK.

RememberTo undo this feature, go to Completed Upgrades page, and click Undo under Actions.

Context

To refresh metadata, proceed as follows:

Procedure

1. Go to Admin Center.2. Search and click ODATA API Metadata Refresh and Export.

The ODATA API Metadata Refresh and Export page appears:

3. Click Refresh.

Note○ Ensure that the user is granted the access to perform Refresh Metadata Cache.○ Admin who has permission to OData API can refresh metadata cache.○ To access ODATA API Metadata Refresh and Export, on the Permission Setting page, select

Administrator Permissions Manage Integration Tools Access to OData API Metadata Refresh and Export .

○ Once the refresh is done, you will get a successful refresh message along with the date and timestamp of the refresh.

3.3 Enabling Role-Based Permission for Event Monitoring

Prerequisites

● Upgrade to Intelligent Services through the Upgrade Center.● Enable Intelligent Services Center (ISC) in Provisioning by contacting SAP SuccessFactors Customer Support.● Enable Permissions for ISC. For more information, on setting up Role-Based Permissions (RBP) and the

Administrative Privilege tool (non-RBP), see the Related Information links below.

Context

To enable RBP for Event Monitor, proceed as follows:

Procedure

1. Navigate to Admin Center Manage Permission Roles to access the Permission Role List screen.2. Select the Permission Role or click the Create New button to configure permissions for a specific role.3. On the Permission Role Detail screen, select the Permission button to open the Permission settings box.

4. Navigate to Administrator Permissions Admin Center Permissions and select Read Execution Manager Events and Read Execution Manager Event Payload.

3.4 Accessing Intelligent Services Center

Context

To access the Intelligent Services Center, proceed as follows:

Procedure

1. Navigate to the SAP SuccessFactors Admin Center Tools .2. In the Tools search field, enter Intelligent Services Center.3. Click the Intelligent Services Center (ISC) link.

3.5 Landing Page

The All Events section of the ISC landing page lists all available events, with a brief description for each event. Click the event title (with the blue link) to open the Event Details page. The landing page contains publisher information, including which module published the event, the event description, and the event publishing rule. This page also provides an option to sort events with respect to Events Raised, Publisher, and Event Name.

4 Event Details

NoteIf the Event Details page is not responding, the OData Cache needs to be refreshed. See the related links below.

The Event Details page displays the publisher details at the top of the screen, including the name of the module that published the event and the type of event being published in the form:

<event publishing module>:<event type>

For example, in Employee Central: Change in Manager, Employee Central is the name of the publishing module and Change in Manager is the event type.

Click on an event to display its publishing rules, monitoring, and flow details.

4.1 Publishing Rule

You can create and configure publishing rules that set conditions to determine when events are published to subscribers, when events are published to third-party applications, or both.

4.2 Event Monitoring

Before Q2 2017, the Admin could only view the events raised for a time frame in the Intelligent Services Center. Now, Admin can monitor the subscribing activities such as pre-configured module activities (blue dotted lines), module subscriber activities (blue solid line), event connectors (Gray solid line), and integration activities.

Currently, it is possible to view the details for an event and the different activities that are triggered due to the event.

In the All Events page, when you click on the Events Raised for an event, Event Monitoring page is displayed where you can see all the events raised for that timeframe. You can change this timeframe using From and To to display all the events raised for that timeframe.

NoteThe timeframe should not exceed 30 days.

This page also displays a table with Date, Time, and Initiator information. You can filter this table either to Show records with errors only or by Initiator.

When you click on any row, activities related to that event is displayed in a pop-up window. This pop-up window has information about Subscriber, Activity, Flow (if applicable), Status, and Date. The status can be Delivered, Scheduled, Triggered, or Failed.

There is an Action button at the end of each row, which shows the details of the activity. Upon clicking this option, Activity Details is displayed with Request and Response information.

Event Monitoring for Event Connectors

Event Connector is a tool used to create an external connection to a third-party endpoint. For configuring event connector, refer to Event Connector [page 19].

When the event gets triggered, the activity will be listed in the Event Monitoring page.

In case of any failure, this Action button has another option called Retry which up on clicking, triggers the activity again. You will see the Retry option only when the event fails again.

Event Monitoring for Pre-supplied Module Activities

These activities can only be switched on and off and cannot be configured further.

Event Monitoring for Module Subscriber Activities

These are configurable module subscriber activity. You can configure rules, timing options, and recipient (where applicable). For example, you can change the effective date and schedule it for future. When the event is triggered, the Monitoring activity status for this event shows as Scheduled.

Event Monitoring for Integration Activities

If you create an Integration for an event using Integration Center, you can add that event as an activity and monitor it. For an Integration activity, there is an Action button which has a hyperlink option that takes you to Execution Manager Details page. This page has information about the status of the job whether the job was successfully created or not.

4.3 Flows

You can configure subscriber activities appropriate to your specific business processes for each event in the system. Each event has a default flow. You can create flow rules and multiple flows for each event. For more information, see Flow Rules [page 23] and Multiple Flows with Flow Rules [page 25].

5 Activities - All Subscribers

The Activities column (at the right side of the screen below the custom activities) is a library that lists the Subscribing Activities pre-supplied by SAP SuccessFactors. These are the configurable activities that are possible in response to a particular event. Configure both the business processes for each event and the various actions that are part of the event.

5.1 Subscriber ActivitiesOnce added to the flow, Subscriber Activities are displayed using three different symbols that indicate the activity types: a blue dotted line, blue solid line, or a gray solid line.

● Blue dotted line○ Subscriber Activity: These are pre-configured module subscriber activity that can only be switched on

(default) and off and cannot be configured further. When these actions are triggered, they are automatically published and displayed in the When an event is published section.

○ Publisher Web Notification: There are pre-configured publisher notification that can only be switched on (default) and off and cannot be configured further.

● Blue solid lineThese are configurable module subscriber activity. You can configure rules, timing options, and recipient (where applicable). Once a configurable activity is added, it is ready to be triggered. If rules are defined, these

actions are triggered only when the rule conditions are met. It is possible to add a configurable activity multiple times, typically to publish to multiple recipients or to trigger the activity multiple times.For example, you might publish to both Manager and Employee five days before the effective date, on the effective date, and five days after the effective date. When a configurable activity is triggered on the effective date, it is displayed in the On Effective Date section. (To remove an activity, hover the mouse on the event detail. This displays an X at the right side of the detail area. There are two Recruiting Subscriber types that are configurable activities, they are Add Global Assignment and End Global Assignment. For more information, see Recruiting as a Subscriber [page 27].

● Gray solid lineThese are custom subscriber activity and used when propagating events outside the company through an Event Connector or Integration. (An integration is created using the Integration Center.)

5.2 Custom Activities

The Custom Activities section lists the two methods of publishing events externally:

● Event Connector● Integration

NoteEvent Connector and Integration will only appear when the events are allowed to be published externally.

5.2.1 Event Connector

Event Connector is a tool used to create an external connection to a third-party endpoint. When the endpoint is configured, an event notification in the form of a SOAP message is sent to the specified endpoint. An API callback can be done to get the details of the event using the metadata contained in the object. For more information, see Event Notification Subscription Tool guide. Event connectors belong to an event and are applicable to flows associated with the event. Even if included in a flow, event connectors belong to the event (not to the flow) and are applicable to all flows associated with the event.

Context

To configure an event connector, proceed as follows:

Procedure

1. Click the Event Connector button on the right side of the screen.

The Event Connector configuration window opens, displaying options to Select a Connector or create a New Event Connector. Pre-supplied Event Connectors are provided.

2. Use the subsequent screen to configure connector options, including Name, Description, EndPoint URL, External Event Alerts, Icon images, and Authentication.

3. Click Save to complete the configuration process.

The event connector is added to the event, and is now associated with all the flows for this event.

If you create a new flow, this connector appears at the top of this screen. If you create another flow the same connector appears for that new flow at the top. If you remove the connector from one flow, it is removed from all flows (because it belongs to the event).

NoteThe most important event connector detail to configure is the EndPoint URL. This identifies where this event is published when triggered. The information is sent in the form of a SOAP message. A destination is required.

5.2.2 Integration

Integration is another method for connecting the event externally to receive the pre-configured details you are requesting. The SAP SuccessFactors Integration Center supports REST and File Transfer. (SOAP support is planned for a future release.)

Context

After an integration is created, it is linked to an event in the Integration Center and is added as a configurable action. You can define a rule and timing options. When the event is triggered, the integration is called automatically. For more information, see Integration Center User guide in the Related Information links below. To configure a custom Integration, proceed as follows:

Procedure

1. Click the Integration button at the right side of the screen.

If you have already defined an Integration for this event, it is listed as an available integration. If no integrations are pre-defined, this list is empty.

2. To create a new integration, click the Create New Integration button, which takes you to the Integration Center tool.

Once created, a new integration appears in the Integration screen as an available option.3. Select the new integration and click Add Integration to add the new integration as a configurable activity.

Pre-defined IC integration will be added as a configurable activity that supports Rules and Timing.

Following are the prerequisites for the Flow Rules to open the page and save the flows:

You can configure flow rules for subscribing activity events as appropriate to your particular business processes.

NoteEvery event has a default flow, and you can have multiple flows for each event. For more information, see the Multiple Flows with Flow Rules section. If there is no business requirement to make a change to a pre-defined activity, then leave the flow unchanged.

Click the Event Details Flow to display information about the event.

There are three ways to create a flow rule:

● New Rule. When there are no business rules configured for a flow.● Copy of Existing Rule. When you want to copy an existing rule and change or configure it as required.● Use Existing Rule without Copying. When you want to use an existing business rule exactly as it has already

been configured. Important: If you change this rule in any way, the change is applied everywhere the rule is used.

You can define rules for events at the flow level or at the activity level. Once created, a rule is automatically associated with that event.

To create new rules for Job Information or Employee Time Off, navigate to the Admin Center Configure Business Rules Create New Rule button. This page contains the list of ISC Scenarios that can be configured. Select the radio button for the ISC Scenario type that you wish to use as you create this new rule. Complete the ISC Rule scenario dialog and click the Continue button. Complete the configuration and click Save.

NoteTalent and Recruiting events do not allow rule configuration with this release.

7 Multiple Flows with Flow Rules

It is possible to create one or multiple flows. Each flow can have a flow rule that governs the activities for that particular flow. If the flow condition is met, the associated activities are triggered. If you define additional flows, then each flow should have a flow condition.

For example, an organization might need to define two flows for an event, one that occurs when a particular location condition (for example, "USA-based") is met, and another when that location condition is not met.

NoteFlow rules do not govern the pre-supplied activities or the Event Connector.

After a flow has been configured, click the Actions icon (in the upper right section of the Flow title bar) and choose Save Flow.

8 Recruiting as a Subscriber

Recruiting acts as a subscriber to the "Add Global Assignment" and "End Global Assignment" events. This section describes how the "Add Global Assignment" and "End Global Assignment" events are used by Recruiting Management.

8.1 Add Global Assignment

This section describes the Add Global Assignment event that Recruiting subscribes to.

When an administrator or HR administrator (a HRBP user) takes action to "Add Global Assignment" for an employee, the process will automatically reassign any open requisitions, where the employee is a recruiter, hiring manager, or any other operator, so that these requisitions can continue to be processed while the employee is away on global assignment. In other words, if an employee who is a Recruiter, Hiring Manager, or any other operator (that affects requisitions), is away on global assignment, all of his or her open requisitions will be reassigned when the HR Administrator chooses to add the "Add Global Assignment" feature. The reassignment of the requisitions can be configured to go to the Next Level Manager or a specific user of choice.

Only the requisitions in the "Approved" and the "Pre-approved" statuses will be reassigned. The requisitions in the "Closed" status will be ignored.

8.2 End Global Assignment

This section describes the End Global Assignment event that Recruiting subscribes to.

The End Global Assignment event works in together with the Add Global Assignment event. The End Global Assignment event is used to undo the changes that take effect when an employee is away on global assignment.

When an administrator or HR administrator (a HRBP user) takes action to "End Global Assignment" for an employee, the process will end the changes to workflows that were initiated as part of the "add Global assignment" action. The reassignment of any open requisitions, where the employee is a recruiter, hiring manager, or any other operator, will be stopped.

NoteOnly the requisitions in the "Approved" and the "Pre-approved" statuses would have been reassigned when the "Add Global assignment" action was in effect. The requisitions in the "Closed" would not have been affected.

8.3 Configuring Recruiting

This section describes the steps that must be performed in provisioning to configure Recruiting to use Global Assignments.

You must have:

● Performed the steps described in the Enabling Role-Based Permission for Event Monitoring [page 9] and Accessing Intelligent Services Center [page 11].

8.4 Using Global Assignment Events With Recruiting

This section describes the procedure to set up the Add Global Assignment and End Global Assignment events in Recruiting Management.

Context

You must configure reassignment individually for each requisition template. Note that each sections appears only if the Subscription Flag for the corresponding Global Assignment is turned "On" for recruiting in Intelligent Services (ISE).

NoteRecruiting should be an active Subscriber to the Add Global Assignment and End Global Assignment events. Ensure that you have turned "On" the Subscription Flag in the ISE.

The following procedure describes the procedure to enable "Add Global Assignment" and "End Global Assignment" for an Employee.

Procedure

1. Go to Admin Center Intelligent Services Center .2. Select the "Add Global Assignment" event to configure it. The Add Global Assignment page opens.3. Navigate to the "Reassign Requisitions and To-Dos for Requisitions" activity and click the button shown below,

to display the "Configuration Options" and "Add Rule" features.

4. Select "Configuration Options" to continue configuring Global Assignment for an employee. The "Manage Recruiting Settings" page in the Recruiting Management Admin center opens.

RememberYou can also choose to add rules for global assignment events. To add rules, select the "Add Rule" option in the preceding step.

5. On the Manage Recruiting Settings page perform the following actions:

1. Select a Job Requisition Template.2. Under "Transfer requisitions to another Recruiting user" select Next Level Manager (to assign it to the

Next Level Manager) or use the Find User field to search for and choose a user of your choice.3. Click Save.

6. To disable Global Assignment for an employee, go to Admin Center Manage Recruiting Settings End Global Assignment

1. Select a Job Requisition Template.2. Click Save.
